Re: [libreoffice-documentation] Contributing to technical writing and documentation

2016-10-06 Thread Olivier Hallot
Hello Dave

Welcome to the Documentation team. Contributions from individuals
skilled in LibreOffice are most appreciated.

What about updating our Getting Started manuals to the 5.2 release?

The task is really easy: Review the 5.1 contents versus 5.2 new features.

For example, pick the chapter on Writer (getting started with Writer) in

https://wiki.documentfoundation.org/Documentation/Publications

*Activate the track changes* in the file and update the text with

  * If a new feature is important for a introductory text, write about
it, explaining it, or giving instruction on how to make it work.

  * if not (an advanced feature not suited for a newbie user or a
internal coding tweak), skip it.

The new features of Writer 5.2 (from 5.1) are here

https://wiki.documentfoundation.org/ReleaseNotes/5.2#Writer

Hint: A very possible outcome is that there is nothing to modify. But I
leave it to you.

When done, please send the file to me.

Let me know if that is good for a start or you want to address another
documentation topic.

Kind regards

Olivier

Re: [libreoffice-documentation] no ofline help in libre ofice 50

2016-10-20 Thread Olivier Hallot
Hello

Release 5.0.5.2 is 'very old' and has no support anymore by The Document
Foundation. But it can be found in this list:

https://downloadarchive.documentfoundation.org/libreoffice/old/

I admit, this repository could be more visible in our download page for
situations like yours, although we always recommend to keep LibreOffice
updated with the latest stable release for production purposes.

Kind regards

Olivier

Re: [libreoffice-documentation] Getting Started with Calc, draft v5.2 update

2016-10-26 Thread Olivier Hallot
Hello Dave

Thank you indeed for your update.

I have reviewed it and added just 2 extra short topics: Single tool bar
and status bar operations on selections. The remaining of the contents
don't need changes, I think.

I also changed the name to GS5205GetingStartedWithCalc.odt to adjust the
version in the name (52) and uploaded into the draft folder of
ODFAuthors for release 5.2. Track changes are enabled.

Kind regards

Olivier

[libreoffice-documentation] Unchanged modules of version 5.2

2016-10-26 Thread Olivier Hallot
Hi

I noticed that the 5.2 release notes page brought no news for Math,
Base, Macros and OpenSource chapters of the Getting Started book.

Is it the case to transport the chapters directly to 5.2 Draft folder?
(with simple version correction).

Advise welcome.

Re: [libreoffice-documentation] Hi everyone

2016-11-15 Thread Olivier Hallot
Welcome Christina to The Document Foundation documentation list

LibreOffice has a wide range of documentation tasks:

* We have our Guides books, written by experts in LibreOffice and using
the best practices in book writing.

* We have a Help system that permanently needs contents update.

* We have pages in the wiki that also needs update and cleanup.

* Some local communities want to have our guides translated.

Please let us know what kind of task would you like to exercise your
skills? We can give you all support.

Re: [libreoffice-documentation] [5.3.0 Beta1] documentation.libreoffice.org

2016-11-27 Thread Olivier Hallot
Hi K-j

The site is a consequence of bug

https://bugs.documentfoundation.org/show_bug.cgi?id=96015

That is, an entry page for "Users guides" directly from the software, as
opposed to or wiki pages + Google. It does not replace wiki
or other pages in the main site or external tools which can live well
together. It aims to be a quicker, mnemonic, access to published TDF
and community documentation.

I created an entry /de/. If you have acess to SilverStripe, check if you
can edit documentation.l.o pages and fix my googled German. Otherwise
poke me to get access.

Removed entry for /fr/, for the time being it was a test;

Because it is new. But each NL team can do the best for their community.

I need time to fix language switch in SilveStripe.

Re: [libreoffice-documentation] Updated books release

2016-12-12 Thread Olivier Hallot
Hello

Welcome to the documentation lists and team. Every documentation on
LIbreOffice and on every language is important for us.

On the books mentioned, are you offering your books for download for
free? Can you be more specific with respect to the licensing?

If you want to participate to our efforts in documenting, you can
register in our wiki and update the persian pages and also help our wiki
team in maintaining the contents updated and useful.

We also have a IRC channel for immediate talk at
https://webchat.freenode.net/?channels=#libreoffice-doc . Come and join us.

Kind regards

Olivier

What documenters want is a easy way to insert, edit and update help
contents, as well as to add new, modern resources as multimedia and
graphics in the help pages.

