And did you miss the bit on their website that offers the product to download 
for evaluation? That's the FULL product, with only the output crippled.

I've used it previously and other than the fact that it relies (relied?) on 
Word as the print output, and the limitations that brings to long documents, it 
was pretty good. From memory we had a 250 page manual that it dealt with quite 
happily. And, of course, you can spit out XML (it stores content in an SQL DB 
(or local JET db)) and refactor that if required.

If you have the time, download it and try it.

For a one team single source solution, it's worth a look.

Using del /s *.backup.* will also work.

The /S switch tells the command to recursively trawl directories for
the matching files, and terminate them.

I believe that FM compares the colors from the first file in the book to
every other file in the book. So, the easiest solution I know of is to make
sure your first file has the colors in it that you need, then import those
colors (File  Import  Formats, then select Color Definitions [think that's
the option; I have a plug-in that breaks the options out]) into every other
file in the book.

Just to clarify one point, the specific part of the color definitions
that are inconsistent between files in this case are the print
settings: Print As and Overprint. For example, one file may be
set to print as spot color and the other to print as process color.

If your deliverables are strictly electronic (e.g. PDF files), which
print setting you use doesn't matter greatly as long as all files
agree. If you will be producing commercially printed documents,
though, the print settings are *critical*.

and that will do the trick when you execute the batch program in a
DOS window or from the Run command line.


Even easier, put a shortcut to the batch file on your desktop or elsewhere, 
and click on it to run it.

Uh ... I think that is not gonna work too well, if you are in the wrong
directory (your desktop?) when you run it. In fact, I think my previous
advice to use the Run command line has the same problem! Oops.

So, best to have it in a folder that is in your path and then execute it
from a DOS window in the correct directory.

As, also mentioned by others for the DEL command, if you want all backup
files in a directory tree removed, you can add the /S switch. What was
not mentioned is that you can add that switch to the DIR command too!

BTW, I would be very careful of the /S switch ... if you are in the wrong
folder. When I tried it from my C:\ root, it found some files that I would
not want deleted (without knowing what they were)!

Oops! You're right. The batch files I'm used to running are set to run on 
specific directories. I forgot that that one didn't specify the directory.

FM_SYSTEM_HIDEELEMENT

I get the following message when updating a book, pertaining to the TOC in a
Structured Book:

Show/Hide condition for FM_SYSTEM_HIDEELEMENT is inconsistent.

I know the generated TOC Book Component breaks the valid structure for the
book, and I will remove it when I output the book to HTML. However, when I
am updating the book for local PDF print job, I leave the TOC where it is in
the book structure.

Where do I address this condition? Is it an artifact of Structure, or is it
something that occurs in Unstructured FM 8? Should I continue to ignore it?

Auto-Generation of PDF's

I am looking for a tool for automating the creation of PDF's from
FrameMaker 7.0 books.  I work in Unstructured FrameMaker.  I also use
WebWorks 9.2 to create Microsoft HTML Help.

 

I can't find anything current on WebWorks AutoMap.  Is this product
discontinued?

 

Also, should I just try to learn how to distill to watched folders
using Acrobat?  If so, where do I go to learn how?

and /s to catch the subdirectories would do the trick:

files in a directory tree removed, you can add the /S switch. What was
not mentioned is that you can add that switch to the DIR command too!

BTW, I would be very careful of the /S switch ... if you are in the wrong
folder. When I tried it from my C:\ root, it found some files that I would
not want deleted (without knowing what they were)!

Printing to a watched folder is so easy it doesn't require any special 
learning. In Distiller, go to Settings  Watched Folders and choose the 
folder you'd like to work from (ideally, a nice short path like 
c:\temp). This will create two subfolders in that folder: in and 
out. Now when you print to a PS file, direct it to the in folder. 
Leave Distiller running and it will check the folder every 10 seconds 
(unless you change that setting to something else) and try to distill 
whatever it finds in there and move it to the out folder.


If you put Distiller in your Startup folder, then you won't even have to 
make sure it's running. It will just start with the computer.

What part(s) of the process are you looking to automate?
Some parts of the process depend on the OS, some on
FrameMaker, and some on Acrobat Distiller, so a solution
for comprehensive automation can get compicated.

As to watched folders, there's nothing particularly
complicated or mysterious as long as you have the
Professional version of Adobe Acrobat. (The Standard
edition and the bundled Distiller that comes with
FrameMaker do not support watched folders.) All you
need to do is create one or more folders at some
convenient location and designate them in Distiller as
watched folders. Distiller will automatically create In and
Out subfolders within each folder you designate. If
you want, you can attach a specific set of Distiller job
options for each different watched folder. Then to
use the watched folder, you just print your document
to a PostScript file within the In subdirectory. Assuming
that Distiller is running, it will periodically check each
watched folder's In subdirectory and distill any PS file
it finds, putting the PDF in the coresponding Out
subdirectory. You can generte a bunch of PS files and
then launch Distiller to do all the conversions in a batch,
or you can leave Distiller running in the background to
do the conversions as each book is printed to PS.
Easy peasy.

