Hi Roger,

No Legacy has to be installed onto the actual
computer.  I know a few programs these days can
be installed and run from external drives but not many.

I assume you are asking because you want to move from computer to computer.

You can have your databases and media on an external drive.

However the program and your settings will be on the computer.
With Legacy 7 the program and settings will be in
the Legacy program folder and needs to be outside
of the Windows Program Folder.

With Legacy 8, the program itself is by default
installed under the Windows Program Folder.
Your settings are placed in username/My
Documents/Legacy Family Tree/_AppData   This
folder cannot be changed. Depending on your
version of Windows it will be called My Documents
or just Documents but it's the windows designated
place for Documents for a particular user.

You could have the installation file on your
external drive so that when you use a different
computer you can install Legacy on that computer if necessary.

Joseph,

I agree with all of your steps and also follow the same process myself.

In the merge process I take it one step further before I begin the main
merge into my masterfile, I 'clean-up ' the smaller file location names and
also any incomplete dates (I add abt, aft, bef or bet.. on any incomplete
dates)  and also any empty given names change to Unknown and any empty
surnames change to unknown.

The I also run it thru a gedcom validator like Genealogica Grafica  or the
online Bonkers Sanity check
This seems to help when it comes time to make the merge as duplicates were
often missed because of some small error within the incoming file.

Be careful in merging places as Legacy doesnt always seem to keep' the
Long/lat of the location you want.

My point in the original message was just to make it a part of the daily
task to run a File check
it just seems to keep thing in working order.

 Backup both files
 Search and Replace -- Location Names  Short Loc. Names (, United
 States), both files
 Combine duplicate location names
 Renumber RINs  MRINs on both files
 File Maintenance - First three options on both files
 Refresh and print tree list for Master File

 *Merge Operation*

 All records - pertains to the imported file
 *Renumber RINs from 21* - pertains to the imported file.
   (*Do not renumber from 1*, as this is already being used by
 the Master File
 *Do not* Fill all existing abandoned RINs/MRINs
 AutoBackup option not necessary -- done in a previous step
 At beginning, when location differences are shown:
 Keep / transfer GPS data onto left side
 Keep / transfer best location names onto left side

 *At first merge window, swap to have large RINs on left side –
 necessary to keep FSIDs*
 **(None of the imported sync data from FS FT is kept unless it is on
 the left side)
 RINs of imported file are large, this makes merge data easier to see
 Watch out – the program will call out possible merge of children
 with same name where
  one died young, but another was born later with the same name
 Watch out – names of spouses might be slightly different – might
 need to make them the same
 Do not use AutoMerge - IntelliiShare options

 *After Merge -- Master file*

 Backup – before any corrections etc.
 File Maintenance, First three options
 Renumber RINs  MRINs
 Set relationships

[LegacyUG] Replace surname for a family

I'm stuck on how to do a mass replace for a family name  at one point a
son changed the spelling of his surname from that of his parents.  I've
isolated all of his descendants with tagging, but can't figure out how to
replace the surname for all of the tagged records at once ... there are 421
people with this condition, so i don't want to do it one-by-one.

Can someone tell me?

Since I presume there are people in the file who legitimately retained
the surname of the parents you cannot just edit the existing surname in
the Master surname list, that will apply the change to everyone.

Legacy does not contain a tool to change the surname for a tagged list
so you would have to use some external tool (There is a tool called
Ltools sold for manipulating a Legacy database but I do not know if it
includes this kind of capability) or access the database using MS Access
and an update query.

Unfortunately there are no options to limit a Search  Replace operation to a 
given tag set or the Search List or Focus Group (sounds like a good enhancement 
suggestion), but I think you could limit the effort of doing it manually by 
making the edits in the Edit Tab of the Search List window.  Type the new name 
in on the first record, then just click on each subsequent record in the search 
list, click the Surname Label, and then click Yes in the confirmation window.

I reset the Ancestor Book options and that fixed my report.  I had not
done that before. Check/repair alone did not help.

I hope I'm not repeating too much already found in previous posts, but,
since we don't have a Location Merge function, would it help to do these
things:

First (of course), if there are MANY records using the SAME incorrect
format, then I presume that you would for sure want to use the Master
Locations List to edit (or combine) that master location so it has the
desired format.  You could see how many are involved by having a check
mark in the Show People check box.  This could potentially reduce the
number of problem records quite a bit.

