I should have given you more information in my last post:
It's for use by a non-profit art group for managing a large and complex 
yearly event.  They have been doing it on paper and have basic 
non-professional computer skills.  (Windows based).  One office manager 
and several collaborators.  They don't need an enterprise based tool.

Thanks for trying. 

I also googled and found Open workbench, dot.project and others but was 
hoping someone with experience could personally recommend one that is 
pretty easy to use, not too robust/ complex etc but that would cover the 
basics of a single large event produced by a non-profit that has no IT 
staff for software wrassling..

I'm impressed that it is so up to date. I see incidents from last week 
around my office in DC. Two robberies last week near gayley's place.

It's very easy if you've ever used Microsoft Project. It basically lets
you create a list of tasks, assign a duration, who is assigned to it,
what other tasks it depends on, etc. Then it will draw a nice Gantt chart.
And you can then track progress as the project moves along. I'm not sure
exactly what features you're looking for, but for what I've needed it's
pretty simple. And, since it's free, it costs nothing (besides a bit of
time) to try it out.

Another interesting Google maps mash up is CrimeReports.com

I just noticed that the Wash Post has a similar Google Maps mash up. The 
Post has many, many fewer reports than CrimeReports.com, but the reports 
that it does have offer details of what happened. CrimeReports.com 
usually has this field blank. CrimeReports.com looks better design-wise.

Of course I want both completeness and detail, but having to choose one 
over the other I guess I prefer completeness.

Microsoft Project is a schedule and resource management program. It 
focuses on things like CPM (Critical Path Method). I doubt you need that.

I think that for managing an event you really need something like a good 
PIM. Something that manages to-do lists and calendars.

I read an article recently where the author interviewed the 10 most 
productive people he knew. He found that they did not even rely on 
something as fancy as a PIM. They used word processing or spreadsheets to 
manage their to-do lists.

On that theme and if you need something that multiple people can access 
simultaneously from many locations you might find that Google Apps is all 
you need. It has a nice way to manage multiple calendars. You can post 
to-do lists as text documents or spreadsheets. You can keep track of 
expenses with the spreadsheet.

Thanks for your input. 

From what you say, maybe they do need some kind of PM software... not 
sure. 


More details:
This non-profit group (that I belong to but don't manage), puts on a big 
event (large parade) each year and the production time stretches over 5 
months and involves the work of a handful of part time organizers 
overseeing some 30 or 40 volunteers  (basic manpower).  A part time 
office manager tries desperately to keep track of it all for the 
organizers.


There are many disparate and critical elements along the way (Numerous 
organizational meetings, permits to secure, supply ordering, etc.) in 
making sure the work done by many volunteers is planned, coordinated and 
is accomplished.   I guess keeping track of expenses as it relates to 
budget is a lesser capability that might be useful but not as critical.


The office manager has always specifically wanted to have some big 
picture time line ability but hasn't known how to best do so.   She 
asked me because I work in IT but I have never used any such software.


Given those details, which of your previous recommendations do you think 
would be the best to pursue?
If they want timeline capability, seems like maybe they need  more than 
spreadsheets and docs? 

On the other hand, as they only have Word processor, Excel and basic 
membership Access database skills, and would be boggled by complex 
enterprise level software, maybe that is all they can do... ?

Is that a crime center? I thought the bad stuff happened a little further

The address function is provided by Google Maps or so I thought, but that 
address works on Google Maps.

The office manager has always specifically wanted to have some big 
picture time line ability but hasn't known how to best do so.   She 
asked me because I work in IT but I have never used any such software.

Given those details, which of your previous recommendations do you think 
would be the best to pursue?
If they want timeline capability, seems like maybe they need  more than 
spreadsheets and docs? 

I know how to use Project Management software and learned CPM in my 
Operations Research classes in grad school. Despite this I make timelines 
in Excel. I find that all that other project managemebt baggage gets in 
the way. I would use Project Management software for a really big 
project, like building an aircraft carrier, but for normal projects it is 
overkill.

I adjust the spreadsheet's column widths to be the same as the row height 
(looks like graph paper). I then run dates across the top and define 
different stages of the project using rows. I color in different cells 
(or use Dingbats/Wingdings font) to show important dates. I put text 
comments into cells to clarify things. I find this works just fine.

On the other hand, as they only have Word processor, Excel and basic 
membership Access database skills, and would be boggled by complex 
enterprise level software, maybe that is all they can do... ?

That is a very good point. Keep it simple!

Thanks Tom,

I was trying to get a feel for the scale of what software was 
appropriate for this group's application and you answered that well.
I am a devotee of the KISS theory and it sounds like that applies in 
this case.The Excel formatting technique will be useful for them too. 

If you want to print out the whole timeline...   what  do you do? ... 
print it out on multiple pages and tape it together or do you send it to 
an output shop for large paper printing?

To be fair in the main branch of  Wannamakers upstairs could be six or
seven floors away.  It could take a good ten minutes to get all the
way back upstairs.  That was probably worth a 10% premium.

You succeeded in making me both nostalgic and home sick all at once.
Apparently you can still meet under the Eagle but it is a Macy's now.
I hope the Warthog is still there.
