Hi Framers,
I have a book file with a number of chapters and appendices. I use the
same book file for 3 manuals, which I control with 3 conditional text
tags.
One of the appendices is only used in 2 of the manuals. Can I make this
appendix conditional? 
My fallback solution is to make a separate book for this manual. I'd
prefer though to have a single book.

Remote Desktop and FrameMaker

Hi--

Does anyone know if FrameMaker works with Remote Desktop? I have this set up 
and I find that several files I work with blow up. I do not have this problem 
on other configurations, that is, not using Remote Desktop. I am on FrameMaker 
7.2.

Any help is appreciated!

You can't make an entire file conditional. Embrace the idea of multiple
books -- this is the sort of thing it's for. In fact, I'd use a separate
book for each manual, each with its own title page file, in which I'd
store the variables for that manual.

I don't really have objections to building multiple books, myself, but 
I wish that I could control page numbering for subordinate or included 
books from the top-level book.  Then again, I need to remember to do 
separate updates for all books before generating.  It would be nice to 
be able to control this from the top-level book as well.

What is your objection to building two books? That's the way FrameMaker is 
designed to work. If it weren't for the ability to build different books from 
differing collections of chapters is the primary reason for the extra 
comlication of the chapter/book paradigm.

Re: Print text in spot color

We are having some problems with spot color as well. Our problem is  
tinting. All tints are being printed as 100 percent. Only way we get  
the tint correct is if we print separations, but this is not what the  
printer wants. Still a trouble-shoot in progress.

The question I answered did not deal with multi-level (nested?) books. It was a 
simple question about building two different deliverables from a mostly shared 
set of component files. The answer to that question is that the method for 
excluding one chapter from one deliverable while including in the other 
deliverable is to construct two different book files from the same set of 
chapters (except the one to be excluded, of course). 

Richard Combs recommended using separate cover pages that contain the 
version-specific values of user variables (e.g. document ID and book title for 
headers/footers), which is also my practice. I also use the cover page to 
contain the version-specific conditional text settings which I import along 
with the variables into the chapters when I'm preparing to publish the 
individual versions. I also keep separate sets of book-specific generated files 
(TOC, LOF, LOT, Index) for each variant just to make the publishing process 
more foolproof.

If you create a new link and give it the identifier checklist (as in
your what I am doing procedure) then you should use that same ID as
the destination when you insert the Jump to Named Destination
hypertext marker.  Perhaps it was inadvertent, but your example has
different 'names' and I would not expect it to work, either in FM or PDF.  Also 
note that
the names are case-sensitive, so checklist and CheckList are
different destination names.  You will still see the hand pointer (as
you hover over the hypertext marker), but because the names don't
match, the jump can't find the target to move the insertion point.




The validate function only really verifies that you have the syntax
correct
for the marker you're adding, not that the command will work as
expected.  After all, you could enter the goto commands first, then
define the destinations as the second step...





You can test a link by temporarily locking the document via Save
as View Only or the escape sequence Esc F l k (four separate key
presses: escape, Capital-F, lowercase-L lowercase-K ; this toggles the
locked or view-only state of the document) or just hold the control
and alt keys together as you hover over the hypertext marker.

Congrats, Susan, you've restarted the list! :-)

You should be getting an error message when you create the link, since
you have Validate Command upon Insertion selected and you're creating
a hyperlink to a destination that doesn't exist. 

In your first step 4, you created a Named Destination, naming it
checklist. That created a marker at the place you want to jump to. 

In the second step 4, when you create a Jump to Named Destination, you
must enter the name you gave the destination -- checklist -- not the
word at the destination point. The hyperlink points to a marker, not a
word in the text flow. In this case, it should be the checklist marker
you created to mark the destination.

Fred,

I have a similar but not identical situation. (FM 9)  I have two 
versions of the same product; one is cut down from the other.  There are 
roughly 100 components to the large manual I inherited, which is a 
reference guide. These are currently grouped into 7 sections.  The 
smaller version of the document will use components from different 
sections mixed together. All 100 pieces undergo revision about every 4 
months.

What I'm thinking is that I should break out each component from its 
section, and have 100 pieces that I can mix and match as needed.  About 
90 pieces will be in the same position within both manuals, and in fact 
the sections that contain these would remain unchanged.  My idea is to 
include a nested book as an alternate section for my combined pieces 
destined for the small guide, and exclude it when generating the large 
manual.  I would have another book for the parallel section of the large 
guide, and exclude it when generating the small manual.

Does this make sense?  I do have the separate versions of front matter 
as you and Richard suggest.  I would appreciate any input.  I am still 
in the planning stage.

