Mailbox capacity

Two questions, please.

We have some users growing pretty hefty mailboxes, one over 300 MB.

A tech told me mailboxes over 50 MB and certainly 100 MB can cause
performance problems. Agree? (I haven't seen performance degredation yet.)

The tech reccommends we have users create personal folders and move files
there. While experimenting with this, we noticed  restrictions when dragging
a folder from the mailbox to personal folders. Looks like you can't move a
folder with subfolders. Please comment.

Sync Problem

User set up to work offline with laptop. Office2K  on Win2k Pro laptop.

Sync generates errors on inbox and contacts. Other folders sync O.K.

Have tried manual sync, new ost, replace ems files and repair, and scanpst.
None changes results.

Your recommendations please.

We currently do that but they are all the same brand, and who is to say what
brand of AV cant find any given virus first.  Personally I think our current
setup is good, we could use more firewall scanning perhaps.

I wouldn't want to put two different AV all on the Exchange server.  I'd
prefer the setup where you use one AV at the SMTP gateway, and another
one on Exchange box.  If you are really paranoid, you can put a third AV
for your desktops...

I use two separate products.  Antigen (with the Norman Engine) on the
mail server and Symantec on the desktops/servers. 
Additionally Antigen will allow you to use multiple engines. I like the
idea of separate products myself.

This is part of a bigger question, and I'm not sure if I agree with the
means behind it but I'll ask anyway.

Recently my IT manager and some of the other guys on the team have taken
a deeper interest in AV, almost to the point of hiring a guy that does
AV and only AV.  They are also talking about having a 2nd AV in the
building, say both Symantec(we currently use) and Mcafee or whatever.
They seem to think between having 2 products would greater increase the
ability to detect virus threats, whereas I feel that by the time one of
these systems detects it it most likely has already infiltrated and done
the damage.

They then asked me about running 2 AV's on the Exchange server.  With
all the blocking I do I would think a 2nd product would not help much,
not to mention the overhead and incompatibility issues a 2nd AV would
cause on the Exchange server.  I recommended they look at a IDS system
or something for the firewall.

Thoughts?

Outlook Rules (or does it?)

Power user set rule for junk mail to be sent to junk e-mail folder.

Rather than moving the e-mail, the e-mail is being copied.

We have deleted and re-added the rule to move, and it still copies.

Outlook contacts; user getting prompt and private checked

Moved user to new laptop. Same Outlook version, 2000 SR-1.

Assistant enters contact for user at her desk. User gets prompted, Do you
want to designate this contact as a small business customer manager
contact? The contact also gets marked private.

User swears he didn't set this up. How does one set up such defaults?

I installed it recently, but can't get it to import my contacts at all ! In
Options, the Folder button is greyed out.

Having the same truncation problem. Asked one user to switch to Word for
e-mail editing. The problem cleared. Seems to be related to sender using
some font type and size combination.

If I change the character sets in the Internet Mail Service Connector
from western european (iso-8859-1) to us-ascii, what could happen??

As I've always said, document retention will benefit

KLEZ or Sleaze

Spooky Sent folder problem

Outlook user sends message internal to the organization. Message is
delivered successfully. User cannot see message in sent items folder.

I, mail administrator of sorts, check user's mailbox on Exchange server and
can see those messages in sent folder.

User sends external mails; no problem. User can view externally-bound
messages in sent folder!

Scratching head. Please advise.

I believe we will go with Brightmail. We want the user to receive all mail
with suspected spam marked as such. We don't want IS taking on the cop role
because some legitimate business mail may get blocked. The user can have the
emails marked suspect spam automatically deleted if they choose.

We use MailMarshal (www.marshalsoftware.com) and so far have been very
pleased. I admit I spent about a weeks worth of time adjusting and adding my
own filters but now it's running like a champ. It's stopping a large
percentage of the junk mail that comes this way.

I looked at Praetor, Mimesweeper, Mail Essentials, Mail-Gear, and a few
others by other AV vendors. For our environment and use, MailMarshal came
out on top. Offering the most features and flexibility over the other
packages.

With Outlook, when you add host name (Microsoft Exchange server) on PC
dialing in, i.e. server.domain.com, Outlook switches it to server when
performing check name.

Why does Outlook do this? 

Also, when I bring the PC in and connect to LAN,  I can enter host name
server and Outlook performs check name successfully. Then I take the PC
and dial into the Internet, and it connects.

Does Outlook maintain both host names and use the one needed?

Server migration

Using 5.5 (14 GB) on NT.
Have new server with Win2k.
Want new server to have 4 Exchange databases for faster restores to recover
a mailbox.

What is best way to migrate?
a. Move mailboxes to 5.5 on new server, then upgrade to E2K.
b. Move mailboxes to E2K.

Pls advise.

Objective: set up server folder / storage area for access by specified users
only (no admin access allowed) in the NT / WIN2K server environment. 

