Find Character Overrides (FrameMaker 10)

I have a large number of legacy FrameMaker documents to be converted to a 
template. In the legacy docs, character tags were almost never used. Instead, 
they used used Ctrl-I, Ctrl-b, and a variety of settings in the Character 
Designer (but never creating a new tag).

I was hoping I could use Find Character Overrides to locate these, but it finds 
everything! And by everything, I mean it selects everything in a paragraph up 
to the font change, the next Find selects the changed text, and the next Find 
selects everything remaining in the paragraph. Searching for character format 
overrides using Silicon Prairie's Character Tools behaves the same way.

I can't believe this is how this was meant to work. Am I missing something?

Is there a way to find untagged character overrides? (Other than searching for 
italic, then bold, then caps, then various spreads, then superscripts, etc.)

SOLVED: Find Character Overrides (FrameMaker 10)

Never mind. I feel like a dope.

The strange behavior occurred because I was working in a document with missing 
fonts.

the cross-reference tools menu and every unused one is gone.

If only houses behaved the same way: click a button and all the rubbish 
vanishes. I'd pay a lot for that.

But if you're in a hurry and not afraid of removing all overrides in a file 
without regard for the consequences, do the following: 

1) Ensure that you have a file whose pgf catalog (and anything else you want to 
unify) has the definitions you want all the chapters to use. 
2) In the book window, select all the chapters and select File  Import  
Formats. 
3) In the dialog box, set Import from Document to the file with the correct 
definitions and under Import and Update, select what you want to update. 
4) Under While Updating, Remove, select Other Format/Layout Overrides and click 
Import.

FM also provides the ability to search for character/paragraph/table format 
overrides in the Find/Change dialog box (that is, CTRL + F). Those options are 
at the bottom of the Find list. 

Richard, do those tools provide something extra to the FM functionality?

Yep, like you, I have mixed luck w/ the remove override option being
automatically selected. I can't figure out why it works sometimes and not
others. At this point, just finding them is the start that I need and I can
go from there.

In FM 10 (and 11) you can use the find/change function by selecting  Find 
Paragraph Format Override from the drop-down list. There are also drop down
selections for Character Format Override and Table Format Override as well.
 
I've had mixed luck with the remove override option that is automatically
selected in the replace selection for all these, but it does find all the
overrides so you can fix them. 
If your goal is only to catalog them, this is of little help if there are
many overrides. 
 
Maybe someone has already suggested this.

Although I have TCS 3 and have used FM 10 for a few tasks, my primary tool is 
still FM 7.2. I hadn't even noticed those new options in the Find list. That's 
nice, thanks for pointing it out. 

But the Silicon Prairie tools offer significantly more functionality and IMO 
are well worth the modest cost. Check out the brief descriptions here:

change that right now. In the tool that I use, ePublisher, reports are
generated including a Styles report that specifically lists all paragraph
tags that have an override to them. This report, however, is not available
for a Sun JavaHelp output for many reasons but I still need to be able to
find overrides in the Framemaker source files. Is there a script that is
available to do this, or is there a way to use FM's functionality that I am

In addition to Stuart's suggestion, I can recommend Silicon Prarie's very 
reasonable Paragraph Tools and Character Tools plugins for this and many other 
tasks (siliconprairiesoftware.com). 

But if you're in a hurry and not afraid of removing all overrides in a file 
without regard for the consequences, do the following: 

1) Ensure that you have a file whose pgf catalog (and anything else you want to 
"unify") has the definitions you want all the chapters to use. 
2) In the book window, select all the chapters and select File > Import > 
Formats. 
3) In the dialog box, set Import from Document to the file with the correct 
definitions and under Import and Update, select what you want to update. 
4) Under While Updating, Remove, select Other Format/Layout Overrides and click 
Import.

others. At this point, just finding them is the start that I need and I can

Removing page overrides

I use FrameMaker 10 and found that empty pages are added automatically when
I copy structured FrameMaker content in one of my chapter files. I can see
clearly that there are two text frames in many body pages and though I
deleted the empty text frames from the body pages, these frames are not

Hello all,

For a long time now I've been looking for a solution to archive Framemaker 7.2 
books with a lot of text insets, often inserted with a paragraph override on 
the anchor (e.g. top of column).
When I use the Archive book plugin all these overrides are lost.
So I was wondering if someone knows how to store overrides in a book and 
reapply them after archiving? Maybe with a script.
I've tried all other ways to archive books (Pack and Go script from itl, using 
higher Framemaker versions) but all of them fail (cross-references or overrides 
get lost).

