Lost mailbox

Hi there

I have an urgent question. 
I came in this morning and found the AD completely blocked because
surveyor.exe was taking up all memory resources on the DC. After
rebooting the memory use went back to normal and users could log to the
network. 
Unfortunately when our director booted his PC his account was deleted
from the mailbox store,and despite our retention policy immediately
deleted. 

Question 1: how is this possible? 
Question 2: How do I restore 1 single mailbox from a tape?

Not sure what happened to answer your first question. But you can not 
restore a single mailbox from backup unless you use bricklevel backup 
method. Restore DB to a recovery box then run exmerge is the one way.

I can't restore the backup to the store. (it is indeed brick-level)

When you look at the list of mailboxes in the information store, do you
see the orphaned mailbox marked with red?

I have not used brick level that much... maybe you need to manually
create a new mailbox for him and then restore it from a brick level
backup?

logged into OWA they were getting other users Mailboxes.  I'm aware of a
bug like this in 2003, but we're running E2K.

Turned out a WEB Cache had been put on one part of a remote network.

This did not effect people who came in over https , just http non-ssl
connections.

After using Move Mailbox our clients no longe authenticate properly

We have added another server in our site this evening and moved a couple
of mail boxes. The new server is a win2k with exchange 5.5 on it and the
other server is a win Nt4.0 with exchange 5.5 on it. After moving the mail
boxes authentication for exchange only will no longer work on win2k or XP
machines with outlook.If you set outlook authentication to None it will
then prompt you for the user - Domain - password and it will work. I need
it to use the clients user  and password instead of prompting Oddly enough
the windows 98 machines work flawlessly.

Does anyone have an answer ?? Thanks in advance

Exchange 2003 mailbox permissions

Hi All,

 I am in the process of migrating to exchange 2003 from Exchange 5.5.  I
have setup the 2003 server, have ADC running and have moved 3 of the 200
mailboxes so far to the new server.

In exchange 5.5 my account was sent as a permissions admin and I had access
to open anyone's mailbox from with outlook (file -open-other users folder)

The mailboxes on the 2003 server will not open for me or if I use the
exchange service account

I need to have access to all mailboxes.  What is the best way?

You have to grant the admin account explicit permissions on the
mailboxes or on the information store that contains those mailboxes.

hrm... if I remember right, the group 'domain admins' (and likely 'ent
admins') are explicitly denied this ability.

You can use an account that is not in those groups to get access... just
give it 'send as' and 'receive as' rights on the database or mailbox.

Can't someone just go and look this up on Google? You can explicitly
override the denies to domain admins if you go to the properties of an
information store, click on the security tab and explicitly select Allow
next to those Denies. Then wait 15 minutes or restart the information
store service.

Nonetheless, this is a terrible idea.  An admin should grant himself
permissions to read someone's mailbox only when there is a need to do so and
should remove the permission when the need is over.

override the denies to domain admins if you go to the properties of an
information store, click on the security tab and explicitly select Allow

Implications of moving a mailbox whose user is using Outlook 2003 in cached mode?

I am in the process of moving my Exchange 2000 users to a new Exchange
2003 server. I only have 3 users that use Outlook 2003, and 2 of those
users have cached mode enabled. (Everyone else uses Outlook 2000)

Based on preliminary pilot testing that I've done, I'm seeing the
following behavior:

The Outlook 2000 clients automatically repoint themselves at the new
mailbox server the first time Outlook is launched. This is, of course,
the expected behavior.

The single Outlook 2003 user that is NOT using cached mode also
experienced the expected behavior; He launched Outlook and it
automatically pointed itself at the new Exchange server.

The 2 Outlook 2003 users that are using cached mode could not get into
Exchange after their mailbox was moved. The connection icon in the lower
right hand corner of Outlook DID say it was connected, and when I viewed
the connection status by CTRL-right-clicking the Outlook icon in the
tray, it WAS correctly pointing at the new server. HOWEVER, when I
viewed the account properties of the Outlook profile, it still had the
old Exchange server listed, and the users were not receiving any new
mail into Outlook. (Accessing their mailbox via OWA confirmed that new
mail was in fact in their mailbox).

In both cases, when I disabled cached mode and restarted Outlook,
Outlook worked fine. I then re-enabled cached mode without incident.

So, the bottom line is that my limited testing has lead me to believe
that Outlook 2003 cached mode must be disabled in order for Outlook to
correctly connect to Exchange after the mailbox has been moved to a new
server. It can then safely be re-enabled. Is this the expected behavior?

the CEO belives he is accessing sensative email from others mailbox.