In the shortcut, you might want to specify the Start In directory.
You can do this by finding your batch file, right-clicking and
selecting Create Shortcut, then right-clicking on the Shortcut and
filling in the Start In field with the desired target directory.

Yes, works if the master path is consistent and does not cause
problems for any non-FM files below it - not likely, but you never
know!

Yet another possibility ... since the folders may be different for
different projects (but now, we are starting to gild the lily):

Add a parameter to the .BAT file and call it with the directory you
want - with no parameter, it just works in the current directory.
Still best to do it from a DOS window or a Run command line (which
works in this case, since you can specify the directory). BTW, I
continue to be leery of the /S - too uncontrolled an action!

Uh ... I think that is not gonna work too well, if you are in the wrong

Gilding the lily further: you could add another parameter %2% to
the dir and del commands to put in the /S ... as long as you
also remembered to use the %1% for the top of the directory
that you want the backups to be deleted in - and did not use

You can do that using Mif2Go's runfm utility, which is free.
Download the demo version of Mif2Go from:
  http://www.omsys.com/dcl/download.htm
and install it; runfm uses the plugin part, the DLLs which 
go into frame\fminit\plugins, but not the conversion DLLs.
The runfm documentation is in the User's Guide, Chapter 32.
In addition to PDFs, you can use it to automate print jobs,
and, of course, Mif2Go conversions.

Note that runfm is free and legal to use even if you never
buy the licensed version of Mif2Go.

I have evaluated AuthorIT on a couple of occasions but not built a 
production system with it (yet).

AuthorIT is very attractive for users because it is based on Word, but 
offers a template-controlled environment (within Word's templating 
abilities), good-enough content management and repurposing, decent 
access to translation tools, and import/export to XML, Frame and other 
formats including online help.

It's not a tool you would use if print is a key output format for you, 
unless you are prepared to put up with Word's limited abilities in this 
area.

Many documentation professionals (and all designers/typographers) are 
appalled by aspects of AuthorIT, which is crude in many ways compared 
with Frame. But it has a fairly shallow learning curve for authors and 
editors, and is relatively inexpensive. It suits organisations because 
it imposes a documentation workflow model which may replace a fairly 
disorganised existing documentation 'system'.

It is proprietary and locked to Microsoft workstation and server solutions.

batch deleting backup files

Hi Folks

Someone posted the text for a batch file (or similar) recently for 
cleaning up backup files from a folder.  I thought I had archived that 
information, but now I need it, I can't find it.  I'd appreciate it if 
someone could send me the the information.

following batch file. Copy the text to Notepad and save it as
cleanfm.bat or

Seeking info on AuthorIt vs. FrameMaker

And did you miss the bit on their website that offers the product to download 
for evaluation? That's the FULL product, with only the output crippled.

I've used it previously and other than the fact that it relies (relied?) on 
Word as the print output, and the limitations that brings to long documents, it 
was pretty good. From memory we had a 250 page manual that it dealt with quite 
happily. And, of course, you can spit out XML (it stores content in an SQL DB 
(or local JET db)) and refactor that if required.

If you have the time, download it and try it.

For a one team single source solution, it's worth a look.

When inserting new cross-references, copy/paste an existing 
cross-reference, and then double-click it; adjust the tag/pgf as needed.

Other improvements -- at the template level -- may include changing the tag 
names or creating compound cross-references (one cross-reference that 
retrieves two items instead of two separate cross-reference, eg one 
retrieving the chapter title and another one retrieving a figure/table)

Print setting inconsistent in FrameMaker

Nidhi,

I believe that FM compares the colors from the first file in the book to
every other file in the book. So, the easiest solution I know of is to make
sure your first file has the colors in it that you need, then import those
colors (File > Import > Formats, then select Color Definitions [think that's
the option; I have a plug-in that breaks the options out]) into every other
file in the book.

Print setting inconsistent in FrameMaker

Just to clarify one point, the specific part of the color definitions
that are inconsistent between files in this case are the print
settings: Print As and Overprint. For example, one file may be
set to print as spot color and the other to print as process color.

If your deliverables are strictly electronic (e.g. PDF files), which
print setting you use doesn't matter greatly as long as all files
agree. If you will be producing commercially printed documents,
though, the print settings are *critical*.

Uh ... I think that is not gonna work too well, if you are in the wrong
directory (your desktop?) when you run it. In fact, I think my previous
advice to use the Run command line has the same problem! Oops.

