Try seeing if the misbehaving style has an asterisk next to the name. If so,
it may not actually exist in the paragraph catalog. Try adding it to the
catalog. 

I've seen this in Index stuff before.

Try using a table and putting the text in the table. It's the only way I've 
ever found to make that all work. 

That may screw up publishing to the KB, tho.

for forms but has no experience with it for ecommerce. Like you, I use
Acrobat security for PDFs to prevent changing the docs or copying the
content to clipboard, but it cannot prevent copying the entire file. For
instance, Company Z has in the past purchased 200 PDF versions of a book of
regulatory standards. My client wants to prevent Company Z from simply
making copies of the PDF instead of buying all 200 copies. Multiply that by
thousands of ecommerce customers to understand the potential revenue that
can be lost.

My client also wants to begin selling individual standards in addition to
books of standards, much like IEEE does with its Xplore Digital Library
Subscription Service
(http://www.ieee.org/publications_standards/publications/subscriptions/ieee_
standards_online_subscription_information.pdf). 
I have no clue where to begin to research how to accomplish the DRM for
this, but I know it is not something in a Technical Writer's general tool
kit. Several years ago I read about dongles, encryption, and password
management systems, but from a user's perspective they are a burden. I want
to find a resource/service that makes it easy to purchase and download a PDF
and hard/impossible to copy the PDF. 
Minimally, I'd like to be able to tell my client how other companies do
this; if it is impossible to protect the PDF, then at least he'll know he's
in good company.

If anyone knows of other solutions to accomplish this, I'd appreciate your
insight. I'm treading way outside my skillset here but would like to be able
to give my client some basic direction. I wanted to ask fellow Framers
first; then I'll move on to the LiveCycle forum or whatever direction you
folks point me in.

I have spent time with anyone on the TCS team I could find, complaining
about the UI for older eyes. It's a perfectly suitable UI for 25 year old
eyes and a perfectly wretched UI for older eyes. The low contrast tiny icons
are horrible and make my head hurt after an hour or so. Stronger contrast
with color would be the best. Maybe slightly larger icons, since we are
there. 

 

And remember that Tech Comm is typically a second career, meaning by
definition we are going to have more older eyes than we might. So, this is
the wrong UI for the user base. They really need to listen to the users on
this. 

 

Stop asking the 25 year old developers if they like the UI. Ask the USERS,
most of whom are not 25 years old.

 

And then don't get me started on the UI for Acrobat. 

 

The UI for Photoshop probably works for that user base. But it's a mistake
to assume all Adobe products have that user base. Because we aren't. But
they are taking that UI and making it the default UI for all products. It's
the wrong UI for people not doing intense color work with 25 year old eyes.

considerable effort to convince our clients to shift from an all-Word

comments, scrolling through them via the side scrollbar is a giant PITA:

thing that is disliked is the PlaySkool-size gray-on-gray-on-gray UI

distinguish between tiny icons, especially for those of us with eyeballs
that have passed the half-century mark. And the chunky, clunky font is
neither attractive nor easy to read.  Loath though I am to praise anything
emanating from Redmond, Word's interface is at present a lot better to work
with.

Why can't you kick this back to the translation vendor to fix at no charge?
They broke it. Seems they should fix it. I assume your contract states
something like you get files back in a useable condition? These are not
usable.

Copying in table columns in 9

OK, all, I have a question. I have a long document in Frame 9 full of
tables. The client has decided they want to add one more column to each
table with content. The source for that content is Excel. 

 

I want to copy the column from Excel into a new column in Frame. But the
Copy won't let me paste special into a table column, even if the column in
the buffer is the same number of cells as the selected column. 

 

Thoughts? Workarounds?

I finally copied the table into a new Frame file, copy the column I need and 
then paste into the table in the frame doc I need. 

 

I was hoping someone had fewer steps. But it works and it’s only 40 or so

I can't test this idea completely at the moment, but...

 

In Excel, save the file as HTM.

Open the HTM file in Word, and then save as DOC.

Copy or convert from DOC file.

If you find that this is a reoccurring task, I have a FrameScript script that 
allows you to select cells in a spreadsheet and corresponding cells in a 
FrameMaker table, and then copy the text from Excel to FrameMaker. If you are

I can't test this idea completely at the moment, but...

 

In Excel, save the file as HTM.

