Conditional text not removing extraneous pages
Hi, I'm using conditional text to single source from one doc to another. Specifically, I'm referencing a file from one book into another and removing several sections by conditioning them out. This leaves several pages empty. In one circumstance, the book/PDF automatically removes the extra pages when I run the PDF. In another case, it doesn't. Why is one leaving extra pages and another isn't? And how do I fix this? I got the answer: There was one page where a callout circle in a screenshot had extended beyond the anchored frame by a fraction of an inch. That was causing the page (and all previous pages) to show. Once we moved that callout circle back within its boundaries, everything went fine. Thanks to Rick Quatro for catching that little gotcha. I'm not sure what you're doing, but if empty pages aren't being deleted when you save or print, it's usually because you've told FM not to. :-) In the file with the persistent empty pages, select Format Page Layout Pagination. In the dialog box, Before Saving Printing is probably set to Don't Change Page Count. Pick some thing else (what depends on whether your doc is single or double sided and which side the next chapter should start on). The other possibility is that the empty pages are using custom master pages. FM will only delete empty pages based on the default Left and Right master pages. Hi All, We have a TOC that has always worked fine in the past. We just added a new paragraph tag to the template that won't pick up the leader lines in the way other, similar paragraph tags do. We're searching for a solution. More details: We have the typical setup of H1_Heading1, H2_Heading2, H3_Heading3, etc. For each of those levels we also have headers that start on the top of a page, headers that we use for the TOC, etc. For example: H1TOP_Heading1TopofPage and H1TOC_Heading1TOC. To date, all of those tags have functioned perfectly in our TOC. So far, so good, right? Last night, we added H2T1_Heading2Topic1, which has all the same settings as the other header tags except that when used in WebWorks ePublisherPro, it breaks to a new topic. (That's a long story about how we set up and executed on our print template.) In fact, we basically copied an existing H2 tag and then in WebWorks, gave it its special designation. So as far as FrameMaker is concerned, it's the same tag, with all the same settings as H2_Heading2 (which works in the TOC), except that it has a different name and different WebWorks settings. Now, when we run the TOC, all the other headings get their leader lines in the TOC, but the new H2T1_Heading2Topic1 entry doesn't. Why? I've done a side-by-side comparison of the two tags and see no difference. The only hint I can give you is in the reference page. If I generate two TOCs side by side, the bad TOC (*with* the new tag) generates an additional two lines whereas the good TOC (*without* the new tag) does not. Numbering problem
On FrameMaker 7.2 (version 7.2b144) with Windows XP. Trying to set page numbering properties, but the number format keeps changing from numeric to roman. Here?s what I do: 1. Go through all individual files in my book and separately ? at the file level ? set the introductory files to roman, but the chapter files to tab = Page, Format = Numeric, radio button = Continue Numbering from Previous Page in Book. Except the first, file, of course, which starts at page #1. 2. At the book level, repeat those steps. 3. Generate the book. 4. All numbering comes out Roman - on all chapters - instead of roman on introductory sections and numeric on chapters. 5. Get pissed off and try 10 more times with same result. 6. On a lark, decide to leave each file as Format = Numeric and First Page # : at the default, which is page 3 because that allows me to leave the radio button on that top line selected (and the numbering format field shares that line and that radio dial button). 7. Regenerate book and the pages have numeric numerals, but all files begin at page 3. Obviously, it?s not okay to have roman numerals throughout the book. But it?s also not okay to have all chapters begin at page 3. The ?Continue Numbering from Previous Page in Book? feature should *not* be coupled with the ?First Page #:? and ?Format? features because they are separate radio buttons. In addition, format should not be completely coupled with "First Page #:" In the past, I?ve been able to select numeric AND ?Continue Numbering?? (in other words, decouple them. I?ve been doing numbering in FrameMaker for years and have never encountered this problem. None of my other books do this and I've set numbering in three of them today. Understanding the difference between the Adobe Distiller embedded in FrameMaker and Adobe Acrobat
Hi All, This might be kind of a dumb question, but I've never understood the difference between the Adobe Acrobat capabilities we get bundled with FrameMaker and the full Adobe Acrobat writer package. I'm finding that I need more capability than what I have in FrameMaker, such as converting HTML pages to PDF while maintaining the internal links. While the Acrobat that comes with Frame will convert the HTML pages, I lose all of my internal navigation. So is that capability only in Acrobat Professional, which is gonna cost us $500? Or is there some other, less expensive way to accomplish this? Is there a mid-way package that will cost us less? Am I missing something obvious in Frame that will solve this problem for me? Hi All, I have a bunch of tables in an administrators guide and am trying to convert them all to one consistent style that uses a thin line to separate all columns and rows. To achieve this look, I've used the Table Designer Ruling tab and have set every single field to thin. On most tables in my book, the thin lines appear. But some stubbornly refuse to add the lines, even if I repeatedly import the template (which has thin lines defined in the ruling settings), or set them manually and repeatedly click Apply and Update All. I've even selected to remove overrides, but still no luck. Why? And how can I fix this? This happens on some files (chapters) within my book, but not in others. And within a single file/chapter, it can happen on some tables, but not others. I'm on Windows XP with Frame 7.1. Hi All, I have a bunch of tables in an administrators guide and am trying to convert them all to one consistent style that uses a thin line to separate all columns and rows. To achieve this look, I've used the Table Designer > Ruling tab and have set every single field to "thin". On most tables in my book, the thin lines appear. So I downloaded PDF995, which appears to have overwritten my FrameMaker 7.1 PDF function, including Acrobat Distiller. Now I can't convert my Frame files to PDF format. I tried reinstalling from my CD to get the distiller back, but the installer told me I already had Frame fully installed. So Now I can't seem to get my distiller back. Any suggestions? RE: Phantom index entries
