piece. Determine things like margins, color,/bleeds, crop/trim, paper
stock, tumble, etc.
After that, call the printer. Talk specs with them and find out what they
need to print. Do they prefer a PDF and how do they need it generated? What
file format and resolution?
Some printers will do the imposition; you  provide a standard size and they
will arrange for print.
If you create the layout yourself, consider how the front and back will
align (left, right and center).
Frame can handle most print requirements but plan carefully for color
challenges.
The printer is your friend!

If using translation memory, I would keep the languages separate since each
memory is language specific. And, while French and English use the same
character set, other languages require entirely different character sets
and fonts to render those characters.

You don't mention the outputs. If PDF, It is easy to combine books after
rendering the PDF.

Wim, sage advice on all fronts! I learned a long time ago to know what
translators need to do their job and focus on creating and preparing
content for that phase of the development; they are a part of my content
development team.

When working with Frame files, I deliver mif files with all the images and
fonts. The translators massage these files to work with their translation
tools. Talk with your translators and they'll tell you about their
conversions, tools and processes. If I ask them to deliver a PDF of the
final product, they save the files as as fm and do the DTP. (I recommend
this approach; translation firms provide invaluable quality checks for
every language. They catch even the small things the inexperienced eye
might miss--characters, hyphens, wraps, keep-together and more.) If I
deliver XML files, I must be sure to deliver everything the translator
needs to work with those XML files. And while automated publishing is my
preferred method, the first few cycles must be closely monitored. The
smallest publishing wrinkle can cause unexpected errors!

Doing my part of the work well is no small accomplishment. Building a team
that works with translation well is a bonus. I work to my strength and
enable others to work to theirs.

Like writing, translation is not mechanical. It is all about the content!

OK, can we agree that if we didn't want the responsibility we would not
apply for the job?
If we did want the responsibility, how would we meet the challenge?

I worked with a group of 50 engineers and 8 automotive technicians. I was
tasked with improving the content provided by engineers. This required
establishing relationships and and processes. To be sure, some engineers
were more willing than others. I created standards, provided examples and
worked with people one-on-one. The automotive  technicians all became
technical writers with their own area of automotive speciality.Years later,
they are all employed as technicians who write for auto manufacturers. Some
engineers improved greatly, some not at all. My performance reviews always
included a recognition of the improvements or how I would handle the
challenge. I was responsible for tracking individual improvements and shared
the progress with my supervisor. He developed a role for me as the
documentation approver. I could reject poor content if I made solid
recommendations for improvement.

This position was one of the best I've ever had and I learned a ton.
Did every engineer become a stellar technical writer? No.
Did most improve their writing? Yes.
Did the overall technical documentation improve? Based on usability scores
and user feedback, absolutely.

Call me Silly, but it would have been my loss if I had dismissed the
position because I thought it was hopeless. We make our won choices.

Milan,

I have not written about this experience but I certainly will. I held the
position for about five years and left the company more than 15 years ago.
Given my background at the time, it seemed ordinary...like all tech writer
were surely doing the same things.

Let me add that I documented and learned to operate engine analyzers, brake
testers, gas analyzers, emissions testing programs, torque testers, every
kind of power tool, every kind of hand tool, battery starting and charging
systems, dynamometers and many other speciality tools. I also learned to
work with CAD systems and became a passable illustrator. We were all focused
on making great products and my contribution was improving support
materials. I respected the engineers and technicians for their knowledge and
they most always demonstrated the same respect for my area of expertise. I
had a super manager, was paid well and learned something new everyday.
Degrees aside, I come from a working-class background and value the work of
every individual.

I've used Extensis Portfolio for years. Also used the older version of

SVGs with Frame/DITA

Hi All,

I'm working on a DITA/Frame project right now and am faced with a graphics
challenge go figure. The client currently uses EPS illustrations with
callouts and leader lines applied to the drawing in the Frame graphics box.
Most are simple lettered callouts but there are also some illustrations with
text that must be translated into 24 languages. So, sounds to me like a good
application for SVGs.

Can anyone speak to using SVGs with DITA and Frame?

I have used DocBook for many years. As a structure model, DocBook is robust
and met all our needs for documenting heavy equipment in 24 languages. It is
well developed and well supported. 

Given the development work is done up front, some people learn quickly while
others struggle. On the development side, successful implementation requires
a substantial understanding of XML. Then, there is the content modeling to
determine the elements needed and the best use of attributes. Frame has it's
own approach to handling DocBook, but it's quite workable. 

Everything is based on having a sound content strategy and development
support. DocBook is not magic. Humans must configure the model for optimal
results. I have avoided customizing DocBook as new releases provide fixes
and useful enhancements. 

