Hi,

As suggested you need to add an additional tab before the page number
on the reference page. Then the page number in the second line will appear
right justified again.

However, it might happen that the text in the first line extends into the
page number area. Some weeks ago I got a solution to correct this:
In the paragraph designer in the Advanced tab change the
minimum value of the word spacing to something which is higher
than the max value. I use 200 % Minimum and 125 % Maximum.
This way the line breaks before a word extends into the area of the
page numbers.

After check with FM-10 and FM-11 I have filed this as a bug:

- Create a text frame and give it a long label, for example 
Warnung-vor-fallenden-Objekten
- At the width of the entry field input is prohibited (error sound).
  The intended label can not be entered.
- There is no such restriction in FM-10 and before.

Long names of text frames / flows are used for text frames which are referenced 
by insert where a 
clear identification of their content is needed.

After sending my previous email, I found a solution. I simply added a variable with three em spaces (\sm\sm\sm) at the end of the long titles. For some reason, just adding the em spaces directly on the line didn't work. straightforward approach for adding icons to paragraph tag? (no tables, macros, or multiple tags, please)

Somebody wants Note and Caution icons to the left of paragraphs.

For single-source motives I don't want multiple paragraph tags or a
table. I want to define the Caution and Note paragraph tags so the
icon appears at the left in PDF output. If it doesn't appear in
FrameMaker that's fine.

Is there any way to do this in FrameMaker 10?

OK, Autonumber Format works. Deja Vu Sans has the dingbat, if I set
the character tag to 24 pt and Subscript, it looks about right. I used
the Frame Above Pgf and Frame Below Pgf to add horizontal rules.

I don't know about transparency, but this is what works well for me:

In Visio, use File  Page Setup  Page Size  Size to fit drawing
contents to eliminate unused space around the drawing, then File 
Save As  Enhanced Metafile (*.emf).

In FrameMaker, import the .emf file by reference.

I know that embedding Visio drawings in FrameMaker is not the optimal way of 
working (although, very convenient), but it's currently not feasible for us to 
start externalizing the diagrams in books containing thousands of pages.

replace where the replacement is a variable rather than alternate text.  
I have a 1500 page manual where no variables were used. I'd like to 
implement them, but it's painful to think about doing it by manually.

But note that this approach has an unwanted (and probably unacceptable) side 
effect if your generated list uses leader dots. The problem is that the 
em-spaces produce a really noticeable gap between the end of the title string 
and the start of the leader dots.

The approach that Jerilynne proposed yesterday works well (although only one 
extra tab is needed in the reference page prototype paragraph rather than the 
at least 3 that Jerilynne mentions) and has no nasty side effect. It has 
worked beautifully for me for years.

This could easily be done with FrameScript. It is not the markers you have to 
change; it is the XRefFile property of each external cross-reference. As for 
the markers in the TOC, etc., you will just have to update the TOC after you

If I rename Frame files in a book, is it possible to automate changing the file 
names in cross-reference hypertext markers to repair the cross-references that 
will break? Specifically, we'd like to rename Frame files so that there are no 
spaces in the names (same characters in the file names but no spaces). I'd like 
to be able to search all cross-reference marker text to find file names with 
spaces and remove the spaces.
For example, a file in a book has a cross-reference to System Overview.fm. I 
change the name of that file to SystemOverview.fm. I'd like a script to be 
able to the Frame file name in the x-ref marker and remove the space, and go on 
to find all other Frame file names with spaces in x-ref markers and do the same.
I'm no script expert - not even a novice - but in searching for a pattern that 
a script might latch on to to do this, the  names of Frame files in the same 
directory as the file x-reffing to them are uniformly preceded by 
openObjectID. Could the script look for openObjectID (+ the space after it) 
and then remove the spaces contained in the characters that follow up to .fm? 
For files that are x-reffed that are in different directories from the 
x-reffing file, could the script look for  /file name.fm and again remove 
spaces within the name string?
Or am I asking the impossible of Framescript?

You've already got everything you need in the standard Find/Change. Here are 
the steps:
1) Define a new variable.
2) Manually insert it once into the document
3) Select the instance of the variable you just inserted, and then copy it
4) In the Find/Change dialog set up the find criteria, and in the Change box 
choose By pasting
5) Run the Find/Change

I use side-head paragraphs for this purpose all the time. Then I can enter 
whatever I want in the side-head - whether it is a large icon like you asked 
about, or other text (in red for example). With autonumber, you end up having 
to use the same autonumber text.

The process is to set the page format correctly to extend into the side-head 
region, and allow the defined side paragraph to go into the region of the page. 
If you want, I can send a small FrameMaker file along that shows this ...

Somebody wants Note and Caution icons to the left of paragraphs.

For single-source motives I don't want multiple paragraph tags or a table. I 
want to define the Caution and Note paragraph tags so the icon appears at the 
left in PDF output. If it doesn't appear in FrameMaker that's fine.

Is there any way to do this in FrameMaker 10?

