When you print to a file, all the characters that the program (DataPerfect in this case) would normally send to the printer are sent to a file instead. This includes all the control codes for the printer for such things as bold, underline, line spacing, etc. If you were to send that file to the same printer it was designated for, or one that accepted the same control codes, your formatting would remain intact. For a different printer, the results are less predictable. You might just end up with plain text with the printer control sequences showing up as random looking characters in the text messing up some of your spacing.

For the PDF converter to work, it has to understand the control codes for the printer you are using. If you are using old HP PCL codes, you could use the program PCLReader to create the .pdf file. For other printer control languages, you will need to find it on your own.

So, if you copy to a printer which can handle the print codes, your formatting will be intact. If your pdf converter understands the print codes, your formatting will be intact. If not, then you have some work to do.

Why do this ? It would allow you to create an electronic version of a report that you previously only had as paper copy. Aside from the utility of sending electronic copies, it can help you with developing and formatting reports, especially on remote computers.

"print to file" just captures the print stream to a file instead of sending it to the printer. If is just straight text (no print codes), it should come up in Word fine. Otherwise, you can copy it to the printer or use a text editor to modify it or send the file to a PDF converter to create a PDF or just right click on it in windows explorer and send it the printer ....

Would using the "Print to file" choice using the Reports function and saving
it as a .doc or other extension for printing be a viable workaround?

It has been a while since I used direct printing (only remaining DP app in
production doesn't print), but if I recall correctly, the way I got this to
work in XP, was to share the USB printer (say, as "MyPrinter").
Then use:  "net use lpt2: \\MyComputer\MyPrinter" command to map the usb