The format is not the problem as long as we have tools to edit the
contents with the benefits as listed above. The only XHP rich editor is
HelpAuthoring extension, which is still buggy and demand a long and
steep learning process. By contrast, users and volunteers are much more
comfortable with editors available in CMSs, forums and wikis, such as
TinyMCE, CKEditor, or any other markdown editor.

The major use we made of XHP is to display information for reading and
to source information for an search index (the tags).

To be displayed, XHP is transformed into HTML and presented in a
specially tweaked Writer/Web module. Bookmarks are handled separately.

OK. but cleaning up useless attributes in XHP such as oldref= and l10n=
should not trigger a fuzzy state in our translation process.

ID is absolutely mandatory because "filepath+filename+ID" sets the
uniqueness of the string in the help system for the translation process.
If we change the format XHP to format ABC, then there must be a
one-to-one relation between IDs in XHP to IDs in ABC. Another constraint
is that once an ID is set for a string, it must remain the same forever
for that string.

So, we must keep "id" and also "localize".

Perfect.
As I put above, we must keep id="...". That is not a issue at all. Note
that if the format ABC is actually HTML, your example turns to
Heading
The actual text...

and we keep the uniqueness of the ID, our translators (including me) are
happy and users thrilled to use their preferred markdown javascript editor.

Let me think a bit on the "localize=" attribute...

I will build a wiki document comparing and commenting XHP and HTML5, for
evaluation. This is not an endorsement of HTML, though.

Thank you

One thing I'd like to add for evaluation of using XML for the help
contents in browsers is that, in my experience:

* XSLT (XML style sheets), XPath and XQuery are another technologies
to master.

* An error in a XSLT statement and one get a blank page or a message
with very little indications (Firefox)

* XSLT seems to be an aging technology. Is the industry betting in this
technology for the future?

* Rendering XML+XSLT is browser-dependent and is not publicly/widely
tested by W3C. We may be forced to test the results into a wide set of
browsers.

I have reviewed your chapter and added some contents in document
classification. I put it in the same Draft folder.

Some remarks on formatting
I am interested to get a minimal HTML readable copy of the contents of
all guides [1]. So far editing in LibreOffice and exporting (not saving
as) XHTML does seem to be promising way to get it, but it requires some
style changes and also some manual changes in the source files (odt).

* HTML does not like tab character at all. It is visible in author's
list on each chapter and on general lists.
- The Author's list tabs can be moved into a table with no borders
- The bullet or numbered lists must be inspected and, the tab character
automatically inserted after the bullet or number, must be replaced by a
space. Even better, use a list style to handle this setting.

* Note, Warning and Tip bullets are swallowed by the export.
- I need to find a way to recover or get workaround.

* Images: The XHTML export does not handle graphics, OLE objects or
drawings. Only images.
- I changed these drawings into images
- A side benefit is that the images don't depend on the settings of the
source computer (fonts, backgrounds, etc)
- I saved the original drawings into a separate Draw document.

This is not an exhaustive list of issues. More to come later

[1] https://goo.gl/9kxZ74

Note for future on styles:
* Style names should be prefixed (e.g. TDF-Heading 1, TDF-Heading 2, TDF
Default)
* Avoid using automatic styles
* get a style for numbered list and for bullet lists.

Kind regards

[libreoffice-documentation] Style themes documentation

2017-01-05 Thread Olivier Hallot
Hello Documenters

LibreOffice 5.2 has a nice experimental feature called Themes. It is a
way to change a set of automatic paragraph styles with predefined fonts,
color and layouts. Very handy, very well kept secret, not even a blog
post on it AFAIK.

Themes are activated when you enable experimental features in LO, in
Tools - Options - LibreOffice - Advanced - Enable experimental features.
Then in the Sidebar, you must select the Design entry in the Sidebar
configurations.

A double click on a font, color,or layout theme will change the
appearance of the whole document.

Anyone interested in writing a help page for this feature is welcome.
Bug entry for the help page is

https://bugs.documentfoundation.org/show_bug.cgi?id=105122

To write a help page, please follow the instructions in

http://documentation.libreoffice.org/en/join-community/update-help-contents/

Please let everybody knows here that you take the task.

Re: [libreoffice-documentation] Fwd: [] Unit #117821712 (sk)

Hi Milos

The process to add a new background content (hatch, pattern, color,
gradient, etc...) is to first Add an empty content and then select it
for modification.