Store and reapply format overrides

Hello all,

For a long time now I've been looking for a solution to archive Framemaker 7.2 
books with a lot of text insets, often inserted with a paragraph override on 
the anchor (e.g. top of column).
When I use the Archive book plugin all these overrides are lost.
So I was wondering if someone knows how to store overrides in a book and 
reapply them after archiving? Maybe with a script.
I've tried all other ways to archive books (Pack and Go script from itl, using 
higher Framemaker versions) but all of them fail (cross-references or overrides 
get lost).

Hi Robert,

FM10 allows you to search for Character format overrides (as well as
Paragraph and Table overrides). It might be worth the upgrade for you.

FM 10 has find paragraph and find character overrides as a selection in the 
Find/Change dialog. It's a new feature.

and tables. The Find/Change menu now has the
ability to search for Paragraph Format Overrides,

Character Format Override has located an item in a bulleted list
that has a dead character tag, CF 12 pt HVY applied to it.

This is typical of character styles that are artifacts from
older legacy documents were converted from Microsoft Word to
FrameMaker. In this case, clicking on Change will
remove the format override.

Overrides - FM10

Hi all -

We're having some issues with overrides in FrameMaker 10. We've been 
using the new "Remove Overrides" option, and we thought we were having 
some success. But one of my writers removed all overrides in a document 
last night and left the document open on his desktop overnight (no 
reboots, locally-stored file). This morning he found that the elves had 
restored all the overrides for procSpaceAfter (a paragraph format that 
creates some white space after a procedure) and many other pgf formats.

In addition, if he tries to remove the override for procStepResult 
(which is an arrow in Zapfdingbats), it removes the UTF transform 
between dingbats and Helvetica (our default font). The only way to keep 
the arrow is to leave the override in place. We never had these issues 
with FM 7.x, which we just converted from a couple of months ago.

Anyone else having problems with overrides messing up UTF mapping or 
magically reappearing in a file? Seems this is not a very stable feature.

Mysterious Master Page Overrides in FrameMaker 9

Hi all,

Recently, I noticed when I switch from a master page to body page view I get
a message about master page overrides on the body pages. I find it odd since
I haven't actually modified body pages to cause this override message (or at
least not intentionally). Frankly, I don't care why it happened I just want
to make error message go away. I have tried reapplying master pages, book
updates etc but nothing works except manually deleting each page its
complaining about it. Its kinda maddening. Anyone have an idea about how to
get rid of these overrides aside from manually deleting each page that
overrides on it (that are invisible to my naked eye!!)

   is in your clipboard will be pasted in place of the old paragraph tag, in
   this case cause you copied the new paragraph format to your clipboard, the
   new paragraph will replace it.
   6. DO NOT do a an All change.
   7. Make one change to verify that it is working.
   8. THEN do an All change.

That should convert all your old paragraph tags in your book to the new
ones.

Hi Nancy

If you get a message about overrides when switching from Master Pages to
Body Pages, these overrides are on the text frame(s), not in the paratags.
For example, you may have changed the size of the body page text frames a
bit, or changed the column width, so the body pages no longer match the
master pages.

However, if you do the following, you should no longer get a message about
overrides:

   1. Go to the Master Pages.
   2. Go back to the Body Pages and select Remove Overrides.
   3. Do not change anything on the Body Pages.
   4. Go back to the Master Pages.
   5. Go back to the Body Pages: no messages about overrides?

I've been struggling with just this problem.

I solved it by
1. Inserting a disconnected page (Special  Add Disconnected Pages) that uses 
the same Master Page as the misbehaving body page,
2. Copying the text from the bad body page into the new body page, and
3. Deleting the old body page.

