Easiest way to update all paragraphs in a book

Hi
We are goin to change all our Times New Roman 10 pt fonts to Verdana 9
pt fonts.
What is the easiest way to update all styles in the paragraph designer?
 
Right now, i have the following solutions:
 
1. Press ctrl+m and update each style in paragraph designer. Import
formats to whole book.
2. Save as .mif search and replace Times New Roman and 10 pt
respectively. Save as .fm and import formats to whole book.
 
Is there an easier or safer solution?

Mapping of Word styles to Framemaker paragrahps

What is easietst way of mapping Word styles to Framemaker pagraphs when
importing from Word to Framemaker?
 
One solution is in Word to rename all Word styles to Framemaker
paragraph names before importing. 
 
I was wondering whether there was an easier way, maybe a utility?

FM8 and shortcut key (F9+first letter in pragraph name

I used to apply paragraphs by pressing F9+first letters in paragraph
name+Enter. Suddenly this doesn't work in Framemaker 8.
Do you know why - I have seen it working.

OT: Automatic creation of pdf files

Hi
I am looking for a tool to automatically create pdf files on a network
drive.
Scenariao: Input files are converted to Framemaker files via Trados. A
network distiller automatically creates pdf ouputs from the Framemaker
books and places the files in specific folders. Maybe even a system that
can watch when framemaker folder are updated and can be set up to send a
status report to a specific mail client.
 
Do you recommend any tools for such a job. 
 
Automap from Quadralay can probably do the job. I also remember Adobe
having a network distiller.

Glossary for both paper and online help

How do you insert glossary items in your Framemaker file for use in the
paper version as an alphabetical list of glossary terms and in the
online help as drop-down hotspots/hovertext.

 

I use Framemaker 7.2 and Webworks Publisher 7.2 with the webhelp 5.0
output format.

 

I used to have a generated alphabetical list of glossary markers for the
paper manual and some other markers for the online part.

 

I have seen various ways of doing this in Framemaker

 

Using gotolink and newlink markers

Using acronymTitle and AbbreviationTitle makers.

 

I would prefer an automatic solution which lists all items in the paper
version of the glossary alphabetically.

Booklet function with Framemaker

I cannot get pdfmark to work

I insert the following in a postscript frame on my forntpage of my
manual:

 

[/PageMode /UseOutlines /Page 2 /View [/XYZ null null null]/DOCVIEW
pdfmark

 

I want my pdf file to open on page 2 when opened. It does not seem to
work. Is the syntax wrong or do you know of another way of making pdf
files created from framemakeropen on a specific page. I use Framemaker
7.2

unresolved x-ref to a heading in a text inset

2 different manuals use the same text inset and each of them have an
x-ref to the same heading in the text inset.

 

Whenever I open one manual and solve the unresolved x-ref, the other
manual will get an unresolved x-ref to that heading.

 

How do you suggest that I solve this?

Off topic: Handling of linked graphics in several language versions in Framemaker

Hey
I am describing a software product and have hundreds of screen shots in
my manual that is to be translated into several languages.
Have you a good idea for directory structure and file naming of graphics
inserted by reference?
 
My idea is the following:
 
Product version x.y
- Generic graphcis
- English
- - Framemaker files
--  Language specific graphics
--  pdf
 
The idea is that by copying the English folder to another language
folder the translator will be up and running and can replace the
language specific graphics.
 
I realize that screen shots with the same name will exist in different
versions and languages, but to use version/language specific graphics
will result days spent in re-importing graphics whenever a new version
of the manual is to be made.
 
How do you solve this issue?

Hello

I am responsible for source files in English and distribute these to 5
translators abroad who are to make localized versions.

Now the local markets want market-specific documentation in our so far
standard manuals.

To maintain one source you could have the language-specific sections
conditionalised in the english source. This means that you produce
paper and English, paper and German etc.

I don't think this works for whole chapters though. In this case you
will have to have language specific books.


How do you handle this issue?

Automatic generation of inner front with chapter tabs

The chapters in our books are divided by index tab dividers. Right now
the inner front always has 17 tabs. The tabs are represented by a table
with automatically generated list of markers from each chapter.
 
I think it will be too costly to deliver 17 index tab divider for
manuals with only 8 or 12 chapters.
 
Is it possible automatically to generate an inner front page where I can
select between say 8, 12 and 17 index tab dividers. 
 
I know that I could have 3 different inner front pages, but then I and
all translators would have to replace one front page with another when
the number of chapter increase from for example 8 to 9 chapters.
 
I use unstructured Framemaker 8. The solution that I choose should also
work for translators with say a Japanese Framemaker/OS.

Best way to rename template paragraphs so that you can use short cut keys

I have inherited a template where you cannot easily use short cut keys
to get the paragraphs because the naming methodology is not consistant.
 
I want to rename my pararagrahs so that I can use short cut keys but I
want to keep the old paragraph formatting.
 
I think that there must be an easier way than the one I am using.
 
