In both cases, the three files printed, but each started on a separate

I'm off to the Adobe FrameMaker Forum to see if anyone knows ...

[Framers] Saving custom ruling and shading

I've created a table, applied custom ruling and shading, and saved it

I've switched to Structured Frame temporarily (to accommodate a

Re: [Framers] What causes documentation to fail

2016-05-20 Thread Nancy Allison
Even if SMEs cooperate and tech writers are employed to do the work,
   these things can cause failure:
   1. An inability to understand writing for an end user. I am still
seeing writers dump every piece of technical information they receive
into lengthy descriptions, but fail to shape it for the concerns of the
   user.
   2. Omission of background and contextual information that is critical
to understanding the current topic. Such information may be provided by
a link to a different topic, but it must be presented somehow.
   3. Omission of this critical information: why the reader should care.
What is the purpose of using the feature. What problem does it solve.
What happens if you don't use it. What happens if you don't change the
   default values.
   4. Poor choice of graphics. I've recently been seeing huge screenshots,
with no highlights, circles, callouts, nothing, plunked into the
beginning of a procedure, evidently as some kind of establishing shot.
The sprawling screenshot has no real purpose, but the reader has to
puzzle over it for a minute before concluding that it is worthless. In
addition, I've seen UI elements cropped so tightly that there is no
location information. What's the point of a cutout of a radio button
and label all by themselves? Give some hint as to where to find them.
   5. Poorly written sentences and weirdly flowing paragraphs. I'm sorry
to say, there are tech writers with decades of experience who evidently
have been able to keep employed because they have a technical
background and talk easily with engineers. Their actual writing is
   awful.
Hope this isn't too negative. But, let's be honest, an incompetent tech
writer can produce many types of failure that result in an
   all-but-useless document. I've seen it.
   Happy Friday!

[Framers] DropDownBody format destroys indents

2016-05-05 Thread Nancy Allison
FM 12 in Windows 7:
When I select text and apply the HTML5 option DropDownBody, in the
Responsive HTML output, indents for numbered and bulleted steps are
trashed. How do I fix this, and why does it mess them up in the first

Re: [Framers] Cannot get FM to drop the even-numbered blank page

2016-04-28 Thread Nancy Allison
Actually, the thing that is crucial in clearing up the problem is the
Master Page Mapping table, which you have to create in the Reference
   pages.
Tes, Fred Ridder, the purpose was to eliminate blank pages and to start
chapters on the next available page whether recto or verso.
My problem ultimately turned out to be an incompletely updated
template, as far as I could tell.
   Thanks!

   On 04/28/16, Fred Ridder wrote:

The important thing to note is that the "Next Available" option for the
starting page is only available when setting pagination from the book
file. If you choose Pagination when a content file has focus, "Next
Available" is not presented as a choice because that option makes no
sense in the single file context (since there is no preceding chapter).
It's also important to note that misbehavior in any given chapter file
can be caused by something other than "Next Available" being set for
the *following* chapter, rather than any setting in the chapter that is
   misbehaving.
Of course, this all assumes that the objective is to have content on
every page and for chapters not to care whether they start on a recto
(odd numbered) or verso (even numbered) page.

Re: [Framers] Cannot get FM to drop the even-numbered blank page

2016-04-28 Thread Nancy Allison
   Thanks, John!
Given that some companies have requirements for printed documentation,
what difference does it make if chapters start on the right or
   left-hand page?
If they are likely to print a single chapter, then I can see wanting to
have it start on the recto page, but I don't think that's a concern for
   our users.
I did finally go back to the clean template and reimport it into my
working document. The template is set up correctly, and the updated
   working document now paginates correctly.
   Thanks, all!

   On 04/27/16, John Sgammato wrote:

Did you try Format > Pagination and uncheck Make Page Count Even?
(That's a guess - I am away from my computer)
IMO, if your users are likely to print the content, you should always
leave that last verso blank. In my business, many network admins have
requirements for printed doc, and nobody provides it anymore, so they
print the PDFs and put them in binders for compliance reasons.