Some training is essential for writers to become efficient. Technology needs
to provide real benefits for authors and not get in the way of their work.
If your team is not willing to learn a new technology today, what would
entice them to learn tomorrow?

TOC Trouble

Seems I've done something similar...
I'd try renaming the generated file, adding a new generated TOC to the book
and then import the format from the old file. You'll have to update the book
file again after importing the format, but it would save hand-formatting.

Using Frame 7.2 on Home XP, SP3, I've created a problem with my TOC.

Awhile back, I generated a reduced TOC to submit to potential publishers as
an outline, but neglected to do so as a stand-alone. I eventually deleted
that TOC from the book and reinstated the previous, full-sized and
completely formatted TOC back into the book. But this file has now lost its
"generated" status and is not recognized by Frame as such, so it does not
update when I update the book.

Am I doomed to rebuild and reformatted the entire TOC from scratch, or is
there some way I can get Frame to recognize the old file as a generated file
once again?

I mentioned Peter G., because I was inspired by his response to an outline
question where he describes creating a separate TOC to use as a companion
outline. The need to generate a stand-alone isn't mentioned therein. But if
a TOC is already established, isn't creating a stand-alone the only way to
keep the first TOC working with the book?

There are so many ways to meet your goals using FrameMaker... You asked for
unstructured Frame and reuse so here's a take:

When using unstructured Frame I've solved this problem using text insets and
a simple spreadsheet for tracking where used information. I have a client
that wanted to enhance their reuse strategy but were not ready to move their
group to structure and XML. They had been using the copy/paste method for
years and were unable to maintain books after release. 

So, I analyzed the usage across 3 product models and 15 books (content was:
exactly the same, similar, different or not used). Based on the analysis, I
created reusable topics (text insets) and imported them by reference into
the specific section containers and then created serial number books. (Note,
I handle graphics in the same way and often a text inset may reused with a
model specific graphic. So, there's a bit of rewrite/reflow up front for
optimal reuse.) 

Reuse analysis across 15 English books was very high: 70% for text (insets)
and 55% for graphics. 

The books are large (10 sections, about 700 pages) and the client now
happily builds at least 3 books (serial number specific) a week using this
scheme. They also translate each complete book into at least one other
language...sometimes two. So, tracking, managing and publishing those
translations is a lot easier now too)

The books are saved to PDF right now. The conversion table and EDD are
complete so the next step is structure and then XML delivered to knowledge
base on the web. 

Real trick to this is the analysis, a bullet-proof template (section/inset)
with no overrides and maintaining the where used information. The rest is
the simplest of FrameMaker features.

content management solution, I'll gladly make some recommendations:)

I am using Frame 8. I have a set of seven manuals that are close to 100
pages each. Many sections of these manuals are identical, some sections
differ in detail in minor ways, and fewer sections differ in more
substantial ways. Currently they are all Frame books with each chapter being
its own file within the book. There is no re-use of anything at the moment.

This is becoming increasingly burdensome to maintain, as a change to
something that appears in all seven manuals requires me to make that change
manually in all seven files. I would like to get to re-use, or
single-sourcing, but I'm puzzled as to how to get there. Would the best
strategy be:

(a) To use conditional text and generate several versions;

(b) To try and convert everything to XML and sew things together based on
individual XML files;

(c) Something else?
I have zero XML knowledge, and whenever I read about it, my head hurts. I am
willing to learn, but the benefit needs to be commensurate with the pain
involved in learning. I'm looking for the simplest solution that allows for
some common source material using my existing Frame configuration. Ideas are

Joel,

There are so many ways to meet your goals using FrameMaker... You asked for
unstructured Frame and reuse so here's a take:

When using unstructured Frame I've solved this problem using text insets and
a simple spreadsheet for tracking "where used" information. I have a client
that wanted to enhance their reuse strategy but were not ready to move their
group to structure and XML. They had been using the copy/paste method for
years and were unable to maintain books after release. 

So, I analyzed the usage across 3 product models and 15 books (content was:
exactly the same, similar, different or not used). Based on the analysis, I
created reusable topics (text insets) and imported them by reference into
the specific section containers and then created serial number books. (Note,
I handle graphics in the same way and often a text inset may reused with a
model specific graphic. So, there's a bit of rewrite/reflow up front for
optimal reuse.) 

Reuse analysis across 15 English books was very high: 70% for text (insets)
and 55% for graphics. 

The books are large (10 sections, about 700 pages) and the client now
happily builds at least 3 books (serial number specific) a week using this
scheme. They also translate each complete book into at least one other
language...sometimes two. So, tracking, managing and publishing those
translations is a lot easier now too)

The books are saved to PDF right now. The conversion table and EDD are
complete so the next step is structure and then XML delivered to knowledge
base on the web. 

