Tip for loading remote imported graphics quicker

Here's a tip for anyone in my situation. Hope this helps other out
there.

Problem: My graphics are imported and stored another server, while frame
is on another PC. As a result, the loading time for graphics is
wretched, and each page in the document with a graphic in it would cause
the hourglass to appear, and each page would take a bit to load.

Solution: Since putting frame and the graphics on the same computer is
not an option, I found the next best thing is to:

1. Open the book.
2. Open each file in the book.
3. Select Print Book
4. Select Print to File
5. Create a file (that lives until the book is completed) called
delete_me.ps
6. Select Print.
7. Get some coffee - and the result is that it accomplishes the loading
of all of the graphics in the entire book, removing delays when
scrolling pages.

If there is a better way, let me know. But this is a significant
improvement for me - and hopefully for others in my situation.

I'm drawing a blank at the moment, but I remember using a translation app 
(Trados perhaps?) back around 2000/2001 that did this kind of diff harvesting.  
 It only noted the changes, (no auto screenshot), but that was a good lead.

What tools do your test team use?

For the harvesting side of things, would they be able to add a step into
their automated test scripts, something that bashed the PrintScreen button?

Just an idea.

No clue how you'd run a DIFF on an image file relating to the content of an
image. Would imagine that may be a specialist (expensive) app, but very
willing to be proven wrong.

how to manage multilingual documentation with frequent updates

Hello Framers,
One of my customers is thinking of switching to FrameMaker for creating
and maintaining their multilingual user documentation (9 languages).
They will be having three to four updates per year, with 10 to 20%
changes in content. 
In order to keep costs down (= not having to retranslate (recycle) all
documentation), we are looking for an efficient (and cost saving)way to
handle this type of documentation.

Spell check error when trying to learn a word

When running spell check, I get the following message when trying to get 
FrameMaker to learn a word:Cannot add xxx to a dictionary.To add xxx to a 
dictionary, first deselect the corresponding Find setting in the Spelling 
Checker Options dialog box.What does this mean?  I've tried searching the web

I can't even imagine such a tool existing. And your problem confuses me. You 
don't really want to just update the screen shots in your doc without any human 
intervention, do you? 

If a menu or dialog box has changed, don't you need to add or change the text 
in your doc, not just the screen shot? To know what to write, you need to look 
at and work with the menu or dialog box. Presumably, the place in your doc 
where you're writing is the place where you have the screen shot. Couldn't you 
just, quick as a wink, press your Snag-It (or whatever) hotkey and create a new 
screen capture? (You're importing by reference into FM, I hope, so that it's 
just a matter of replacing the old graphics file with a new one of the same 
name.)

You might also want to reconsider how many screen shots your docs really need. 
IMHO, a screen shot of a menu is pointless clutter. If your procedure says, On 
the Foo menu, select Bar, do your readers really need a picture to find Bar? 
In reference material where you describe each menu item, do your readers really 
need to see what font they're in in the interface?

I'm struck by the irony. You're saying that even diem (the day) is too 
forward-looking for you -- so why are you worrying about future GUI changes?

Work with a translation vendor that uses Trados (now part of SDL), and
specifically the X-Translate module.  Content that is a 100% match is
not touched at all, resulting in reduced costs.  You pay only for
translations on the new content, and DTP/QA time for the entire book.  I
currently do this with my docs, some of which are in 29 languages, and
the savings have been significant.

I can recommend a couple of vendors if you're interested.

Have you actually looked at the Spelling Checker Options, i.e., 
clicking on the Options button on the right side of the 
Spelling Checker window, and seeing what choices are enabled?

I haven't encountered this particular error myself, but Frame 
is clearly letting you know that there is a conflict with 
trying to add this word due to the settings of the options.

Cool idea!

I think you could create if from off-the-shelf items, but I've never tried to.

However, I know that at a couple shops where I worked in the past, QA
used automated test tools to walk the menu trees for GUI testing. I
think if you combined an existing tool with something like SnagIt to
capture the screen shots automatically, you could make it work. (You
could probably compare the snaps with something like iMatch or Adobe
Bridge. I think that if you set up SnagIt correctly, it would create a
new directory filled with automatically named files that would replace
your existing set of snaps. Only gotcha would be how to name files if
the number of menu items changed and the files were auto-numbered...)

Probably the first step would be to ping your QA engineers and see
what they already own...

