This is exactly my problem statement, as the person who most often
organizes F2F meetups.
It's tricky! You're trying to minimise detail, variability and comms
which all put people off (and it's work!) but you want to be inclusive
and handle everyone well. Thanks for the caring and doing.
Deciding and communicating in advance how payment will work would a big
step I feel. Let's those risk averse to sudden $$$ know rather than
guess if it's OK. Ideally of course, that "how" includes an option for
those tight on money.
E.g. for a shared meal: "Sorry if this doesn't work but the restaurant
needs a single bill and we're splitting the bill evenly for this one" or
"The restaurant needs a single bill so we'll split it evenly except for
those having 1 course and no drink who'll pay $20" (where $20 is an
expensive main)
