Nicole, We have both a conflict of interest policy and a nepotism policy. Neither tracks disclosures using any kind of electronic database (although COI will be soon with an in-house system). We send out a notice every year reminding individuals to disclose conflicts of interest and conflicts of commitment. Since nepotism is prohibited, we don't have a disclosure process, but exceptions may be requested. We don't actively look for possible nepotism.

We ask the question "do you have any family employed by Western?" upon hire to avoid supervisory conflicts but we need a better way of having that information for when, for example budget authority is established which can be much later following hire.