I don't know about the harvesting, etc., but Total Commander is
absolutely amazing when it comes to comparing files. I call it my Feng
Shui tool. You can compare many different types of files (don't dare
say all types, but it's been all types for me so far). If you compare
files that are different and they are not pure text files, then it
gets messy (if not impossible) to read the differences. In those
cases, it should be sufficient to know they are different and that you
have to deal with them.

Shareware: http://www.ghisler.com/ Some people get stars in their eyes
when they talk about Total Commandor... I am still at the novice
level.

Another tool you can use for comparison is http://www.clonespy.com/. I
know nothing about them. This was just recommended today in a
newsletter. It compares on the basis of the checksum.

Another tool that brings out stars in the eyes of some people is
Emacs. I don't know how it would deal with graphics. Again, I am a
novice Emacs user, using it on Windows.

I have to agree with Richard Combs. I cannot see how you can avoid
some sort of manual check. You might need a critical thinker who can
say that the picture is slightly different, but is actually OK in this
case. And there should be editing function that goes through
everything anyway at some point. Still, I hope this tool suggestions
can help in some way.

Well,

Although it's been a few years since I used 6, I believe the numbering
properties you're asking about are controlled from the book file, not
each component file nor the TOC itself.

Highlight a component file in the book file window and right click;
select Numbering... You should see tabs, including one for Chapter and
another for Page. Go to the Chapter tab (probably) to set the prefix
by setting the $chapnum system variable, including turning off the
prefix for your Preface. The Page tab works the same way -- go there
to set the Roman numerals for the preface.

Hi all,

I enjoy this list and find it very useful. But I find myself wishing
that when a person uses an acronym he/she would also write what it
stands for in parentheses at least once in the email.

I know we techies sometimes throw them around like everyone knows what
we are talking about (I am guilty) but sometimes there are those in our
audience that often do not (including myself).

I admit I am probably the dumbest on the list but I do not know what CMS
or other often used acronyms stand for.

Searching AF for CMS... Content Management System is the
fourth-ranked meaning, below three others that are clearly not relevant
to techwriting.  Clicking on the dictionary/encyclopedia icon next to
the definition produces a page of information; here's an excerpt:

A content management system is a computer software system for
organising and facilitating collaborative creation of documents
and other content. A content management system is often a web
application used for creating and managing websites and web
content. Alternatively, content management systems (CMS) can
also be used for storing and publishing documentation such as
operators' manuals, technical manuals, sales guides, etc.

A web content management system is essentially a way of

Hello Jan,

One possible solution for your customer is a Content Management System
(CMS), which manages content in a database. CMSes promise to save money
by enabling you to isolate only new or changed material, so your content
is translated only once. 

I looked into a CMS for my company, but the extra cost of foreign
language modules made the proposal difficult to justify. And a CMS
requires you have to write structured documents. FrameMaker does that,
of course, but if you are new to Frame, you have to learn Frame, how to
create structured documents, and how to use the CMS all at the same
time.

The customer can also send just the new or modified text for
translation, then manually place the translated material into an
existing document. This action will save some money but it could take a
lot more time.

The benefits of a CMS notwithstanding, I think that your customer might
be better off sending the full document for translation. As you well
know, full-service translation firms like TI use tools such as
translation memory, to enable you to identify exact and fuzzy matches in
words and phrases. Then you give the customer a substantial discount for
those portions of the document. So when a previously translated document
comes in with a 20% change, you only charge the full rate for 20% of the
material. As a result, the customer is not really retranslating all
documentation.

It is certainly possible to translate new material, then add the new
material into an existing document, either manually or using a CMS. But
when you assemble a document written in a language you cannot read, how
do you quality check the document? If you assembled the document
correctly, it SHOULD be correct. But how do you KNOW? A major advantage
of having a full-service translator prepare your documents is that the
translator can actually read and verify the final output.

Each customer must examine their resources, requirements, and the
alternatives, then determine the best solution. For my company, the
traditional method of translation is best.

I might need to refer to the semiconductor type, but I am exceedingly
unlikely to ever refer to a style manual.

If I am writing about the practice of technical writing, on the other
hand, it's pretty unlikely that I will ever have to refer to types of
semiconductors, and if I do I will certainly know to expand the
acronym.

OT: 404 translations for a Friday

Somehow, all of this acronym-mania (definitely a term requiring a
hyphen!) reminded me of the following site, which puports to translate
the standard 404 - Page not found error into some absurdly long list
of languages and dialects (yes, including Klingon and l33t).  A note to
assist in the humor of this -- some of these you will need to pronounce
out loud to get.  (And some are simply funny only to the person who
created them -- YMMV).

