[MCN-L] MCN - Information Technolgoy (IT SIG) virtual meeting

One of MCN's directives is for SIG chairs to schedule a meeting with their 
members before the conference. The IT SIG has been holding virtual meetings 
every month on the 3rd Wednesday at 2pm CST. The October virtual meeting will 
be an opportunity to talk about objectives for the SIG and to learn more about 
the group if you are interesting in joining.

IT SIG Mission Statement
The MCN Information Technology Special Interest Group (IT SIG) provides a forum 
for museum information technology individuals to exchange technical 
information, keep current on emerging technologies, and share related 
management ideas to enhance the missions of our individual museums as well as 
to enhance the museum community as a whole.

Also, to kick off the annual MCN conference in Minneapolis the IT SIG will meet 
at the hotel bar on Wednesday, Nov 4th at 5pm for a brief informal 'meet and 
greet' session to put faces to the names of other IT colleagues.  Hope to see

[MCN-L] Keeping up with changing file locations

We do not change directory names, but we have had to move folders to new 
servers or add layers to the file structure when it becomes more complex and 
that can change the file paths.  

So, we build the file structure under one main folder and map that folder Like, 
S: to \\ServerName\Archive then when that folder moves to another server, remap 
the new location to the same drive letter and the links will be the same; even 
if next time we add a layer and map S: to \\differentServerName\folder\Archive 
... As long as S: points to your main folder all the links under that folder 
should be the same.

I am working on a digital archive project.  I have one concern about our dark 
archive, that I don't know how to address or keep it from repeating. 

 

Currently, our dark archive is kept on a server here at our university and our 
IT department has changed some directory names, causing the links to the 
original files to be break, and in some cases, we can't find the file.  I have 
also seen this happen at other universities and I am leery about moving forward 
until I can have a guarantee or a better system in place to manage our original 
files. 

 

I am wondering if anyone can tell me if there is a system (a database
perhaps) that can keep track of an individual file in a local dark archive and 
update the location automatically?  Or, can anyone point me in the right
direction?

the interim, we used KACE but decided it was too expensive to maintain so

I usually don't purchase service plans on equipment, but I bought my daughter a 
small video cam for Christmas at Office Depot and for $10 their extended 
service plan covers 'accidental handling' for two years. They assured me that 
included damage from dropping it (which she is famous). You might check out 
their replacement policy.

At a session at WMA last year we were introduced to the Zoom H-1 Handheld
Digital recorder.  It was extremely easy to use, produced great recordings,
and is relatively inexpensive.  What I don't know is how well it would hold
up to classroom use as you describe.

Hello all,

 

I am hoping someone out there will have some suggestions for this challenge.


 

We have a series of education trunks that go out to schools around the
state with props and curriculum for schools to build a lesson around.  One
of the ideas we have is for an old-time radio trunk.  One of the features we
would like to have is to allow the instructor, with script and props, to
record students creating a radio show.  They would then transfer the
recording to a computer to make a CD of the program.

 

The questions are:  Has anyone done anything like this before?  Does anyone
have any ideas for digital recording devices that would be easy to use by
teachers, but also durable enough to be out on the road in a variety of
classroom situations?  Any ideas or suggestions are welcome.

[MCN-L] IT SIG - MCN conference 2011

Great MCN conference! While we are all charged up with all these ideas from 
this conference, it is time to apply that energy to next year's program. Let's 
not think about next year's travel budget and just throw out some ideas of what 
you would like to organize, what you would like someone else to organize, or 
general ideas. Maybe if we get started now, we can pull a couple things 
together.

The sessions generate a lot of nuts and bolts discussion over 
lunch/dinner/drinks. Everyone is generating lots of content. What do we do with 
it? How do we deliver it cost effectively? How do we integrate different 
systems? Storage, backup, integration, virtualization, wireless solutions. 
There was some requests for more nuts and bolts IT sessions. Is this a general 
consensus of others?

The IT sig has some great conversation at our meeting. One thing that was 
mentioned was the possibility of a half-day workshop format the day before the 
conference. We could come up with the three major issued faced by IT Directors 
in Museums, and have an open discussion around those issues. Perhaps getting 
someone (or more than one) who has a good solution to demonstrate their 
solutions.

So, I am throwing this out there. Let's get some discussion going before we 
lose momentum over the holidays or get wrapped up into other projects that take 
all our time.

We are about to do this also.  We can limit bandwidth and have Barracuda
Web filtering.. But, I would be interested in learning more about New
privacy laws are quite explicit
about security requirements for wireless access to make sure we are
covered. Can you point me to a website?

a myriad of illegal activities can be conducted over your
network's Port 80 (HTTP), and are traceable back at least
to your address space or router address, and even an individual
workstation IP and MAC address.

Around the time of the release of the film Matrix II, our domain
technical and business contacts received a formal 'cease and desist'
order from a film industry watchdog group, about a workstation on
my network downloading bootleg copies. This was traceable down to
a specific IP lease in the domain space. 

