Balboa Park Online Collaborative (BPOC) invites you to join us for Episode
5 of our Dreaming of a New Collections Management System series. In this
episode, there will be a discussion on how cooperative models for
collections database and management work may serve your institution. Our
featured Solution Provider, Whirl-i-gig with their CMS CollectiveAccess,
and the Association of Nova Scotia Museums and Connecticut League of
Historical Organizations will discuss how their shared model has helped to
address staff digital literacy and training needs; the difficulty of
getting data in and out of a CMS; developing better workflows and
sustainable collections-related practices, and cleaning up data in
preparation for a migration to a new CMS.

On Tuesday, May 18th, we had another fabulous discussion in our Dreaming of
a New Collections Management System webinar series. This week’s
conversation brought honest and critical discussions on a range of topics:
getting institution-wide buy-in on adopting decolonizing or DEAI practices;
institutions connecting with their local BIPOC (Black, Indigenous, and
People of Color) communities; establishing institutional NAGPRA and DEAI
policies and procedures for collections management and documentation; and
developing customizations to collections management systems to meet NAGPRA
and DEAI needs. This week Kara Vetter, Nicole Allen White, and Mikka Gee
Conway shared where each of their institutions are in the process of
implementing DEAI and NAGPRA initiatives and embedding those into their
collections management practices. If you missed this inspiring

In the next segment of our series, we will be looking to raise the profile

As many of you are already aware, the Balboa Park Online Collaborative
(BPOC) has been hosting a webinar series called Dreaming of a New
Collections Management System (CMS) where we have been inviting Galleries,
Libraries, Archives, and Museums (GLAM) professionals to speak about their
experiences with collections management systems and some of the challenges
they have faced. In future sessions, we will be providing opportunities for
CMS Solution Providers to speak on how their CMS addresses the many
challenges GLAM professionals face. To help facilitate these sessions, we
would like to share a survey with everyone to get feedback on what
challenges they would like to see CMS Solution Providers address. This is
to ensure that we don’t miss anything of interest to the community. To

Many thanks to those who were able to attend the third episode of our
webinar series Dreaming of a New Collections Management System (CMS), and
an even greater thank you to our wonderful panelists (Dan Brennan, Dr.
Steen Dupont, Richard Light, and Jack Ludden) for sharing their time and
experiences with us this week.

We had another fascinating conversation covering technical challenges in
current CMS. Some of the challenges we discussed included how a CMS fits in
a museum’s technical ecosystem, discoverability in a CMS, mapping data in
and out of a CMS, and data validation.

Dreaming of a New Collections Management System webinar series on January
13th. We had such a great turn-out again and we really enjoyed the depth of
the conversations we had around the very real challenges GLAM professionals
face in managing collections data in collections management systems (CMS).
Our discussion covered a wide range of challenges from getting staff to
understand data standards and why information is entered in certain fields
to trying to find the right CMS to meet the needs of multiple collections

This new year brings another episode of Dreaming of a New Collections
Management System. On Wednesday, January 13th from 8 AM to 9:30 AM PST, the
Balboa Park Online Collaborative (BPOC) will host the second installment in
our webinar series, Dreaming of a New Collections Management System.

taking the time to open up BPOC’s Dreaming of a New Collections Management
System webinar series this week, and many thanks to everyone who attended
and participated either in chat or on video as well.

This week we held our first webinar in a series of discussions on
collections management systems. During this hour and a half webinar, we
covered many different challenges that professionals face on a regular
basis with collections management systems. We discussed challenges around
data standardization, the differences in metadata across Libraries,
Archives, and Museums and the need to create uniformity, migrating to a new
system and the lack of viable products to choose from, the lack of
innovation in collections management systems, and how we can look at
collections management data differently in order to better capture the
stories and people behind objects rather than focusing solely on the object
itself. These are all important topics, with varying opinions and multiple
perspectives that we are keen to hold discussions around.

Here at BPOC, we are in awe at the incredible turnout we had for this
series’s first webinar. It was so unexpected that we have to apologize to
those who were unable to attend as we exceeded our participant capacity. We
will be increasing that capacity going forward, so please be sure to keep
an eye out for announcements for subsequent webinars we will be having. For

[MCN-L] BPOC's Dreaming of a New Collections Management System Webinar Series

Due to the increasing interest in this topic, the Balboa Park Online
Collaborative (BPOC) is excited to host an opening discussion to a
three-part webinar series called “Dreaming of a New Collections Management
System...”. This webinar series will cover roundtable discussions on what
the ultimate collections management system might look like.

The first webinar in this series will take place December 2nd at 8 AM PST
to 9:30 AM PST and will include a panel of consultants including BPOC’s
CEO, Nik Honeysett, Valarie Kinkade, Chad Weinard, and Koven Smith. The
panelists will discuss from a consultant’s point of view the collections
management challenges faced in both technical and informational. We often
hear from vendors, but we also want to hear directly from you, the
end-user. So anyone can attend these discussions and is invited to
participate by posing questions or describing collections information and
technical or system infrastructure challenges they have faced, and
suggestions of how institutions would like to see their challenges
addressed or resolved in the zoom chat. These will be shared with panelists

[MCN-L] Collections Management Systems RFP Research Project

Good Afternoon All,

My name is Alex Kron, and I am the Digital Projects and Collections Specialist 
for Balboa Park Online Collaborative (BPOC). BPOC is working on a project to 
address the challenge that many museums do not follow a formal request for 
proposal process (RFP) to select their Collections Management System (CMS). The 
results of this project will be guidelines for a basic RFP process that will 
include an RFP template.

As part of the discovery phase, we are interviewing museums who are currently 
or intend to select a new CMS, or who are opinionated and want to share their 
thoughts. If you are interested in participating in this interview process

happy to forward the interview questions we have put together so that you may
