I agree with Richard. Graphics could be in different folders depending on how

It seems to me that for each translation language, you should be getting back a
mirror image of your source-language folder structure.

I just re-read your original post. When you said regarding the FM files that I
plunk them into my FM folder, you didn't mean into the same folder holding
your source-language FM files, did you?

There should be a separate set of files and folders for each language, all with
the same directory structure. The translation vendor shouldn't change the
directory structure for the localized files -- but if it does, it must update
the graphic file references. In that case, nothing is broken as long as you get
back the entire structure, including the referenced graphics directories, not
just the FM files.

I could use some insight into a situation I haven't

to include something in their product's documentation about a functionality
that
will not be released with the upcoming release (it will still be in
development) but is hoped to be ready shortly (whatever that

I've politely pointed out that industry best practice

Re: FrameMaker's 25th Anniversary

2011-04-07 Thread Neeraj Jain
Yes, this is undoubtedly an excellent article. I began my Framemaker journey
with 7.0 release, about five years back. Everyone around me used to say that
Framemaker has got steep learning curve. I was kind of scared when I opened it
for first time. I could only type and was not able to do any of the things that
I regularly do in Microsoft Word. I remember cursing myself and Framemaker for
its complex interface.
Later, I stumbled upon an excellent tutorial. This tutorial taught me
everything. Now, I have FM 8.0 on my system. I really enjoy working in
Framemaker although things are much faster in Microsoft Word. What i
particularly like is its consistent behavior and Books feature.

FrameMaker's 25th Anniversary

2011-04-07 Thread Neeraj Jain
Yes, this is?undoubtedly an excellent article. I began my Framemaker journey
with 7.0 release, about five years back. Everyone around me?used to say that
Framemaker has got steep learning curve. I was kind of scared when I opened it
for first time. I could only type and was not able to do any of the things that
I regularly do in Microsoft Word. I remember cursing myself and Framemaker for
its complex interface.
Later, I stumbled?upon an excellent tutorial. This tutorial taught me
everything. Now, I have FM 8.0 on my system. I really enjoy working in
Framemaker although things are much faster in Microsoft Word. What i
particularly like is its consistent behavior and Books feature.

Thanks everyone!

Richard got it right on the spot. The problem was in the path. The path
contained apostrophe. Now I have moved all the files to a separate folder.

What could be the filename? :-)

You're more likely to get some help if you tell us the exactly what the error
message was (not something like what it was), and if you provide the entire
file path and name. Note that the problem could be in the path, not in the name
of the file.

This seems to be a very good move by your client. I definitely feel that the

We bundle a PDF version with our online help. We don't offer printed guides.

In addition, we use DITA and WebWorks ePublisher. WebWorks offers a product
called AutoMap that lets you publish your documents to a server at a specified
time. If you get the go ahead to go electronic, you could schedule daily or
weekly publication of your help as part of the Agile (*shudder*) process.

 Hi -

One of my clients is moving to a model where they will
provide a printed manual if the buyer requests it. The
manual will be free to the buyer. Otherwise, everything will
be distributed online. I don't know that they want to go
public with this so can't provide the company name.

  Hi all,

I publish hundreds of pages of documentation using
 FrameMaker. I also use
  Robohelp to generate help systems.

Does anyone know of IT companies that ONLY distribute
 documents about their
products via the internet and are NO longer
 distributing documentation by
installing it with the product? Off the top of my
 head, I believe Microsoft

For a variety of reasons, I am considering moving away
 from bundling
documents with the software's installation package and
 instead only
distributing the docs via a internet portal. If I did
 this, I would no
longer be at the mercy of the engineering team's agile
 development life

 more time to document
features 2) the code is frozen so features will always
 be completed by the

What about listing the above as Caution, Important, or things to avoid on the
software downloads site?

What you are saying, is that reflected in Adobe documentation?

Steve,

Read the original thread. I am not going to repeat everything (and
it was quite a lot) that was discussed on this forum a few weeks ago,
especially related to engineering and testing discipline as far as
how PDF files are viewed and processed under what circumstances.

But NO, there is nothing WRITTEN about this from Adobe. On the other
hand, you should trust what I am telling you based on my 21 years at
Adobe and my working with Acrobat and Reader since Release 1 of same
as well as having to debug workflows and PDF files during all that time.

Quite frankly, the only time I had problems with anyone viewing a PDF
file that I produced on Acrobat-only systems (no Reader co-installed)
were with users who insisted on using St. Steve the Infallible's MacOS
Preview program's subset PDF viewing capabilities (or lack thereof).

The fact that Adobe doesn't prohibit you from parallel installation of
Acrobat and Reader doesn't mean that such installations are recommended
or really useful.

Re: type vs enter

2010-07-22 Thread Neeraj Jain
John,

Type should be associated only with typewriter. A typewriter (assuming a manual
one) does not store anything. It just types on paper.

In case of computer, saying type would be obsolete because you enter data in
computer memory and a computer user is more familiar with the word enter.