I use Paragraph tools from Silicon Praries to create a conversion
document. I type in the new names besides the old names in a table, run
tthe tool, and voila all paragraphs in the document are updated.
 
The issue is that the old paragraphs are still in the document when
creating the new ones. 
So if I want to test the short cuts for the new paragraps I may get some
of the old ones from the temlate.
 
How do you suggest that I proceed?

I just learned that markers need to be placed in front of or after a
word in Framemaker when preparing for Trados and tageditor. Otherwise
tag-editor will not recognise the word.
 
Are there any other special rules that I need to be aware of?

Renaming 300 linked graphics in Framemaker

All my linked graphics have numbers as the file name, like 08-204. Now
the company decision is that they should have letters, like
analyzer_main.
We plan to keep all file names the same in all translated languages.
 
Is there an easy way to do this without having to reimport.
Maybe there is a tool?

OT: Any of you documenting the same product as IVD and non-IVD equipment?

I just found out that my product manual should be marked with the IVD
symbol for US customers. For the rest of the world the IVD doesn't
apply.
 
The current solution is to have the same manuals in two versison one
with and one without the IVD logo on the rear page. That means two order
numbers, additons to price lists, two brochures, two CDs with the manual
etc. 
 
Do any of you know of an operational way of handling this?
 
My first suggestions was to have 1 manual and in front of or above the
IVD logo have something like applicable to the US market but that idea
was discarded by regulatory affairs.
 
I looking forward to hearing any suggestions offline

RE: Strange behaviour of anchored frames inserted at insertion point with distance 0 pt above baseline

I cannot figure out why some of my anchored frames are placed above the
insertion point in stead of at the insertion point.
 
It seems that whenever the frame starts on a page I have this problem.
When I have a sentence above the frame there is no problem.

Is it possible to have the same text inset displayed in one part of the
chapter and hidden in another part of the chapter?
 
It seems that the online representation of the text inset gets

Single sourcing 2 manuals and one help

Hi
I am single-sourcing 2 paper manuals and one online help in one. The
online help is implemented in Webworks Publisher where you globally can
define what conditions to hide and what to show.
 
What do you suggest for the manual order number: Variables or
conditional text?
How do you handle conditions that only exist in some documents, to make
sure that you get the right output?
 
I have the following output combinations:
 
online + release 14
online + release 15
Paper + release 14 + variant a  (as either conditional text or
variables) 
Paper + release 15 + variant b (as either conditional text or variables)

 
Some of the chapters only belong to the paper manual.
 
I believe that the foolproof thing is to import all conditions to all
files in the book and set the whole book to the various output
combinations.
 
On the other and it seems a bit superfluos to have files with
conditional text definitions that are not used.

Offtopic: Questionnaire about documentation

I am going to send out a questionnaire to our customers about
documentation.

I am interested in good advice, maybe a template or a sample
questionnaire.

I am interested in knowing whether customers prefer online help or the
paper manual, whether they need translated screen shots or they can live
English ones in all the translated versions of the manual, whether they
prefer task-orietend help or are happy with the screen based
context-sensitive help, whether there is something they can do without.

Also these questions should be phrased so that we get the customers'
real opinion. Should the questionare be a mjultiple choice, and all the
questions be phrased so that you can select between the same choices for
the whole questionnaire?

Repair corrupted FM file?

Hi
I have a fm 7.2 fm file with an old template which works fine.
 
I  have the same file converted to FM 8 with a whole new temlate which
apparently is corrupted. 
 
When I press carriage return the cusor stop at page 40, inserts a line
above the cursor and I cannot press carriage return anymore - the cursor
is stuck at the bottom.
The file has been written on a German Framemaker and updated on an
English Framemaker.
 
Converting to .mif and opening in Framemaker does not change anything.
 
Is there a tool that can repair Framemaker files or do you have anoter
suggestion?
 
Of course I can the old fm 7.2 to version 8 and put on a new template -
but this is quite a job.

Easiest way to create a new book from a template (unstructured FM8)

My FM template contains all formats in the book. When I create a new
book I take a chapter file at set it all up from there:
 
Add front page, toc, chapters, glossary index and rear page. All set up
by using specific headings to call the correct master pages. I set up
the page and chapter numbering from the book and set up the Table of
Contents from the Set up Table of Contents menu.
 
Now a Documentation group is going to use my template. They are all new
to Framemaker. Can I set up a dummy book that they just copy to their
working directory? I see that I can rename files from within the book
and get links working but I cannot rename the book file itself.
 
Is there an easy way to get the book file renamed and get the generated
files like TOC, Index and Glossary working without having to set them up
from scratch again?

Do you have any other good ideas on how to optimize a template for group
usage.

How can I avoid having to rescale linked screen shots

All my screen shots in Framemaker are linked .png. When I write a new
version of the manual I simply replace all the changed screen shots with
with new ones with the same name and voila all screen shots in the
manual are updated.
 
Alas, when I open Framemaker they often lloks distorted and I have to
reimport or at least rescale them again. Is there a way to avoid this?