I'll second this one. I've spent literally hours pulling my hair out about phantom index entries, only to find that there were multiple, invisible index markers that were stacked one atop the other. I'd remove one, only to find there was another one there. And once you think you've got them all, sometimes you have to go back and remove even more. It's crazy making, but I did finally get my index to work. Believe you me: I feel your pain. I recently relearned that FrameMaker sometimes stacks markers one on top of the other. The only thing visible is one marker, but there might be more than one marker at the same place. I have found six markers stacked atop one another on the reference page named BookHTML. I think you might find an Index marker that contains an entry such as 16 or 18 or 24 - without the quotation marks. Notice that each number is preceded by at least one blank ( ). I believe that in such a situation, FrameMaker detects the blank or blanks, recognizes it or them as symbols, and quite happily sorts the contents to appear as you have reported them. Try this. 1. By whatever means, go to the marker that you believe is the offender. The marker appears highlighted. Remember that the marker might be very hard to see. It might be at the very end of a bit of text that is next to a text frame or a line in a table. 2. If necessary or desired, zoom in on the file until you can see the marker that is highlighted. The marker becomes more-readily visible. 3. Press the left arrow key ( - ) once. The insertion point moves to the left. If the marker is at the right side of a letter, the point moves to the left side of the letter. 4. Press the right arrow key ( - ) once. The insertion point moves into an invisible place between the right side of the letter and the left side of the marker. The insertion point remains visible. 5. Press the spacebar once, twice, or thrice. (Hey, you can go crazy here because you can't really hurt anything, and hitting the spacebar is better than biting the edge of your work surface.) One or more blanks appear to the left of the marker. 6. Press the right arrow key ( - ) _only_once_, and press the spacebar _only_once_. 7. If this movement produces only one or more blanks - and nothing else - you're dealing with only one marker. 8. If this movement produces a blank _and_ another marker begins to appear, repeat steps six and seven until no more markers appear. 9. If FrameMaker's Marker dialog box is not displayed, display it. Press Alt+S+M. The Marker dialog box appears. 10. Highlight each marker one-at-a-time and examine both its type (such as Index or TopicAlias or Author in the title bar) and its contents. I'll second what Roger said and add to it. Hoboy, have you hit on a HUGE subject here. A few thoughts: 1. The industry standard is four hours per page. That may seem like more than you need, but when you consider the time needed to understand the feature, write it, get screenshots, have engineers review it, correct it, proofread/spellcheck it, then check it in to source safe, this is a good number. 2. I figure that one GUI screen translates to about one page of documentation. Or each feature can translate to between one and four pages of documentation, depending on how your company define's a feature. Another way to guesstimate is that two or three pages worth of engineering notes can translate to about one page of documentation (users rarely - if ever - need to know the behind-the-scenes stuff explained in engineering docs). So if they can produce a PRD or some engineering docs, you can use these guidelines to reach a time guesstimate. 3. ABSOLUTELY figure review procedures in your timelines. Guesstimating that is even trickier. I demand a five-day turnaround and insist that my manager enforce this for me if engineering, QA or customer support isn't adhering to it. Allow yourself half-an-hour per page for correcting the inevitable mistakes/misunderstandings that find their way into docs in the first iteration. So add an extra week or two for the review process. 4. Consider folding in a second round of reviews b/c oftentimes, the changes you make wind up being wrong. So fold in a few extra days for that. 5. Create a spreadsheet with all features listed, the time guesstimates needed to doc each one, and the begin/end dates for each one, and the time allotted for the review procedure. Send that to your manager, the engineering manager and the product manager as well as anyone else who is tracking your work. 5. Educate everyone and anyone you can about this so there's no room for misunderstanding or finger pointing later on. 6. Insist that they include you on one or two of the following: Planning meetings, release team meetings, product management meetings or any other process meetings that will help you discern their timeline and at each one, let them know that planning for the docs should happen simultaneously with planning for feature implementation. Methodology for Source Code Control
Hi Guys, I know this is somewhat off topic, but perhaps the responses will be helpful for others. I've been checking my FrameMaker files in to CVS for source control purposes and just felt the sting of not having used branches. In other words, I've always checked my FrameMaker files right in to the head and overwritten them with each new release. Until this week, that wasn't a problem. But this week, I began to see the shortcomings of that system. So I'm wondering, how many of you out there use branching when checking your Frame files in to a source code control system and how many of you just overwrite in one place? Karyn Hunt

