Our clients in this case are all internal to the organisation so I'll push
ahead with the MS certificate option.

That is the setting.  Note that when you check it the port number changes.
It's an either-or situation.

I've never needed to load a client certificate to use SSL.

If your going through a firewall make sure the appropriate port(995) for ssl 
pop3 or 993 for IMAP are open. No need for a certificate

Look at the headers of the messages that were received by the external
recipients (have them send you the headers) and see where those messages
were sitting.

Also look at the tracking logs.

Also look at the SMTP logs.

Are your POP3 clients configured to use your Exchange server as an SMTP
server?

When a POP3 client sends mail, it does straight to an SMTP queue. If the
message is for an external recipient, the message does not loop around
anywhere else in the Exchange server. Just SMTP queue and then - out the
door.

Something strange is happening with POP3 clients on our Exchange 5.5 SP4
server. When they send mail to other mailboxes on the exchange server,

the mail takes ages to be delivered, e.g. we sent a test message on

afternoon and it didn't arrive in the external mailbox until Friday
morning!

The messages aren't stuck in the IMC queues and I'm not sure where else
to
look.

Any help much appreciated!

Just got this resoloved... After having another cisco admin take a look,
there was no mapping for port 110 on the outside to the inside for the
server the houses some of the mailboxes that needed it. All fixed up now

I've just found out that POP3 doesn't work on my dfg.com domain. From the
command line, internally, I type " telnet mail.dfg.com 110" it just sits
there and hangs. Alternatively, if I do the same for mail.moneymart.ca, it
connects immediately. Again, this is internally so there isn't a firewall or
anything blocking it. I've compared Protocol properties for both sites and
they are the same. Any ideas where to begin?

In the client specify the account in the format:

Domain\User_ID\Mailbox_Alias

Forward slashes are also acceptable, even required for some clients that
don't like backslashes like some versions of Netscape Mail.  And make
sure you've entered the password correctly.  If this is configured
wrong, you can quickly lock the account when the client retries.

A couple of companies have got POP3 connectors for Exchange.
Try www.exchangepop3.com, PopCon
(http://www.christensen-software.com/popcon.htm), or
http://www.popbeamer.com). 

I believe that Small Business Server has a POP3 connector built
in to it.  If you want to offload this to a separate machine, GFI's
MailEssentials will do this, too.

Yes, Ive realised that, thanks.  Some of my clients have various pop3 accounts 
that they want combined in one location for a single access point.

I was going to install outlook on the server to do it, but the Q's say don't do 
it.  It's not bulk though...

Question?  When a user from out side your firewall connects to exchange
via POP3 and logs in. Is that username and password sent in clear text?
Is there any security involved in this process? If not someone sniffing

At our site it's our policy that we purge all email 30 days and older.
We don't want people downloading mail to their home computers at the
risk of breaking that policy. That may not be applicable to your site,
but that is one reason.

of an exploit in something you don't have to use when you can just close
it down and forget the risk? 

Why risk forgetting you need to apply a patch for it because "We don't
use that here so we don't need to worry about it" (case in point would
be those MSDE 2000 installs that got hit by slammer whose users didn't
worry because they didn't use SQL Server 2000).

Having it running when you don't use it is just more ways for things to
go wrong -- for example a user connects to it while "playing" and
downloads mail via pop, which deltes it from the server, and then
complains they've lost their email.

Why waste the server's resources on a process you don't expect to use.

Well its always a bad idea in general security terms to run processes
when you have no need to use them; why open yourself up to the potential

Why waste the server's resources on a process you don't expect to use.

I'm sure they can. Anyone can make pst file, copy their emails to disk,
or find another way. But it at least blocks that method of doing it.

eh... you can get POP3 over SSL though (port 995) albeit that most don't
use it.  But another good argument is that people inadvertently pop
their mail out of their inbox.. then you have to go through the hassle
of 'recover deleted items' on the inbox (or try to explain it to them).

At our site it's our policy that we purge all email 30 days and older. We don't want 
people downloading mail to their home computers at the risk of breaking that policy. 
That may not be applicable to your site, but that is one reason.

