Hello David,

At the University of Washington we don’t solicit anticipated policies from our 
administrative (or academic) units (although they are encouraged to work with 
our office as soon as the need for a new or revised policy is known); however, 
my office does work with our Office of State Relations and Office of Federal 
Relations to determine when changes in state or federal policy will affect UW 
policies or rules in place.

It’s often from federal rule-making or pending state legislation that I’m first 
made aware of changes that will affect particular UW policies and rules.  Once 
aware, I can reach out to the campus unit(s) that oversees that particular rule 
or policy to alert them to the possible or pending change (if they are not 
already aware) and the need to update the policy accordingly. Often the unit(s) 
are aware of the pending change, but not necessarily the particular policy it 
will affect.

We approach it with a simple “heads up” communication that works in the best 
interest of both parties.  However, I realize you work on a different scale 
than the UW’s three-campus system. I wish you all the best with your situation.

Good afternoon colleagues….Looking for any processes, timelines, procedures, 
etc. that you all use to solicit “new” anticipated policies.  At the University 
of California, our Presidential Policies (systemwide—13 locations, 200,000+ 
employees) must often go out for vetting to the full community.  This requires 
at least 90 days for each policy.  Our Academic Personnel office has said that 
they must know in advance which policies are anticipated so that they can plan 
the solicitation of vetting ideas within their academic calendar and committee 
structure.  So I’m asking if any of you have a process with timelines, 
deadlines, etc. to ask policy owners/offices for anticipated policies or 
cut-off dates for a particular year so that vetting and processing can be 
planned.

Any thoughts/help would be appreciated.
