Strange PDF Problem -- Solution

Hi all,

Sorry I didn't give this update sooner--we're in the middle of a software  
release. 
The solution was a simple one: we rebuilt our books from scratch. That was  
the only thing that worked. We tried saving the book as mif and that didn't  
work. Once we rebuilt our books from scratch, the problem disappeared. 

Thanks to all who tried to help us in our hour of need. This is a great  list!

This issue was raised a few times in the past. In the case discussed below, 
Martin sent me generic sample files with which the problem was easily 
reproduced in FM 7.0, 7.1 and 7.2.


I'll patiently repeat my recommendation not to use Save as PDF, for this 
and several other reasons.


I fully agree with Diane Gaskill's recommendation: set the FrameMaker book 
name so that it has the name you need for
your PDF, and don't change the name when print to a .ps file (or when/if 
you use Save as PDF).


Don't rename the PDF either, unless it's not part of a document set and 
only after you verified that its internal links do not point to the old name.

Save as PDF, and yet another reason to test PDF links carefully...

only created via Safe as PDF. Is this true? Can I safely use
the manual process FM - PS - PDF instead?

By the way, is there a link checking mechanism integrated in
Acrobat 8?

There are many potential ways to introduce some functionality problems in 
PDFs, and obviously I don't have access to the source files or to records 
indicating how specific PDFs mentioned in the Hmmm... corner are produced.


Based on my experience analyzing FM-PDF files, this specific problem was 
only present when the Save as PDF function was used, in a reproducible 
manner.


Which is why I say that it is very likely that in the case of this PDF... 
this exotic linking method is yet another side-effect of FrameMaker's Save 
as PDF function.

Yes, that's my recommendation (with Generate Acrobat Data turned on). And 
for best results, the AdobePS driver (AdobePDF) should be used to create 
the .ps file.

No. You'll have to use one of the third-party plug-ins to automate some of 
the link checking tasks.


In fact, in Acrobat versions prior to 6.0, Distiller had some link checking 
capabilities -- checking whether an internal named destination used by a 
link or a bookmark in the current PDF is actually present.

If some destinations were missing, a warning was displayed by Distiller:
% [ Warning: The following Names in Name Tree Dests were not defined ] %
followed by a list of the missing named destinations.

This link-checking functionality is no longer present with Distiller 6.0 
and higher.

Hmmm ... I use Save As PDF successfully in FM 7.2 all the time (although
I have not changed the filename - other than using a .PDF extension for the
output).

It was certainly deprecated in 6.

I see now that Diane posted that it was allegedly fixed in 7.0, though, but 
that Fred posted that it wasn't, just less broken ;-) I agree with Fred: 
watched folders make the supposed simplicity and time-saving of 'Save as PDF' a 
little dubious. I prefer to have complete control over the specifications of 
the PDF that is produced.

OK.

First off. Then Dianne is right. Changing the file names after the pdf is
created will break any links in the pdf, but only for external files that are
trying to link to it. Any internal links should be relative and not absolute.
Actually, any links should be relative if they relate to a group of pdfs that
will remain together, otherwise if they link to, say, a remote url then they
should be absolute (and of course, before anyone jumps up and down, there are
always exceptions).


That provides a lead then.

1. Have you changed the name of book (i.e. chapter) files outside the book
itself?
2. How did you create the cross references?
3. Did you do an update prior to creating the pdfs?
4. Can you check one of the links in the pdf that is not working and see where
it is pointing to? Check to see if it is relative or absolute. If you can't do
that from the pdf, you may need to to do it in FM.
5. Do you have bookmarks and do they work?

This is not a strange problem. It is the way that Acrobat is designed.  The
links contain the filenames that exist when you creat them.  You cannot
change the external name of the file afterward and expect the internal link
names to change too.  It doesn't happen.  Your observation is correct.
Acrobat is looking for the original file names.

The solution is to decide on the final file names before you save as PDF
from Frame.

But shouldn't I be able to enter in a file name different from the book  file 
when I choose File--Save As? Or do I always have to use the book name.  This 
has worked in the past.

Sorry to disagree, but I use Save As all the time (doing exactly what
Nancy does) and I don't have a problem at all with the links in the
TOC/index still working. Internally, links are not affected by a Save
As, only externally.

that you had made the pdf, changed its name, then found the links were
subsequently broken.