Real trick to this is the analysis, a bullet-proof template (section/inset)
with no overrides and maintaining the "where used" information. The rest is
the simplest of FrameMaker features. 

Let me know if I've been clear enough with this! And when you're ready for a
content management solution, I'll gladly make some recommendations:)

I am using Frame 8. I have a set of seven manuals that are close to 100
pages each. Many sections of these manuals are identical, some sections
differ in detail in minor ways, and fewer sections differ in more
substantial ways. Currently they are all Frame books with each chapter being
its own file within the book. There is no re-use of anything at the moment.

This is becoming increasingly burdensome to maintain, as a change to
something that appears in all seven manuals requires me to make that change
manually in all seven files. I would like to get to re-use, or
single-sourcing, but I'm puzzled as to how to get there. Would the best
strategy be:

(a) To use conditional text and generate several versions;

(b) To try and convert everything to XML and sew things together based on
individual XML files;

(c) Something else?
I have zero XML knowledge, and whenever I read about it, my head hurts. I am
willing to learn, but the benefit needs to be commensurate with the pain
involved in learning. I'm looking for the simplest solution that allows for
some common source material using my existing Frame configuration. Ideas are

   I've knocked around with this problem for an hour and can't recall  
how to resolve it...

   I use several system variables (month, shortmonth) in a Running  
H/F that need to automatically display with the translated value  
(February=Fevereiro). I tried setting the Language in the Paragraph  
Designer tags and that doesn't work. Changing the keyboard language  
doesn't seem to work either.

   Hints or outright answers are appreciated!

   Got it. These are system variable. So, I needed to change the  
language of a character format I used in the foot. Now all is well and  
both month and shortmonth are pulled from the system by language!

   I'm working on a template and the user wants the option of NOT  
using section numbers on some chapters and in the TOC. I've created  
master pages to accomodate the section/no section requirements.  
Currently, the TOC styles are tied to paragraph tags (H-1, H-2, H-3)  
and those paragraph tags are formatted on the reference page with  
chapnums-pagenum. How can I get the same heading style (H-1, H-2, H-3)  
to generate without a section number?

   I'm sure there must be an way to accomplish my goals but the  
solution escapes me...

   Every book has multiple sections. The front matter and the TOC need  
to display without section numbers and all other chapters in the book  
to display with section numbers. The front matter needs to appear in  
the TOC without a section number. I don't want additional paragraph  
styles, just the ability to hide the section number.

   I, too, question the wisdom but this is a client request...not my  
idea. I'm trying conditional text right now but don't think it will  
work at the book level.

TOC question

17 x 11 (drawing foldouts) that go in to the book at the end of  
chapters. Right now, it appears that I have to choose one size when I  
render (PDF settings) and insert the 17 x 11 pages manually.

   My goal is to put all the files in one book and render the PDF to  
the two page sizes without manual intervention. Is this possible? If  
so, how?

   Any help, as always, is greatly appreciated!

the first 50 test files. I created a book of all the files and will

Learning curve for FrameMaker

Though I don't know the release detail, Kay Whatley and Bernard Ashwanden
(Bright Path Solutions) both have books coming out very soon. I believe
they cover structured Frame in general and DITA specifics. I reviewed the
gallies at the FrameMaker Chautauqua and they appear to be promising
step-by-step books!

Fine tuning pagination

Linda,

As you probably guessed by now, it's easier to add space than take it away
without making a mess for the next revision. So I find it easier to go
long, which may mean extra pages and more white space (the price of
print). When tweaking styles, I always start with the larger text and work
my way down to paras, notes and tables.

Finally, I've used Quite Imposing for years (used to layout signatures
with tumbled boxes on one big page-ugh!). Once the software is installed,
the imposition takes (at most) a minute and you're done!  Often, the
printer will do the impositions. But having the program (around $300)
means that I don't encounter possible platform/font issues when sending
native files to the printer for imposition. It also lets me know, just
about any time, where I am with the layout.

to do is to narrow the usage and remove the unused table formats. Is there

large doc set would need rewriting... It's likely time to do a serious
content cleaning so I'll do some projections on time and cost.
 
Does each xhtml file truly stand-alone? When topics with prescribed
relationships (rel table) change, do you have to recompile to maintain those
relationships?

2.  We open this list in FrameMaker and save it as a regular,
unstructured FrameMaker file. This list is resembles the traditional
outline: the indents define the level of the topics and headings. 

3.  We  use DITA-FMx to create a ditamap and stubs from this list. The
stubs are topics which already have the correct title and some metadata.


4.  Write standalone, information-typed topics, which means filling in
the stubs.


5.  We (re)arrange the topics in the ditamap, which will later become
the sitemap. 

6.  In the ditamap, use a relationship table to add links to my topics
(navigation). 


I use the DITA Open Toolkit to generate the following output:


*   xhtml. These are the files which I deliver to my web developer.