While it is NOT possible to configure anything on the exchange server, is
there anything I can do a spot-check or any tools like sniffer, so that I
can monitor any possible wrong-doing of the administrator?

The only way I know of is to increase the logging for the info store to
medium and then look for event 1016 in the application log on the
exchange server. This is generated every time an account accesses a
mailbox that is not its primary mailbox. No amount of permission
granting will stop it from being generated.

You can also look in the Exchange properties for the server mailboxes to
see who last logged on to a particular mailbox.

You could also look in the person's File, Open in Outlook and see if
another mailbox is in the recently accessed list.

Either way you will need to access the Exchange server or the user's
local Outlook.

If wrong doing is suspected, it is appropriate for the CEO to order an
audit of operations and see what comes up.

I'm not aware of any auditing tools that would not require at least
minimal access to the user's logon and workstation or the exchange
server.

Unfortunately, 1016s are poor indicators and are generated regardless of
logging level. Increasing the logging level in the IS to max -( Logons or
something similar) cant remember the specific category name off the top of
my head )) should yield better info.

Yes, i mean to create one for a new user.  Where would i assign the Exchange View Only 
Admin role?  
On the user or put the user in a group and assign it to that group?
With just basic rights, the user can launch the MMC and add a new user.  But if i 
tried logging on to a machine that has the added exchange features as that user, the 
MMC wont even launch.  It says I dont have enough rights.  
So would I create a new group and give that group some kind of permissions to exchange 
and then add my user to that group?

(sorry if the question sounds dumb!)

The question you ask is a very basic one for Exchange, which tells me that
you need a class or self-study.  You right-click the administrative group,
then select the delegation option.

You could delegate someone necessary rights on the OU where the user
accounts are going to be created.

Plus Exchange View Only Admin rights on the administrative group, as Ed
pointed out.

mailbox command.  From what I understand, you can not use the Exchange

  Can someone tell me why it would take up to a day for mailbox sizing to
occur? For instance, I change the size limit of a users mailbox from 50MB
to Unlimited, for some reason it doesnt take effect until the next day or
a few hours later.

  This seems awefully slow to me. Does anyone know of a solution to make
it faster or more consistant.

Subject: Exchange 5.5 To 2000 Move Mailbox Issue


Hi everyone.  I have a 2 server Exchange 5.5 site that I am trying to get
over to a single 2000 server.

Corp.domain.com
Win2k
Exchange 2k

location.corp.domain.com
2X Win2k
2X Exchange 5.5

The new server in the corp.domain.com is part of the rest of the exchange
site.  ADC has been running and all looks ok there as well.  When
attempting to move a mailbox from 5.5 to 2000 the following message
appears, and I can't seem to find any Microsoft articles that are
pertinent.  There are some that mention this error ID, but none that are
an exact match to this issue.  I am thinking it is a permissions issue
somewhere, perhaps with the system attendant?

Error: Connecting to destination server. cn=,,CN=,DC=,DC=com
The attempt to log on to the Microsoft Exchange Server computer has
failed. The MAPI provider failed. Microsoft Exchange Server Information
Store ID no: 8004011d-0512-

He has too many messages in those folders.  Tell him to move them to other
folders so he doesn't have so many in one place.  The problem is that it's
taking a while to render the view he has on the folder.

he still have lots of mail, contacts  calendar items which needs to be
archived.

Would it be considered as recommended method in this scenario, if I archive
his existing mail, contacts and calendar items locally then create a new
mailbox on the new server which I already did or is there another better
method you would recommend?

Also there are about 2000 messages in his inbox and about 1500 in his outbox
plus his contacts and calendar items.  Is there a faster way to archive
these items?  In addition, how can I preserve/move his future appointments
in the calendar folder to his new mailbox before I delete his original
mailbox?  Thanks for your assistance in advance.

I really hate the Mailbox Manager.  Perhaps it's due to the fact that going
back to Exchange 4.0, it never has really been foolproof.  Another reason I
hate it is that it's a tool administrators use to play nanny.  I hate

I am running Mailbox Manager right now in audit mode and I am seeing this
problem intermittantly.  If you turn on attach detailed log file and look
at the CSV file, I see that it is skipping all mailboxes when this happens.
Not sure what the problem is.  I stopped and restarted the mailbox manager
service and I think that gets it to work again at least once.  I am running
exchange 5.5sp4 on win2k sp4 here.

I'm about to implement Mailbox Manager for Item retention (something I
completely disagree with) and right now I have it set to  Delete
Immediately.

