Hi Eric,
I believe you have used google docs in an online OST meeting. Once the
topics are posted, time for a break...while the facilitator quickly puts
the topic title on each google doc OR, in our case we use post its on
miro-boards for the topic title and these are linked to their own unique to
them google doc.

So now, what of this process would work for an on-site OST? Separate google
docs, a portal so that all docs are in one place, maybe with a set of
instructions. What else? Then comes the big question of how much of a
disruption is caused by people bringing devices into the small group
sessions to record into google? It does cause a disruption, and
sometimes the person doing the recording on behalf of the group 'takes
charge' in ways that are not harmonious to the spirit of what is happening.
Is it possible? Yes, Rachel and I just facilitated an onsite OST with a
similar number of people, used google docs. There was a lot of thinking
through ahead of time about the portal, the docs, the titles. The stakes of
this event were high and we didn't want to miss out on a single report. We
also needed a format so all reports included the same kinds of information.
And finally, we needed to figure out how to create reports in which  people
could add photos or captures of other creative forms. We decided to have
flip chart paper, craft supplies and crayola type markers for each small
group and create the possibility of people taking photos of their
collaborative work on the flip charts and accompanying these attachments
with the google doc. The key was to provide a means of capturing creative
non-linear thinking as well as the linear thinking that google docs pushes
towards, and to provide enough time per session group ie: 75-90 minutes. It
all worked out. Our report format was in the shape of a proposal for future
action, the Senior Leadership Team is half way through going through the
proposals and so far 100% of them are approved for action, and the balance
of the staff are delighted.
