Importing a Word Doc into Frame v9.0

A cousin of mine is a complete novice on Frame. She is buying Frame v9.0
and importing a 300 page Word manual into it. (After editing the 1rst
edition of the manual in Word, she said, never again). I have never seen
Frame v9.0, I still use Frame v8.0.
 
How does Frame v9.0 map Word Paragraph styles? Does it do a better job
than Frame v8? What does she need to do first to ensure an easy and
successful import? 
 
Any recommendations for some good online training classes for Frame
v9.0?

Adding graphics in a reference page

Hi:

I am developing templates for a client.  They asked me to create four tags 
named Notes, Caution, Warning, Tip.

They want colored borders above and below each tags and a gif file to appear 
(to the left) when text is selected and changed to one of these tags.

I created four graphic frames with the colored borders (calling them Note-Top, 
Note-Bottom, Tip-Top, Tip-Bottom and so on) in the Reference page of the 
chapter tempate.  In Paragraph Designer, when I select
Frame Above Pgf and Below Pgf for each of the four tags, the colored border 
works the way I need it to.

For the small gif images associated with each of the note tags,  I imported the 
graphic into an anchored frame within the graphic frame.  It works.  The 
problem is I am unable to customize the spacing around this image so that is is 
parallel with the text. when applying the tag to text, the image is too high 
above the text, which creates too much space.

I've tried everything and cannot adjust it to the space requirements I need.  
Another other option is to insert an anchor by the note and manually add the 
graphic, that works, but it's not what they are expecting.

Looking for some advice.

The procedures and best practices for importing Word files are still
the same as for earlier versions of Frame...
Usually, the best results are obtained by saving s RTF in Word and
opening that file... Graphics, if they're embedded in the Word file,
can be recreated by saving the Word as HTML, then they can be imported
by reference in Frame.

Probably the most important thing she needs to master quickly is the
idea of using a book to manage more smaller files...

As a novice Frame user, I am currently doing the same thing (taking a 350 page 
Word manual and moving to FrameMaker 9).

As a long time, highly skilled Word user, I know from experience that there is 
a mountain of invisible crap in the Word doc - so my best advice is to not 
import the Word document at all!

Instead, save the Word doc as a text file, open the text file in something like 
Notepad, then copy in the plain text and completely reformat the Frame doc from 
scratch. This may be more work in the short term, but you'll create a better 
template and avoid any hassles that importing Word files could cause down the 
road.

Yes, this means you have to deal with everything (graphics, master pages, etc) 
from scratch. But it also gives you the chance to begin your Frame career with 
a best practices for FrameMaker approach rather than a I have to live with 
Word-defined stuff even though I'm now working in Frame approach. 

I have no doubt this is taking me longer, but I am more confident about the 
results.

Hi Gillian,

I haven't noticed any real differences in how FM9 imports Word.

The main thing to keep in mind is how rigidly the Word author used Para and
Character Styles.

Normal+ will not come across cleanly...never did and never will!

If the author was a sophisticated Word user, and did not manually tweak
things in Word, then the files should come over quite painlessly.

Regarding training and other assistance:

I believe I'll be hosting an online 2-day Unstructured FM9 training the week
of July 27th. There are currently 4 students in that class, so a great
chance for individualized attention.

I just finished up a 3-day Structured Frame Authoring and a 2-day Tech Comm
Suite Integration for Diane Gaskill's group (21 folks in the Authoring
class, and it still went well!!!)

Your cousin might also benefit from some help in the conversion and in
setting up the initial template. If that's not something you plan on doing
for her, I've helped lots of companies (large  small) with that as well. I
can do it remotely, and bill in as little as 1/4 hour increments.

Alison is absolutely right.  I couldn't say it better.  Don't even
consider using Frame's Word or RTF import.  Bring in the content as
plain text by Copy in Word and Paste SpecialText in Frame.  You
will be very glad you did.

Having just completed rebuilding a 450-page Frame book that my client
created by importing a Word doc, then round-tripping chunks of content
between Frame and Word a couple of times, I'd second that. Word metadata can
really munge up a Frame document. It got so bad that attempting to open a
cross-reference in certain chapters would crash Frame every time, and it was
impossible to print the book.  Added bonus of rebuilding is we've *finally*
gotten rid of the wretched 'missing font' messages. Skipped the step about
saving to a text file, though-- just copied and pasted chunks from Word,
choosing the Edit  Paste Special  Unformatted Text option.

Also, re Art's suggestion to bring in graphics that have been embedded in
Word by saving to HTML, that creates a low-resolution .gif version of the
graphic. I find the extra hassle of re-creating the graphics by copying and
pasting from Word into Photoshop/Paint worth it due to the superior graphic
quality.

This is my practice as well, although I don't go to a complete text file. What 
I do is read the RTF into Frame and then copy/paste-special paragraphs and 
text into a new document, applying proper paragraph formats as I go.

Using my approach minimizes (but does not eliminate) overlooking formatting 
items (like emphasis in italics or bolding, underlining, , etc.) that were in 
the original Word document.

As a novice Frame user, I am currently doing the same thing (taking a 350 
page Word manual and moving to FrameMaker 9).