[Framers] Cannot get FM to drop the even-numbered blank page

2016-04-27 Thread Nancy Allison
Hi, all.
There are two clear, concise explanations about how to start each
chapter in your FM book on the next available blank page, whether left
or right. The two descriptions are here:
   [1]https://www.rockymountaintraining.com/adobe-framemaker-start-chapter
   s-on-the-next-available-page/
   [2]https://www.rockymountaintraining.com/adobe-framemaker-automatically
   -assigning-custom-master-pages/
I have done what they recommend, checked, and rechecked, and still FM
inserts a blank even-numbered page at the end of chapters that would
otherwise end on a left-handed page.
   What am I missing?
   Thank you, one and all.

Paragraph Formats Alternate Reality

2013-03-21 Thread Nancy Allison
I'm using FM 10 on a Windows 7 system.I am trying to change the body text of a document from TimesNewRoman to Arial.I have tried two methods:1. Selected another file with the correct formats and used Import. I have done this at least 10,000 times in the past 20 years. It does not work. Nothing changes.2. Saved the file to .mif, opened it in Notepad, replaced TimesNewRoman with Arial, reopened in FrameMaker. Have done this not as many times, but many. Nothing changes. Re: RE: Paragraph Formats Alternate Reality

2013-03-21 Thread Nancy Allison
Hi, Harro.I finally went manually through each paragraph format and changed the font from TimesNewRoman to Arial and used Update All and that solved the problem. The system does have Arial, and most of the paragraphs did not have overrides. I did a further test:For clarity: The file that seems impervious to alterations to paragraph tags, whether through .mif or Import, is ImperviousFile. The file that I use for creating and then exporting a clean paragraph tag is called AddFormats. In other words, if I want to modify a paragraph tag in one or more .fm files, I create the clean tag in AddFormats and then import it from AddFormats into my .fm files. In my test I:1. Deleted all paragraph tags from AddFormats.2. Successfully imported all the paragraph tags fromImperviousFile.3. Deleted all paragraph tags except Title from AddFormats. (This is the chapter title para tag.)4. Changed the color of Title to red.5. Imported para tags only from AddFormats to ImperviousFile.Result: The chapter title did not change color and the Title para tag did not change attributes!I have edited ImperviousFile and saved it, so it is not locked. What the heck is going on?

Straight-through numbering in FM book

2013-03-13 Thread Nancy Allison
Hi, all.

I've switched from chapter numbering to straight-through numbering in a
FrameMaker document. I'm using FM 10 in a Win 7 environment.

Dropping the Chapnum from the page number setup on the master pages was the
easy part. Here is what I haven't been able to do:

--Renumber figures and tables so they autonumber consecutively through multiple
chapter files. They restart at 1 with each chapter. Even the
FrameMaker-supplied Book template has this problem!

--Keep my cross-reference formats from breaking. Specifically, the hyperlink
breaks. See Figure 3-1 where Figure 3-1 is a hyperlink becomes See
Hyperlink Figure 3-1. Why does changing the autonumber format affect the
cross-reference?

Please feel free to explain all this in detail, but also, please feel
especially free to email me the autonumbering sequences that work for you for
figures and tables!

Thanks!

It's been years since FM has driven me this crazy . . . .

Chunking FM files into Topics for RH

2013-03-01 Thread Nancy Allison
Hi, all. I'm using FM 10 and RH 9 on a Windows 7 system.

I see that there are at least two ways to chunk .fm content into separate .html
topics when you import a FrameMaker project into RoboHelp:

1. When setting up the import of .fm files, set the pagination value to a
heading level; topics begin at each new instance of that heading level.

2. Create custom markers to identify the beginning of a topic. Question: How do
you indicate the end of the topic?

I've found that with technique #1, because subheading levels do not follow a
rigid scheme in our unstructured documents, I have to use a lot of conditional
text and some additional paragraph tags to fool RoboHelp into combining several
subsections that it wants to separate.

