In my company people do the same, we have a few people
around 800 Mb-1 Gb.

What we do is copy emails to personal folders. That
makes the emails being removed from the server and
still be accessable for the person locally. I'd burn a
DVD with those personal folders exporting a PST file
for backup purposes.

Another techniques that we do:

- save attachments and remove them from the emails,
you can keep the email but save the attachment
elsewhere.

- archive by years following the same folder layout.
That makes easier locating old emails and remove the
ones that aren't needed.

We have a bunch of more techniques, but those are the
most important ones.

Also an offline defrag helps to remove unnecessary
space. I run one in a 70 Gb database and now is 20 Gb.