I quickly managed to locate that workstation, which was wired into
the network by a staffer. This individual had previously
(or regularly) visited a pirate video site on the laptop, and had
a launch routine for this site as a startup routine. The industry
group had installed a sniffer on the pirated site, and ID'd the
laptop as soon as he powered up on my network.

This has inspired strict policies about foreign computers being
introduced unnecessarily to our secure domain space. New privacy
laws are quite explicit about security requirements for wireless
access, especially for potential unwarranted access to stored and 
transmitted personal information.

Restoration of the Apollo 11 EVA Footage
During this presentation, the system used to capture the extravehicular
activity on video during Apollo 11 will be reviewed as well as the
process for broadcasting those first live pictures from the moon. NASA's

moon, and the best surviving elements will also be profiled. A
discussion will ensue about the technical and philosophical factors that

Early this year, headlines blared the news that backup tapes of the
first satellite optical surveys of the moon - long thought to have been

more than twice the resolution of the official versions done long ago.
This presentation will concentrate on the photographic mission to the
moon, how it was conceived and executed, how the 2 instrumentation
tapes, which only vaguely resemble quad videotape recordings, came to be
made (but until now never used) and what was required to bring success
to a project which many thought would be impossible or too expensive to
pull off.

About 80% of studio films are now finished as Digital Intermediates and
many of these films are still shot on film, or a hybrid of film and
digital. For archiving, it makes sense to have a plan to extract,
separate and store the actual shots used in the creation of the DI.
Content owners may wish to go back to the most original elements from
production, for restoration or other reasons. This presentation will
cover an efficient and methodical plan for archiving of the original
camera negative. 

Electronic Archiving: Lessons from 8 years in the DI Trenches. 
This presentation will focus on the real issues encountered by someone
who has been living Digital Intermediate archiving since the inception
of DI. The presentation focuses on what really happens when facilities
and DI studios try to deal with archiving Petabytes of data.

The restoration of Johnny Cash Presents the Everly Brothers Show-an
early 70's TV series that exist only on obsolete type A videotape
copies-presented technical challenges far in excess of ordinary video
restoration. 

Archiving, Preserving and Distributing Digital Cinema Collections
After three years of work, the original EDCINE approach - based on open
standards (as MXF, JPEG2000 and OAIS), a flexible and modular structure
and on new standardised profiles for long term preservation - resulted
in a 'proof of concept', a working prototype of the 'EDCINE Digital
Archive System'. 

Challenges of Restoring Classic Films in 4K 
Presentation featuring examples from 4K workflows of restoration
projects at Motion Picture Imaging for such films as The Wizard of Oz,
North by Northwest, A Star is Born and Gone With the Wind. Featured

We are a newly established central bank museum, focusing on bank notes,
coins, and economic related items.

The new museum needs a lot more developments and efforts to make it be a
real 'small size museum with proper management. One of our weak point is
that the lacking of professional staff to run the museum. As a central bank
staff with minimum training and workshop in museum management, can perform
those tasks in some ways, but not as good.

We are planning for our museum policy in 2006, but till date, we have no
proper way and solution to do so.

May I ask if anyone out there, who have or take care of, preparing museum
policy, not only IT related, but general museum policy,  please suggest or
give me advice.

Jovanna,

As you might have guessed from the first response to your question, this is
a fairly big question.   The National Museum of the American Indian has one
perspective on this issue, but you need to remember that NMAI is not only a
US government-run entity, but it also puts considerably more emphasis on the
needs of Native people than most museums.

What we are all trying to do is balance access to information (which is part
of the museum's role) with respecting the cultural beliefs of a part of our
constituency.   This is a policy question that really needs to be answered
(at least in the US) at the governing Board level, since it has legal
ramifications (depending on various right to know laws and how they are
interpreted) and also raises questions of academic freedom (for those
museums associated with universities).   On the other hand, the civil and
religious rights of Native people are also an issue.   Some who work with
the US repatration law (NAGPRA) consider it to be civil rights legislation,
although we should remember that there is nothing in that law that limits
what kind of information museums can provide about their collections, not
matter how they are classified.

One approach you might want to investigate is that of the Field Museum's
Anthropology Department, which asks researchers to seek permission from the
appropriate tribal entity if they want access to sensitive materials.
Steve Nash (sn...@fieldmuseum.org), the Head of Anthropology Collections, or
Jonathan Haas (jh...@fieldmuseum.org), Curator of North American
Anthropology and Archaeology, can tell you more about how the policy was
developed and implemented.

This year, Cinetech (an Ascent MediaCompany),partnered with themuseum and archival communities to coordinateafield-wide study of digitization practices for still and moving imagematerials. Our goalwas 
threefold:

IT SIG -- Meeting followup

Thank you for attending the IT SIG meeting in Boston last week. It
was good to meet all of you and I hope we can maintain a helpful relationship
this year to assist each other through this maze we call Information
Technology. There was a lot of good dialogue and I hated to cut it short
due to time limitations. I hope we can rekindle some of that conversation
on the MCN-list. 