You may then need to connect the body page flow of the new body page to the  
other body pages. I think the way to do that is to select Autoconnect in the 
object properties of the frame of the new body page.

Hi Nancy,

Follow these steps on a copy of your document.

1) Click somewhere in the main text flow.

2) Choose Edit  Select All In Flow (Control+A).

3) Cut the selection to the clipboard using Edit  Cut (Control+X).

4) Choose Special  Delete Pages. Delete all of the pages in the document. 
You should now be viewing the master pages.

5) Choose View  Body Pages. You will be prompted to add a Body Page; click 
OK.

6) Click an insertion point in the new body page and choose Edit  Paste 
(Control+V).

See if this fixes the override problem. Thanks.

Hello, all. Have gotten caught up in minutiae but didn't want to leave 
this discussion hanging, since you have all been so helpful. I have 
given up temporarily on the overrides stuff, since there are more basic 
things I must fix.

Anybody know how to replace tags at the book level? I've replaced some 
cryptic tags with descriptive names. I do not want to replace them 
chapter by chapter (total of 20 chapters), by going into the Paragraph 
Designer and using the Global replace option for each of the 12 tags. 
I'd much much rather do it at the book level.

Possible?

applications, because it isn't additive).

No, darlin, I've already used the CleanImports plug-in. It deleted all 
the old tags and imported my nice, clean, understandably-named tags.

*However,* the text in the files remains tagged with the old tags. 
They're just not in the catalog any more. I still have to replace them 
with my beautiful new tags, and I'd prefer not to do it 
chapter-by-chapter. I will try the plug-in someone recommended.

Set up one of the paragraphs with the correct para format.

Then:
Copy Special  Para Format.
SR for a para tag with the old tag name, and replace by Pasting.

Make sure the Book option is checked in the SR dialog to define your range.

Identifying overrides

Still working on my template. I've whittled down the tags for my Index 
file to only those that are used in the file.

When I switch from the Master page to the Body page of my Index file, I 
get a message that there are overrides on every page. I always say 
"Remove overrides," but the next time I switch between Master and Body 
pages, I get the same message.

When I use the File/Utilities/Overrides function, which Frame says is 
the way to identify the problem, my catalogs do indeed fill up with new 
tag names -- but they are tags used all over the document and NOT in my 
Index file. This happens even if I have closed all other files and the 
book file itself.

I don't know why that's happening, and it's useless to me since none of 
those tags is used in the Index.

Is there some clever way to output to a MIF file to identify the real 
overrides? You see, I'm learning! Or, do you have any other insights 
into why Frame tells me there are overrides, and how I can eliminate 
them?

Hi Nancy

If you get a message about overrides when switching from Master Pages to
Body Pages, these overrides are on the text frame(s), not in the paratags.
For example, you may have changed the size of the body page text frames a
bit, or changed the column width, so the body pages no longer match the
master pages.

However, if you do the following, you should no longer get a message about
overrides:

   1. Go to the Master Pages.
   2. Go back to the Body Pages and select Remove Overrides.
   3. Do not change anything on the Body Pages.
   4. Go back to the Master Pages.
   5. Go back to the Body Pages: no messages about overrides?

Body pages, and select "Remove Overrides" each time, and change nothing 
on the body pages, I get the "Remove Overrides" prompt each time.

Also if I save after removing the overrides, and also if I reapply the 
master pages to the file.

I've been struggling with just this problem.

I solved it by
1. Inserting a disconnected page (Special > Add Disconnected Pages) that uses 
the same Master Page as the misbehaving body page,
2. Copying the text from the "bad" body page into the new body page, and
3. Deleting the old body page.

You may then need to connect the body page flow of the new body page to the  
other body pages. I think the way to do that is to select Autoconnect in the 
object properties of the frame of the new body page.

Correct, except that you don't need a _copy_ of your document. The
Import Formats dialog box lets you set Import from Document to Current,
which lets you reapply your document's formats to its own contents.

Depends on what you want to do, but if your goal is just to find 
para-level overrides and, say, override them with the default 
paraformat, you could use F/C: check "use wildcards", put the string 
"\p" in the find field, and then click through the document.  Each 
end-of-paragraph symbol will be found, and you can keep your eye on 
the bottom left of the page -- whenever there's an override, there'll 
be an asterisk in front of the name of the paraformat.

