Meant to say more about depth.  Here in North Carolina, some userids have
permissions at branch depth, others at system, and others at consortium.
I've been tripped up by having the wrong depth in the past!  Then again, if
Jason's right about the bug, the depth won't matter.

Jennifer, if you check the User Permission Editor for the login user, is
COPY_STATUS_LONG_OVERDUE.override checked?  And if so, at what depth?
Perhaps the login userid doesn't have quite enough permission to get the
job done.

Because online resources are expensive and frequently the cost is related
to usage, Forsyth County (NC) verifies who someone is using photo id when
we create a library account and charges a non-resident fee for those who
live outside of a specified geographic area.  Therefore, we're not in the
market for this development.  Sorry.

I bet Brent is right!  If you are using relative dates in your parameters
instead of real dates (such as saying you want everything created 1 to 12
months ago), it's easy to enter them backwards.  In the example he
provided, the top parameter would 12 months and the bottom parameter 1
month.

This is pretty down-and-dirty but it does seem to work:

It uses the "Item" source, filters on creation date range, filters OUT
anything that has been deleted (so you'll miss anything that was added and
deleted within the same time range), and includes only those org units in
our library system (since we're a consortium member).  All that displays is
the short name for the org unit and the total copy IDs added during the
specified time range.  Does that help?

have aged up from juvenile to YA permission groups or from YA to adult
permission groups.  Currently, we run reports based on birthdates and make

Forsyth NC runs a report on the 15th of every month identifying the email
addresses of those patrons whose cards expire the next month.  We use
vendor Constant Contact to send a mass email to all those addresses letting
the patrons know that their cards are due to expire.  Included in the text
of the message are instructions for how to renew.  Hope that helps!

This may be off the wall, but might you create a non-holdable
OPAC-invisible shelf location for them?  As long as all the consortium
members were able to handle the shelf location, then all the items in the
"kit" could be shipped to a library and the owning library changed for
them, the location would alert staff to where they could find the books,
you'd get full circulation information, and the books would return to the
current owning library no matter where they are checked back in. Would that
work?

Forsyth County NC used to use the Evergreen acquisitions module, but
because the County would not allow us to track money that way (we are
required to use the County Finance Department's methods), it was much more
trouble than it was worth.  We were tracking in multiple places.  Now, once
the PO is activated, the money people track the funds and Tech Services
tracks the materials.  That's an over-simplification, of course, but it
means there's a lot less duplication of effort.

Ours are either 13 or 14 digits (mostly depending on how old they are) and
include check-digits so phony numbers aren't really an issue.  We also get
the very occasional "I didn't check that out" comment and we allow circ
desk staff to use Mark Claimed Never Checked Out after doing due
diligence.  We then ask them to add a note to the patron's record so we can
trace whether this becomes a pattern.

Funny you should mention the rapper, Rogan.  We just taped a poster on the
Tech Services door that says "We've got 99 problems but a book ain't
one"--swag from the North Carolina Library Association meeting last week.

Forsyth has a few customers who use barcode apps on their phones.  As Rogan
said, if the scanner can read them, we accept them.  It's not really any
different from scanning an actual library card for us since we don't store
patron photos anyway.  If somebody presents a card with a name and
birthdate that don't seem reasonable for the person who is standing there,
we may ask to see some id, but that's the same regardless of how the
account number is given to us.

Being a techno-curmudgeon I can count my apps on one hand so I'm not sure
about specific ones.  Do they all allow folks to just type in a number or
do some of them require that you scan or take a photo of the actual loyalty
card?

Forsyth County (NC, not GA) has been hoping that an inventory module would
be developed but it doesn't appear to be in any of numbered sprints for the
browser-based client.

The Sitka model certainly does work.  I strongly recommend breaking the
collection into clearly defined segments that you can finish in a
reasonable amount of time, based on shelving locations or whatever works
for you.  Since batch editing items using the Item Status screen can crash
if you try to do too many at a time and will prevent you from doing
anything else in Evergreen at the same time, I usually break my txt file
into chunks of no more than 250 items.  I've processed 10,000 item files
over a weekend, but it takes patience.

Forsyth County (NC not Georgia) tried the Lost and Paid Status for a week
and reverted to regular Lost status.  If a patron finds and returns an item
that was marked lost and for which they paid the replacement charge, Lost
and Paid prevents us from checking the item back in and issuing a refund to
the patron.  (Our patrons have one year from the date an item is marked
lost--after that, no refund.)  With the right library settings, you can use
an override to check in a Lost and Paid item but we prefer not to have
service desk staff use overrides if we can possibly avoid it.

Hi Jennifer,

Saving checkout and holds history is something that each patron must turn
on if they want it.  Staff cannot see the histories, only the patron can
and they must be logged in to do so.  Neither setting can be made
retroactive, only items that are checked out or placed on hold *after* the
settings are turned on will be captured.  It's an amazingly useful feature
and we encourage our patrons who read a lot to use it.