As a long time, highly skilled Word user, I know from experience that 
there is a mountain of invisible crap in the Word doc - so my best advice 
is to not import the Word document at all!

Instead, save the Word doc as a text file, open the text file in something 
like Notepad, then copy in the plain text and completely reformat the 
Frame doc from scratch. This may be more work in the short term, but 
you'll create a better template and avoid any hassles that importing Word 
files could cause down the road.

Yes, this means you have to deal with everything (graphics, master pages, 
etc) from scratch. But it also gives you the chance to begin your Frame 
career with a best practices for FrameMaker approach rather than a I 
have to live with Word-defined stuff even though I'm now working in Frame 
approach. 

I have no doubt this is taking me longer, but I am more confident about 
the results.

Here too.

The difference I have made though, from one especially large and  
difficult assignment, was to print the Word file to PDF then export  
the graphics. That enabled vector based illustrations to be retained  
and not converted to raster. It also meant that specific pages that  
contained illustrations drawn in the source application could be  
opened in Illustrator and saved directly as pdf once all the page  
margins, borders, page number, etc. had been deleted.

edition of the manual in Word, she said, never again). I have never seen
Frame v9.0, I still use Frame v8.0.

How does Frame v9.0 map Word Paragraph styles? Does it do a better job
than Frame v8? What does she need to do first to ensure an easy and
successful import?

Adding graphics in a reference page

Hi:

I am developing templates for a client.  They asked me to create four tags 
named Notes, Caution, Warning, Tip.

They want colored borders above and below each tags and a gif file to appear 
(to the left) when text is selected and changed to one of these tags.

I created four graphic frames with the colored borders (calling them Note-Top, 
Note-Bottom, Tip-Top, Tip-Bottom and so on) in the Reference page of the 
chapter tempate.  In Paragraph Designer, when I select
Frame Above Pgf and Below Pgf for each of the four tags, the colored border 
works the way I need it to.

For the small gif images associated with each of the note tags,  I imported the 
graphic into an anchored frame within the graphic frame.  It works.  The 
problem is I am unable to customize the spacing around this image so that is is 
parallel with the text. when applying the tag to text, the image is too high 
above the text, which creates too much space.

I've tried everything and cannot adjust it to the space requirements I need.  
Another other option is to insert an anchor by the note and manually add the 
graphic, that works, but it's not what they are expecting.

Looking for some advice.

An easier way to do this may be to create a 1-row, two-cell table. The
left cell holds a unique tag that only calls the graphic on the
reference page with Frame Above or Below. The right cell holds the
warning/note/whatever text.

The table will let you adjust more finely because now you have cell
margins and spaces to use to adjust the graphic's position.

Importing a Word Doc into Frame v9.0

Hi Gillian,

I haven't noticed any real differences in how FM9 imports Word.

The main thing to keep in mind is how rigidly the Word author used Para and
Character Styles.

Normal+ will not come across cleanly...never did and never will!

If the author was a sophisticated Word user, and did not manually tweak
things in Word, then the files should come over quite painlessly.

Regarding training and other assistance:

I believe I'll be hosting an online 2-day Unstructured FM9 training the week
of July 27th. There are currently 4 students in that class, so a great
chance for individualized attention.

I just finished up a 3-day Structured Frame Authoring and a 2-day Tech Comm
Suite Integration for Diane Gaskill's group (21 folks in the Authoring
class, and it still went well!!!)

Your cousin might also benefit from some help in the conversion and in
setting up the initial template. If that's not something you plan on doing
for her, I've helped lots of companies (large & small) with that as well. I
can do it remotely, and bill in as little as 1/4 hour increments.

Alison is absolutely right.  I couldn't say it better.  Don't even
consider using Frame's Word or RTF import.  Bring in the content as
plain text by Copy in Word and Paste Special>Text in Frame.  You
will be very glad you did.

Importing a Word Doc into Frame v9.0

Having just completed rebuilding a 450-page Frame book that my client
created by importing a Word doc, then round-tripping chunks of content
between Frame and Word a couple of times, I'd second that. Word metadata can
really munge up a Frame document. It got so bad that attempting to open a
cross-reference in certain chapters would crash Frame every time, and it was
impossible to print the book.  Added bonus of rebuilding is we've *finally*
gotten rid of the wretched 'missing font' messages. Skipped the step about
saving to a text file, though-- just copied and pasted chunks from Word,
choosing the Edit > Paste Special > Unformatted Text option.

Also, re Art's suggestion to bring in graphics that have been embedded in
Word by saving to HTML, that creates a low-resolution .gif version of the
graphic. I find the extra hassle of re-creating the graphics by copying and
pasting from Word into Photoshop/Paint worth it due to the superior graphic
quality.

Importing a Word Doc into Frame v9.0

This is my practice as well, although I don't go to a complete text file. What 
I do is read the RTF into Frame and then "copy/paste-special" paragraphs and 
text into a new document, applying proper paragraph formats as I go.

Using my approach minimizes (but does not eliminate) overlooking formatting 
items (like emphasis in italics or bolding, underlining, , etc.) that were in 
the original Word document.