Jump back shortcut?

When you use Ctrl-Alt-click to jump from a cross-reference to its  
source, I've always thought there was no way to jump back to the  
xref. But some time back, someone on this list posted a keyboard  
shortcut that does just that. I can't remember it and can't find it.

Congrats on making the move to content management. I'd suggest you  
use Frame with a CMS as replacing Frame with a CMS will not yield  
the results you likely desire.


Shopping for Content Management Systems is the focus of an upcoming  
session to be taught by tech pubs CM guru Ann Rockley at the  
Documentation and Training Conference in Vancouver.

There are a variety of CMS vendors vying for the attention fo the  
hundreds of thousands of Frame users out there. Top of my list:  
Astoria Software (as they have a top-notch component content  
management system designed for XML publishing). They also are working  
closely with Adobe to ensure their products jibe with Frame. Astoria  
is also releasing its hosted CMS (a web-based content management  
system that allows you to access the CMS and work from virtually  
anywhere).


There are of course others. The main players in addition to Astoria  
(in my view) are:


Vasont
XyEnterprise
SiberLogic

Each has its strengths and weaknesses. Your mileage may vary. If  
you'd like me to put you in contact with some folks at any of these  
firms, let me know. I can often bypass the front line sales people  
and get you answers you need fast.

The predefined key sequence is escvP. That's three separate
keystrokes: the escape key, a lowercase v, and an uppercase P.

You can modify this for your installation by following the instructions
in Customizing_Frame_Products.pdf, found in the OnlineManuals directory
of your FrameMaker installation.

For example, to map it to AltLeft arrow, add the following to the
end of wincmds.cfg:

   Modify GotoPreviousView KeySequence ~/Left  

However, in my quick testing, the jumps back only seem to work when the
destination is in the same file. If you want to return to a location in
a different file use CtrlTab to cycle through the open files.

I would say that they left the bait and you bit it.

If you must, send some of the great information that has been  
supplied to the magazine publishers in a letter to the editor, or if  
they have online version, respond to that.

Paste Special

The best option I've come across to achieve this is to use a third party tool 
called Hovtext (www.hovtext.com).

Its simple, easy to use and free.  It works for all Windows apps, not just 
Frame specific.  Highly recommended.

Tip for loading remote imported graphics quicker

Here's a tip for anyone in my situation. Hope this helps other out
there.

Problem: My graphics are imported and stored another server, while frame
is on another PC. As a result, the loading time for graphics is
wretched, and each page in the document with a graphic in it would cause
the hourglass to appear, and each page would take a bit to load.

Solution: Since putting frame and the graphics on the same computer is
not an option, I found the next best thing is to:

1. Open the book.
2. Open each file in the book.
3. Select Print Book
4. Select Print to File
5. Create a file (that lives until the book is completed) called
delete_me.ps
6. Select Print.
7. Get some coffee - and the result is that it accomplishes the loading
of all of the graphics in the entire book, removing delays when
scrolling pages.

If there is a better way, let me know. But this is a significant
improvement for me - and hopefully for others in my situation.

I'm drawing a blank at the moment, but I remember using a translation app 
(Trados perhaps?) back around 2000/2001 that did this kind of diff harvesting.  
 It only noted the changes, (no auto screenshot), but that was a good lead.

Your solution of printing the book to a junk file sounds workable.

Don't forget though, that if your document has reached the stage where 
you're not actually working with the graphics themselves, you can simply 
turn off the display of graphics (View > Options > Graphics). You'll see 
the anchored frames' borders (if view borders is enabled), but there's 
no loading of remote files at all.

What tools do your test team use?

For the harvesting side of things, would they be able to add a step into
their automated test scripts, something that bashed the PrintScreen button?

Just an idea.

No clue how you'd run a DIFF on an image file relating to the content of an
image. Would imagine that may be a specialist (expensive) app, but very
willing to be proven wrong.

One of my customers is thinking of switching to FrameMaker for creating
and maintaining their multilingual user documentation (9 languages).
They will be having three to four updates per year, with 10 to 20%
changes in content. 
In order to keep costs down (= not having to retranslate (recycle) all
documentation), we are looking for an efficient (and cost saving)way to
handle this type of documentation.

