Our experience has been more smaller installfests are better than one big event. We simply have not had a reasonable venue for a very long time. Chris and Curt are the IT staff at Watkins College of Art, Design and Film. They graciously made rooms available at Watkins which is fabulous.
Chris' comments are all spot on. Yes, we need to make the "helpers" more visible to the visitors and we need to get names and emails from visitors. A goodie bag is a great idea. I am glad we Kept It Sweet and Simple the first time out so we have a basis to proceed on the next time. We all know from our long experiences with computers (not just open source software) that one set of answers only begets an even larger set of questions. Having the regular meetings with periodic work sessions (installfest) give us all the best chance at making progress.