I know that I from the menu Graphics, Object properties can set the
scaling to 100% and restart scaling but I hope that there is an easier
way to handle linked graphics.

Template conversion, framemaker native formats

I am converting an old template to a new one. Everything is to be
converted including master pages and reference pages.
 
 
Procedure:
1. I copy all contents into a blank document
2. Import all formats from template to document
3, Convert format using paragraph tool, character tool and table tool
from Silicon Prairie.
4. Remove overrides
5. Save untitled document with old file name.
 
Framemaker paragraphs like Bulleted, Numbered and Body suddenly were in
my document.
I guess I should have deleted them from my untitled document before
importing the formats.
 
Do you have an easer way of converting a fm template or is this the
standard procedure?

My generated lists creates room for sideheads

Hi
In most chapters I use sideheads, but not in the TOC, Index and
Glossary. Although the master pages are set up not to have sideheads
there are sideheads in the generated lists if I import the formats from
my template and update the book.
 
If I remove the sidehead from the body page and update the book the
sideheads are gone.
 
Is it the paragraph formats for the generated lists in my template that
create the sideheads? How should the format be set, so that sideheads
are not created?

My document properties in template turns sideheads on for several files where it is unwanted

Hi
I just found out that when I import Document properties to all files
in by book the sideheads are suddenly turned on in several files. TOC,
Glossary, Date page, Inner front. 
 
To remove the sideheads I have to select the frame, select object
properties, and unckeck the Room for sidehead box. I think it will
work if I import all formats apart from theDocument properties when I
am updating my books.

Book to .mif plugin

I am sure there must be a utility which saves all files in a book to
.mif files. Do you know where I can get such a plugin?
 
We are starting up Trados translation and as part of that all files need

Directory structure for manuals to translate,

Hi
Do you have any improvements for my directory structure for manuals to
translate into several languages:
 
English
- Graphics (corporate)
- Text insets (corporate)
- Product 1
-  - Product 1, release xx
- - - Product 1, User manual
- - - - Product 1, user manual, fm files
- - - - Product 1, User manual, pdf files
- - - Graphics (the ones to be localised with a T in front of the name)
- - - Text insets
 
The idea is that you copy the Product 1, User manual folder to the
language folder to be translated. 
You copy changed graphics and text insets to the corresponding folders
in the other language folder.
 
The Text insets and Graphics folders are presently common to the
whole release and contain files that are used in several manuals. Some,
but not many of them single-sourced between for example the user manual
and the setup manual.
 
Graphics (corporate) could actually be above the language folder as
they are common to all languages. The folder contains logos, IVD symbol,
CE mark etc.
 
The Text insets (corporate) folder contains language-specific
corporate text-insets like Warranty, Disclaimer, end user license.
 
Currently I am considering whether I should move the Graphics and Text
insets folders under each type of manual, i.e one graphics folder for
the user manual and one for the setup manual. 
 
Also I have a problem with the two corporate folders as I have to
manully point at files located at the higher levels after I have moved
the files to the other language folder.
 
I am looking forward to hearing about your directory structure.

Book is not self-consistent

My index is creating the above error message when I update the book. I
have conditionalized index markers and index markers in text insets.
I have never experienced the above error message before.

If I remove the Index from the list of generated files to be updated, I
don't get the error.

Do you know how I avoid this message.

FM 8 crashes again and again

I just counted. My Framemaker 8 crashed more than 80 times since June
last year. Framemaker 7 was so stable and robust.

It happens when I update the book, generate pdfs and often I cannot see
action that should cause the crash.
 
Do you experience the same? Is FM 9 more stable?

I suspect that my problem has to do with the Framemaker source files as the 
rest is unchanged from FM version 7.2 apart from my Windows Service pack 3.
In particular Fm crashes when encountering files with text insets in tables on 
master pages or sometimes when I change the object properties on body pages and 
remove the room for sidehad setting

My system settings:

Windows xp sp 3
FM8.0p277
2 GB ram
756 MB virtual memory
Acrobat Profession 7.2
Files on server
Graphics are .png imported by reference
Lots of text insets used by several books

On my systems, 8 is more stable than 7 was, especially on book actions. 9 is 
also fine.

Given others' experiences, I'd guess that your problems are caused by one or 
more things in your environment, but you didn't provide any details.

If you provide some details on your system (FM and Acrobat versions, OS, RAM, 
temp space) and your environment (files local or on a server, type of graphics 
and imported by reference or copied, and so on) I'm sure the usual suspects 
would be happy to generate some things to look at.

Offtopic: Trisoft CMS, what is your opinion?

I have been asked what do you think about trisoft cms?
 
I don't know the product. Right now I am the only one using unstructured
Framemaker. We have 5 writers who are using MS Word. Framemaker has been
bought and we have a template in unstructured FM that is built up around
the IMAP structure. We are considering moving to structured Framemaker
and DITA.
 
Our product manuals are translated into 22 languages. We do not have a
cms system. I am the only one single-sourcing pdf and context-sensitive
webhelp output.
I am sure that there are many possibilities of reuse among the product
manuals.
 
