My office system now stores 3.8G of mail.  We do erease some from time

Have you actually read their privacy policy?  It says that they keep all
your emails, even if you delete them.  Deleting them just deletes them
from your view.

While I consider myself a privacy enthusiast I'm not a nut job. I
can't expect any privacy on a server I don't have in my possession.
Besides I agreed to their terms, not vice versa. I do have the
decision making power to not place things I don't want shared in the
public eye.