Were you writing XYZ in bold?

I just did a quick Internet search on Simplified Technical English and found
this example at
http://www.simplifiedenglish.net/controlled-language-global-english (at the
bottom of the web page under Industry Examples, select Software).

Step 2 (below) specifically says ...enter the IP address of the system...
which sounds to me like they want you to type it in. Step 3 is more of the
same.

So enter seems to be the term of choice.

Alison

Use VXX Web to get access to the system:

1. On a computer, open a web browser.
2. In the address bar of the web browser, enter the IP address of the
system,
for example, http://10.11.12.13, to go to VXX Web. If Security Mode is
enabled on the system, you must use secure HTTPS access, for example,
https://10.11.12.13. Click Yes in the security dialog boxes that show.
3. Enter admin as the user name, and enter the remote access password, if
   one is set.

At another company I worked for, we used both, though in clearly
distinguished contexts:
- TYPE a literal string ("Type XYZ" (and not ABC)
- ENTER a user defined sting ("Enter your name").

I just did a quick Internet search on Simplified Technical English and found
this example at
http://www.simplifiedenglish.net/controlled-language-global-english (at the
bottom of the web page under Industry Examples, select Software).

Step 2 (below) specifically says "...enter the IP address of the system..."
which sounds to me like they want you to type it in. Step 3 is more of the
same.

So "enter" seems to be the term of choice.

Alison

Use VXX Web to get access to the system:

1. On a computer, open a web browser.
2. In the address bar of the web browser, enter the IP address of the
system,
for example, http://10.11.12.13, to go to VXX Web. If Security Mode is
enabled on the system, you must use "secure HTTPS access", for example,
https://10.11.12.13. Click Yes in the security dialog boxes that show.
3. Enter admin as the user name, and enter the remote access password, if
   one is set.

Um, really? Using STE, there's no way to tell the reader to type something
into a field or box? The need to do that comes up a lot, you know. :-)

into the Word doc, only the first page displays.

In the past, I've created separate PDFs of each page of the multiple page
PDF and imported them into the Word doc in sequence. I'm trying to see if
there might be a better workflow for this.

Jeremy, I cc'd you on this because I'm wondering if MIF2Go might be an
option. I know it does wonders rendering RTFs of Frame files; I'm wondering
if there is a way to use it to produce accurate RTFs from PDFs. I've got
Acrobat 9 Standard and when I use it to create an RTF of one of these files,
the result is not pretty. The result can be cleaned up, but it will just
take to long per page to clean it up. It would be faster to just import each
PDF page separately.

Another benefit to importing RTF's is that my footers would stay accurate.
(That is, I'll keep my page x of y and so forth).

I know there are other PDF converters out there, maybe that's the route I
should pursue.

I returned Acrobat 8 Pro to the reseller because Adobe refused to fix it when
the licensing got broken by one of their infamous updates. I got my money
back, and reinvested a *portion* of it in a product called NitroPDF. My bad
Adobe experience turned out to be a blessing in disguise. NitroPDF is just
fantastic. One of the fantastic things it does is convert PDFs to both RTF and
Word, to documents that exactly replicate what you had in the PDF, *including*
proper paragraphs.

The pagination, per se, is identical, but it *does not* back-engineer the
pagination formula. It places a single curly bracket in the position where the
page number was. I have only used it with PDFs that were originally created
from DocBook sources using the standard Saxon transformation, of which I am a
consumer, not a developer. As Jeremy suggested, you might get a more
source-sensitive reconstruction of the page-numbering algorithm if your PDFs
were originally created from the same Word or RTF templates.

The PDFs I've converted have been typically around 100-200 pages; but you can
convert page selections in batch according to taste as well; and your Word
output options allow selecting conversion levels from highly editable to
purely layout based.

I do HIGHLY recommend NitroPDF (http://www.nitropdf.com) for any tricks you
need to do with PDFs (besides reading and editing them, of course!) There's a
trial version you can download and use for a month (I think). I didn't need a
month, though, nor even a week or a day. It took me about half an hour to
test, convince myself I wasn't dreaming, decide, buy the licence and install
permanently. It took much more time and effort, plus additional system
cleaning software purchases, to uninstall and eliminate Acrobat Pro 8, alas!
Six months on I don't miss Acrobat Pro even slightly.

These are readily available from Adobe. I got one and gave it to my
client in case I get hit by a truck. Since they don't have Frame 9
anywhere in the office (it comes in with me and my laptop), they'd be
in a jam if they needed to get something done quickly and I was
incapacitated. With the trial CD, they can run it and get something
done while going through the process to order a copy.

I thought it was a nice gesture to be able to make. The client
appreciates it. It's well worth having one of these around!

Re: Does FM8 include Distiller as a separate executable?

I am not sure about FM 8. However, when you install FM9, you can skip
installing Distiller separately. Instead, it will install a light-weight
application, and you will be able to create a pdf.