 
Trisoft claims Doing DITA without a CMS wouldn't be the brightest thing
you ever did. What do you think? Is Trisoft the right thing for us?

Off topic: Helping translators with localised screen shots

My English manual with 300+ screen shots is now going to be updated and
then translated into 6 languages. The screen shots are to be localized.
I use SnagIt 7.2.3.

I plan to give them my English manual with the English screen shots as
links. The idea is that they replace the English screen shots with the
localised ones.
 
I realize that I may help the translators in different ways, so that it
is easier for them to get the screen shots into Framemaker without
having to rescale them.
 
Maybe I should have 2 or 3 standard. dpi settings for imported graphics?
Which ones do you suggest?
For some screens I have minimized the application window before I take
the screen shot in order to display all screen texts in a readable way
in Framemaker.
 
What are your guidelines for translators who are to take screen shots?
What are you guidelines for importing screen shots into Framemaker?

Anchored frame positioning

Hi
I have somehow changed a setting in my template so that anchored frame
positioning doesn't work as intended anylonger.
 
I select Anchoring Position At Insertion Point, and Distance above
Baseline: 0.0 pt. Sitll my frame is offset by -35 mm from the top. I
cannot force the position by changing the offset positioning in Object
Properties.
 
I suspect that this behavior has something to do with my in column
paragraphs or my master page.
 
If I insert the frame in the sidehead area the graphics frame is below
the cursor position as it should be and not above the cursor position.

Alternative to expensive CMS system

We are evaluating wheteher we should migrate to Structured Framemaker. 
 
Our situation:
 

*   4200 English source pages to convert, 
*   no multi-channel output,
*   releatively small possibility of reuse, approximately 30% (if we
can use conditions)
*   translation into more than 20 languages.

We have Trados translation memory and the company is going to implement
Master Control, a document control sw system.
 
I know, it is now that we should discuss the situation with an unbiased
consultant! 
 
We have already contacted one consultant. They had a very large system
in mind, which was also used in the car industry and companies producing
cell phones. Such a system would cost hundres of thousands of dollars.
 
As I understand it, you only get real value out of structured Framemaker
if you have a CMS system. Are there other content management systems
that can do the job and be integrated with a translation memory system?

Text insets repeat first paragraph

Hi
When I update my text inset in the destination document I get an empty
Heading 2 after the text inset. It seems that the first paragraph in the
text inset is repeated after the inset.
 
So far the only solution I have found is to have an empty paragraph with
a thin line above the Heading 2 in the text inset.
 
Have you come up with a better solution?

Minimizing layout work on localised manuals using trados translation memory

I work with unstructured Framemaker 8.
 
As you all know some localised languages take up more space than others.
This may result in the English source version looking OK and the
translated German version needing layout work. Do you have ways to
minimizd the layout work? 
 
Do you plan for additional space in columns so that the same tables can
be used in serveral languages?
In case of major updates of an English manual do you simply run it
through the translation memory and redo the layout work on localized
files?
 
 
Any tips on minimizing the layout work are welcome. Can we do more to
minimize layout work on translated manuals if we go structured?

RE: finding copied graphics, another way of doing it

Hi all

I searched the .mif file and found some copied graphics. However, it was
difficult to loacate them. They all seemed to be in a text inset.
 
Then I got the idea of separating the file from its linked graphics. I
simply renamed the graphics folder and reopened the file. Now only the
graphics that were copied into the file were displayed.

Have any of you been working with tools that grab screen shots
automatically. I am going to
 
- start our application
- send data to the application using a java based simulator
- capture various screens and parts of screens
- save the screens as .png
 
Change the language settings of the PC
 and repeat the procedure for several languages.
 
Have any of you automated such a procedure and preferably with a tool
where you can add new captures to the script?

Framemaker vs XMetal for structured authoring

I currently use unstructured Framemaker for pdf output. I single-source
my content - and via Webworks Publisher I output to context-sensitive
help in Webworks help format.
 
My 5 colleagues use Word and output to pdf for printing. We plan to go
structured and are considering whether we should use Framemaker or
XMetal.
 
Do any of you know where I can find an unbiased comparison of the two
tools?
 
I have been told that the major disadvantage of using Framemaker is that
you are required to save in binary format to keep the
Framemaker-specific XML processing instructions (pls). If you store in
xml-format you cannot retrieve and maintain conditional text. Callouts
on drawings (the graphics tool in Framemaker) will be rasterized, and
even paragraph styles can be discarded if you save a document as XML.
 
What are the implications of sacrificing saving documents as XML? 
 
Another advantage in favor of XMetal should be that it has
vendor-supported integration with most content management systems (CMS).
Apparently XMetal seems to be the best choice. 
 
What are your comments?

OT: Describing software user interfaces using DITA

I am looking at my software user interface and evaulating what should be
tasks, comcepts and reference. Right now I am creating context-sensitive
help and a paper manual (single-sourced).
 
