I have been asked by our administration to setup an administrative account
for each grade (5-8) so that two things happen (let's us grade 5 as an
example):

1. Incoming message to a student in gr. 5 goes to the admin5 account.

2. Any message sent by gr. 5 student is also sent to the admin5 account.

I won't go into the rationale for this decision, but as a private school
with written parental consent, the privacy implications don't apply.

So, what is the most efficient way for me to accomplish this? Add the admin5
address to the distribution list for each student in gr.5? How do I get
every message sent by that student to go to admin5? TIA.

You cannot handle the outbound copying with SIMS.


Be aware that even if you find some alternative to SIMS that will do the trick for outbound mail, in order for it to really catch all messages sent by students you will need some pretty strong network restrictions as well, at least blocking port 25 connections to anything but your outbound mail server and probably blocking access to the various webmail providers.

I have found that when an organization is faced with this issue and decides on the side that yours has (understandable for a school,) they are generally better off reconsidering the whole idea of giving those users standard email accounts at all. Once you start capturing all that mail, you really need to find the resources (i.e. competent adults) to sift through it or else the whole exercise is pointless and possibly dangerous legally. If you don't have a plan in place for doing this oversight really responsibly, you probably want to discuss with counsel whether you are entering a risky area by working hard at collecting and keeping a whole lot of data only to ignore it. You surely don't want it to be easy for a parent's lawyer at some point to have too easy a case to make for the fact that you 'knew or should have known' that little Jimmy was exchanging email with some pedophile in jail. I'm not sure what the current state of the law is but others have found in the past that halfway measures in this area can be worse than doing nothing.
