I spent quite a bit of time searching the web and researching what systems 
other institutions used.  I remember that Purdue and Old Dominion were among my 
favorites.  Cornell has always been one of my "go to" web sites for policy.  
See my specific answers in your original email below.  My best advice:  glean 
all the good stuff from everybody else and develop a method that best serves 
your institution.  Then let us all know if you come up with something really 
awesome so we can use it :)

I am in the beginning stages of working on a policy library for my college. 
Currently, we don't have a specific numbering system for our policies and I 
wanted to get that down first before trying to incorporate them into a library. 
There are so many varieties on policy numbering systems, so I would like to 
know if you could share your thoughts on yours, specifically the following:


1.       What numbering system do you use for your policies?
We chose to use "1000, 2000, 3000, etc.," as a departmentally based numbering 
system.

2.       Why do you feel it was best for your policies? (do you have several 
policies under one main topic, etc.)
Our intent was to provide a more intuitive process for access.  Yes, it has 
been an improvement.  The main policy page lists each category by 
division/department and gives a brief overview about the policy for this area.  
From there it a "click" to the actual policy listings.  Here is the link:

3.       Have you found that it's easy or difficult to add new items to your 
policy numbering system (example, a new volume, chapter, etc.) with your 
current numbering system.
We don't use that extensive of a system for numbering.  Previous polices are 
stored electronically in files.  All new and revised policies have the date of 
approval and previous revisions contained in the headings.  A little labor 
intensive on my part, but it keeps me employed!  As a community college - not 
part of a large university system, this works well for us at the current time.  
I can imagine a time when we may need to  transition to a more complex system 
as we grow/expand and add additional locations.

I'm concerned about incorporating a new numbering system at the same time we 
are reformatting our policies because they may move from the current chapters 
they are in.
