I'm not Daniel but I think I understand Your Problem!
At first I edit the index-Page on oooauthors.org/de and change it to:
'Der Start ist ganz einfach: zunächst melden Sie sich hier an,
anschließend senden Sie eine E-Mail an die (englischsprachige) Liste in
der Sie Ihren OOoAuthors.or-Benutzernamen mitteilen, um die Autorenrolle
bitten,sich kurz vorstellen und mit wenigen Worten erklären, was Sie
machen wollen. '
(I add send Your oooauthors.org-username to list).
My suggestion is to create a multilangual html-form 'request
author-role' (Autorenrole beantragen).
This form will have a post-action, send a message with a short default
text an the ooauthors-username to the list and to some emailadresses of
persons with manager-role on OOoAuthors.org.
Do You think this could be a better way?

At present we think about a better way 'mentoring' new members...but
this is still in progress!
As You can see on the site we try to get a better multilangual support
for oooauthors.org...