So, best to have it in a folder that is in your path and then execute it
from a DOS window in the correct directory.

As, also mentioned by others for the DEL command, if you want all backup
files in a directory tree removed, you can add the /S switch. What was
not mentioned is that you can add that switch to the DIR command too!

BTW, I would be very careful of the /S switch ... if you are in the wrong
folder. When I tried it from my C:\ root, it found some files that I would
not want deleted (without knowing what they were)!

Oops! You're right. The batch files I'm used to running are set to run on 
specific directories. I forgot that that one didn't specify the directory.

FM_SYSTEM_HIDEELEMENT

I get the following message when updating a book, pertaining to the TOC in a
Structured Book:

Show/Hide condition for FM_SYSTEM_HIDEELEMENT is inconsistent.

I know the generated TOC Book Component "breaks" the valid structure for the
book, and I will remove it when I output the book to HTML. However, when I
am updating the book for local PDF print job, I leave the TOC where it is in
the book structure.

Where do I address this condition? Is it an artifact of Structure, or is it
something that occurs in Unstructured FM 8? Should I continue to ignore it?

I am looking for a tool for automating the creation of PDF's from
FrameMaker 7.0 books.  I work in Unstructured FrameMaker.  I also use
WebWorks 9.2 to create Microsoft HTML Help.



I can't find anything current on WebWorks AutoMap.  Is this product
discontinued?



Also, should I just try to learn how to distill to "watched folders"
using Acrobat?  If so, where do I go to learn how?

and /s to catch the subdirectories would do the trick:

Printing to a watched folder is so easy it doesn't require any special 
learning. In Distiller, go to Settings > Watched Folders and choose the 
folder you'd like to work from (ideally, a nice short path like 
c:\temp). This will create two subfolders in that folder: "in" and 
"out". Now when you print to a PS file, direct it to the "in" folder. 
Leave Distiller running and it will check the folder every 10 seconds 
(unless you change that setting to something else) and try to distill 
whatever it finds in there and move it to the "out" folder.

If you put Distiller in your Startup folder, then you won't even have to 
make sure it's running. It will just start with the computer.

What part(s) of the process are you looking to automate?
Some parts of the process depend on the OS, some on
FrameMaker, and some on Acrobat Distiller, so a solution
for comprehensive automation can get compicated.

As to watched folders, there's nothing particularly
complicated or mysterious as long as you have the
Professional version of Adobe Acrobat. (The Standard
edition and the bundled Distiller that comes with
FrameMaker do not support watched folders.) All you
need to do is create one or more folders at some
convenient location and designate them in Distiller as
watched folders. Distiller will automatically create In and
Out subfolders within each folder you designate. If
you want, you can attach a specific set of Distiller job
options for each different watched folder. Then to
use the watched folder, you just print your document
to a PostScript file within the In subdirectory. Assuming
that Distiller is running, it will periodically check each
watched folder's In subdirectory and distill any PS file
it finds, putting the PDF in the coresponding Out
subdirectory. You can generte a bunch of PS files and
then launch Distiller to do all the conversions in a batch,
or you can leave Distiller running in the background to
do the conversions as each book is printed to PS.
Easy peasy.

In the shortcut, you might want to specify the "Start In" directory.
You can do this by finding your batch file, right-clicking and
selecting "Create Shortcut," then right-clicking on the Shortcut and
filling in the "Start In" field with the desired target directory.

Yes, works if the master path is consistent and does not cause
problems for any non-FM files below it - not likely, but you never
know!

Yet another possibility ... since the folders may be different for
different projects (but now, we are starting to gild the lily):

Add a parameter to the .BAT file and call it with the directory you
want - with no parameter, it just works in the current directory.
Still best to do it from a DOS window or a Run command line (which
works in this case, since you can specify the directory). BTW, I
continue to be leery of the /S - too uncontrolled an action!

the dir and del commands to put in the "/S" ... as long as you
also remembered to use the %1% for the top of the directory
that you want the backups to be deleted in - and did not use

You can do that using Mif2Go's runfm utility, which is free.
Download the demo version of Mif2Go from:
  http://www.omsys.com/dcl/download.htm
and install it; runfm uses the plugin part, the DLLs which 
go into frame\fminit\plugins, but not the conversion DLLs.
The runfm documentation is in the User's Guide, Chapter 32.
In addition to PDFs, you can use it to automate print jobs,
and, of course, Mif2Go conversions.

Note that runfm is free and legal to use even if you never
buy the licensed version of Mif2Go.

All,

Many of you whom I've conversed with through this list have been sent
invites for LinkedIn. This was not intentional. Somehow instead of
connecting with a few choice Gmail contacts, LinkedIn sent an invite
to everyone in my Gmail address book. (That's a lot of people!)