If an content exist already and must be modified, select it and apply
the modifications. That explain why LO don't "Save the selected...", the
selected is already in the list and will be modified.

To first create a content and then save it to the exisiting list, a
change in the UI controller is necessary and the UX guys must jump in.

Kind regards

I am not aware of a style guide specific for help contents style. In
general, Jean H. Weber's guide for writing documentation is a good start
but will not address issues like dashes in menus paths.

A page on these style for writing help pages can be useful but I fear to
rise the entry barrier for volunteers, if too steep or too cumbersome.
The truth is that we still use a very old, utterly complex, very hard to
edit help system.

I also missed the button to remove the classification while testing but
it also means that if such button exist, users can tamper the
classification too easily.

Apparently yes, but only "Intellectual property" category has a visual
impact. The other categories insert its specific fields in the
properties and no visual indication. As you will read on the help page,
the current implementation is taken from the aerospace and defense industry.

This is - I believe - an solution specific to who contracted the
implementation. You can remove it if necessary.

It will be nice to have an expert on TSCP to comment here to help us too.

[libreoffice-documentation] GS5.2 Ch3 Styles and templates draft

2017-01-17 Thread Olivier Hallot
Hi

I have uploaded GS5.2 Ch3 Styles and templates.

Major changes are in the Templates section since the dialog has been
completely rewritten and is now more consistent.

I left out for other times the experimental (and interesting) feature of
"document design" since it misses a bit of a finishing touch. If you
judge it worth to start writing about it right now, I can add a couple
of pages about that are ready.

Hello

We have a new website designed to make easy for the user to find our
LibreOffice Guides. I have placed all guides in English in this website
as well as translated guides from some other communities like pt-BR.

http://documentation.libreoffice.org

To help the NL communities I have set a wiki page explaining a bit more
about the website.

If you want to open a page for your locale, please let me know, I can
assist in setting the right page and guide file tree.

As expected, the number of visits to the documentation website after the

Looking at the statistics by piwik, here are some information (stats

Conclusion (at this point)
1) users may be just exploring new resources and downloading files they
never thought it exist, but also they got valuable information, as the

instruments to better perform their duties, the Guides are one of these
instruments.
2) "Page not found" should be addressed, I am available to assist and
even execute page contents for the NL communities, when asked.
3) NL communities and the documentation team plays an important role as
well as they has a challenge for the success of LibreOffice in every use
case (home/office/corporate).
4) Almost all entries are "direct entries", which means they came from
the Help menu of LibreOffice 5.3. Looking upside-down, LO is an "app"
for accessing our guides... :-)

Other interpretations on the data above are possible, more data is
available from TDF infra (piwik), it does not close the subject at all
and is brought here for discussion.

Kind regards

Re: [libreoffice-documentation] Contributing to LibreOffice documentation

2017-02-07 Thread Olivier Hallot
Welcome Matthew

Your skills in LibreOffice are indeed important to our community and you
will find a lot to do.

We have a set of guides that need to be updated. These guides are edited
in Writer with our best practices (e.g. styles, master documents, etc...)

We can start in 2 directions

one, is to update our introductory text "Getting Started" from version
5.2 (almost done) to version 5.3 (easy to medium difficulty).

The second is to take one of our module guide (e.g. spreadsheet book)
and update to version 5.3, requiring quite deep knowledge in the module
software (medium to hard difficulty).

To get the guides and have a glimpse on how they actually look like
please get any of them in the documentation website at

http://documentation.libreoffice.org/en/

and let me know your prefered project.

Kind regards

Olivier

Re: [libreoffice-documentation] Published chapter of GS5.2

2017-02-22 Thread Olivier Hallot
Hello Jean

It took a bit more time than I expected but I finally got it.

I reviewed each individual chapter WRT styles and direct formatting
(DF). Got some surprises to see DF messing paragraphs, lists and
images styles that shifted contents out of position here and there.

I applied table styles to all text tables.

I fixed some image formats and residual DFs on it, that insisted to
vanish when compiling the book.

I updated the master style with some tweaks I had to do for the
chapters. All commented.

Where do I upload all these files? Note that it has another round of
revisions (formatting) after your published chapters.

Thank you

Olivier

Re: [libreoffice-documentation] Published chapter of GS5.2

2017-02-23 Thread Olivier Hallot
Hello Martin

Because I wanted to have a unique source for books and web pages
(XHTML), I took Jean's 5.2 chapters (were they cleaned by the script? I
guess yes) and I started exporting to XHTML. That is, I took what Jean
uploaded as final.