If you create a new link and give it the identifier checklist (as in your 
what I am doing procedure) then you should use that same ID as the 
destination when you insert the Jump to Named Destination hypertext marker.  
Perhaps it was inadvertent, but your example has different 'names' and I would 
not expect it to work, either in FM or PDF.  Also note that the names are 
case-sensitive, so checklist and CheckList are different destination names. 
 You will still see the hand pointer (as you hover over the hypertext marker), 
but because the names don't match, the jump can't find the target to move the 
insertion point.

The validate function only really verifies that you have the syntax correct 
for the marker you're adding, not that the command will work as expected.  
After all, you could enter the goto commands first, then define the 
destinations as the second step...

You can test a link by temporarily locking the document via Save as View Only 
or the escape sequence Esc F l k (four separate key presses: escape, Capital-F, 
lowercase-L lowercase-K ; this toggles the locked or view-only state of the 
document) or just hold the control and alt keys together as you hover over the 
hypertext marker.

Paragraph format not converting correctly

Hi All,

I'm using Mif2Go 3.3 and FrameMaker 7 to produce OmniHelp. I have a
conversion template to map paragraph formats. The output is fine except for
one paragraph format; the text for that format is too big. I've checked the
conversion template, and the format is correct. Anyone know of a reason why
a particular format would come out a different font size in OmniHelp?

A small addendum...

The Validate will also do things like checking for the existence of the
gotolink marker specified.

You'll get a nastygram from Frame if you put in the gotolink prior to
defining the newlink marker.

even know that its mouse and keyboard input are coming from elsewhere.


What do you mean by files blow up? Are the files on the PC to which
you're connecting, or are they on a network server? From where and with
what bandwidth are you connecting? A Remote Desktop session unavoidably
induces some delays as data is sent to and from the connecting PC (the
worst being screen refreshes). If there are also delays because the FM
files are elsewhere on the network, maybe you're encountering some weird
timing issues.

Print text in spot color

Hi,

(FM9, WinXP)

We have a document that uses black and one spot color. Spot color is  
defined to be 'print as spot'. When printed to PDF (not saved as),  
spot colors used as fill in tables and graphic elements are printed  
ok, as 100% spot clor. But colored text is printed as CMYK (where  
total of ink percentage is over 200% ??).

I don't understand this, does FM make a difference between text(color)  
and other objects? Or is it a FM9 bug?

I thought I'd stopped getting messages because I turned off the delivery 
option when I went on vacation -- and I wasn't able to turn it back on 
when I got back because the site was down.  I just tried again, and was 
able to log-in and change the option.  Perhaps that means the site has 
been fixed?

We create our PDFs using Save As PDF in FM8.  Acrobat 8 Pro was installed
after FM8, so Save as PDF is therefore using the Distiller (Adobe PDF)
version that is installed with Acrobat.  We set the PDF version to Acrobat
5.0 or later, to ensure that even customers with older versions of Acrobat
can open the file.

A few of our customers still have Reader 7 installed, and some are reporting
an unusual problem with the PDF files.  When viewed with Reader 7, email
addresses in the PDFs are truncated and the links do not work.  However they
display correctly and the links work correctly in Acrobat 8.  We cannot
check, because as you know, we cannot have multiple versions of Acrobat
installed at the same time.

Have any of you seen this problem, and if so, know what causes it?



Starting with Acrobat and Reader 7, there is a preference of Automatically 
detect URLs from text (Edit  Preferences, General; in versions 8 and 9 it 
is called Create Links from URLs).

When this preference is enabled (default), e-mail and web addresses present 
in the text are interpreted as links when the PDF is displayed (without any 
hypertext links defined in FrameMaker). Acrobat 7.x interpretation of 
e-mail addresses is incorrect -- the presence of a dot, an underscore or a 
hyphen disturbs the address and it is truncated (so, for example, 
john@company.com is interpreted as d...@company.com).

This was fixed in Acrobat/Reader 8, so if you display the same PDF in 
Acrobat/Reader 8 or 9 the interpreted link will be OK.

To have fully-functional e-mail links in all versions of Reader, I 
recommend adding hypertext links in FrameMaker, so that a real e-mail 
links are present in the PDF (and not relying on auto-detected ones).

When longer web links that are split between lines are auto-detected: all 
versions of Acrobat/Reader will only use the portion present in the first 
line (resulting in an incorrect or partial link); having real web links 
(defined in FrameMaker) will fix that too.

[Note: another reason not to rely on auto-detection of web links is that 
some end-users may use non-Adobe PDF viewers, which support various subsets 
of Acrobat/Reader functionality]

First, look at local.css and see if it's correct there.
Assuming the CSS shows a size that's too big, the next

name when the CSS rules for names are applied, like
Heading 1 and heading1), or incorrect element name 
for format (CSS says p.name but element is an li).

