Hi Rick,

Our policy regarding the release and use of official KU photos, the ones on our
ID cards, is addressed in our KU Card Center - Request for Release of Photo
policy. Specifically, there is a section that addresses departmental
website<http://policy.ku.edu/card-center/photo-release-request#departmental>
that states:

Student, including student employee, photos are generally not considered
directory information; thus, unless there is a demonstrable legitimate need to
access the photos in order to carry out their responsibilities, departmental
representatives will not have access to the photos. However, the University can
use ID photos of its employees (including student employee) for departmental
identification, including posting on its website and for use in university
systems and campus email, when notification of this potential use of the photo
has been given by the department to the employee prior to posting the photo.

I hope this information is helpful.
Kind regards,
Amy

Subject: RE:[acupa-l] Policy on Publishing Employee Photos on Websites

Hi Fellow ACUPA members,

Does your institution have a policy that addresses a department's right to
photograph an employee, then post it on a department website?

This question came my way. While I think the practice is meant to be a
positive, promotional one with regard to the person being photographed, posting
a photo against their will could be viewed as some type of violation.

Thanks for any input, best practice or policy documentation that you are
willing to share! :)