I would like to hear more on the storage issues discussion;
big issues for everyone as the growing demands of digital images take over the
servers. Does anyone restrict areas that digital images can be
stored? Set folder limits? Require periodic cleanup? What
works for you? Are you responsible for these issues or do you have a records management,
visual resources, or other department who takes care of that? 



How do you backup all that stuff? Full vs. incremental
backup -- pros and cons? Do you use tapes, hard drive, DVDs, or Internet Services?
What else would you like to know?

Scheduling software

Has anyone found scheduling software that is uncomplicated
and incorporates scheduling all aspects within a Museum? We mainly have
tours, special events, and daily staff meetings that we want to track on one
calendar (instead of 10 different public calendars in Outlook!) It would
be nice if it could produce daily and weekly activity reports; monthly and
annual statistics, like numbers of attendants to different types of tours and
functions; track docent hours based on which tours they were scheduled to do, track
resource usage, etc; and give everything to you in one calendar view screen!
And dont forget unlimited users because we want everyone on staff to be
able to view the calendar and may be even book staff meeting rooms. We
looked at Vista, Blackbaud Raisers Edge
Events module, and ABC Event Manager. There are things I like about each
one of them. They all seem to focus on different aspects of event
planning. Some on room allocation, some on tracking resources, some on
finance, some on ticketing but, we just havent quite found what
we need. 



So, what software are you using and what do you like/dislike
about it?

I am new to MCN and to non-profits so networking is key for me.

like this is ideal.  Any resources that I can share, I would be more

I would love to see more information about different software programs
organizations are using.  For example, our organization has ticketing
software, a Cafe point-of-sale, as well as a museum store point-of-sale.
None of these programs communicate with each other.  Wouldn't it be nice
if
our customers could buy a gift card and have the ability to use in each
area, ticketing, cafe and store?  Somebody out there has to be using
software like this, but who and where?

All Rentals
All Resource Allocation
All Contact Information
All Financial information (relating to Education  Rentals)
We are also building an online registration system that connects directly to
the database...

or who have purchased systems and we can give a complete snapshot of dealing
with these types of systems.

[MCN-L] Sound clip database on a Mac

I would highly recommend FileMaker Pro for the pure database aspect of the
project.   You can link your sound files via an appropriate address field
(in olden days I did that with urls for images).   FMP is versatile, easy to
learn, easy to adapt and cross platform so that you can translate your FMP
skills to a PC (should you ever want to make that change).

My eyes tend to cross too when people much more knowledgable than I explain
meta-data.   Here's my basic understanding, at least as it applies to
museums

Each field in a collections database is a discrete piece of information
about an object.   In different databases that field can have different
names, but still refer to the same piece of information; e.g, catalogue
number = accession number = number.   So that databases can talk to each
other (and people can share information between databases), there needs to
be an overall description of that piece of information.   In this case it
might be unique identifying number.   Various metadata systems (like MARC,
Dublin Core) have set out lists of those pieces of information (more easily
understood as database fields) and definitions of what they are.  Another
example would be author  = maker = artist; here the metadata descriptor
might be original creator of object.

You may (not) want to keep in mind that many museums do not use standardized
vocabularies, particularly ones with anthropological, archaeological and
historical collections.   I have worked in institutions where curators from
different collections didn't even use the same set of fields within the same
database, let alone vocabulary :-)

Hi list of smart people much more knowledgeable than me:

I'm trying to wrap my brain around the technical aspects of metadata
sharing and structures, reading though (and not entirely comprehending)
a lot of different sources. As I am a visual, hands-on type learner, I'm
trying to put everything I'm reading into non-technical language this
neophyte can understand. I'm pretty sure I've got #'s 2-4 wrong, but can
anyone help me unravel this?

1) You have objects. You apply vocabularies to the objects in order to
describe them. The vocabularies facilitate how your object information
is seen by other computers. Examples of Vocabularies are: AAT, ULAN,
Chenhall's

(I understand #1 pretty well. Here's where I start to get lost...)

2) In order for the other computers to understand what you're giving
them, the information needs to be arranged in a specific way. These are
the element sets...? these are MARC, LOC, VRA, Dublin Core

3) Because very few institutions have pure collections that fit into
one of the Vocabularies, we can use multiple Vocabularies. Do we use
multiples of #2 as well? These are defined and plugged into the element
sets. They are tagged as belonging to a specific Vocabulary

(I think there's a middle piece in here I'm missing)

4) There is an umbrella structure, the Harvester, which can read #2 and
serve it to the user in readable form. Examples: OAI, MARC (also fits as
a #2), XML

So as you can see, I'm dreadfully muddled. I know it's important to
understand it, but I'm just not able to wrap my head around the various
resources out there. I'm starting to think that Ask A Ninja is more my
level...
