[MCN-L] MCN - Information Technolgoy (IT SIG) virtual meeting
One of MCN's directives is for SIG chairs to schedule a meeting with their members before the conference. The IT SIG has been holding virtual meetings every month on the 3rd Wednesday at 2pm CST. The October virtual meeting will be an opportunity to talk about objectives for the SIG and to learn more about the group if you are interesting in joining. [MCN-L] Keeping up with changing file locations
We do not change directory names, but we have had to move folders to new servers or add layers to the file structure when it becomes more complex and that can change the file paths. So, we build the file structure under one main folder and map that folder Like, S: to \\ServerName\Archive then when that folder moves to another server, remap the new location to the same drive letter and the links will be the same; even if next time we add a layer and map S: to \\differentServerName\folder\Archive ... As long as S: points to your main folder all the links under that folder should be the same. I have also seen this happen at other universities and I am leery about moving forward until I can have a guarantee or a better system in place to manage our original files. I am wondering if anyone can tell me if there is a system (a database perhaps) that can keep track of an individual file in a local dark archive and update the location automatically? I usually don't purchase service plans on equipment, but I bought my daughter a small video cam for Christmas at Office Depot and for $10 their extended service plan covers 'accidental handling' for two years. They assured me that included damage from dropping it (which she is famous). You might check out their replacement policy. [MCN-L] IT SIG - MCN conference 2011
Great MCN conference! While we are all charged up with all these ideas from this conference, it is time to apply that energy to next year's program. Let's not think about next year's travel budget and just throw out some ideas of what you would like to organize, what you would like someone else to organize, or general ideas. Maybe if we get started now, we can pull a couple things together. The sessions generate a lot of nuts and bolts discussion over lunch/dinner/drinks. Everyone is generating lots of content. What do we do with it? How do we deliver it cost effectively? How do we integrate different systems? Storage, backup, integration, virtualization, wireless solutions. There was some requests for more nuts and bolts IT sessions. Is this a general consensus of others? The IT sig has some great conversation at our meeting. One thing that was mentioned was the possibility of a half-day workshop format the day before the conference. We could come up with the three major issued faced by IT Directors in Museums, and have an open discussion around those issues. Perhaps getting someone (or more than one) who has a good solution to demonstrate their solutions. So, I am throwing this out there. Let's get some discussion going before we lose momentum over the holidays or get wrapped up into other projects that take all our time. This was traceable down to a specific IP lease in the domain space. I quickly managed to locate that workstation, which was wired into the network by a staffer. This individual had previously (or regularly) visited a pirate video site on the laptop, and had a launch routine for this site as a startup routine. The industry group had installed a sniffer on the pirated site, and ID'd the laptop as soon as he powered up on my network. This has inspired strict policies about foreign computers being introduced unnecessarily to our secure domain space. New privacy laws are quite explicit about security requirements for wireless access, especially for potential unwarranted access to stored and transmitted personal information. Jovanna, As you might have guessed from the first response to your question, this is a fairly big question. The National Museum of the American Indian has one perspective on this issue, but you need to remember that NMAI is not only a US government-run entity, but it also puts considerably more emphasis on the needs of Native people than most museums. What we are all trying to do is balance access to information (which is part of the museum's role) with respecting the cultural beliefs of a part of our constituency. This is a policy question that really needs to be answered (at least in the US) at the governing Board level, since it has legal ramifications (depending on various right to know laws and how they are interpreted) and also raises questions of academic freedom (for those museums associated with universities). On the other hand, the civil and religious rights of Native people are also an issue. Some who work with the US repatration law (NAGPRA) consider it to be civil rights legislation, although we should remember that there is nothing in that law that limits what kind of information museums can provide about their collections, not matter how they are classified. One approach you might want to investigate is that of the Field Museum's Anthropology Department, which asks researchers to seek permission from the appropriate tribal entity if they want access to sensitive materials. IT SIG -- Meeting followup
