Re: [Archivesspace_Users_Group] Auto generating unique IDs

2022-11-30 Thread Alexander Duryee
Anna,

If you're using a plugin to generate+save the identifiers, you won't need
to manually add/save the identifiers - there are points in the record
creation process where ASpace can generate the identifier and save it
regardless of how the record was created.

In the plugin that I linked, the identifiers are added during the
before_validation step, which happens before the record is actually saved.
We use this with a spreadsheet importer and never had issues with it not
adding identifiers.

Thanks,

Re: [Archivesspace_Users_Group] Auto generating unique IDs

2022-11-29 Thread Anna Haywood
Hello everyone,

Follow-up question on this (hopefully my last question!). We use the
spreadsheet importer to process all of our archives. So, the archivists create
unique IDs directly in the spreadsheet and then they are uploaded to
ArchivesSpace. If we used a manual or tech solution to auto generate CUIs, I
guess we would have to do it manually after the records are imported via
spreadsheet? Is there any hack to get around this?

Thanks,
Anna

I should qualify that as 'unique to all archival objects'. Any other object
(resource, accession, etc) may have the same id number, though the number is
unique within the type of object. Hope that isn't confusing!

Hello Alex and Rachel,

Thank you both so much for these suggestions, I will look into them and see if
my IT dept. can help.

I also saw on an old post (from 2018) that someone had used the number in the
url to create the CUI. So for instance, using
/repositories/2/archival_objects/4131 to make the CUI “4131” - I thought this
was an interesting idea. Does anyone see any major flaws this? We only have 2
repositories and we probably won’t transfer archival objects between the two.

Best,

Anna

Re: [Archivesspace_Users_Group] Auto generating unique IDs

2022-11-29 Thread Joshua D. Shaw
Hi Anna

The archival object id in the url is unique across all repos, so you should be
OK to use that as your unique id.

Best,
Joshua

Hello Alex and Rachel,

Thank you both so much for these suggestions, I will look into them and see if
my IT dept. can help.

I also saw on an old post (from 2018) that someone had used the number in the
url to create the CUI. So for instance, using
/repositories/2/archival_objects/4131 to make the CUI “4131” - I thought this
was an interesting idea. Does anyone see any major flaws this? We only have 2
repositories and we probably won’t transfer archival objects between the two.

Best,

Anna

Anna,

We use a plugin to achieve something very similar here at NYPL -
https://github.com/alexduryee/aspace_serial_numbers<https://can01.safelinks.protection.outlook.com/?url=https%3A%2F%2Fgithub.com%2Falexduryee%2Faspace_serial_numbers&data=05%7C01%7Cahaywood%40cca.qc.ca%7C25cccad0b86f47cb61c608dad2461d08%7C4e72076180cf4800ad14ca034727386b%7C0%7C0%7C638053496409381719%7CUnknown%7CTWFpbGZsb3d8eyJWIjoiMC4wLjAwMDAiLCJQIjoiV2luMzIiLCJBTiI6Ik1haWwiLCJXVCI6Mn0%3D%7C3000%7C%7C%7C&sdata=ZGuibQW76sOvj8ukxdtMXfs68bZ6CyuSMjSPA9iJO90%3D&reserved=0>.
This auto-generates a component_id when an archival object is saved without
an ID, starting from 300 and incrementing by 1 each time (using ASpace's
built-in Sequence).

Note that this plugin requires some frontend tweaks to be truly functional,
which is in a separate plugin repository, but it should give you an idea/basis
to work from.

Thanks,

[Archivesspace_Users_Group] Auto generating unique IDs

2022-11-28 Thread Anna Haywood
Hello everyone,

I was wondering if anyone had a suggestion (manual or automated) to create
unique ids for archival objects in ArchivesSpace? We have migrated from a
system that used to autogenerate consecutive 6 digital numbers for all users. I
do not want to create unique IDs that are tied to the collection/series/etc.
because if we reprocess, renumber, or rearrange the collection, it means we
need to change all the unique ids.

Any ideas are appreciated!
Thanks,
Anna
