We basically do the same at Kate, but we’ve also unpublished all our DAOs at 
the moment while we revisit how best to provide a linkage. The item-level 
records in the digital repository vs the folder-level info in ASpace meant that 
ASpace object page/display for that folder would potentially have tens of 
digital objects (or more than 100, for some photo albums), which would list in 
a lng column that users had to scroll and scroll and scroll to view.

Our digital repository UI developer had a heart attack looking at it and agreed 
to work with me to revise how the systems interact.

We don’t use AS for doing much with digital objects except to provide links to 
access objects in our digital repository and sometimes provide thumbnails. Our 
METS and MODS are all made elsewhere and stored in our digital repository along 
with the objects, so AS is not our tool for these functions.

Greetings all!

New ArchivesSpace user here. I've inherited a nicely populated AS with plenty 
of digital objects, but wanted to send out some feelers to get an idea of how 
others are using digital objects in AS. We have a separate digital repository, 
so there is redundancy, and I'm trying to figure out the best way to move 
forward.

If anyone would be willing to chat with me about how you find digital objects 
to be useful for you in AS (linking out from top containers, individual objects 
attached to folder levels, etc.) I would love to hear! Feel free to message me

Regine,

Thank you so much for suggesting this! It was indeed a whitespace issue. 
Somewhere along the line, one of my XML editors stripped out the whitespaces 
and I never noticed because 008 is not a field I was paying any close attention 
to. I suspect this was from bouncing between versions of Oxygen when working 
from different computers, but can’t be sure.

Hi Sarah,

Following up on Brian’s suggestion that your 008 looks short—depending on how 
your MARC-XML is being created, you may want to make sure that the blanks 
aren’t being collapsed by some sort of whitespace normalization setting. I know 
I’ve run into this with oXygen before.

 1.  The MARCXML importer gets the language from 008/35-37.  I’m not sure what 
happened to it, but the 008 in your record looks short.  Looking at the code, 
if the language positions are blank the language is set to undefined.  But that 
would only work if there are actual blanks in those positions.
 2.  Underneath the error messages, you can see a representation of the JSON 
record that ASpace is trying to load.  If you look at “notes”=>, the first one 
(position 0) has an empty "subnotes"=>[{"jsonmodel_type"=>"note_text"}].  You 
can see this is an odd note with a label of “Publication date”.  In this case, 
ASpace is trying to create a date note from the 260$c, which is blank in your 
case, so the it creates a bad note.  However, it’s only trying to create that 
note because it can’t get the date from the 008.  ASpace only recognizes 008 
dates if 008/06 is an i, k, or s, and you have a q there.  It probably should 
recognize the q, but the quick fix would be to change that to an i or an s.

Don't be surprised if the import fails again, with the same message but for a 
subrecord, or with a different message. That is because the ArchivesSpace EAD 
importer uses a SAX parser method 
(https://en.wikipedia.org/wiki/Simple_API_for_XML) to read the XML, not a DOM 
(Document Object Model) method. The former is faster and uses less memory, but 
cannot scan an entire XML file for issues and report back with a list of things 
to fix, as the latter would. That is why many people use a pre-import 
validation step to find most of the issues that might occur, without the 
laborious process of creating an import job, waiting for it to fail, then 
re-running.

Harvard have made theirs into a web service which you might find useful:

I think it is fairly generic (unlike a similar validation script used here 
which imposes editorial restrictions as well.)

I suspect that your EAD file is missing an archdesc/did/unitid field.  This is 
where ArchivesSpace pulls information to create its Identifier field for the 
new Resource (see the attached screenshot), which is a required element.

If you add something there, then I believe it should work.  Here’s an example 
from one of our EAD files,

field).

My path (pre-covid) used MarcEdit

 1.  grab MARCXML via z39.50
 2.  use marcedit’s MARC-EAD transform xsl (w/ local edits)
 3.  import EAD into aspace
 4.  massage/publish agents, subjects, etc.



We do this annually for adding accession records as resources (we don’t use the 
aspace accession module). I had done this same routine for our pre-aspace 
EAD-centric discovery software.

Hi Angela,

At my previous job we had a similar problem with Archive-It OAI imports into 
PrimoVE. We had to go ask ExLibris to remove the records from Primo as this was 
something we couldn't do ourselves (!). I don't remember the details, as our 
cataloging librarian handled it, but I think you should start with the 
assumption that this is a PrimoVE issue.

I'm not sure if this is an ArchivesSpace issue or an Alma/Primo issue. I'm 
starting with ArchivesSpace.

We have a hosted ArchivesSpace instance, with one repository set up to expose 
resource records via OAI-PMH. On the other end, we have an Alma discovery 
import profile set up to load these records into Primo VE. (The records are 
only being loaded and displayed in the Primo VE discovery layer; they are not 
being loaded into the Alma catalog.) This has been running smoothly for many 
months.

Our new problem (or more likely an old problem that we never had the 
opportunity to notice before) is that resource records that have been 
unpublished and suppressed in ArchivesSpace are still showing up in Primo VE.

I've looked at both the OAI-PMH settings in ArchivesSpace and the discovery 
import profile in Alma/Primo, and I can't see any setting to toggle 
inclusion/exclusion of suppressed records.

How can I prevent suppressed ArchivesSpace records from being exposed for 
OAI-PMH harvesting?

Or is the problem on the Primo VE side, with it failing to remove suppressed 
records?

[Archivesspace_Users_Group] PUI requests

Hi all,

My institution is planning to launch the PUI this summer and we're interested 
in hearing from other institutions who are using the "request" function either 
to generate an email or in tandem with another system. Specifically, I'm 
interested in hearing if using this button has generated an unreasonable volume 
of requests or spam/bots/jerks using the button to cause chaos. (Or the 
opposite - you expected a deluge of access requests but your usage stats stayed 
about the same.)

This is a concern that has come up before, so I'd love some community and peer 
institution anecdata for when it comes up again.

Hi Lisa,

When I was at Drexel University Libraries we tried to import collection-level 
metadata into PrimoVE using OAI-PMH and had a huge problem with what ExLibris 
said were non UTF-8 characters in the descriptive notes. My memory of this is 
that they reported ampersands in descriptive notes were causing the import to 
fail, but we had a really hard time pinning down exactly which records were 
failing and why, and inconsistent results with the fixes I attempted.

So, I guess just be aware that this may be an issue! Happy to dig up my notes 
if that would be helpful.

Hi Gwenlyn,

At my previous institution, we migrated to the ASpace PUI during the pandemic 
shut down, and so made a tutorial video/webinar about the new interface 
(instead of doing in person training sessions and other outreach). There's 
stuff I would definitely change about it, but for a semi-hastily put together 
20 minute overview of "what is a finding aid?" + "how do I find the stuff?" I 
think it's okay.