 
In my interface I can create hundreds of tasks, but they are very simple
almost self-explanatory on screen.
Tasks like 
 
Printing a report, 
Approving a result, 
Reviewing a result
Writing a reject comment
 
What is more difficult is to describe what happens behind the scene.
What new features opens up for you depending on your choices.
 
Yet another issue is that what is probably the most difficult for users
to understand is typical reference information like all the symbols on
different screens. They are not all intuitive and without documentation
the user hasn't a clue to what is going on. 
 
Questions:
 
Do you describe the very simple tasks? If so, how do you handle hundreds
of small tasks in a paper manual?
Where do you describe task-related connections between features?
Where do you place reference information that is necessary for the user
to know?
 
Are there any good examples of DITA doumentation that illustrate my
issues?

Easy way of handling conditional text

I have FM8. I use several conditional text settings in my documents. The
issue is that some are only used in one chapter.
 
Some chapter may be unconditional, i.e. paper only, some paper and
online, some release x + 1 etc.
 
So far I have imported all conditions to all chapters even if they were
not used in the chapter. If, for example, I want to set all chapters to
paper I import conditional text settings from a chapter alreasdy set
to paper to all chapters in the book.
 
It works fine but it is a bit annoying having conditional text tags in
chapters that do not need them.
 
Do you have any other ways of handling conditional text.

Graphics after a sidehead paragraph will not stay at anchoring position

I used to insert anchored frames at insertion point with distance
above baseline to 0.0 points.

This doesn't work whenever I insert a graphics frame on a an empty in
column line immediately after a sidehead paragraph.

It works I have an inline text sentence between the sidehead and the
anchor line. 
 
Is there any way to solve this?

Framemaker fields and Trados Translation Workbench

Hi
I use FM8 and we are in the process of translating my Framemaker manual
into German via the Trados Transltion Workbench. Then, after translation
we find out that the conversion back to .mif isn't possible.

We find errors in Glossary fields and Index entry fields that are too
long. I have reduced the number of characters in those fields by
dividing index entries into several fields and shortening the glossary
explanaition fields.

Are there other ways to solve this issue?

OT: Text insets and trados translation workbench

Hi

I have been using text insets in my Framemaker file to make sure that
the same piece of text is writtten in the same way everywhere.

It seems that our translator has translated directly into the chapter
and not the text inset.

Does the Trados translation workbench not support text insets? Should I
convert the insets to text directly in the chapter biles.

RE: tables and translation

When we translated our manual from English to German via the Trados
translation workbench it turned out that many of columns in tables were
too small. The result was that a letter or two wre placed in line two of
the column.
 
I fixed this in the files I received from the translator but would like
to fix it in my English source so that I won't have to do this again in
the next release.
My plan was to open a copy ofthe English files and manually compare all
tables with those in the German files.
 
Originally I used tables from the table designer by I  fear that many of
them habe been manually modified.
 
Do you have any suggestions about how to handle the task?
I know that a Framescript can solve the issue, I am in doubt whether it
will be too costly compared to the one time manual work.

Changing font when translating to Japanese

Hi

I am going to send an English manual to translation in Japanese. The
translators use Trados tageditor.

My manual uses the Verdana font. I believe that I have to change all the
fonts?

Do you know which font I must have in the .mif files? I looked at a
translated Japanes manual and it had both MS UI Gothic and Arial Unicode
MS.



What is the easiest way to change the font? 

A search and replace throughout the book?
What about text on master pages in markers etc?

Is it a better idea to change the font in the .mif file?

I have topicAlias markers which must not be translated. 

Any other recommendations before shipping the file off?

Conditional text and Trados Translation Workbench

Show all. I will resend the files.
 
Is there a way in the Trados translation workbench to set the
conditional text to Show all. I investigated the .mif file in Notepad
and verified that all text is there, although some of it is hidden.

Our translator is using Trados Workbench. I deliver input .mif files
with the font Arial Unicode MS. the output font is supposed to be MS
Mincho.
The translator uses this procedure:

Go to File  Setup  Fonts

 2. Set Source default font as Arial Unicode MS

 3. Set Target default font as MS Mincho 

It seems as if that the rtf file is MS Minco. However when converting
from RTF to .mif the font in converted back to Arial Unicode MS.

Do any of you have an idea of what is happening?

FM8: Conditional text definitions not removed from book

I have FM8. I  have removed some contional text definitions from all
files in the book. Still they seem to appear in the list when I select
View, Show hide conditional text..

I believe that I also remove the condition from all text insets in the
book.

Do you have any easy way of getting rid of unwanted condition tags?

Preventing a text frame from containing text from next page

The right text frame on my cover page contains a list of markers
(chapter titles)
 
When I update the book the text from the next page (rear cover) is
displayed in the right text frame of the cover page. 
 
How do I prevent my front and rear page texts to mix?

Scale or change dpi to make a screen shot filt within printer margins

I have several screen shots in my A4 manual that are too big to be
printed within the margins of my A4 paper.
 