There are fixes for any problem, but first you need to 
identify the exact problem.  ;-)

Two additional points:

-- There are cases where the hypertext markers are all valid, yet the 
resulting link is very small due to the character format affecting the 
marker only (eg when copying a gotolink marker from one paragraph to 
another, with the two paragraphs having different character properties). 
You can fix this by first applying default paragraph font to the entire 
area, then apply the required character format to the link text.
The link location/size can be inspected in Acrobat (when the Link tool is 
active).

-- If the link works in FrameMaker (view only document, or regular document 
with Ctrl-Alt-click), but not in Acrobat: in FrameMaker's PDF Setup dialog 
box, turn on Create Named Destinations for All Paragraphs (Links tab).
A sample FM7 files which demonstrates a valid hypertext marker resulting in 
a non-functional link is available at:

is fine when turning on Create Named Destinations for All Paragraphs.

Congrats, Susan, you've restarted the list! :-)

You should be getting an error message when you create the link, since
you have "Validate Command upon Insertion" selected and you're creating
a hyperlink to a destination that doesn't exist. 

In your first step 4, you created a "Named Destination," naming it
"checklist." That created a marker at the place you want to jump to. 

In the second step 4, when you create a "Jump to Named Destination," you
must enter the name you gave the destination -- "checklist" -- not the
word at the destination point. The hyperlink points to a marker, not a
word in the text flow. In this case, it should be the "checklist" marker
you created to mark the destination.

Fairly regularly, I take home a laptop that I can connect to the corp.
network via VPN. I then use Remote Desktop to work on my main PC at the
office. I've run FM 7.2 that way any number of times and never had a
problem. I wouldn't expect to -- it seems to me that FM (or any program
running on a PC to which you've connected via Remote Desktop) shouldn't
even "know" that its mouse and keyboard input are coming from elsewhere.


What do you mean by files "blow up"? Are the files on the PC to which
you're connecting, or are they on a network server? From where and with
what bandwidth are you connecting? A Remote Desktop session unavoidably
induces some delays as data is sent to and from the connecting PC (the
worst being screen refreshes). If there are also delays because the FM
files are elsewhere on the network, maybe you're encountering some weird
timing issues.

Print text in spot color

Hi,

(FM9, WinXP)

We have a document that uses black and one spot color. Spot color is  
defined to be 'print as spot'. When printed to PDF (not saved as),  
spot colors used as fill in tables and graphic elements are printed  
ok, as 100% spot clor. But colored text is printed as CMYK (where  
total of ink percentage is over 200% ??).

I don't understand this, does FM make a difference between text(color)  
and other objects? Or is it a FM9 bug?

Print text in spot color

We are having some problems with spot color as well. Our problem is  
tinting. All tints are being printed as 100 percent. Only way we get  
the tint correct is if we print separations, but this is not what the  
printer wants. Still a trouble-shoot in progress.

What is your objection to building two books? That's the way FrameMaker is 
designed to work. If it weren't for the ability to build different books from 
differing collections of chapters is the primary reason for the extra 
comlication of the chapter/book paradigm.

You can't make an entire file conditional. Embrace the idea of multiple
books -- this is the sort of thing it's for. In fact, I'd use a separate
book for each manual, each with its own title page file, in which I'd
store the variables for that manual.

I don't really have "objections" to building multiple books, myself, but 
I wish that I could control page numbering for "subordinate" or included 
books from the top-level book.  Then again, I need to remember to do 
separate updates for all books before generating.  It would be nice to 
be able to control this from the top-level book as well.

The question I answered did not deal with multi-level (nested?) books. It was a 
simple question about building two different deliverables from a mostly shared 
set of component files. The answer to that question is that the method for 
excluding one chapter from one deliverable while including in the other 
deliverable is to construct two different book files from the same set of 
chapters (except the one to be excluded, of course). 

Richard Combs recommended using separate cover pages that contain the 
version-specific values of user variables (e.g. document ID and book title for 
headers/footers), which is also my practice. I also use the cover page to 
contain the version-specific conditional text settings which I import along 
with the variables into the chapters when I'm preparing to publish the 
individual versions. I also keep separate sets of book-specific generated files 
(TOC, LOF, LOT, Index) for each variant just to make the publishing process 
more foolproof.

If you create a new link and give it the identifier "checklist" (as in
your "what I am doing" procedure) then you should use that same ID as
the destination when you insert the "Jump to Named Destination"
hypertext marker.? Perhaps it was inadvertent, but your example has
different 'names' and I would not expect it to work, either in FM or PDF.? Also 
note that
the names are case-sensitive, so "checklist" and "CheckList" are
different destination names.? You will still see the hand pointer (as
you hover over the hypertext marker), but because the names don't
match, the jump can't find the target to move the insertion point.




The "validate" function only really verifies that you have the syntax
correct
for the marker you're adding, not that the command will work as
expected.? After all, you could enter the "goto" commands first, then
define the destinations as the second step...