Forsyth quit holding onto paper registrations several years ago.  We
require presentation of photo id and proof of mailing address but we don't
require a signature.  Keeping paper is a security concern, anyway, since
the forms contain personal data.

 contraption.)

 adding patterns in the catalog would be logically what they will be wanting
 next.

Thanks, Elaine!  We're not on AUTOCAT but I appreciate the suggestion of
posting there.

Archival collections and free pattern exchanges were what I found, too.
There were some libraries in Vermont that used to circulate patterns but
that was several years ago.  As you said, the ephemeral nature of tissue
paper means that patterns have a short life expectancy and that's most
likely why they're not circulating any longer.  If we do indeed decide to
check them out (just to have a record for circulation stats), we could
always add them as pre-cats with a realia circ mod.  Interestingly, the
branch that's considering the issue surveyed their patrons and learned that
crafts and adult clothing were the most wanted.  The freezer paper and
interfacing suggestions from Lynn and Janet might be especially useful for
crafts patterns.  Lynn's point about multi-size patterns might make adult
clothing more problematic.

If we do go forward with this, I'll be sure to let the listserv know.

here in Forsyth County!  The ability to upload a list would be a higher
priority for us than making them editable by multiple people.  We could
always use record buckets for sharing as long as we could then upload the

 send it back into Evergreen. If I had a list and another staff member had a
 list, we could download them, combine, and upload to a new list which is
 now “shared”.



 Now’s the time for the realists to start tearing apart my ideas with
 bullet-pointed reasons for why this technically is not possible. J Or
 maybe not!

it go the other way.  We're on release 2.6, if that makes a difference.

 Well, the problem is that we are trying to do something like that for
 several different pre-assigned groups and it is not working.   For the
 “volunteer” group for instance.  I have assigned several users in our
 system to that profile, but one or two need modifications.  When I go to
 that patron record, into the user permission editor, everything is greyed
 out and it won’t let me change anything.   One or two permissions listed
 there I would like to remove (like Admin Toolbar!  What? For volunteers?)
 or even change the level at which they have permission.   Nope.  No
 dice.And where is that admin toolbar thing set anyway?Who gave
 volunteers that permission?  It is not listed in the group permissions
 editor.(they can also see and edit the Library Settings!)



   So, why can I change some user permissions for patrons (I am having no
 trouble with our “catalogers”), but others are all greyed out and won’t let
 me add or delete anything in the user permission editor. Do I have to
 start all over and just create all new groups first??   (and I AM the admin
 and logged in as such when trying all of this)

Forsyth County NC uses a system that is tied to the position rather the
individual.  That way, the permissions, reports, etc. stay with the person
who needs them, regardless of who it is.  Since the County's position
control numbers (PCNs) are four digits, our user names are constructed as
follows:

*   abc*

where a, b, and c are single-letter codes and  is the PCN.

   - a = library  (each org unit has its own letter)
   - b = department  (Tech Services, children's services, etc.)
   - c = position type (supervisor, librarian, assistant, etc.)

  My new director was asking my opinion on usernames and passwords for
 staff. I am of two minds - I would like more personalized usernames for
 accountability reasons, but I also recognize things like reports are tied
 to usernames and it is easier just to change the password when people leave
 instead of setting up a new user from scratch. We also have only one
 username for substitutes (by branch) and this can get a bit confusing.

 Yes, I think I agree with you here, which is why I'm suggesting that
 rather than adding a permission, we remove that menu entry altogether.
 Since holds are already transferred as part of a record merge and there is
 another method available to transfer all holds that requires the user to
 actively select those holds, it seems to be an unnecessary and potentially
 dangerous option to me. Dangerous may be too strong of a word, but it is
 something that is problematic when it is accidentally selected.

 option where you transfer selected holds, I wanted to see if others would

Forsyth treats ILLs exactly the same way that Holly describes.  We put our
own barcode on a wrapper around the front cover of the book with the due
date written in, check the thing out to our patron as a pre-cat, then call
and let the patron know it's here.  When they come to pick up, they sign a
receipt for it so that we know when it actually left our hands, but the
checkout date remains the day that the item arrived from the lending
library and the due date is based on that.

If you're planning to use the reports module rather than writing your own
SQL code, there are some limits on what statistics can be easily and
accurately captured.  Pulling fields and subfields out of the MARC record
is especially tricky, if not impossible.  You can, however, use a
combination of circulation modifiers, shelving locations, call numbers,
and/or stat cats to garner useful data.  I can't speak for the NC Cardinal
consortium, of course, but I find that circ modifiers and stat cats are my
most reliable friends.  The challenge is to use enough of each to
differentiate materials without overdoing the complexity.

someone pointed out that I had been filtering on IsDeleted equals no.