How do I reduce the dimension of the screen shot to make it print within
the marigins? Do I resize or do I change the dpi settings?
Of course I still want the scren shot to print fine on my 600 dpi
printer

Replacing special character single quote

Hello

Our Trados translator has inserted single quotes in stead of double
quotes in the destination source. This results in the text look strange
in Framemaker as the single quote is probably considered a control
character in Framemaker.

How do I search and replace the single quote with a double quote? The
search function doesn't find anything when I copy the single quote into
to find box and click search. Is there a way to search for special
characters such as the single quote.

Translators

Hi

We are migrating from MS Word to Framemaker. Many of our 22 translators will 
use FrameMaker or Trados S-tagger. Some, however, will only us MS Word as they 
cannot or will not learn a new tool.

How do we give them a Word file?

Should we convert from the English Framemaker master files to Word?

Should we buy Adobe Acrobat 8 and convert the pdf file generated from 
Framemaker to Word?

or do you have another solution.

QA wants unique edition number in changed footers

Hi
I am using unstructured Framemaker 7.2
 
All my FM book files contain all master pages, all variables, all reference 
pages etc. This means that if you accidentially copy formats from one file to 
anoter nothing will go wrong.
 
My edition number in the footer is simply a global variable. Now the QA 
Department wants each chapter to have an editon number according to when 
changes were made. This means that some chapters have edition k, others edition 
l and so forth.
 
Have you any idea of how I can have the various edition numbers in footer of 
each chapter page and still have the possibility of importing all formats from 
all files without messing things up?
 
I want to avoid specific master pages for each chapter.

Setting an autogenerated TOC inserted by refence to condition paper

I use unstructured Framemaker 7.2:
 
I know that you can define chapter TOCs by using XREFs in a table. This is 
however a bit tedious when your Heading/topics move around.
 
Right now I generate a standalone chapter TOC which I import by reference and 
set to condition tag Paper. It would be nice if I could avoid the last step 
of setting the TOC to paper and still keep the link by reference.
 
Have yóu any idea how (apart from the xref solution) I can make sure that I or 
translators do not forget to set the TOC to condition tag paper?

From Framemaker to Trados: Superscript, subscript and italic

Is there any problems with getting superscript, subscript and italic charcters 
from Framemaker through Trados?
 
My manager wants to have to translate Framemaker files using Trados and he has 
heard that Trados cannot handle the above characters. Is that correct?

Anything new about when the next release of Framemaker will be launched?

Have you heard anything yet?
 
My Danish vendor told me (guessed) a couple of month ago that it would be in 
March this year, but I don't trust this information anylonger.
I am VERY curious about the new features and a bit impatient. The only rumour I 
have heard is that Framemaker will support Unicode.
 
Maybe MadCap Software will be the first to launch their Blaze which sounds very 
interesting, and probably will be a real competitor to Framemaker.

Off topic: Helping translators with localised screen shots

My English manual with 300+ screen shots is now going to be updated and
then translated into 6 languages. The screen shots are to be localized.
I use SnagIt 7.2.3.

I plan to give them my English manual with the English screen shots as
links. The idea is that they replace the English screen shots with the
localised ones.

I realize that I may help the translators in different ways, so that it
is easier for them to get the screen shots into Framemaker without
having to rescale them.

Maybe I should have 2 or 3 standard. dpi settings for imported graphics?
Which ones do you suggest?
For some screens I have minimized the application window before I take
the screen shot in order to display all screen texts in a readable way
in Framemaker.

What are your guidelines for translators who are to take screen shots?
What are you guidelines for importing screen shots into Framemaker?

Anchored frame positioning

Hi
I have somehow changed a setting in my template so that anchored frame
positioning doesn't work as intended anylonger.

I select Anchoring Position "At Insertion Point", and Distance above
Baseline: "0.0 pt". Sitll my frame is offset by -35 mm from the top. I
cannot force the position by changing the offset positioning in "Object
Properties".

I suspect that this behavior has something to do with my "in column"
paragraphs or my master page.

If I insert the frame in the sidehead area the graphics frame is below
the cursor position as it should be and not above the cursor position.

Graphics after a sidehead paragraph will not stay at anchoring position

Hi

I used to insert anchored frames "at insertion point" with distance
above baseline to 0.0 points.

This doesn't work whenever I insert a graphics frame on a an empty "in
column" line immediately after a sidehead paragraph.

It works I have an inline text sentence between the sidehead and the
anchor line. 

Is there any way to solve this?

My generated lists creates "room for sideheads"

In most chapters I use sideheads, but not in the TOC, Index and
Glossary. Although the master pages are set up not to have sideheads
there are sideheads in the generated lists if I import the formats from
my template and update the book.

If I remove the sidehead from the body page and update the book the
sideheads are gone.

Is it the paragraph formats for the generated lists in my template that
create the sideheads? How should the format be set, so that sideheads
are not created?

My document "properties" in template turns sideheads on for several files where it is unwanted

Hi
I just found out that when I import "Document properties" to all files
in by book the sideheads are suddenly turned on in several files. TOC,
Glossary, Date page, Inner front. 