I know it was its own executable in 7.x. I am being told that it is
included differently in 8.x. If someone knows the relationship between
Distiller and FM in 8.x, I would appreciate your explaining it to me.
Thanks for your help.

Hi Mathieu,

If your readers are going to view your documents online, go for Arial. Arial
offers a very good reading quality on computer monitor.

If you are going to provide hard copies of your guides, you can go for Verdana.
Hope this helps!

Hi All

I have an off-topic question that may or may not interest you.

We are having a discussion at the office regarding the maximum levels of
heading that a User guide/User manual can/should contain. Do you know of any
best practice rules that define how deep a publication should/could be.
Personally I think that 6 levels is too deep for a user, but that is just a
personal preference that I cannot back up with evidence.

Heading 1

      Heading 3
        Heading 4

Insights, comments or instructions are highly appreciated.

I like Sharon's advice (ask the user directly). But I haven't seen anyone
mention context-sensitive help or conditional text.

I hope the lengthy paragraphs in your query are not representative of your
manuals--that would certainly turn off users.

A couple of guidelines:

KISS--keep it simple, sir.

Tell them what you're going to tell them, tell them what you want to tell
them, then tell them what you told them

Engineers like flow charts and logic diagrams, so fire up your Visio and try
to put the points across that way.

And everyone likes pictures, so see where you can use those. (Many people
are visually oriented and don't like to read.)

I hope I haven't insulted your intelligence. I'm just picking trees out of

Subject: Technical Writing Certificate

Hello Framers:

Would someone please recommend a couple of online certificate programs that I
can take to become a technical writer?

What is the best online writing course available??

Thanks from a Newbie!

Re: PDF to Word Conversion

2009-02-10 Thread Neeraj Jain
I completely agree with Ankur. Solid PDF Tools is perfect for converting up to
100 pages documents. We are using it in our organization. However, it fails
miserably when asked to cover longish and complex documents.

Hi Charlene,

I have used Solid PDF Tools converter for converting PDF to MS Word. This
has yielded excellent results in terms of retaining the formatting, table
and figure conversion, as well as editability.

However, i am not sure for large docs extending up to 2000 pages, as is your
case.

will convert a pdf to word and retain all formatting, graphics, etc. I
tried saving the pdf as a word document, but a lot of the formatting was

Planning to buy Adobe Products in India

Hi All,

We plan to buy Adobe Acrobat Professional and Adobe RoboHelp. Should
we buy these software individually or buy the entire Technical
Communication Suite 2?

We want to have maximum cost-benefit advantage.

It would be really helpful if you could provide addresses/phone numbers of Adobe
stores in India (preferably Delhi/NCR) or links to Indian Web sites selling
these products.

[OT] RH 7 questions

2008-06-10 Thread Neeraj Jain
Sorry for asking the RH 7 question on the FM list. But I am caught in a
terrible situation. I have a Word document with multiple sections. There are
multiple headers and footers. This Word document also has screenshots. Now when
I import this document into RH7, all screenshots (images) fail to appear. When
I remove all the section breaks and then import the doc again, the screenshots
appear again. I desperately want different headers and footers in my Word doc.
I do not want to remove them because I also need to create the pdf. This
strange behavior of RH 7 is confusing me a lot.

Can anyone please help me find a solution asap? Thanks in advance.

What is a text inset?

text insets. I am confused. What is a text inset and how to insert it? Is a
text insert different from a text frame? Please pardon me if my question sounds

The movement toward Extreme Programming and Agile Development is a
case in point; documentation is considered a waste of valuable
developer time, and only needs to be slapped together in minimalist
form at the last minute. That is at odds with the TW perspective
of involvement during the entire development process (which is ONLY
appropriate for Waterfall, because everything else changes).

http://www.agilemodeling.com/essays/agileModelingXP.htm#Documentation

Outside your extreme programming project, you will probably need
documentation: by all means, write it. Inside your project, there is so
 much
verbal communication that you may need very little else. Trust
 yourselves
to know the difference.

Ohhh wait, you mean that internal documentation is a waste of time, not
customer facing (and requested) documentation. Right?

That'll be why, as one of three technical authors working within an XP
driven development team (and I mean within as in sitting alongside,
contributing to design discussions, arguing UI points, trying early
 builds)
we are struggling to keep up with the (external) documentation
 requirements.

Indeed Sarah,

same behavior in Windows XP, and with the Character Designer open too.

The shortcut appears to *not* work when the Paragraph Designer is open.
On my machine at least (Vista), closing the Para Designer caused the
 flashing F9 to stop.

Indeed, this is a bug, and I noticed it too a couple of days ago. I
pressed F9, but I just got to see the paratags in the lower-left corner
of my FrameMaker window for 2 seconds.

Quit and restart FM8 and it works again (but I hope Adobe fixes this soon).

FM8 and shortcut key (F9+

2007-09-25 Thread Neeraj Jain
I guess that this problem is solved now. BTW, i checked this issue in FM 7.1.
When I did not open the paragraph designer, I was able to use the shortcut
functionality.
