To answer your question about deposits and cancellations, first of
all, I don't ask for deposits. In our contract, we state clearly that
payment must be paid in full BEFORE the event. That way, we don't have
all that time consuming work in the office, and set up check ups, or
have the clients write two checks. This way you have the full payment
up front. We explain to the client on the initial call that we will
not deposit their check until after the event is over. And if need be
we will return the check in case we have to.
  About cancellations. If our client cancels we send the entire amount
back, no questions asked- for whatever reasons. If the weatherman says
the weather doesn't look good for the next day, and they cancel, we
send the money back but only after we try to reschedule first. We have
never kept part or the whole "deposit". Why?  Because we  haven't
stepped outside of the office and paid for gas to get there, or used
any supplies, so why keep part of the deposit? Just because?   But,
they must cancel the day before. If they don't, we will compromise as
best as we can depending on the situation, and leave them on friendly
terms.
   You can well believe that the next time your client is going to
call an entertainer, who do you think he will call first- that
entertainer that kept his deposit? or the one who didn't ?
Good luck, Karen. You must decide what direction to take and be
comfortable with it. Whatever works for you. There is no magic button
to push. There are many different, good, ways of setting up your
office procedures, just be comfortable with what you choose.