Then, would it help in some way to do this kind of search:

Search (Detailed Search tab)
   1st condition:   Individual, Birth Place, Contains, Sumter.
   2nd condition:  Or, Individual, Death Place, Contains, Sumter
   3rd condition:  Or, Individual, Burial Place, Contains, Sumter

At least you would have a list of the records that have these particular
location fields containing the word Sumter.  I liked the suggestion to
leave the Search List open, and do the editing from the Edit tab.
Clicking on the label in front of a location field will copy into it
what you have saved in that field preciously.  As you step down the
list, you see on this tab only location fields for individuals (not
marriages) so this would limit using this procedure to the individual
locations involved.  I know that this leaves out some location fields,
but I think they could be handled in a similar way, if necessary.

This could be done for marriage locations separately, but using the
results in the Name List isn't as straightforward.

I can see that if we had an option for the Master Locations list, which
would provide a way to show only those records having a particular Tag
number, it would be very helpful in situations like yours (which, I
presume, might not be uncommon).

Do a Search using the Detailed Search tab, and use:  Individual, Tag 5,
Equal To, Untagged.  Uncheck other conditions, and tick Clear List
before this search, and click on Create List.  When the list comes up,
click on the Options button at the bottom of the list, and select
Advanced Tagging; use Make changes on # 6, and also tick Tag, and then
click on the button Everyone in Search List.

 marriages) so this would limit using this procedure to the individual
 locations involved.  I know that this leaves out some location fields,
 but I think they could be handled in a similar way, if necessary.

 This could be done for marriage locations separately, but using the
 results in the Name List isn't as straightforward.

 I can see that if we had an option for the Master Locations list, which
 would provide a way to show only those records having a particular Tag
 number, it would be very helpful in situations like yours (which, I
 presume, might not be uncommon).

[LegacyUG] File Importing and Merging Problems and Needed Fixes and Options

Hoping that the Legacy programmers fix the file importing and merging
problems. I lost a lot of info on an import from another copy of my
Legacy data a while ago. Appeared to lose Ancestry numbers, etc.
Following your recommendations might have helped, but it should not be
necessary. I detest the large numbers used by FS, and have tried to
eliminate them when doing merges!

On a related topic, I still say, as I said years ago, the Source data
should be one of the clickable tabs when doing merges! We should be able
to see the sources and select the ones we want to save or combine when
merging

Yea! I'm glad to see that at least one other person has discovered that
if you are doing a lot of work on your database, the practice that Jay
[not Jay Ingalls] describes will help make your life a happier one than
you might otherwise have been able to enjoy. My largest file is 167,000
records, and the most difficult of operations was to merge a small
section back into it after it had been expanded, optimized, and sync'd
with FS FT.

I supposed that an AutoMerge using IntelliShare ID numbers would be all
that was needed. Not so. There are new issues now, having to do with
FSID's being lost in the process, for one thing.

I learned from others on this list to have the small file come in with
very large RIN numbers. I switch them right away to the left side of the
merge window, and proceed one by one. A confusion factor would appear if
I had allowed abandoned RINs to be reused (Customize 4.4) -- it seemed
to cause serious problems in the merge process, but this was only a
suspicion of mine, and not proved by testing, etc.

Before doing such a merge, I learned to first renumber RINs and MRINs,
and a few other preparatory steps I worked out, like backing up first
(duh...), and to run the first three file maintenance options on both
files, and to make no other changes before starting the merge. My merge
operations are coming out clean now, and without difficulty or problems
of any kind. I too am thankful for Legacy's overall strength at
managing the data.

Afterthought -- Okay, here are the steps I worked out:

*Before Merge -- of the Master File and the small file to be merged

* Backup both files Search and Replace -- Location Names  Short Loc.
Names (, United States), both files Combine duplicate location names
Renumber RINs  MRINs on both files File Maintenance - First three
options on both files Refresh and print tree list for Master File

*Merge Operation* All records - pertains to the imported file

*Renumber RINs from 21

* - pertains to the imported file.

(*Do not renumber from 1*, as this is already being used by the Master File

*Do not* Fill all existing abandoned RINs/MRINs

AutoBackup option not necessary -- done in a previous step

At beginning, when location differences are shown: Keep / transfer GPS
data onto left side Keep / transfer best location names onto left side

*At first merge window, swap to have large RINs on left side –
necessary to keep FSIDs

* **(_*None of the imported sync data from FS FT is kept unless it is on
the left side*_)

RINs of imported [FS] file are large, this makes merge data easier to see

Watch out – the program will call out possible merge of children with
same name where one died young, but another was born later with the same
name

Watch out – names of spouses might be slightly different – might
need to make them the same

Do not use AutoMerge - IntelliiShare options

*After Merge -- Master file

* Backup – before any corrections etc.

File Maintenance, First three options

Renumber RINs  MRINs

Set relationships

Refresh and print trees list, and compare with the one made before the
merge

Do global sort of child and marriage lists

New backup *After Merge – Small File

* Rename the small file to move it to the Archive folder.

NOTE: Now is a good time to export a small file if one is ready, because
the MF is clean.