Are you actually saying that you set the output name prior to the pdf being
made, using the Save As dialog? If so, what happens if you print to pdf?

Hi Nancy,
The only time I've seen the links get destroyed in the way you are
describing is when I chose to create a book with one PDF file per
chapter.
In situations like that, if I were to rename a file, the links to it
would be broken.
But never internal links, and never with a book saved as a single PDF,
with no external links.

Hmmm ... I use Save As PDF successfully in FM 7.2 all the time (although
I have not changed the filename - other than using a .PDF extension for the
output).

This Save As PDF then gets processed by Distiller (both versions 7 and 8
from Adobe Acrobat) and there are no problems that I can see.

What difficulties are people experiencing with doing this?

OK.

First off. Then Dianne is right. Changing the file names after the pdf is
created will break any links in the pdf, but only for external files that are
trying to link to it. Any internal links should be relative and not absolute.
Actually, any links should be relative if they relate to a group of pdfs that
will remain together, otherwise if they link to, say, a remote url then they
should be absolute (and of course, before anyone jumps up and down, there are
always exceptions).


That provides a lead then.

1. Have you changed the name of book (i.e. chapter) files outside the book
itself?
2. How did you create the cross references?
3. Did you do an update prior to creating the pdfs?
4. Can you check one of the links in the pdf that is not working and see where
it is pointing to? Check to see if it is relative or absolute. If you can't do
that from the pdf, you may need to to do it in FM.
5. Do you have bookmarks and do they work?

Have you selected Create Named Destinations for All Paragraphs on the 
Links tab of the PDF setup dialog box?

I remember many messages on this list about the Save as PDF function being
broken in Frame 6.0 and an announcement on this list that it was fixed in
Frame 7.0.  If I remember correctly, the announcement came from Dov.
Though I generally print to PS and distill, I have used the Save as PDF
function successfully quite a few times in 7.0.

When I responded originally, I understood Nancy to say that she was manually
renaming the PDF file after Frame had created it.  In that case, the links
would be broken because the PDF file name no longer agreed with the name
used when creating the file.

Subsequent messages said that she was changing the name when doing a Save
As.  In that case, I agree with you.  The links should work.

Just to provide some historical context for this, the big
issue with Save As PDF was always that of printer 
drivers, and only on Windows systems. 

In FrameMaker versions through 6.0, Save As PDF 
always used the current Windows printer driver, which
might or might not have been a PostScript driver and
might or might not have been for a printer that supported
color. (Remember all those queries to the list about
people who lost all their colored text when they went
to PDF? The inevitable cause was a monochrome 
printer driver.) 

As of FrameMaker 7.0, Save As PDF always uses the
Adobe PDF printer driver, which is the correct thing
as far as it goes. The problem is that if the default printer 
is not Adobe PDF, this represents a *change* in the 
printer driver, which means a change in font metrics 
(which are supplied by the printer driver on Windows 
systems). And a change in font metrics can mean 
changes in certain line breaks, which in turn might 
affect page and even chapter breaks and make the 
page numbers in the generated files incorrect. So 
Save As PDF is a lot less broken now, but it still has 
a couple of significant gotchas unless you make the 
Adobe PDF printer your default.  

Personally, I never use Save As PDF. I'm a big fan
of the watched folder approach for books or printing
directly to the Adobe PDF virtual printer for single 
files.

Along those same lines, I have a separate problem:

When I try to save as pdf (File  Save as  pdf), I get the PDF Setup
dialog box. Then when I click Next, I get a message that FrameMaker
could not find Acrobat Distiller printer instance, which must be
installed to execute Save as PDF Command.

I am using Acrobat 7.0 Pro on Windows XP Pro and FrameMaker 7.0.
Distiller 7.0 is installed. I can print to the Adobe PDF printer. Adobe
PostScript software version is 3016.102, and CID support library
initialization completed.

Can you tell me what I need to do to resolve the printer instance not
found issue?

I'm by no means an expert on Frame or Acrobat, but I just renamed a file 
created with Save As PDF from Frame 7.0 (578) and the internal links all still 
work. So not all internal links contain the filename and break when you change 
it.

I think you see a strange problem that is not normal for FrameMaker. I have not 
used 7.2 too much yet, but I have never seen ths with any version up to 7.1, 
but I don't suspect that Adobe has implemented/released such a stupid 
naming-bug with 7.2.