Spell check error when trying to learn a word

FrameMaker to learn a word:"Cannot add xxx to a dictionary.To add xxx to a 
dictionary, first deselect the corresponding Find setting in the Spelling 
Checker Options dialog box."What does this mean?  I've tried searching the web

I can't even imagine such a tool existing. And your problem confuses me. You 
don't really want to just update the screen shots in your doc without any human 
intervention, do you? 

If a menu or dialog box has changed, don't you need to add or change the text 
in your doc, not just the screen shot? To know what to write, you need to look 
at and work with the menu or dialog box. Presumably, the place in your doc 
where you're writing is the place where you have the screen shot. Couldn't you 
just, quick as a wink, press your Snag-It (or whatever) hotkey and create a new 
screen capture? (You're importing by reference into FM, I hope, so that it's 
just a matter of replacing the old graphics file with a new one of the same 
name.)

You might also want to reconsider how many screen shots your docs really need. 
IMHO, a screen shot of a menu is pointless clutter. If your procedure says, "On 
the Foo menu, select Bar," do your readers really need a picture to find Bar? 
In reference material where you describe each menu item, do your readers really 
need to see what font they're in in the interface?

I'm struck by the irony. You're saying that even "diem" (the day) is too 
forward-looking for you -- so why are you worrying about future GUI changes? 
Deal with each at the "nunc" when you discover it! ;-)

Work with a translation vendor that uses Trados (now part of SDL), and
specifically the X-Translate module.  Content that is a 100% match is
not touched at all, resulting in reduced costs.  You pay only for
translations on the new content, and DTP/QA time for the entire book.  I
currently do this with my docs, some of which are in 29 languages, and
the savings have been significant.

I can recommend a couple of vendors if you're interested.

Spell check error when trying to learn a word

Have you actually looked at the Spelling Checker Options, i.e., 
clicking on the "Options" button on the right side of the 
Spelling Checker window, and seeing what choices are enabled?

I haven't encountered this particular error myself, but Frame 
is clearly letting you know that there is a conflict with 
trying to add this word due to the settings of the options.

Cool idea!

I think you could create if from off-the-shelf items, but I've never tried to.

However, I know that at a couple shops where I worked in the past, QA
used automated test tools to walk the menu trees for GUI testing. I
think if you combined an existing tool with something like SnagIt to
capture the screen shots automatically, you could make it work. (You
could probably compare the snaps with something like iMatch or Adobe
Bridge. I think that if you set up SnagIt correctly, it would create a
new directory filled with automatically named files that would replace
your existing set of snaps. Only gotcha would be how to name files if
the number of menu items changed and the files were auto-numbered...)

Probably the first step would be to ping your QA engineers and see
what they already own...

I don't know about the harvesting, etc., but Total Commander is
absolutely amazing when it comes to comparing files. I call it my Feng
Shui tool. You can compare many different types of files (don't dare
say all types, but it's been all types for me so far). If you compare
files that are different and they are not pure text files, then it
gets messy (if not impossible) to read the differences. In those
cases, it should be sufficient to know they are different and that you
have to deal with them.

Shareware: http://www.ghisler.com/ Some people get stars in their eyes
when they talk about Total Commandor... I am still at the novice
level.

Another tool you can use for comparison is http://www.clonespy.com/. I
know nothing about them. This was just recommended today in a
newsletter. It compares on the basis of the checksum.

Another tool that brings out stars in the eyes of some people is
Emacs. I don't know how it would deal with graphics. Again, I am a
novice Emacs user, using it on Windows.

I have to agree with Richard Combs. I cannot see how you can avoid
some sort of manual check. You might need a critical thinker who can
say that the picture is slightly different, but is actually OK in this
case. And there should be editing function that goes through
everything anyway at some point. Still, I hope this tool suggestions
can help in some way.

Frame 6.0 Win - Mixed Page Numbers in TOC, Index... HELP

Well,

Although it's been a few years since I used 6, I believe the numbering
properties you're asking about are controlled from the book file, not
each component file nor the TOC itself.

Highlight a component file in the book file window and right click;
select Numbering... You should see tabs, including one for Chapter and
another for Page. Go to the Chapter tab (probably) to set the prefix
by setting the <$chapnum> system variable, including turning off the
prefix for your Preface. The Page tab works the same way -- go there
to set the Roman numerals for the preface.

I enjoy this list and find it very useful. But I find myself wishing
that when a person uses an acronym he/she would also write what it
stands for in parentheses at least once in the email.

I know we techies sometimes throw them around like everyone knows what
we are talking about (I am guilty) but sometimes there are those in our
audience that often do not (including myself).