Open the HTM file in Word, and then save as DOC.

Copy or convert from DOC file.

 

Just a thought.

No problem, Sharon. I just wanted you to know that almost any repetitive 
FrameMaker task like this can be automated. I have seen a lot of these kinds of 
tasks show up repeatedly over the last 14 years or so.

OK, all, I have a question. I have a long document in Frame 9 full of
tables. The client has decided they want to add one more column to each
table with content. The source for that content is Excel. 



I want to copy the column from Excel into a new column in Frame. But the
Copy won't let me paste special into a table column, even if the column in
the buffer is the same number of cells as the selected column. 



Thoughts? Workarounds?

If you find that this is a reoccurring task, I have a FrameScript script that 
allows you to select cells in a spreadsheet and corresponding cells in a 
FrameMaker table, and then copy the text from Excel to FrameMaker. If you are

What this co-worker is creating are unmaintainable documents. When they need
to be edited for the next version, it's going to take someone hours and
hours to change out one graphic that appears in 8 places. Days to edit the
copied text. The cost of making one small change to these documents can be
measured in hundreds of dollars. 10 minutes of changes become 3 days of
changes. 

I don't know if you have supervisory status in this situation, but a process
and Best Practices must be put in place. When running my own company and
when docs manager, I put these in place, trained the writers in them. After
that, anyone who created unmaintainable documents was fired. By me. Happily!

shots of text into a doc! How is this even a time-saver over copying and
pasting the text itself? 

Pick your battles. Agree to disagree on the graphics, but tell your
cow-orker that pictures of text are an abomination, a maintenance
nightmare, a sign of computer illiteracy, and simply can't be tolerated.

I’ve done this before, it should be simple, and I can’t remember how I did
it to save my life. Help!

Vista SP1, although I’m pretty sure that it shouldn’t matter for this.

 

I’m importing a TOC into a document. The TOC is formatted correctly, with
indents for the three levels and dotted, right-justified tabs to the page
numbers. I import the TOC into the parent document. The indents survive the
trip, but the tab settings don’t. They act like plain unformatted tabs,
sitting flush against the TOC entry on the left. I ask it to retain the
source formatting, and it still does this. According to Help, I shouldn’t
have to have the TOC formats in the parent document if I’m retaining Source
formatting. What am I doing wrong?

Are you using Windows XP? I vaguely remember having the same problem with 
FrameMaker 7 on Windows XP machines. We even had a proper Acrobat version 
installed, but still the joboptions wouldn's appear in FrameMaker's print 
dialog. We found out that the joboptions were located in several directories 
and we had to copy our own file into all of these to make them available to the 
different Distiller instances (FM print dialog and standalone).

Don't know if this is any help to you, but for us it worked to copy the 
joboptions into the following:

C:\Documents and Settings\All Users\Application Data\Adobe\Adobe PDF\Settings
C:\Documents and Settings\user name\Application Data\Adobe\Adobe PDF\Settings
C:\Program Files\Adobe\Acrobat 8.0\Acrobat\Settings(if such a directory exists 
without a proper Acrobat installation)

BTW, you may have to change the security settings for the user directory in 
order to get write access to the folder.

The client gave me a laptop with Frame 9 and the version of Acrobat that 
installs with it. I need to specify some very specific predefined jobsoptions 
when I PDF the files. 
 
I’ve saved the joboptions files to the same location as the installed 
jobsoptions. I rebooted. But no where in the Frame Print Book dialog box, 
specifying the Adobe PDF printer can I find where I select a non-listed 
jobsoptions. I see a list ones that were installed with this version of 
Acrobat. But I don’t see the 2 I need nor can I find instructions for getting 
those to appear in the list. 
 
The version of Distiller that installs with Frame 9 is a UI-less version, so I 
can’t just open the Distiller and go add the new joboptions. 
 
Thoughts? I have to use these joboptions files. 
 
I used to know how to do this when it was all a little easier. Because, you 
know, there was a UI.

Marion is correct, although it's not a Win XP issue. Adobe has taken to
moving the job options files around with each new release, putting them in
multiple places, and generally making a confusing mess of things. 

Search your computer for files named *.joboptions. Then copy the two you
need to use to everyplace where others are located.

But you can open the Adobe PDF printer. 

