I use asana.com (it has a fairly decent ios app) for scheduling maintenance and keeping track of larger projects. If you have under 15 users I believe it is free (we have 12 techs that use it). I also use a plugin called instagantt.com to keep track of progress, generate gantt charts for the higher ups.