I haven't tried technique #2. Does anyone use it? There has to be a way to
indicate the end of each topic you mark -- can you tell me what it is? Given
that you can scope out topics in the .FM file, I assume there's a lot less need
for conditional text. Do you find this to be so? Are there any pitfalls to this
method?

Is there any other approach to chunking text that I'm missing?

Thanks for all advice.

Generating translated online help

2012-11-09 Thread Nancy Allison
Hi, all.

We use FrameMaker 10 and RoboHelp 9 in a Windows 7 environment.

If you manage many translations, how do you handle the online help?

In the past, in English only, we have produced a .chm file that currently is
linked only to the main page through a Help menu item. (If it matters for
translation considerations, I am pushing hard for context-sensitive help in the
future.)

Does your translation house take your FrameMaker files and your sample English
RoboHelp output, and generate the online help for you in all your translated
languages?

Or do you take the translated FM files and generate the translated help files
in-house?

I've done my Google research on this topic and found various sites providing
step-by-step instructions. The writeup I enjoyed most was this:

Find a localization company who can demonstrate to your satisfaction that it
has done this before, and hand off the entire English version of your project -
.hpj, .hhc, .hhk, .htm/.html and, of course, the .chm. Then go back to your
regularly scheduled crisis.

from

http://www.1-for-all.com/l10n_blog/labels/translation%20Robohelp.html

Is that basically how it works for you?

Thanks for any particular tips and hard-won insights you can provide!

"Find a localization company who can demonstrate to your satisfaction that it
has done this before, and hand off the entire English version of your project -
.hpj, .hhc, .hhk, .htm/.html and, of course, the .chm. Then go back to your
regularly scheduled crisis. "

from

http://www.1-for-all.com/l10n_blog/labels/translation%20Robohelp.html

Is that basically how it works for you?

Thanks for any particular tips and hard-won insights you can provide!

Re: Re: Collaborate with PDF-based roundtrip reviews?

2012-10-17 Thread Nancy Allison
Matt and Deanna,

When you say roundtrip, do you mean that everyone on your team edits the same
.pdf, so all comments are captured in one file?

If so, are you able to select only some changes to port back to the FM source
files?

Also, I'd say my company's review process is a little too frisky for that
degree of cooperation. Is there a way to combine comments from separate,
identical PDFs into one PDF?

Thanks very much.

Template for four-page brochure?

2012-08-06 Thread Nancy Allison
In 20+ years of using FrameMaker, I've never had to do this before.

I need to create a template for a four-page Quick Start Card that will print on
a piece of 11 x 17 paper that will be folded once to produce four pages.

I don't know how this is done. Do I:

--Create four regular 8.5 x 11 pages and select print options so pages 4 and 1
will print on one side of the 11 x 17 page, and sides 2 and 3 will print on
the other side?

--Create a template with an 11 x 17 page size with the four text flows already
established? (Is it possible Adobe provides such a template? I looked, but did
not find one in the Templates folder.)

Any tips gratefully received.

Thanks to everyone who has responded.

I neglected to add that we will distribute this document in two ways:

1. Physically along with the hardware product

2. In PDF form from the web site

This means that, however we set up the document we physically print, we also
have to have a printable format for our users. Most of them won't print to 11 x
17 and certainly not to 11 x 17, double-sided. Some of them will even print
single-sided to 8.5 x 11.

It would be terrific if we had one deliverable for both the printer and the end
user.

Batch Update of FM file templates

2012-08-03 Thread Nancy Allison
Hi, all.

I used to know how to update FM file templates in a batch, but I need a
refresher. The process went like this:

1. Open your FM book.
2. Use a .dll function, not native to Frame, to save all the book files to .mif
at once.
3. Open all the .mif files in a tool that provided a table at the bottom of the
UI.
4. In that table, enter the element you wished to replace in the left column,
say a paragraph tag named BL_Heading_1, with the element you wished to replace
it with, say, Heading1. You could enter as many elements as you wanted, and you
could save and reuse the resulting list.
5. Pass Go!
6. Hey Presto! Your changes are made.