*   HTMLHelp, which I then convert to WebHelp. This gives me a pretty
good idea of how my pages look in a web browser and how the navigation and
linking works.


Lessons learned?


*   Authoring, and (re)structuring web content has never been easier.
Just take the ditamap and drag the topics around in the structure to the
position where you want to have them. 

*   The DITA-FMx plug-in is really the must-have tool if you want to
author DITA content in FrameMaker.

1- Contol the chapter name based on the chapter number
Chapter 2 = Operation
Chapter 3 = Lubrication

Can I do this with a sort of map on the reference pages and control it at
the book level or simply have the chapter name change based on numbering
properties?

2- Control a book number in the footer on the book

I'm revamping these books so the styles change (too frequently) and
importing format across many, many files can be messy. I'd like to control
this so it's more automated and works from the book leve as much as

 I think #2 is pretty easy -- I'd just create a BookNumber variable
 that lived in all of the book's component files. Pick one master file,
 insert the variable in the footer on the master page(s). Then set the
 contents of the variable in that master file, and Import  Formats 
 Variables and Page Layouts into all the component files.

 Number 1, though, I'd only try to play with if you're sure the chapter
 orders are not going to change. I think the only way you could do it
 automatically is with FrameScript...

 I'd keep that one looser, myself, and just have separate tags for
 ChapterNumber and ChapterTitle.
 Then type the actual chapter title in as text. And use $paratext
 variables or cross-references to propagate it.

cross references in text insets

I'm going quietly mad this morning with a cross reference problem.

There are internal cross references to figure numbers (Figure 5-2)
paranum in a text insets and they shows up fine in the insets. When I
import the insets into the container doc and update, the cross references
disappear. The formats and variables are the same (re-imported to make
sure) in the inset and container doc.

It's probaby something simple but I can't see it...

Can anyone help?

My results are different/vary (ugh)...
- When I double-click and select Update, the x-refs completely disappear.
- When I double-click, go to Settings and select Retain Source's
Formatting, the x-refs reappear.
- Then, when I double-click, select Update, the x-refs persist.

I need a bullet-proof way to update the insets globally with formatting
from the container doc.

I'm working with an unstructured document set that uses text insets. When
insets are imported into the target document, the empty paragraph tag
following the inset automatically becomes a repeat of the first style in
the previous inset. So, if the inset starts with a numbered list, the next
empty paragraph tag in the document becomes a number list too.

I know this will go away when and if the documents are structured but that
is not an option right now. Can anyone recommend best practices for
handling unstructured insets and/or specifically how to resolve this
unwelcome problem. I seem to recall a fix but I haven't been faced with
this problem for a long time.

 We have the same problem and have heard it's just a bug w/ FM 7.2
 unstructured insets. Our solution is to use Silicon Prairie's Paragraph
 Tools to Remove Paragraph Overrides immediately before generating the book
 for our output formats.

 I'm working with an unstructured document set that uses text insets. When
 insets are imported into the target document, the empty paragraph tag
 following the inset automatically becomes a repeat of the first style in
 the previous inset. So, if the inset starts with a numbered list, the next
 empty paragraph tag in the document becomes a number list too.

 I know this will go away when and if the documents are structured but that
 is not an option right now. Can anyone recommend best practices for
 handling unstructured insets and/or specifically how to resolve this
 unwelcome problem. I seem to recall a fix but I haven't been faced with
 this problem for a long time.

Hi All,

I'm looking for your advice on the building a repository of Frame insets,
docs, books and referenced graphics. Right now the content is unstructured
but that will change in 6 weeks.

For the sake of usability, I've used something like this in the past:

Root
- TechPubs
 -- graphics
 -- insets
 -- books

It's been a while since I've done this and need your feedback on the
simplest structure and what works for you. My client is also talking about
when the repository has to be moved (ugh) I'm thinking if the new
location traverses the root, we'd have to map the drives to reflect the
current structure.

Of course, this is happening at breakneck speed with input about what
people would like minus experience.

Hi All,

I'm looking for your advice on the building a repository of Frame insets,

Hi Framers,

rasterized when imported, some graphics scale unpredictably and there is

Hi Framers,



We have a set XML files that started life as a Structured Frame documents
with EPS graphics. Now, after converting to XML with SVG's, we need to
round-trip the content back to Frame. It appears that the SVGs are
rasterized when imported, some graphics scale unpredictably and there is

How do you recommend tweaking the DTD to avoid looking the xrefs. We're
round-tripping and this is our biggest hurtle.

   Forgot to add that FM does support importing XML documents with xrefs to 
other documents. Again, you'd have to tweak the DTD, but you wouldn't have 
to deal with unresolved xrefs.