Thank you for attending the IT SIG meeting in Boston last week. It was good to meet all of you and I hope we can maintain a helpful relationship this year to assist each other through this maze we call Information Technology. There was a lot of good dialogue and I hated to cut it short due to time limitations. I hope we can rekindle some of that conversation on the MCN-list. I would like to hear more on the storage issues discussion; big issues for everyone as the growing demands of digital images take over the servers. Does anyone restrict areas that digital images can be stored? Set folder limits? Require periodic cleanup? What works for you? Are you responsible for these issues or do you have a records management, visual resources, or other department who takes care of that? How do you backup all that stuff? Full vs. incremental backup -- pros and cons? Do you use tapes, hard drive, DVDs, or Internet Services? What else would you like to know? Scheduling software
Has anyone found scheduling software that is uncomplicated and incorporates scheduling all aspects within a Museum? We mainly have tours, special events, and daily staff meetings that we want to track on one calendar (instead of 10 different public calendars in Outlook!) It would be nice if it could produce daily and weekly activity reports; monthly and annual statistics, like numbers of attendants to different types of tours and functions; track docent hours based on which tours they were scheduled to do, track resource usage, etc; and give everything to you in one calendar view screen! And dont forget unlimited users because we want everyone on staff to be able to view the calendar and may be even book staff meeting rooms. We looked at Vista, Blackbaud Raisers Edge Events module, and ABC Event Manager. There are things I like about each one of them. They all seem to focus on different aspects of event planning. Some on room allocation, some on tracking resources, some on finance, some on ticketing but, we just havent quite found what we need. So, what software are you using and what do you like/dislike about it? Study in Digitization Practices for Audiovisual Materials - MCN
DearMCN Colleagues Cinetech (Ascent Media Group),is coordinating a study of digitization practicesfor audiovisual materials. Our goal is threefold: 1) to ensure that the field is kept up to date ondigital technologies, 2) to ensure that members of the archival/library/university and museum communities make the best use of their resources, and 3) to ensure that preservation/restoration service providers take into consideration the needs of the community. The first stage is a field-wide survey. The survey is largely multiple choice, will take 10-15 minutes and has been designed with your convenience in mind. I have struggled with this issue also. MCN has been a good educational experience for relating technical issues to other aspects of the Museum. Digitization, Library, Collection Management are all areas that I support and knowing more about these areas has been very beneficial. But, as Bill mentions, the technology management issues are not addressed. I think we would all benefit from others who have gone through these processes or who are struggling along side of us. MCN has been the place for making contacts in these areas. I would highly recommend FileMaker Pro for the pure database aspect of the project. You can link your sound files via an appropriate address field (in olden days I did that with urls for images). Perian, My eyes tend to cross too when people much more knowledgable than I explain meta-data. Here's my basic understanding, at least as it applies to museums Each field in a collections database is a discrete piece of information about an object. In different databases that field can have different names, but still refer to the same piece of information; e.g, catalogue number = accession number = number. So that databases can talk to each other (and people can share information between databases), there needs to be an overall description of that piece of information. In this case it might be unique identifying number. Various metadata systems (like MARC, Dublin Core) have set out lists of those pieces of information (more easily understood as database fields) and definitions of what they are. Another example would be author = maker = artist; here the metadata descriptor might be original creator of object. You may (not) want to keep in mind that many museums do not use standardized vocabularies, particularly ones with anthropological, archaeological and historical collections. These are the element sets...? these are MARC, LOC, VRA, Dublin Core 3) Because very few institutions have pure collections that fit into one of the Vocabularies, we can use multiple Vocabularies. Do we use multiples of #2 as well? These are defined and plugged into the element sets. They are tagged as belonging to a specific Vocabulary (I think there's a middle piece in here I'm missing) 4) There is an umbrella structure, the Harvester, which can read #2 and serve it to the user in readable form. Examples: OAI, MARC (also fits as a #2), XML So as you can see, I'm dreadfully muddled. I know it's important to understand it, but I'm just not able to wrap my head around the various resources out there. I'm starting to think that Ask A Ninja is more my level...