Can anyone tell me what the .dll was, and what the editing tool was?

Thank you.

Template Override Madness

2012-08-01 Thread Nancy Allison
Hi, all.

I have been struggling with the Remove Overrides issue with the cover page
template for our user guides. It has a busy first page with a lot of text
flows, graphics, variables, etc.

I could not identify the variation between the body page and the master page,
so I decided to create a brand new file based on the template file. If the new
one was clean, I would ditch the original and rename this one as the template
file.

I created a new file and it looked great -- but it stiill has overrides! The
new file should use the master page as the basis for the body cover page,
correct? And since I haven't touched the brand new body cover page, I can't
have created any overrides. Yes

NO! I still get the message.

Other than flipping back and forth between the Body page and the Master page in
the original template file and hoping to spot the difference, I have no idea
how to fix this.

All suggestions gratefully received.

However, it did not solve the problem. I suppose there must be other overrides,

nor does creating a new document based on the template eliminate them.

Unresolved X-refs with conditional text

2012-06-08 Thread Nancy Allison
Hi, all.

I've just inserted a lot of conditional text into multiple files in a book. I'm
using FM 10 in a Win 7 environment.

When I update the book:

1. The Book error log file lists multiple unresolved cross-references.

2. I click a link in the log to go to the broken xref. FM jumps to the correct
chapter but doesn't land on a link. Nothing is highlighted. Every link on the
page works.

3. I use Find/Unresolved Crossreferences to search within that file, but
nothing turns up.

4. I use Create List of Unresolved Crossreferences at the book level; that file
is empty.

I have two questions:

1. Anybody know what's going on?

2. Do I dare ignore this -- figure it's an artifact of conditional text -- but
since all the links I've tested on the targeted pages WORK, maybe I can just
ignore these stupid error messages? I'm under the gun to get this done.

I could just go ahead, create the PDF, and manually click all links in all
pages indicated in the original error log . . .

Thanks for all insights.

Positioning Caption Under Run-in Figure

2012-05-24 Thread Nancy Allison
Hi, all.

I'm working in FM 10 in a Win 7 environment.

I have placed some tall, thin graphics in an anchored frame that is run into
the paragraph and positioned Left on the page. The text flows down the right
side of the graphic.

Everything works beautifully except I can't figure out how to keep the caption
with the graphic. Sometimes the text is not as tall as the graphic, so I would
have to use a series of returns to move the cursor down to beneath the anchored
frame, and enter the caption there. This is do-able but clunky and prone to
problems if the text is ever edited.

I therefore created a text frame inside the anchored frame and put the caption
there, which works physically but breaks the hyperlinks to the cross-reference
in the text (See Figure X.) For the time being, I've deleted the x-refs,
since they aren't really necessary in such an obvious page layout. (But one of
my reviewers is absolutely going to say, where's the 'See Figure X' Be
copnsistent! Consistency above all else!!)

How can I get a caption with working hyperlinks positioned directly under the
anchored frame?

Thanks.

Thanks to everyone who has replied on the list or privately!

I discovered that I didn't have the problem I thought I had. I had another one.

If you are curious, read on.

I was adding x-refs into the text methodically, going from figure to figure.
When I went looking for Figure 2-8, it wasn't there in the Cross-ref'erence
drop-down list.. The list skipped from Figure 2-7 to Figure 2-10. I assumed
that it happened because I'd put the captions to Figures 2-8 and 2-9 into the
anchored frame and Frame had not seen them.

I didn't scroll down further, because never in 20 years has FrameMaker listed
the figure numbers out of order.

But when I do scroll down in the listing in the Cross-Reference box, the list
goes like this:

Figure 2-6
Figure 2-7
Figure 2-10
Figure 2-8
Figure 2-9
Figure 2-9
Figure 2-10
Figure 2-8
Figure 2-11
Figure 2-12

and on normally.