Options, from worst to best:


*   Set up a folder with access allowed for specified users only. This
will not work in our environment because the admins for the domain can take
ownership of any folder.
*   Set up a separate server and domain with the specified users the
only admins. The specified users would have to maintain the domain (and
server). Also, with physical access to the server, knowledgeable people with
enough time and effort could access the separate server and domain.
*   Use the password options of Word, Excel and other applications.
There are software packages that can crack into these files.
*   Share a folder on the PC of one of the specified users. Anyone on
the LAN with enough knowledge, time, and effort could hack into a shared
folder.
*   Use available software packages to make files in a folder encrypted.
Knowledgeable people with enough time and effort could compromise such
files.
*   Store the files on an offsite third party system. It could be made
difficult for anyone beyond the specified users to know that this type of
storage arrangement had even been set up. Admins of the third party may be
able to access the information.

Use public folders with permissions set so that only the approved users can
access the folders and only the service account can change access? Use a
separate server to host these public folders and use a different account for
the service account than any other account on your network giving the
password only to one of the approved users. Get a separate backup program
(and tape drive) for it and make one of the users who is supposed to have
access responsible for keeping the media changed and locked up. Get ready to
find a new job when something goes wrong and none of these super important
documents can be accessed again.

This still doesn't stop your users from copying the files to somewhere else
either. And still leaves you vulnerable to physical access issues although
you can probably set a bios password on the server to prevent boot from
floppy or cd and again only give the password to the trusted user. Or lock
it in a cage with some form of lock only the trusted users can open.

OWA and attack by Chinese?!?

Running Exchange 5.5 on Win2K server, latest service packs.

Users over weekend accessed using OWA. Got message at sign on page has been
hacked by Chinese. After that page wouldn't come up. Problem cleared when
we rebooted server.

Moving mailboxes to another server and Palm problem

Moved user from one 5.5 Exchange server to another 5.5 server. User tried to
sync and got appointment conflicts.

Are there extra steps that should be taken when moving mailboxes for Palm
users?

Outlook problem with recurring group meetings

Users began using Outlook's schedule feature to schedule recurring group
meetings. They have problems when one instance of the meeting is changed.
Meeting participants claim to not being notified of the changes. They also
can look for a meeting and not find it to reschedule, and can have two
instances of the same meeting, the old and the new, on the calendar at the
same time.

Please advise.

User's laptop won't sync. Have deleted the OST, ran Office repair, all to no
avail. User has 550 mails in inbox. Only 49 sync.

Moving to new server and pesky Internet Newsgroup folder

Have moved everything from an Exchange 5.5 NT box to new Win2K box with
Exchange 5.5 (will upgrade to E2K). One folder won't replicate: Internet
Newsgroup folder.

In Admin, an Alt + Enter on the folder gives The object cannot be found in
the directory. This may be because replication has not completed. Microsoft
Exchange Directory ID no: c1010aae. Can't delete it either.

Any advice?

Depends...does it have to be directly under the GAL?

I have a PF contact list for our parent company.  If people want to see it
in Outlook, they have to add the Outlook Address Book first.  Then they go
find the PF contact list, right-click and go to Properties | Outlook
Address Book tab and check the Show this folder as an e-mail Address Book
option.

Then when they go to address an e-mail, they will see the GAL first, then
the OAB, with the PF Contact List indented below that.

Well, you can set up the spamfilter to quarantine the filtered messages
for later review and if there should be a legitimate message it can be
retrieved.

I don't think there are any spamfilters which blocks 100% spam and 0%
legitimate messages.

Well, you can set up the spamfilter to quarantine the filtered messages
for later review and if there should be a legitimate message it can be
retrieved.

I don't think there are any spamfilters which blocks 100% spam and 0%
legitimate messages.

OT: Network Security...Hype?

need...encryption, authentication beyond Windows security, VLANs, ACLs on routers, etc?

I agree intrusion detection is likely necessary.

SPAMERS hitting my second MX record?

I use eDoxs (3rd party company that identifies spam. They use Brightmail). 

Getting a lot of spam, however. 

My first MX record is to dDoxs. My second is to my email gateway, in case eDoxs is 
down. I'm wondering if spammers can pick up on my second MX record and send directly 
to it.

OT: DBs and daylight savings time

A mainframe db can get messed up when switching from daylight savings time. On the 
morning of Oct 26 an hour will be ran twice. A transaction could run at 1:15 AM, the 
hour be changed from 2 to 1 AM, and then another transaction ran after the first but 
be logged as 1:10 AM. That can mess up redo logs etc.

How does Exchange's db keep it straight?

Boss says organization has probable cause. Wants best way to copy users data for 
perusal by others (inbox, sent, and deleted folders).

If you haven't used the latest version of BackupExec, then you haven't
really used it.  I also used Arcserve and detested it.  The speeds with
Arcserve were slow, I couldn't do a restore without having to use
eseutil and/or isinteg, and I also didn't like the interface.  I much
prefer my BackupExec 9.0.

I have used both veritas and CA and I must say while both are excellent
I prefer the GFS rotation of CA.  As far as the interface I have no
problem with it.

Have you seen a mental health professional lately?

I had the decidedly unfortunate experience to have inherited ArcServe
when I started here. And I'll freely admit that I was able to get it to
both backup and restore both files and Exchange databases. It took 10
times longer to set up and administer than BackupExec had, and had one
of the worst GUI concepts I've ever seen in a product. But it did work,
if you beat it just right, in the right sequence, at the right times.

 solutions. We would like to so the usual mailbox backup and also snap 
 backups from SAN BCV's. I would like to hear from the members about
