Pamina,

Similar to Teresa's response, Purdue's retention requirements are based on the
content of the record, not the delivery system. Our Electronic Mail
policy<http://www.purdue.edu/policies/information-technology/viia1.html> talks
about this in the section on Email Retention and Disposal. That policy only
covers email sent or received on the university's system, not email exchanged
solely on external accounts.

Our Record Retention
Schedule<http://www.purdue.edu/business/frehoper/pdf/Records%20Retention%20Schedules/Records%20Retention%20Schedule%20full.pdf>
(PDF) outlines the requirements for each type of record. BOT is at the bottom
of page 2/top of page 3.

Subject: [acupa-l] Governing boards' email correspondence

Hi,

At the University of New Mexico, the minutes, agendas, and exhibits for our
Board of Regents' meetings are deposited and retained in an online archive, but
we have no formal policy on the retention and disposition of routine Regents'
correspondence, including email communications. I'm interested in knowing
whether other institutions have record retention and disposition policies that
specifically address the routine correspondence, especially email, of Regents
or other governing board members.

Thanks,
Pamina
