You might try adding your name and address list through the menu bar items rather than with the wizard.

First, make sure the data source will be displayed with View|Data Sources. Next, Edit|Exchange Database.

On the "Exchange Databases" dialog, click the "Browse" button and find your new name and address spreadsheet. Expand that item and highlight the sheet or named range you want, then click the "Define" button.

Return to your document and find the spreadsheet file and specific sheet or range in the list displayed; make sure it's highlighted.

If your range had column headings, you can drag the appropriate column headings to the right spot on the document to insert a field that will be filled with that data when you do the merge.

Now you can go back to the mail merge wizard and skip the steps you don't need; just click on the step you want.

... nor can I delete any of them from the Add list.

Please would some one tell me where I'm going wrong but more
importantly how to put it right?