If you mean one paragraph format and one character format (if you want to 
use an icon), then, yes, that is true.

But my approach gives you more flexibility in one way. Using an autonumber 
requires a _separate_ paragraph format for each type of icon you want - i.e., 
each with its own auto-number sequence. That can work, of course, but if you 
have enough _different_ icons, then my approach is simpler, I believe (as long 
as the icons are all from in a single given font - like ZapfDingbats for 
example).

Your choice, of course! :)

Hi,

As suggested you need to add an additional tab before the page number
on the reference page. Then the page number in the second line will appear
right justified again.

However, it might happen that the text in the first line extends into the
page number area. Some weeks ago I got a solution to correct this:
In the paragraph designer in the Advanced tab change the
minimum value of the word spacing to something which is higher
than the max value. I use 200 % Minimum and 125 % Maximum.
This way the line breaks before a word extends into the area of the
page numbers.

I'm sure you've all had the problem with TOCs, LOTs, LOFs, and even indexes. 
When the title reaches the end of the line (or too many index entries), the tab 
character that should position the page number at right aligned tab doesn't 
work, and the page number appears left justified on the second line with or 
without continued text. I've always gone through and manually fixed the issue 
by inserting soft returns after the lists are generated, but I have a client 
with a huge document and LOTs and LOFs that are 20 pages each. Has anyone 
figured out an automated way to fix this problem? My experiments haven't turned 
up a solution.

Also, since I'm sure this isn't the first time someone has asked this question, 
I wanted to search old posts and the archives. I can't figure out how to do 
that other than looking at each month manually. Is there a search tool 
available somewhere?

After check with FM-10 and FM-11 I have filed this as a bug:

- Create a text frame and give it a long label, for example 
"Warnung-vor-fallenden-Objekten"
- At the width of the entry field input is prohibited (error sound).
  The intended label can not be entered.
- There is no such restriction in FM-10 and before.

Long names of text frames / flows are used for text frames which are referenced 
by insert where a 
clear identification of their content is needed.

I know that embedding Visio drawings in FrameMaker is not the optimal way of 
working (although, very convenient), but it's currently not feasible for us to 
start "externalizing" the diagrams in books containing thousands of pages.

I don't know about transparency, but this is what works well for me:

In Visio, use File > Page Setup > Page Size > "Size to fit drawing
contents" to eliminate unused space around the drawing, then File >
Save As > Enhanced Metafile (*.emf).

In FrameMaker, import the .emf file by reference.

replace where the replacement is a variable rather than alternate text.  
I have a 1500 page manual where no variables were used. I'd like to 
implement them, but it's painful to think about doing it by manually.

Any ideas would be most welcome.

But note that this approach has an unwanted (and probably unacceptable) side 
effect if your generated list uses leader dots. The problem is that the 
em-spaces produce a really noticeable gap between the end of the title string 
and the start of the leader dots.

The approach that Jerilynne proposed yesterday works well (although only one 
extra tab is needed in the reference page prototype paragraph rather than the 
"at least 3" that Jerilynne mentions) and has no nasty side effect. It has 
worked beautifully for me for years.

This could easily be done with FrameScript. It is not the markers you have to 
change; it is the XRefFile property of each external cross-reference. As for 
the markers in the TOC, etc., you will just have to update the TOC after you

If I rename Frame files in a book, is it possible to automate changing the file 
names in cross-reference hypertext markers to repair the cross-references that 
will break? Specifically, we'd like to rename Frame files so that there are no 
spaces in the names (same characters in the file names but no spaces). I'd like 
to be able to search all cross-reference marker text to find file names with 
spaces and remove the spaces.
For example, a file in a book has a cross-reference to "System Overview.fm". I 
change the name of that file to "SystemOverview.fm". I'd like a script to be 
able to the Frame file name in the x-ref marker and remove the space, and go on 
to find all other Frame file names with spaces in x-ref markers and do the same.
I'm no script expert - not even a novice - but in searching for a pattern that 
a script might latch on to to do this, the  names of Frame files in the same 
directory as the file x-reffing to them are uniformly preceded by 
"openObjectID". Could the script look for openObjectID (+ the space after it) 
and then remove the spaces contained in the characters that follow up to ".fm"? 
For files that are x-reffed that are in different directories from the 
x-reffing file, could the script look for  "/.fm" and again remove 
spaces within the name string?
Or am I asking the impossible of Framescript?

You've already got everything you need in the standard Find/Change. Here are 
the steps:
1) Define a new variable.
2) Manually insert it once into the document
3) Select the instance of the variable you just inserted, and then copy it
4) In the Find/Change dialog set up the find criteria, and in the Change box 
choose "By pasting"
5) Run the Find/Change

I already have a Caution paragraph tag. My goal was to add an icon to
it for PDF output by modifying the tag's format.

Modifying each occurrence of the tag would be a lot more work.

I don't need any flexibility. These are the only two tags that will
ever need icons.