I have seen many errors with 7.2, however. Most of them are related to bad 
memory management, since they all disappear after a re-boot. Did you try that?

Sorry to disagree, but I use Save As all the time (doing exactly what
Nancy does) and I don't have a problem at all with the links in the
TOC/index still working. Internally, links are not affected by a Save
As, only externally.

describing is when I chose to create a book with one PDF file per
chapter.
In situations like that, if I were to rename a file, the links to it
would be broken.

Hmmm ... I use "Save As PDF" successfully in FM 7.2 all the time (although
I have not changed the filename - other than using a .PDF extension for the
output).

This "Save As PDF" then gets processed by Distiller (both versions 7 and 8
from Adobe Acrobat) and there are no problems that I can see.

What difficulties are people experiencing with doing this?

Have you selected Create Named Destinations for All Paragraphs on the 
Links tab of the PDF setup dialog box?

When I responded originally, I understood Nancy to say that she was manually
renaming the PDF file after Frame had created it.  In that case, the links
would be broken because the PDF file name no longer agreed with the name
used when creating the file.

Subsequent messages said that she was changing the name when doing a Save
As.  In that case, I agree with you.  The links should work.

We are experiencing a strange pdf problem. We have several Frame books
that we create pdf's from. We're using Frame 7.2 and I select the Save
As feature and  then save as pdf. The problem happens when we change the
name of the pdf file to  anything different than the name of the book
file (with the .pdf extension).  Many of the links in the index and TOC
say that the pdf file does not exist  because it seems to be looking for
the name of the book file (with the .pdf  extension) and not the new
name of the pdf file.

Has anyone else had this problem?

Just to provide some historical context for this, the big
issue with Save As PDF was always that of printer 
drivers, and only on Windows systems. 

In FrameMaker versions through 6.0, Save As PDF 
always used the current Windows printer driver, which
might or might not have been a PostScript driver and
might or might not have been for a printer that supported
color. (Remember all those queries to the list about
people who lost all their colored text when they went
to PDF? The inevitable cause was a monochrome 
printer driver.) 

As of FrameMaker 7.0, Save As PDF always uses the
"Adobe PDF" printer driver, which is the correct thing
as far as it goes. The problem is that if the default printer 
is not Adobe PDF, this represents a *change* in the 
printer driver, which means a change in font metrics 
(which are supplied by the printer driver on Windows 
systems). And a change in font metrics can mean 
changes in certain line breaks, which in turn might 
affect page and even chapter breaks and make the 
page numbers in the generated files incorrect. So 
Save As PDF is a lot less broken now, but it still has 
a couple of significant gotchas unless you make the 
Adobe PDF printer your default.  

Personally, I never use Save As PDF. I'm a big fan
of the watched folder approach for books or printing
directly to the Adobe PDF virtual printer for single 
files.

I remember many messages on this list about the Save as PDF function
being
broken in Frame 6.0 and an announcement on this list that it was fixed
in
Frame 7.0.  If I remember correctly, the announcement came from Dov.
Though I generally print to PS and distill, I have used the Save as PDF
function successfully quite a few times in 7.0.

Strange PDF Problem

Along those same lines, I have a separate problem:

When I try to save as pdf (File >> Save as >> pdf), I get the PDF Setup
dialog box. Then when I click Next, I get a message that FrameMaker
could not find Acrobat Distiller printer instance, which must be
installed to execute Save as PDF Command.

I am using Acrobat 7.0 Pro on Windows XP Pro and FrameMaker 7.0.
Distiller 7.0 is installed. I can print to the Adobe PDF printer. Adobe
PostScript software version is 3016.102, and CID support library
initialization completed.

Can you tell me what I need to do to resolve the printer instance not
found issue?

Do you get the same behavior if you Print to the Adobe logical printer?
And what version of Distiller are you using?

Strange PDF Problem

I'm by no means an expert on Frame or Acrobat, but I just renamed a file 
created with Save As PDF from Frame 7.0 (578) and the internal links all still 
work. So not all internal links contain the filename and break when you change 
it.

Nancy,

I think you see a strange problem that is not normal for FrameMaker. I have not 
used 7.2 too much yet, but I have never seen ths with any version up to 7.1, 
but I don't suspect that Adobe has implemented/released such a stupid 
naming-bug with 7.2.

I have seen many errors with 7.2, however. Most of them are related to bad 
memory management, since they all disappear after a re-boot. Did you try that?