I admit I am probably the dumbest on the list but I do not know what CMS
or other often used acronyms stand for.

Searching AF for "CMS"... "Content Management System" is the
fourth-ranked meaning, below three others that are clearly not relevant
to techwriting.  Clicking on the dictionary/encyclopedia icon next to
the definition produces a page of information; here's an excerpt:

A content management system is a computer software system for
organising and facilitating collaborative creation of documents
and other content. A content management system is often a web
application used for creating and managing websites and web
content. Alternatively, content management systems (CMS) can
also be used for storing and publishing documentation such as
operators' manuals, technical manuals, sales guides, etc.

Hello Jan,

One possible solution for your customer is a Content Management System
(CMS), which manages content in a database. CMSes promise to save money
by enabling you to isolate only new or changed material, so your content
is "translated only once." 

I looked into a CMS for my company, but the extra cost of "foreign
language" modules made the proposal difficult to justify. And a CMS
requires you have to write structured documents. FrameMaker does that,
of course, but if you are new to Frame, you have to learn Frame, how to
create structured documents, and how to use the CMS all at the same
time.

The customer can also send just the new or modified text for
translation, then manually place the translated material into an
existing document. This action will save some money but it could take a
lot more time.

The benefits of a CMS notwithstanding, I think that your customer might
be better off sending the full document for translation. As you well
know, full-service translation firms like TI use tools such as
translation memory, to enable you to identify exact and fuzzy matches in
words and phrases. Then you give the customer a substantial discount for
those portions of the document. So when a previously translated document
comes in with a 20% change, you only charge the full rate for 20% of the
material. As a result, the customer is not really "retranslating all
documentation."

It is certainly possible to translate new material, then add the new
material into an existing document, either manually or using a CMS. But
when you assemble a document written in a language you cannot read, how
do you quality check the document? If you assembled the document
correctly, it SHOULD be correct. But how do you KNOW? A major advantage
of having a full-service translator prepare your documents is that the
translator can actually read and verify the final output.

Each customer must examine their resources, requirements, and the
alternatives, then determine the best solution. For my company, the
traditional method of translation is best.

If I am writing about the practice of technical writing, on the other
hand, it's pretty unlikely that I will ever have to refer to types of
semiconductors, and if I do I will certainly know to expand the
acronym.

OT: 404 translations for a Friday

Somehow, all of this acronym-mania (definitely a term requiring a
hyphen!) reminded me of the following site, which puports to translate
the standard "404 - Page not found" error into some absurdly long list
of languages and dialects (yes, including Klingon and l33t).  A note to
assist in the humor of this -- some of these you will need to pronounce
out loud to get.  (And some are simply funny only to the person who
created them -- YMMV).

Jump back shortcut?

When you use Ctrl-Alt-click to jump from a cross-reference to its  
source, I've always thought there was no way to jump back to the  
xref. But some time back, someone on this list posted a keyboard  
shortcut that does just that. I can't remember it and can't find it.

Congrats on making the move to content management. I'd suggest you  
"use Frame with a CMS" as replacing Frame with a CMS will not yield  
the results you likely desire.

Shopping for Content Management Systems is the focus of an upcoming  
session to be taught by tech pubs CM guru Ann Rockley at the  
Documentation and Training Conference in Vancouver.

There are a variety of CMS vendors vying for the attention fo the  
hundreds of thousands of Frame users out there. Top of my list:  
Astoria Software (as they have a top-notch component content  
management system designed for XML publishing). They also are working  
closely with Adobe to ensure their products jibe with Frame. Astoria  
is also releasing its hosted CMS (a web-based content management  
system that allows you to access the CMS and work from virtually  
anywhere).

There are of course others. The main players in addition to Astoria  
(in my view) are:

Vasont
XyEnterprise
SiberLogic

Each has its strengths and weaknesses. Your mileage may vary. If  
you'd like me to put you in contact with some folks at any of these  
firms, let me know. I can often bypass the front line sales people  
and get you answers you need fast.

The predefined key sequence is vP. That's three separate
keystrokes: the escape key, a lowercase v, and an uppercase P.

You can modify this for your installation by following the instructions
in Customizing_Frame_Products.pdf, found in the OnlineManuals directory
of your FrameMaker installation.

For example, to map it to , add the following to the
end of wincmds.cfg:

destination is in the same file. If you want to return to a location in
a different file use  to cycle through the open files.