To remove the sideheads I have to select the frame, select object
properties, and unckeck the "Room for sidehead" box. I think it will
work if I import all formats apart from the"Document properties" when I
am updating my books.

Directory structure for manuals to translate,

Do you have any improvements for my directory structure for manuals to
translate into several languages:

English
- Graphics (corporate)
- Text insets (corporate)
- Product 1
-  - Product 1, release xx
- - - Product 1, User manual
- - - - Product 1, user manual, fm files
- - - - Product 1, User manual, pdf files
- - - Graphics (the ones to be localised with a T in front of the name)
- - - Text insets

The idea is that you copy the "Product 1, User manual" folder to the
language folder to be translated. 
You copy changed graphics and text insets to the corresponding folders
in the other language folder.

The "Text insets" and "Graphics" folders are presently common to the
whole release and contain files that are used in several manuals. Some,
but not many of them single-sourced between for example the user manual
and the setup manual.

"Graphics (corporate)" could actually be above the language folder as
they are common to all languages. The folder contains logos, IVD symbol,
CE mark etc.

The "Text insets (corporate)" folder contains language-specific
corporate text-insets like Warranty, Disclaimer, end user license.

Currently I am considering whether I should move the Graphics and "Text
insets" folders under each type of manual, i.e one graphics folder for
the user manual and one for the setup manual. 

Also I have a problem with the two corporate folders as I have to
manully point at files located at the higher levels after I have moved
the files to the other language folder.

I am looking forward to hearing about your directory structure.

Easiest way to rename all linked graphics without having to rescale?

We have to rename all linked graphics.

My plan is to

1. generate a list of linked graphics for each chapter
2. convert the list to a table with two column and writh the new
graphics name in the right column
3. rename all graphics
4. Close and open FM and for each graphics point to the new file name.

I have to do this for 250 .pngs.

I was thinking about editing in .mif files or scripts but I think this
is the easiest solution.

Do you have an easier solution?

Easiest way to create a new book from a template (unstructured FM8)

My FM template contains all formats in the book. When I create a new
book I take a chapter file at set it all up from there:

Add front page, toc, chapters, glossary index and rear page. All set up
by using specific headings to call the correct master pages. I set up
the page and chapter numbering from the book and set up the Table of
Contents from the "Set up Table of Contents menu".

Now a Documentation group is going to use my template. They are all new
to Framemaker. Can I set up a "dummy book" that they just copy to their
working directory? I see that I can rename files from within the book
and get links working but I cannot rename the book file itself.

Is there an easy way to get the book file renamed and get the generated
files like TOC, Index and Glossary working without having to set them up
from scratch again?

Do you have any other good ideas on how to optimize a template for group
usage.

How can I avoid having to rescale linked screen shots

All my screen shots in Framemaker are linked .png. When I write a new
version of the manual I simply replace all the changed screen shots with
with new ones with the same name and voila all screen shots in the
manual are updated.

Alas, when I open Framemaker they often lloks distorted and I have to
reimport or at least rescale them again. Is there a way to avoid this?

I know that I from the menu Graphics, Object properties can set the
scaling to 100% and restart scaling but I hope that there is an easier
way to handle linked graphics.

Template conversion, framemaker native formats

I am converting an old template to a new one. Everything is to be
converted including master pages and reference pages.


Procedure:
1. I copy all contents into a blank document
2. Import all formats from template to document
3, Convert format using paragraph tool, character tool and table tool
from Silicon Prairie.
4. Remove overrides
5. Save untitled document with old file name.

Framemaker paragraphs like Bulleted, Numbered and Body suddenly were in
my document.
I guess I should have deleted them from my untitled document before
importing the formats.

Do you have an easer way of converting a fm template or is this the
standard procedure?

Framemaker vs XMetal for structured authoring

I currently use unstructured Framemaker for pdf output. I single-source
my content - and via Webworks Publisher I output to context-sensitive
help in Webworks help format.

My 5 colleagues use Word and output to pdf for printing. We plan to go
structured and are considering whether we should use Framemaker or
XMetal.

Do any of you know where I can find an unbiased comparison of the two
tools?

I have been told that the major disadvantage of using Framemaker is that
you are required to save in binary format to keep the
Framemaker-specific XML processing instructions (pls). If you store in
xml-format you cannot retrieve and maintain conditional text. Callouts
on drawings (the graphics tool in Framemaker) will be rasterized, and
even paragraph styles can be discarded if you save a document as XML.

What are the implications of sacrificing saving documents as XML? 

Another advantage in favor of XMetal should be that it has
vendor-supported integration with most content management systems (CMS).
Apparently XMetal seems to be the best choice. 

What are your comments?

Have any of you been working with tools that grab screen shots
automatically. I am going to

- start our application
- send data to the application using a java based simulator
- capture various screens and parts of screens
- save the screens as .png

Change the language settings of the PC
 and repeat the procedure for several languages.

Have any of you automated such a procedure and preferably with a tool
where you can add new captures to the script?

have conditionalized index markers and index markers in text insets.
I have never experienced the above error message before.