Question if I do this will I these items be held in the deleted item
retention space until it is purged or do I need to change my settings to be

They should still be sent to the Deleted Items, albeit for the folder
they were removed from.  If mail from that folder needs to be retrieved,
you only need make the requisit dumpsteralwayon registry entry and you
should be able to get it back.

Monitoring Internet email traffic per user/mailbox

just wondering if anyone knows of a way to monitor MSX5.5 Internet email
traffic based on each mailbox. Something tabular or graph based would be
ideal, just so we can see what sort of MB each user is sending/revieving
over a time frame. Only concerned with Internet traffic (since internally
its free).

short answer is no. You could ask PSS if they have a routine to change but 
they will tell you that it is not recommended

What version of server?  If it's a 5.5-to-5.5 move, you can move the mailbox
back (take a backup first!) and you'll get an error message, but the old
artifact mailbox will delete.

correct server (the one moved to) show the correct space 58,098K.

I am afraid if we delete the mailbox on the almost empty server, we will
delete the real mailbox. So we don't want to do that.  We could dump the
mailbox to a PST, delete the mailbox and restore the mailbox, but that would
cause problems because all communications to the old mailbox would be
severed and people couldn't do replies to the eMAILs that are sitting in the
mailbox. Meetings couldn't be canceled.

What a quandary.  What do we do? Just turn off the server and clean it off..
I don't think so.

First, even though these mailboxes are duplicated, is the user able to
open it ok and access all their items?  If so, maybe just run the
Cleanup Agent on the old server.

Another suggestion might be to try and move the mailbox back.  It should
error out, and may remove the orphaned item for you.  If it works, then
check the new server and see if it shows up.  If not, move it back to
the new server.

Have you checked Technet (KB) at all?  Orphaned Mailbox maybe?

Why don't you make a new outlook session (Mapi) and check the mapi profile
to see what server your client connects to. If it connects to the new
server (which it should) then you're ok. if it's not, then you have a AD
replication problem.

another question for you; did you also move/replicated the (system) public
folders concerning address books, free/busy schedules etc.

I had this same problem moving from an NT4/EX55 server to a new WIN2k/EX55
server using move mailbox.  After backing up the affected mailboxes with
EXMERGE, I tried moving one back to the old server.  If I remember
correctly, the move mailbox function saw the bogus empty mailbox on the old
server and deleted it (and then didn't bother moving it because of the
error).  This happened to about 5 mailboxes out of 250.

using Outlook 98 Exchange Windows 2000.  After the moves were completed I
have a few stray mailboxes that are hanging around that are duplicated on
the two servers. Under total K they show 0K, even though the mailbox on the
correct server (the one moved to) show the correct space 58,098K.

I am afraid if we delete the mailbox on the almost empty server, we will
delete the real mailbox. So we don't want to do that.  We could dump the
mailbox to a PST, delete the mailbox and restore the mailbox, but that would
cause problems because all communications to the old mailbox would be
severed and people couldn't do replies to the eMAILs that are sitting in the
mailbox. Meetings couldn't be canceled.

What a quandary.  What do we do? Just turn off the server and clean it off..
I don't think so.

That is what I finally did.  I found an article on phantom mailboxes and did
as it suggested.  The problem was I didn't know to use the word phantom...

d'oh. I did have  a bit of trouble doing this tho as when I deleted the
user, there was no red cross against the mailbox so I could not
re-attach. Ran clean-up agent and came up OK for future ref.

I have added the new AD account already and removed the 'SELF' rights
from mailbox permissions however when I try and delete the 'corrupt'ad
account, I cannot deselect the check box against 'mark this mailbox for
deletion'. Perhaps this is a Small Business server restriction?  Doesn't

which accesses the original mailbox.  I would like to move/ re-assign
the original mailbox which is attached to the corrupt user account to

 SBS 2k  (exchsp3 pos fixes)
 I have a user whose account has become corrupt and on advice from PSS I
 have been told to delete it.  I have created a new account for the user
 which accesses the original mailbox.  I would like to move/ re-assign
 the original mailbox which is attached to the corrupt user account to
 hhis new account.  Is there a way of doing this within the same site
 other than pst?  I've looked around (google/ technet/ etc) but have been
 unable to find an answer.

Hi Nate,
I have added the new AD account already and removed the 'SELF' rights
from mailbox permissions however when I try and delete the 'corrupt'ad
account, I cannot deselect the check box against 'mark this mailbox for
deletion'.
Perhaps this is a Small Business server restriction?  Doesn't make much
sense if it is.