I guarantee no direct formatting (DF) was introduced by me. Rather, an
intense work on the style tuning was necessary.

On exporting to XHTML, I found several issues hidden in ODT or PDF that
I managed to fix or change with another solution. All fixes are in
revised ODT files.

None of the fixes for the issues found changed the visual result of the
ODT source and the PDF export.

Kind regards
Olivier

Hi Martin
Thanks for the cleaned files.

However, after some time spent comparing them I found an issue in
Milos's python script.

Take GS5200-Preface.odt and compare the Note text (green bullet) where
it says "Some Linux distributions include LibreOffice..."

The cleaned file is in bold text, no matter you remove direct formatting
and apply the "Text Note" style. The output of the python script is

8<---
olivier@olivier-ntbk:~/52/Test$ ./odtclean.py -i GS5200-Preface.odt -o
clean/GS5200-Preface.odt
cleanSpans(T) : { s }
cleanSpans(T) : { Some Linux  }
cleanSpans(T) : { distribution }
cleanSpans(T) : { s include  }
cleanSpans(T) : {  as part of the installation and may not include  }
cleanSpans(T) : { all the }
cleanSpans(T) : {  icon set }
cleanSpans(T) : { s mentioned above }
cleanSpans(T) : { . You should be able to download  }
cleanSpans(T) : { o }
cleanSpans(T) : { ther }
cleanSpans(T) : {  icon set }
cleanSpans(T) : { s }
cleanSpans(T) : {  from the software repository for your Linux  }
cleanSpans(T) : { distribution  }
cleanSpans(T) : { if you wish to use them }
cleanSpans(T) : { . }

8<---

For the time being, I'll let the files as they are at the moment,
because they are good for publication. I recall that Jean cleaned the
5.1 final files which are the base of our 5.2 update.

Also, the script handles only character formatting + and an ancient OOo
style. Most of the issues I found in compiling the book and also
exporting to XTMHL dealed with other issues, especially in images and
lists, not in the scope of the script. I'll blog-posting my findings soon.

Lessons learned, lessons applied: Creating books with LO needs "manu
militari" discipline on styles.

Kind regards

[libreoffice-documentation] Getting Started 5.3 task list

2017-03-20 Thread Olivier Hallot
Hi Documentation community

I put here an initial task list to update the Getting Started guide to
release 5.3.

Whoever is interested in writing about one of the subjects, please
inform this mailing list and give us an estimation of time to fill the
task. We will follow the process in ODFAuthors website.
http://www.odfauthors.org

Tasks

* Update of the (new) dialog box for Area in objects (Several chapters)

* The new Safe mode (Ch 1 Introduction)

* Table styles and Table Autoformatting in Writer (Ch 3 Styles and
templates and Ch 4 Writer)

* The MUFFIN - Notebook bar (Ch 1 Introduction)

* Extension manager revamp (Ch 1 INtroduction)

* The page panel in sidebar (Ch 4 - Writer)

* Customization of context menus (Chap 14 - Customizing LibreOffice)

Source:
https://wiki.documentfoundation.org/ReleaseNotes/5.3

Note: not every new feature in the wiki page is adequate to be in an
introductory text like the GS guide.

This list above is not exhaustive. Feel free to add your suggestion.

If you think an existing topic should be removed from the GS guide,
please debate the issue here in advance.

Yes... we thank you for that, the contents you wrote are already in the
LibreOffice 5.3 release.

but it's still confusing for me how can I continue contributing to the
project.

The documentation project has a wide range of activities. Most are
listed here:
http://documentation.libreoffice.org/en/join-community/

That is a search too wide. It list development bugs.

The list of specific issues on Help documentation is this one (bookmark it!)
https://bugs.documentfoundation.org/showdependencytree.cgi?id=80430&hide_resolved=1

Your last contribution was taken from this list.

For example, these topics
https://bugs.documentfoundation.org/show_bug.cgi?id=80367
https://bugs.documentfoundation.org/show_bug.cgi?id=80658

are topics to be written from scratch and are unassigned.

or if there's a place where I can see what Guides do you need to get
writen or updated???
>

OK. The guides need writers, and all of the need to be updated. I am
evaluating the amount of effort to update the Calc guide to 5.4. Jean
Weber took the Writer guide update.

> @Olivier,by this time I believe that the introductory text "Getting Started"
> from version 5.2 to v 5.3 is done?! So, if you need I can update something to
> version 5.3, or write something from scratch.