Now I am hunting through the file using Find -- Paragraph Tag Caption to see
what it turns up. Maybe I've buried figure tags behind anchored frames or some
such bizarre thing. This problem is definitely related to my use of Run-in
anchored frames, which I've never used before . . . but I think I did something
strange, not FrameMaker!

Re: Re: Re: Positioning Caption Under Run-in Figure

 Ken, thank you!

To understand your description fully, I have a couple of questions.

You wrote: The graphic numbering itself is done using a text string we named
Section Graphic Counter located inside the small text box below the graphic
(but inside the anchored frame).

By text string do you mean paragraph tag? If you mean something else, I don't
follow what that could be.

If Section Graphic Counter is a paragraph tag, did you use F:Fig.
$chapnum-n+ as the counter in this tag?

You wrote:

Yet, we found that sometimes, for whatever reason, the building blocks on some
counters were

Fig. $chapnum-n+ (note the missing F: preceding the word Fig.)

Clicking on a correctly defined Section Graphic Counter, then choosing Update
All took care of our numbering problems.

By in some counters do you mean that you had various instances of the
paragraph tag Section Graphic Counter that had been manually changed so that
the counter did not have the F:?

So when you clicked one of the correct Section Graphic Counter paragraph tags
and Updated All to match that one, your counting problems went away?

Thanks.

anchored frames, which I've never used before . . . but I think I did something
strange, not FrameMaker!

Positioning Caption Under Run-in Figure

2012-05-24 Thread Nancy Allison
" Ken, thank you!

To understand your description fully, I have a couple of questions.

You wrote: "The graphic numbering itself is done using a text string we named
"Section Graphic Counter" located inside the small text box below the graphic
(but inside the anchored frame)."

By "text string" do you mean paragraph tag? If you mean something else, I don't
follow what that could be.

If "Section Graphic Counter" is a paragraph tag, did you use F:Fig.
<$chapnum>- as the counter in this tag?

You wrote:

"Yet, we found that sometimes, for whatever reason, the building blocks on some
counters were

Fig. <$chapnum>- (note the missing "F:" preceding the word "Fig.")

Clicking on a correctly defined Section Graphic Counter, then choosing "Update
All" took care of our numbering problems."

By "in some counters" do you mean that you had various instances of the
paragraph tag Section Graphic Counter that had been manually changed so that
the counter did not have the "F:"?

So when you clicked one of the correct Section Graphic Counter paragraph tags
and Updated All to match that one, your counting problems went away?

Thanks.

Awful Letter Spacing After Replacing a Font

2012-05-22 Thread Nancy Allison
Hi, all.

I've just discovered the nifty Fonts pod in FrameMaker 10 (we jumped from 7.1
to 10). Just in time, too, since we've been told to change the body text from
Times New Roman to Arial.

I'm using FM 10 in a Windows 7 environment.

I replaced all instances of Times New Roman in a chapter with Arial. The change
was instantaneous and the paragraph designer listed Arial as the default font
for each affected tag. Wowee! I see that I can also do this replacement across
ALL open book files. So I can change Times to Arial in the blink of an eye,
across the entire book.

However, the letter spacing in the replaced text is awful.

To fix it, each paragraph tag that has a changed font has to be reapplied. I've
used the Global Update within a single file for this, but it still has to be
done tag by tag, file by file, doesn't it?. This will be a tedious process for
a 100-page document distributed across 7 files.

Is there a way to do this faster? Within FrameMaker's native capabilities, if
possible . . .

Thanks.

Nadine, thanks for the question. I just tested it -- the letter spacing is bad in print, too.--Nancy

Solution!1. Save the file to .mif.2. Open .mif in Notepad.3. Replace old font name with new font name.4. Save .mif.5. Open in FrameMaker and safe as .fm. Letterspacing is correct.--Nancy