I think what I've learned in the last two days is that I needed to tag all files when I checked them in (both Frame and online help files). Previously, I hadn't known that. So I'll be religious about that from here on in. That way, we can roll back to a previous time and re-release the docs as they were on that date, while still allowing me to check in new files as we move forward in the development/documentation process. That may be obvious to others, but it wasn't to me. D'oh! Also, I've learned a bit about how NOT to remove files. We had literally hundreds of outdated and unused images in CVS and I wanted to hide them from showing up when I checked in my new files b/c they were confusing and just plain unneccessary going forward. (I'm a big believer in careful housekeeping. Why carry forward hundreds of unused images?) Unfortunately, the method our old release engineer told me for removing them was a permanent "hard" delete that caused no end of problems when we tried to roll back to a previous date and time. So if anybody knows a better method for dealing with this, that'd be helpful. The third problem we have yet to solve may have had to do with changing the case on some file names and caching within CVS, but I can't quite get my head around that one yet - not enough to explain what happened and why. So chalk it up to one of those painful learning experiences. I now know a bit about CVS that I didn't know before. Another place to bone up quickly: There's a company called Enlaso that does translations. They recently did a Webcast called Translation 101 in which they went over all the basics. I think they have that Webcast stored on their website. When you talk to the vindor, find out which toolset they use and ask about compatibility with the Trados toolset, and particularly about the TM. TM = translation memory - a database that stores translated words, phrases, and paragraphs. Using the TM is optional, and little more expensive if they use it to start with, but can save you a lot of $ when upgrading your docs, online help, software, etc. They just pull the already translated text out of the TM and add the changes. Frame Crashing
Hi Guys, I'm having a strange problem that my IT guys tells me is due to a bad interaction between Windows, FrameMaker and RoboHelp. Im wondering if any of you has seen this and if so, what you've done to correct it. To make a long story short, my Windows Explorer folders are becoming corrupted and crashing FrameMaker when I try to import images by reference. Things generally go okay for a while until I spend a fair amount of time importing several different images. Then all-of-a-sudden, the image folder will decide it just doesn't want to work with FrameMaker any more and it begins crashing (both Explorer windows AND FrameMaker) every time I try to import an image. If I physically move that folder elsewhere, like my desktop for example, it begins working again. But then I've broken all other reference links and I have to start over, which makes this solution unworkable. To date, the only workaround I can come up with is to move the image folder to the desktop, copy the new images in, then move the folder back to its usual spot for archival purposes, should I ever solve this vexing problem. My installation of RoboHelp is working just fine - no problems with it at all - just FrameMaker and Explorer. Any thoughts? Suggestions? In this case, I'm certain it's not the network b/c everything is on my local hard drive. FrameMaker and RoboHelp are installed on my C drive under Program Files. The image folders are under My Documents. (The path is roughly project name/Frame files + a subfolder with the images/images. It's the final folder images that keeps corrupting. Another oddity is that even if FrameMaker isn't open, once that folder decides not to cooperate, I can't even open it in Windows Explorer. Updating text with new paragraph tag settings
Hi All, I have some very old chapters from some very old books that Im selectively copying and pasting into some new books. The new books have slightly different character tag settings (different indents and line spacing) so Im importing the new formats into all the old chapters as I copy them in to the new books. Problem is, this old book had a whole lot of overrides and when I see the paragraph tags in the new book (in the paragraph tag field on the menu), the tag names have asterisks next to and have not yet picked up the new settings. So Im having to go back and select each chunk of text and re-tag it with the same tag to make it pick up the new settings. Is there some shortcut to quickly update them all at once? Im in Frame 7.1. Leader Lines
Hi All, I'm drawing a blank and the help system isn't readily giving me the info I need. I'm sure the info is there, I just can't find it and I'm in a hurry... I have a template TOC with leader lines and a tab setting of 6.375. I've just generated the TOC for a new book but 1) the leader lines aren't there and 2) the file is ignoring the tab set and putting the page numbers flush left to the chapter title text. I've imported the template formats into the new TOC several times but it's not picking up on the leader lines or the tab stop. (It's getting the font, font size and indent right, but losing the info about the leader lines and tabs.) What am I doing wrong? Where are my leader lines? And how can I get them back either a) automatically or b) manually? Are leader lines set in the paragraph designer? The format designer? The reference page? (In which case I'm sunk b/c I don't know diddly about how to set up reference pages.) I'm on FrameMaker 7.1 with Windows XP and the lone writer in a small shop with godawful deadlines and a patch due out this week. After trying several suggestions from the wonderful folks on this list, I finally noticed something: The apply master pages checkbox wasn't checked in the update book dialogue. So that appears to have been the problem. Geez Louize, it took 1.5 hours to figure that out. What a waste of an hour and a half. But a learning experience nonetheless. I won't let that one slip by again. (The lessons learned hardest are always the lessons learned best, huh?) German Translation in FrameMaker
Hi All, We?re in need of German translation services for our docs (an email application) and I?m wondering if any of you has found a good person/agency that works well with FrameMaker, RoboHelp and basic HTML editors (we use all three). Any recommendations on good ones are as welcome as warnings about bad ones. The latter can be as helpful as the former. Thanks muchly! Karyn Hunt