I will publish the list of tasks to update the Getting Started guide
5.3. in this mailing list.

Is this 'Documentation missing' still valid?

Probably not, because the effort to fill the page is almost the same as
fixing the documentation gap itself.

Re: [libreoffice-documentation] Open Source Project

2017-03-22 Thread Olivier Hallot
Hello Catherine

This issue is easy to fix but you will have to touch hundreds of XML
files that have the "How to get" section.

Also, the website help.libreoffice.org is regenerated on each release
from our local help system. We do not edit the wiki of this website. You
will have to learn a bit on our XML files to proceed. Let me know if
you want to go ahead.

Otherwise, my suggestion for a beginner is:
https://bugs.documentfoundation.org/show_bug.cgi?id=94454

"No Help for Template Manager Available".

and to make your life easier, please follow the instructions in

http://documentation.libreoffice.org/en/join-community/update-help-contents/

in "very easy way" section.

I have already written some info in our Getting Started book, you may
use it for the help system:

http://documentation.libreoffice.org/assets/Uploads/Documentation/en/GS5.2/HTML/GS5203-StylesAndTemplates.html#__RefHeading__165545_780470623

Ask here for help you in any issue.

Regards

Olivier

[libreoffice-documentation] Calc Guide 5.3

2017-03-28 Thread Olivier Hallot
Hello

The Calc guide is the "best seller" for download in the documentation
website. The latest published release is 4.1 (*)

For that reason, I started to update it and opened a draft folder for it
in ODFAuthor website.

I took the latest 4.x drafts and reviewed for version 5.3 (and perhaps
beyond, depending on the time it takes to finish)

Authors are invited to help me in this job, I'd like to have the help of
spreadsheet experts for the contents.

At the moment I am reviewing chapter 2 GC5302 - Entering data.

(*) The best sellers are, ranked:
1 Calc Guide
2 Base Handbook
3 Writer guide
4 Getting Started guide.

Kind regards

As a side note, one of the most time consuming task is to convert styles
from 4.x styles (OOo prefixed) to 5.x styles... Is there a trick to make
it quick other than replacing paragraph styles through Ctrl+H one by one?

This one is an issue on the python converter to mediawiki.
If the application is Writer, then insert a link to another page.
Otherwise, just put text.

This change is on tags and don't affect the understanding. It will
trigger review by all translators. Such changes are better carried in
the background, as are many other tag changes in the queue.

Yes.

Yes. But at this moment, better is to update the file for 5.3 release.

The process is

1) Download the file

2) Save it as GS5305-GettingStartedWithCalc-AM.odt , where 53 is the
release and AM are your initials. Open it in LibreOffice

3) Fill your personal data in Tools -> Options -> LibreOffice -> User data

4) Enable track changes (Edit -> Tack changes -> Record)

5) Update the contents.

6) when finished with the edition, upload to ODFAuthors > LibreOffice >
English> Getting Started > "Draft LO 5.3" folder

7) Notify this list when you're done. It will be reviewed.

> Another question: is there a bug in the bug list related to this task??

Although a bug can be open, the process does not involve yet this formalism.

If you want to extend the update of the Getting Started Guide, please
have a look at this message:

Yes, exactly. The new book is an update of the current 5.2 book
contents. We do it chapter by chapter and at the end we assemble (build)
the book.

OK. The process of updating our literature is to review the text and
images and add the improvements of the new software release when
applicable. The message I referred contains the changes I noticed from
LO 5.2 when LO 5.3 was released.

I hope this helps...

Looking at the task, I saw many direct formatting (e.g. bold text
instead of a character style) applied to the text as well as old
OpenOffice styles that has new names in 5.x ... It is so extensive, that
I looking to automate it.

If I count ~30 style changes x ~13 chapters...

[libreoffice-documentation] Rationale for chapter template change from 3.x and beyond

2017-04-17 Thread Olivier Hallot
Hi

I was browsing the mail archive to look for the reasons that leaded to
the change of the templates of the Guides. I could not find the
motivation (*).

Except for visual change of the pages, I can't imagine the reason of
changing the names of the styles. Can someone point me to the
discussion, or summarize here?

Thanks

Hi Dennis

AFAIK, many Excel functions were renamed after v2013 to extend the
number of arguments. For backward compatibility reasons new names were
introduced to avoid errors.

LibreOffice followed the same scheme. Wilfried Donkers and Eike Rahtke
are the developers.
