Our reimbursement policy states:
The University currently has an "Accountable Plan" for employee business expense reimbursement. In order to comply with IRS regulations for an Accountable Plan, the University will make reimbursements only for business expenses which meet the following three conditions;
1. The expenses must have a legitimate business connection;
2. The expenses must be adequately accounted for within 30 days of their occurrence; and
3. Any excess advanced funds must be returned to the University within 10 days of the expense occurrence.
This was changed a few years ago from 60 days to 30 days because the longer we gave employees the longer they took to submit. Now if it is the first time an employee has ever submitted a request that is more than 30 but less than 60, I'll reimburse, but inform them in the future any request more than 30 days will not be reimbursed.