If you don't need to know where the overrides are or what they are, 
and if there are a lot of them to be eliminated, it might be simpler 
to import formats from a copy of your document. The Import Formats 
dialog has a setting for removing overrides.

Is there a way to find overrides, other than examining each paragraph
individually?

Is there a way to remove all overrides from a document in a single
operation? I guess one way is to import to a new document and select the

One way to find overrides is to create a special template that is 
identicial to your standard template, but with all fonts set to a bright 
colour you don't normally use. When you apply the special template, the 
overrides show up as unchanged black text.

If I'm writing a typical user manual, my preferred solution for pagination
overrides is to float tables and figures. Floating rarely produces pagination
problems--that's the main purpose of floating, as far as I can tell. I give
tables and figures numbered titles and I'm careful to cite each one in the text,
whether by Xref alone or with an explanation of their contents, so that the
reader can find it (floating is an option for tables but not frames, so I put
all graphics in tables). 

Some clients are uncomfortable with floating. They insist that the table or
figure must appear directly before or after the text to which they refer, but
I've never had a user complain about it. Floating moves the table only a page
away.

 In Framemaker, setting them up requires a bit more effort.  To save
time, I would usually create a new figure exhibit by copying and
pasting an existing one, replacing the image, and manually resizing
the figure frame.

I generally follow the usual tech doc rules, but I know, too, that other kinds 
of publications don’t follow them at all and their readers do fine. There’s 
very little white space in books yet people have managed to learn from books 
for a few years. Magazines place illustrations every which where, but their 
readers manage to understand them. Newspapers and magazines even use, gasp!, 
multi-column layouts.

I don't see how it's possible to develop a template that gives you a 
flawless page. I find it's a judgment call to decide how many rows of a 
particular table to keep on a page or to move to the next page.

Is it possible to tell FM that if there are 5 or less rows in a table, 
move the whole table to the next page?

 it whole without forcing it to the top of the next page in Word.

 tidying up the document / is there a keep together issue would be
 most welcome!

I keep my overrides to pagination-related overrides. Removing these 
overrides will only affect the pagination, which I check anyway before 
completing a book. The main problem with overrides is that it will make 
changes later that will be difficult to find and/or fix.

Having said that, if I would start with a clean book with no overrides 
(meaning if I wrote it from scratch), I can see the advantage to using 
no overrides, and a special paragraph to force new pages, since there is 
always that doubt about whether some overrides were added for 
non-pagination reasons.

 This is really a best practices question.

 A couple of weeks ago, there was a discussion about overrides, and how
 they should be used rarely or not at all.

 So I thought about that and started to watch our use of overrides.

 We use overrides all the time.  For instance, if a figure would be
 better placed at the top of the next page, we create that override (our
 figure tag is set at Anywhere).

 We also used Top of Page when we want to keep a paragraph from breaking
 over two pages.

 Is it really preferable to create a paragraph tag for each instance of
 formatting?  I'd end up a lot of one-time-use-only tags.

 Also, most of these overrides occur in the editing process, after the
 content has been established and we are focused on making the document
 look professional.  Should I be creating tags as I edit the document,
 rather than override the existing tag as I make layout decisions?

 A second question, now that I'm really thinking about this:

 I'm really bothered by the Top of Page as an override, because if we add
 text to the front end, that override is going to force a Top of Page we
 might not want.  But I haven't been able to find a keep together
 option, like Word has for keeping lines of text together.
 Next Pgf is similar, but it works differently in significant ways.
 You can't Next Pgf a single paragraph, for instance, but you can keep it
 whole without forcing it to the top of the next page in Word.

 Anyway, any comments and insight into the override / editor's role /
 tidying up the document / is there a keep together issue would be most
 welcome!

question about overrides

I don't see how it's possible to develop a template that gives you a 
flawless page. I find it's a judgment call to decide how many rows of a 
particular table to keep on a page or to move to the next page.

Is it possible to tell FM that if there are 5 or less rows in a table, 
move the whole table to the next page?
