It sounds like you still have Field Names visible. Use View->Field Names, and make sure the menu item is not checked. Next, select the records and click Data to Fields. When you do this, you will not need Print Preview any more. You will see on the labels just what will be printed (except for possibly the field shading).
I too am using a Calc sheet as a database. The Data to Fields button is greyed out. The help files say it only works with internal database files. Does that mean Printing or print preview is the only way to see the finished result?