Correct. Think about it - POP3 and IMAP4 are mail RETREIVAL protocols. They
don't deal with sending mail, just receiving. For sending, you need to use
SMTP. SMTP doesn't care about mailbox limits for send - nor should it.
That's not the use for which it was designed.

Thanks for everyone's comments.  This is much clearer to me, I ran both
clients against an E2K lab server today.  The only solution is to use
prohibit Send and Receive.

The SA then issues a message to the mailbox recipient that their "mailbox is
closed."  They can still send, but senders do get an NDR.

Oh, I see Mr. David has pointed this out as well. Not sure I understand why
this would be a critical design flaw in a deployment though. Heck, using
AUTH SMTP I can send outbound SMTP mail as [EMAIL PROTECTED] and
that address doesn't even exist, let alone have a mailbox limit associated
with it.

The KB article says nothing about this being fixed in a service pack,
because this behavior is "by design".  You are correct, Andy, that
neither 5.5 nor 2000 prohibit sending of SMTP mail based on quota.  You
are also correct that the particular component which is responsible for
the MAPI, POP and IMAP protocols is irrelevant, because it is SMTP that
is used for sending mail, and it is not handled by the Information Store
in any version of Exchange.

The only effective enforcement mechanism for POP and IMAP users is,
unfortunately, prohibit send and receive.  You could argue, even, that
it is the only truly effective enforcement mechanism for ANY user since
a savvy user who is blocked from sending by MAPI might be able to figure
out that he can send by SMTP.  In reality this hasn't been a problem,
but it's technically true.

In Exchange 2000, IMAP and POP is handled by IIS.  Nevertheless, all
messages are processed by the PHATCAT.DLL (Fat cat)which is the
categorizer.  All messages in Exchange 2000 must be categorized which
includes checking for mailbox restrictions, etc. Even though MAPI
clients still communicate directly with the IS, all messages must be
passed through to the categorizer first. No exemptions.  Therefore,
unlike 5.5, where POP and IMAP clients communicated with the IMC and
where not restricted by IS settings, in Exchange 2000, this shortcoming
has be corrected.

Let me clarify.  Prior to E2K the Information Store was responsible for
MAPI, POP3, IMAP, etc.  In Exchange 2000 Microsoft has broken out POP3 and
IMAP4 protocols away from the Information Store.  They now run as separate
services.  If you chose to you could stop and disable whichever one you
chose to not support or offer given your environment.

In EX 5.5, mailbox limits for POP and IMAP should have worked.  I never
needed to test it however.  According to my client, it has for them.  Higher
ED with ~1,000 staff mailboxes.

There are a lot of intervening devices between you and your users. If they
havne't change anything, and you havent' changed anything and we work on the
assumption that the software didn't reconfigure or rewrite itself overnite
than the only logical explanation is that something in-between changed.

Well, SMTP protocol proxying either already exists in 5.5 or is a creature
like a Jackalope depending on your perspective. E2K FE servers will proxy
for POP3 and IMAP4.

To answer your last question:  Move all of your POP users to the same server.  To pick 
up their mail, they have to point to the server their mailbox is hosted on.

needs here.

Or, if you can't use that and have to stick with a Linux solution, there are

So, like, where can you configure the settings on the POP3 only server to
fetch mail from other exchange mailbox servers in the same site and
different sites? Any KB articles?  Couldn't find any and all my previous
attempts to pop only work on the exchange server that has the user's
mailbox.  I know you can perfwiz a server for pop3 only, so I guess it can
be done.  Running Exch55, sp4.

Umm ... Well, the smtp relays svrs are linux running qmail, so I'd like to
just use them for this also.  I guess I could just throw up a POP3/IMAP only
exchange server in the dmz also, but will this redirect pop3/imap requests
to multiple exchange mailbox servers behind the firewall?  My understanding
is it's one to one (haven't checked this one out yet).  So, the WHY is to
remove the mailbox servers from any direct ip/port exposure to the internet
and have outside the firewall people hit dmz boxes only.  Any thoughts?