It seems to me that all you need to do is add the new AD account to the
original mailbox and then remove the old corrupt account from the

It's okay to delete the mailbox if you have retention set on the Store. PSS

If you are running exchange 2000 sp3, you have an updated ADUC.  Click
on view and enable the advanced features.  Right click on the corrupt
user and choose Exchange Tasks.  Remove the exchange attributes.  Go
into the ESM and right click on mailboxes and choose run cleanup
agent.  After it completes, the mailbox in question should have a red X
over it.  Right click on it and choose reconnect.  This will allow you
to pick the new account you want to connect to it.

Anyone out there using Mailbox Manager?

I am having a little trouble with mine, I have my manager set up on a test
box.
Currently it is set to audit only with these specifics:

Inbox: 3 Days
Sent Items: 3 Days
Deleted Items: 3 Days
Other Folders: 5 Days

The mailboxes on this server were imported onto it using Exmerge last
Thursday
When the process runs, whether scheduled or after choosing clean now I get
this:

I was thinning maybe a permissions issue but you are probable using the 
Exchange account to login and run. But since this is a 5.5 Exchange server, 
maybe something to do with LegacyDN. Are you running AD yet.

Anyone out there using Mailbox Manager?

I am having a little trouble with mine, I have my manager set up on a test
box. Currently it is set to audit only with these specifics:

Inbox: 3 Days
Sent Items: 3 Days
Deleted Items: 3 Days
Other Folders: 5 Days

The mailboxes on this server were imported onto it using Exmerge last
Thursday When the process runs, whether scheduled or after choosing clean
now I get
this:

Event ID: 727
Started processing mailboxes at the scheduled time of 09/15/03 09:54:50.

The Microsoft Exchange Server Mailbox Manager has completed processing
mailboxes

I know there are messages in these mailboxes older than 3 days

Any ideas on if I'm missing something?

sorry for my little knowledge as new to Exchange. Got inherited with some
couple of  Exchange servers. I want to know if its possible to create a new
mail box and hide it and if possible all the incoming mails can be received
or not..

Clean Mailbox feature in 5.5...

Server - Exchange 5.5 SP4 + hotfixes on Win2k SP2
Workstation - WinXP SP1

I am trying to automagically clean out my admin mailbox from my workstation,
using the Exchange Admin Console.  Due to brute force spamming, this mailbox
has over 171k NDR's in it that I don't need or want.  They were received
between 8/29 and 8/1.  After highlighting the mailbox and going to the Tools
| Clean Mailbox... option, I have selected a number of items as follows.

- Older than 5 days, based on received date.
- Both read and unread
- All Sensitivity types
- All message types
- Delete items immediately

Once started, the tool sits at 1% for a considerable amount of time and then
it's 100% finished and goes away.  The first time it ran, I got the 1010,
1012, and 1011 events in that order, but it only got rid of ~1,000 items.
On that run, I told it to delete anything older than 15 days.  I have since
run it 3 more times, incrementing the number of days down, until I am at 5.
Since the first run, it has only deleted a maximum of 7 messages at a time.
Also, when logging into the mailbox after completion, it does not reflect
any messages having been deleted.

After trying to figure out why, I came upon these two items in the KB which
seem to be completely contradictory...which one is correct?  One of them HAS
to be right...doesn't it?  Or are they both right and that's why nothings
getting deleted?  What is the difference between the Clean Mailbox tool and
the Mailbox Manager tool?

The Mailbox Manager began using the Last Modified Date with SP4.  You can
add this field to your Outlook view to check it, or you can view the
properties of the message.  Every time you modify message (move it, delete
it, etc.), the timer is reset.

I was thinning maybe a permissions issue but you are probable using the 
Exchange account to login and run. But since this is a 5.5 Exchange server,

Discrepancies between Mailbox Size in Outlook and Exchange

Why, when I check the size of a mailbox in Outlook 2000 is the size different to when 
I check the size of the mailbox in Exchange 2000 mailbox stores? Sorry if this is a 
bit of a dumb question, but support.microsoft.com seems strangely recalcitrant on this 
matter. (The closest I came was Q259675 and that applies to E5.5, not E2K)

Is Outlook inefficient at identifying the true size of folders? Is Single Instance 
Storage clouding the true mailbox size in Exchange? Does the size indicated in the 
Exchange Mailbox Store include all the items in a user DIRF? Most importantly, which 
value is the true representation of all the data a users has in their mailbox?