You can test a link by temporarily locking the document via Save
as View Only or the escape sequence Esc F l k (four separate key
presses: escape, Capital-F, lowercase-L lowercase-K ; this toggles the
locked or "view-only" state of the document) or just hold the control
and alt keys together as you hover over the hypertext marker.

I have a similar but not identical situation. (FM 9)  I have two 
versions of the same product; one is cut down from the other.  There are 
roughly 100 components to the large manual I inherited, which is a 
reference guide. These are currently grouped into 7 sections.  The 
smaller version of the document will use components from different 
sections mixed together. All 100 pieces undergo revision about every 4 
months.

What I'm thinking is that I should break out each component from its 
section, and have 100 pieces that I can mix and match as needed.  About 
90 pieces will be in the same position within both manuals, and in fact 
the sections that contain these would remain unchanged.  My idea is to 
include a nested book as an alternate section for my combined pieces 
destined for the small guide, and exclude it when generating the large 
manual.  I would have another book for the parallel section of the large 
guide, and exclude it when generating the small manual.

Does this make sense?  I do have the separate versions of front matter 
as you and Richard suggest.  I would appreciate any input.  I am still 
in the planning stage.

  Sorry about that, my example is wrong...   I am using the word ... checklist  
 ...  all lower case at both the "go to" and "destination"  spots.

destination when you insert the "Jump to Named Destination" hypertext marker.  
Perhaps it was inadvertent, but your example has different 'names' and I would

The "validate" function only really verifies that you have the syntax correct 
for the marker you're adding, not that the command will work as expected.  
After all, you could enter the "goto" commands first, then define the 
destinations as the second step...

You can test a link by temporarily locking the document via Save as View Only 
or the escape sequence Esc F l k (four separate key presses: escape, Capital-F, 
lowercase-L lowercase-K ; this toggles the locked or "view-only" state of the 
document) or just hold the control and alt keys together as you hover over the 
hypertext marker.

A small addendum...

The Validate will also do things like checking for the existence of the
gotolink marker specified.

You'll get a nastygram from Frame if you put in the gotolink prior to
defining the newlink marker.

I thought I'd stopped getting messages because I turned off the delivery

Starting with Acrobat and Reader 7, there is a preference of "Automatically 
detect URLs from text" (Edit > Preferences, General; in versions 8 and 9 it 
is called "Create Links from URLs").

When this preference is enabled (default), e-mail and web addresses present 
in the text are interpreted as links when the PDF is displayed (without any 
hypertext links defined in FrameMaker). Acrobat 7.x interpretation of 
e-mail addresses is incorrect -- the presence of a dot, an underscore or a 
hyphen "disturbs" the address and it is truncated (so, for example, 
John.Doe at company.com is interpreted as Doe at company.com).

This was fixed in Acrobat/Reader 8, so if you display the same PDF in 
Acrobat/Reader 8 or 9 the interpreted link will be OK.

To have fully-functional e-mail links in all versions of Reader, I 
recommend adding hypertext links in FrameMaker, so that a "real" e-mail 
links are present in the PDF (and not relying on auto-detected ones).

When longer web links that are split between lines are auto-detected: all 
versions of Acrobat/Reader will only use the portion present in the first 
line (resulting in an incorrect or partial link); having real web links 
(defined in FrameMaker) will fix that too.

[Note: another reason not to rely on auto-detection of web links is that 
some end-users may use non-Adobe PDF viewers, which support various subsets 
of Acrobat/Reader functionality]

Paragraph format not converting correctly

First, look at local.css and see if it's correct there.
Assuming the CSS shows a size that's too big, the next 
step is either just fix the CSS, or figure out why it
came out that way.  Possible reasons are name conflicts
for formats (two formats with names that become a single
name when the CSS rules for names are applied, like
"Heading 1" and "heading1"), or incorrect element name 
for format (CSS says "p.name" but element is an "li").

There are fixes for any problem, but first you need to 
identify the exact problem.  ;-)

Creating paragraph style with colored bar bearing a graphic

Hello, first post ever

I have been using Framemaker for about six or seven years, primarily
within the context of a manual document template created long ago. I
have forgotten how we made a particular paragraph style and need to make
some more like it.

This style is used for cautions and warnings in technical manuals
pertaining to industrial machinery. The current ones have a colored bar
running full column width, and the bar displays a graphic symbol
[triangle including an exclamation point] and the word, warning or
caution. Below that bar is where your entered text will appear; the
specifics of your warning or caution.

To be in compliance with some international styles of safety
information, I need to make some more, perhaps with different symbols
and certainly different words. I can't for the life of me figure out how
these are constructed.

Can someone here tell me how to do this? I would be happy to email some
examples to someone if that was helpful or necessary.