Is the alias of the mailbox the same as the NT userid? I seem to remember in
Exchange 5.5 having problems with POP3 if the alias and NTuserid were not
the same, in which case you had to use the username something like NT
domain\ntuserid\mailbox alias so it was always simpler to just make sure the
alias and ntuserid matched. If that does not work you could try a manual
telnet to POP3 port, 110, and use the following commands:
user ntuserid/alias
pass password of mailbox
list (this will list all the messages in the inbox, with the size in kb)

This would be more helpful in finding out where things are going wrong.

If it's a DNS issue that they can not resolve the address, add a line to the
host file or use the outside IP address of your POP server in the setup. Can
they ping the POP server address?

Your phrasing of the question indicates a misunderstanding of the way
mail works.  You don't have a POP3 mailbox; you couldn't, as there is no
such thing.  You have a mailbox that you retrieve mail from using the
POP3 protocol.  It is placed *into* the mailbox using the specific
routing mechanism of the mail server itself.  In your scenario there
would only be one POP3 connection to your mailbox:  the one you are
using.  So whether it allows one connection or 42, that is immaterial.
POP3 is a pure retrieval protocol and has nothing to do with how the
mail gets *into* the mailbox (or server either, for that matter)

It depends on the system. Many *nix based POP3 servers will 'lock' the
mailbox while one account it connected to it, but there's no standard which
requires it.

Recently I have some customers receive multiple copies of messages that

configured along with the Exchange service in the same profile.  The users
claim that this configuration had been in place for a while with no
issues. I removed the internet mail service from users profile and have
tested adding a internet mail service to my profile and I received
multiple copies of message also.  These users also complained that the
message were old copies and should have been removed from their pop
server.  Currently I have instructed these users to not use their pop
accounts and we may stop allowing POP out of our network but I would like
to understand how this happened.  Anyone seen this?

Having a test account for a software project. The software is sending and receiving 
mail to an account and doesnt need any other access rights.

So I have to create a fake user and to take care, that this user has no rights to any 
other ressource. Sometimes it is good to know that something is just not working as 
you think it would;)

No.  A mailbox in E2k is tied to a user.  Always a 1:1 relationship.  So make a user 
called FakeUser, and give it whatever SMTP address you want.

That will work, and work pretty well, with Outlook 2002.  But that is a
client, not a server, solution.

Outlook 2000, rather than Outlook Express, might do the trick.

Outlook 2000 can be configured with multiple profiles. You could
theoretically have one for your POP3 mail and one for your Exchange
mail. You'd have to close down Outlook fully each time you wanted switch
profiles and you'd probably want to tick the "Prompt for a profile each
time I log on" check box under Tools/Options/Mail Services but this
might be what your looking for.

Correct me if I am wrong here Ed.  He is saying you don't configure your
Exchange server to pull POP mail.  It's not a good idea, and doesn't work
without 3rd party software, and even then, doesn't always work correctly.
If you really need to read mail from an outside ISP, then configure your
Outlook client with the Internet Mail feature.  That turns it into a POP
client as well.  Be aware that if you choose to do this, all mail you pull
from your outside ISP, will, by default, be moved into your Exchange
mailbox.  Not a good idea, IMHO.  You shouldn't mix business and personal
mail together.  Or, of course, you could just continue to use Outlook
Express for your personal ISP mail, and Outlook for your Exchange mail.  You
do the math - figure out which one works best for you.

I'm not Ed, but I'll take a swing at this.

Cezar, You want the server to collect mail from an upstream server using
POP3, as I understand it. This quite simply will not work properly. There
will always be cases where mail can be "lost" or misdirected, or can
generally behave in a manner you do not expect. There are solutions for
doing this out there if you do a search, but all the ones I have seen will
tell you in the first or second paragraph of the read-me file that this is a
bodge, a kludge, and it does not and will not work 100% correctly. 

I can't see any reason where this might be a good idea, given the
unreliability, because it's always going to be better to either get everyone
their own pop3 account on the upstream ISP server, or to pay for a proper
connection.