FM 8 crashes again and again

I just counted. My Framemaker 8 crashed more than 80 times since June
last year. Framemaker 7 was so stable and robust.

It happens when I update the book, generate pdfs and often I cannot see
action that should cause the crash.

Do you experience the same? Is FM 9 more stable?

FM 8 crashes again and again

Fair enough
I include my system details below.

I suspect that my problem has to do with the Framemaker source files as the 
rest is unchanged from FM version 7.2 apart from my Windows Service pack 3.
In particular Fm crashes when encountering files with text insets in tables on 
master pages or sometimes when I change the object properties on body pages and 
remove the "room for sidehad setting"

My system settings:

Windows xp sp 3
FM8.0p277
2 GB ram
756 MB virtual memory
Acrobat Profession 7.2
Files on server
Graphics are .png imported by reference
Lots of text insets used by several books

On my systems, 8 is more stable than 7 was, especially on book actions. 9 is 
also fine.

Given others' experiences, I'd guess that your problems are caused by one or 
more things in your environment, but you didn't provide any details.

If you provide some details on your system (FM and Acrobat versions, OS, RAM, 
temp space) and your environment (files local or on a server, type of graphics 
and imported by reference or copied, and so on) I'm sure the usual suspects 
would be happy to generate some things to look at.

Offtopic: Trisoft CMS, what is your opinion?

I have been asked "what do you think about trisoft cms"?

I don't know the product. Right now I am the only one using unstructured
Framemaker. We have 5 writers who are using MS Word. Framemaker has been
bought and we have a template in unstructured FM that is built up around
the IMAP structure. We are considering moving to structured Framemaker
and DITA.

Our product manuals are translated into 22 languages. We do not have a
cms system. I am the only one single-sourcing pdf and context-sensitive
webhelp output.
I am sure that there are many possibilities of reuse among the product
manuals.


Trisoft claims "Doing DITA without a CMS wouldn't be the brightest thing
you ever did". What do you think? Is Trisoft the right thing for us?

Text insets repeat first paragraph

Hi
When I update my text inset in the destination document I get an empty
Heading 2 after the text inset. It seems that the first paragraph in the
text inset is repeated after the inset.

So far the only solution I have found is to have an empty paragraph with
a thin line above the Heading 2 in the text inset.

Have you come up with a better solution?

Minimizing layout work on localised manuals using trados translation memory

I work with unstructured Framemaker 8.

As you all know some localised languages take up more space than others.
This may result in the English source version looking OK and the
translated German version needing layout work. Do you have ways to
minimizd the layout work? 

Do you plan for additional space in columns so that the same tables can
be used in serveral languages?
In case of major updates of an English manual do you simply run it
through the translation memory and redo the layout work on localized
files?


Any tips on minimizing the layout work are welcome. Can we do more to
minimize layout work on translated manuals if we go structured?

finding copied graphics

finding copied graphics, another way of doing it

Hi all

I searched the .mif file and found some copied graphics. However, it was
difficult to loacate them. They all seemed to be in a text inset.

Then I got the idea of separating the file from its linked graphics. I
simply renamed the graphics folder and reopened the file. Now only the
graphics that were copied into the file were displayed.

Easy way of handling conditional text

Hi

I have FM8. I use several conditional text settings in my documents. The
issue is that some are only used in one chapter.

Some chapter may be unconditional, i.e. "paper" only, some "paper" and
"online", some "release x + 1" etc.

So far I have imported all conditions to all chapters even if they were
not used in the chapter. If, for example, I want to set all chapters to
"paper" I import conditional text settings from a chapter alreasdy set
to "paper" to all chapters in the book.

It works fine but it is a bit annoying having conditional text tags in
chapters that do not need them.

Do you have any other ways of handling conditional text.

OT: Describing software user interfaces using DITA

I am looking at my software user interface and evaulating what should be
tasks, comcepts and reference. Right now I am creating context-sensitive
help and a paper manual (single-sourced).


In my interface I can create hundreds of tasks, but they are very simple
almost self-explanatory on screen.
Tasks like 

"Printing a report", 
"Approving a result", 
"Reviewing a result"
"Writing a reject comment"

What is more difficult is to describe what happens behind the scene.
What new features opens up for you depending on your choices.

Yet another issue is that what is probably the most difficult for users
to understand is typical reference information like all the symbols on
different screens. They are not all intuitive and without documentation
the user hasn't a clue to what is going on. 

Questions:

Do you describe the very simple tasks? If so, how do you handle hundreds
of small tasks in a paper manual?
Where do you describe task-related connections between features?
Where do you place reference information that is necessary for the user
to know?

Are there any good examples of DITA doumentation that illustrate my
issues?

Replacing special character "single quote"

Hello

Our Trados translator has inserted single quotes in stead of double
quotes in the destination source. This results in the text look strange
in Framemaker as the single quote is probably considered a control
character in Framemaker.

How do I search and replace the single quote with a double quote? The
search function doesn't find anything when I copy the single quote into
to find box and click search. Is there a way to search for special
characters such as the single quote.