Our cases of check-ins not going through seem to be almost always because
staff was going faster than Evergreen could handle.  Because of the beep,
they think the scan was accepted and aren't always as vigilant about
watching the screen as they could be.  This has also happened at check-out.
 The result of that, of course, is that the catalog thinks the item is
still on the shelf and it doesn't appear on the patron's record at all.
 Joan's suggestion of disabling the beep sounds like a winner.

Re pre-cats, we don't allow staff to use them.  If a patron brings an item
to the desk that isn't in the catalog, we try to find another copy for them
but don't let them check out the copy in their hands until it can be added
to the system.

We're not using KPAC at this point but I'd like to add my vote for being
able to filter on shelving location and circ modifier, regardless of
platform.  I'd have to talk to our consortium administrators about this, of
course, but is there a global filter tag in the TPAC as well?  Holly's
absolutely right about the problem of incomplete MARC records.  We're
finding an alarming percentage have almost no fixed field data which makes
filtering virtually useless.

I don't think it will work on captured holds.  At that point, I think
you'll have to cancel the hold that has already been captured and place a
new one for her.  If she's someone who regularly places tv series on hold,
Lynn's suggestion of teaching her how to suspend and activate her own holds
makes a lot of sense.  She can place however many parts on hold as she
likes and suspend all but the first one.  Then as she watches that one, she
can activate the next.

[OPEN-ILS-GENERAL] Don't miss next year's Evergreen International Conference

Last week's EIG in Cambridge was extraordinarily useful, in terms of both
information learned and contacts made.  The committees did a tremendous job
of lining up presentations that covered topics we really wanted to hear
about at a comfortable venue and for a very reasonable price.  Huge thanks
to both the Conference Organizing Committee and the Conference Program
Planning Committee, and no I'm not getting a kickback for saying this
stuff.  I came home with reams of notes and a stack of business cards.
 Fair warning to all you generous people: I'll be emailing you with
questions!

If there's any way your budget can be stretched to allow it, I highly
recommend attending next year's conference, wherever and whenever it's held.

 We've had issues with Find Another Target messing up the holds queue, but
we may have been doing it incorrectly.

When you say to Find Another Target for the hold on top of the queue,
Tina, do you mean the first hold that appears when we click on View Holds
for the record?  This seems to be the newest hold and might not be for our
library's patron.  (We're in the NC Cardinal consortium.  Since we use
6-month age hold protection, holds outside Forsyth County won't be filled
by new items we add here.)  We tried filtering to holds for just the branch
where the new item was added, but that seems to have caused problems.
 Would you mind elaborating on your recommendation?

Thanks, everyone.  I really appreciate how generous Evergreen librarians
are with their knowledge and experience!

Out of curiosity, is it common practice out there to add hot new titles to
the catalog the day before their lay-down date so that holds can be filled
as soon as a title is released?  We have patrons who call first thing on
Tuesdays (mostly) to ask why their hold on the latest bestseller hasn't
been filled yet.  If we add items on lay-down day and stash them in the
back for 24 hours, they'll scream.

If we changed 'missing' status to holdable, wouldn't that delay finding a
viable copy to fill the hold?  We're marking items 'missing' if they're on
the Pull List and not on the shelf but a different copy *is* available.  By
marking the targeted item missing and then using Find Another Target, we
can use the copy we have in our hands to fill the hold.  Under our previous
ILS (Sirsi), it didn't matter which copy we discharged as long as it was on
the same title record.  Evergreen doesn't seem to accept alternate copies,
though.  Is there a better way to do this?

Thanks, Tina.  I wonder if being part of a consortium that uses age hold
protection will cause problems.  If all of my library system's holds are
down a ways on the queue, would I select the highest hold for my system
rather than the top hold on the entire queue?  Will this cause problems for
other consortium members?

 I mean the next hold that should be filled according to the adopted hold
 filling method. Most of our libraries fill holds by request time. So they
 sort holds by request time to find out the next hold to Find Another
 Target. Now we are on 2.4. There is the hold queue position field on View
 Holds. Libraries can sort the holds by queue position. Evergreen's
 displaying holds for the selected branch only or all pickup locations makes
 it harder to find out the next hold when the holds are queued within a
 system with multiple branches. Queue position can be a clue telling staff
 whether they need to view all holds.

Hi Holly and Buzzy,

Thanks for responding!  Our statewide consortium managers and Equinox have
had no luck getting our receipt printers to autocut.   We're having to feed
the paper and tear by hand.  Since we're on the east coast, Harweda has
left for the day but I'm sure she'd love to know if there's a secret to
forcing the Stars to cut.  Could you share the driver(s) you're using?