In Win XP, go to Start  Printers and Faxes; in Win 7, it's Start  Devices

Adobe PDF Settings tab, the Default Settings drop-down list contains the job
options files that the PDF printer knows about, and the selected one is what
it defaults to. 

Click Edit to open the Adobe PDF Settings dialog, where you can edit the
settings for the selected job options file. Click Show All Settings, and you
can select and edit any of the job options files that the PDF printer knows
about. Click Save As to save your current settings under a new name. This
also lets you see where by default the PDF printer expects to find job
options files.

More Frame 9 fun

The client gave me a laptop with Frame 9 and the version of Acrobat that
installs with it. I need to specify some very specific predefined
jobsoptions when I PDF the files. 



I've saved the joboptions files to the same location as the installed
jobsoptions. I rebooted. But no where in the Frame Print Book dialog box,
specifying the Adobe PDF printer can I find where I select a non-listed
jobsoptions. I see a list ones that were installed with this version of

Because build expressions are barely documented in Frame 9 I've got a few
more questions. 

 

It seems that every build expression ever used in the books I'm updating is
available in the list. Is there a way to delete unneeded build expressions
from the list? Can one name them somehow? 

 

Part of what I'm doing is creating the right build expression for a number
of books so that the next person who needs to update these books has some

i will try this. 
the thing is: my chapter has a first, right and left page. does all of this
get applied when i import page layouts from chapter to toc? only the right
and left seem to get applied. 
i want the first page of the TOC to have a text frame that is smaller than
the right page, so that i can add a contents frame above it.

also how does one get page numbers to appear, in this method?

The reason nothing is working is likely because per your process the
TOC file in your book contains no TOC elements on the reference pages
for FM to use in building a TOC. Best practice is to import layouts
into a generated TOC file.

hello bill,
thanks for the reply.

i will try this. 
the thing is: my chapter has a first, right and left page. does all of this
get applied when i import page layouts from chapter to toc? only the right
and left seem to get applied. 
i want the first page of the TOC to have a text frame that is smaller than
the right page, so that i can add a "contents" frame above it.

also how does one get page numbers to appear, in this method?

The reason "nothing is working" is likely because per your process the
TOC file in your book contains no TOC elements on the reference pages
for FM to use in building a TOC. Best practice is to import layouts
into a generated TOC file.

using the characters and not hand formatting. See the Frame Documentation

thanks to your help i have been able to fix most problems.

one niggling problem remains:

every time i generate the TOC, format the TOC styles etc in the reference
page, it works. now if i close the TOC file and update the book, and then
re-open the TOC file, i lose all changes i made to the reference page and
the TOC looks unformatted again. (it takes the formats and layouts from the
title page preceding it, i guess)

can anyone help me fix this?

Do you have multiple TOC entries/pages in the Reference pages? I've seen
that when importing formats, etc from other files. Walk the reference pages
in the TOC files to see if you have multiple references pages with TOC
formats on them. 

 

After you format the TOC entries, don't import anything from other files, as
you may be overwriting changes you made to the TOC file.

yes, i can confirm that i did not do any hand formatting.

i created the appropriate tab stops using the para designer etc. i followed
the correct steps to format the TOC entries on the reference page.

what i am talking about when i say lose formatting is a total loss of all
changes made on the reference pages, incl changes to ChapterTitleTOC,
Heading1TOC styles ( done through the para designer).
the next time i generate the toc i get the images and layouts and everything
else on the title page file, which precedes the TOC file in the book. i can
see this because i can see a logo image there which was not present earlier.

the toc entries become plain text. 

in short, the first time the changes made to the reference pages stick, the
next time (next update of book) they disappear and take on the formats of
the preceding file.

You'll have the check your hierarchy and formatting of the TOC styles.
As for your previous question about layout, you apply master pages to
the TOC body pages just as you would with any file.

Author-it would like know what your content trends and needs are for the
next 2 years or so. Towards that end, we've created a survey. You can take
the 10 question survey at  http://www.surveymonkey.com/s/QSN8M2G

We're not reporting IP addresses, although you can only take the survey 1
time from each IP address. Personal information about you is not required to
participate in the survey. To participate in the prize drawing, you must
provide your contact information at the end of the survey.

We're also giving a prize if you'd like to identify yourself. After the
survey closes, one winner will be selected to win EITHER a free license for
Author-it OR one free training session in the next six months. It's the
winner's choice.
