Resize all table widths to new page size (was letter, now A4)?

Anybody know how to autofit tables that were designed to fit letter size paper 
so they fit within the margins for A4 paper size/within the text frame? I'm 
looking for the most global solution possible.
I have hundreds of tables (just a few table formats/styles) that are outside of 
the margins now that I've changed the paper size from letter to A4. I want the 
tables to proportionately resize ("autofit") to be within the A4 margins.  I 
use FrameMaker 10. I have already resized the paper to A4 and thought the 
tables would resize, but no luck. I've tried to copy special, but that only 
works for single columns. Redefining the table tags hasn't worked either.

I have wasted too much time already addressing individual tables, but I need a 
global solution. I am doing this at the request of an ISO editor, by the way. 
This is for a standard currently in the ISO submission process.

Thanks in advance. I'm going crazy with this!

Hi Craig,

According to Lin, you use File > Import > Formats and import variables.

 From Lin Sims:
1. Open a blank document and edit the variables you want to update.
2. Save as a MIF file.
3. Open the MIF file in a TEXT editor.
4. Delete everything but the code for the variables you want to update.
5. Save and close the file.
6. Open the files you want to update and import variables from the MIF 
snippet.

Lin: please correct me if I'm understanding incorrectly.

Convert headings to destinations in PDF

Hi Framers,

Does anyone know of a tool that automatically converts headings in FrameMaker 
files to named destinations in the PDF? I have reason to believe such a tool 
exists. One tip I have is it seems to convert periods and spaces to 
underscores, so the heading "1.1 Overview" appears as the named destination 
"1_1_Overview" in the PDF.

Webworks: Problem with the order of pages when I convert a Frame file that has a mixture of landscape and portrait pages

Hi,


We have some wide tables that we want to display in landscape in a mainly 
portrait document. I have set up our  Frame templates to allow users to do this 
using Landscape Left and Landscape Right master pages. This works great for our 
PDF output, however when I convert our content to HTML using WebWorks the 
landscape page displays below all other portrait pages in the chapter. Is there 
a way to ensure that WebWorks follows the same page order as the Frame file? 
Any ideas on cracking this problem would be great.

I used to have a couple of books with 20+ conditions. Too many to keep track of 
by color, so I switched to another strategy: I applied the same color to an 
entire group of conditions. 
- all product type conditions were blue
- Comment etc. were red
This meant that the color would at least indicate which function a condition 
had, but not which condition it was exactly. 

For now, you may be able to use text styles (under/overline) in combination 
with colors to keep them apart, but that too breaks down if you add too many 
conditions. 

At that point, it becomes essential to have the Conditional Text dialog open at 
all times.

I use insets (File > Import > File > Import By Reference) for
copyright and other boilerplate.

I generally use .fm files for that. I use .txt for the browser support
boilerplate, though I can't remember why (it's a workaround for some
problem I encountered).

had forest green for eOnly, green for Print1, cyan for Print2, salmon for 
Print3 and dark blue for printOnly.

On thing I did find was that it is very easy to change the entire colour 
scheme.  Once I had it pinned down, I just kept a card by me with the colours 
on it, so I didn't have to think about it when repeatedly swapping condition 
markers between {a colour} and {As Is}.

Absolutely correct. And not just the Marker and Find dialogs -- the Conditional 
Text, Hypertext, and Equations dialogs were also modeless, along with the 
designers, catalogs, and Tools Palette. All could be left open on a second 
monitor or to one side of the FM window on a large-enough single monitor. 

The major problem with the stepping-through-markers workflow Jeremy mentions is 
the tiny text in the (non-resizable) Marker dialog box, which requires 
excellent vision to distinguish colons from semicolons. Fortunately, excellent 
indexing tool alternatives like IXGen and Index Tools Pro took care of that 
problem (and added a great deal of additional functionality as well).

Absolutely correct. And not just the Marker and Find dialogs -- the Conditional 
Text, Hypertext, and Equations dialogs were also modeless, along with the 
designers, catalogs, and Tools Palette. All could be left open on a second 
monitor or to one side of the FM window on a large-enough single monitor. 

The major problem with the stepping-through-markers workflow Jeremy mentions is 
the tiny text in the (non-resizable) Marker dialog box, which requires 
excellent vision to distinguish colons from semicolons. Fortunately, excellent 
indexing tool alternatives like IXGen and Index Tools Pro took care of that 
problem (and added a great deal of additional functionality as well).

modeless, not modal.  You could only view one at a time,
and edit it, but I often left it up next to the main doc

The screen never froze.  But using *pods* may make you 
think it has, because everything gets much slower.

I've seen no functional difference between the old marker dialog and
the new marker pod or panel. I don't understand your reference to
sorting them. Maybe I've missed some new feature?

The two UI elements I use regularly that pop up from the bottom are
variables and conditions. I find them much less efficient than the old
UI since I have to click maybe six times to do something that used to
take one or two clicks.

Selecting Colours for Conditions

dexing tools use blue for index markers.  I also avoided red because Fm8 
seems to use it as a warning when conditions conflict in some way.)  I think I 
had forest green for eOnly, green for Print1, cyan for Print2, salmon for 
Print3 and dark blue for printOnly.

On thing I did find was that it is very easy to change the entire colour 
scheme.  Once I had it pinned down, I just kept a card by me with the colours 
on it, so I didn't have to think about it when repeatedly swapping condition 
markers between {a colour} and {As Is}.

One of my first FrameMaker jobs 15 years ago in Frame 4 on a Sun platform, was 
to update hundreds of files with new variable values. I used the same approach, 
dropping all the files in a single book. It took a while, but it did work. If 
it was possible back then on a system with 100x less memory than you'd have 
available now...

According to Lin, you use File > Import > Formats and import variables.

2. Save as a MIF file.
3. Open the MIF file in a TEXT editor.
4. Delete everything but the code for the variables you want to update.
5. Save and close the file.
6. Open the files you want to update and import variables from the MIF 
snippet.

We're dealing with something similar by using conditions with colored text for product variations and conditions wiith background shading for feature variations. You could give your short/advanced conditions background shading instead of colored text.

We have 5 different hardware platforms for our medical device, but a large portion of the book is common to all platforms. I was hoping to save a little time, but I guess that’s not possible.
 
As for overlapping Conditions ending up as magenta, I did have some of that problem, but I also had a problem with muddy blues and the khaki issue you mention. That’s why it took so long to determine the correct mix of colours in the first place – especially as I used to cover 6 platforms in one book, not just the 5 I currently do.

Another way of doing it might have been to create colors under the names of the condition names: eOnly, Print1, etc. That way you would not have to remember any color names or to which condition each color applied.

Recently I broke up a very large eBook into three volumes for print.  It's the first time I've using conditionals seriously.  I followed the advice in Sarah O'Keefe's book and avoided having overlapping conditions.  I had to play around a bit until I got useful contrasts.The book said that FM would show all overlapping conditions as magenta so it would be a good idea to avoid assigning magenta to a particular condition.  In fact, I never saw magenta at all;  all the overlaps that I had in my initial scheme (subsequently abandoned) came through as a sort of khaki when I did the conditionals for the first chapter.  That's when I decided Sarah was right and I should not try to piggyback the same conditions.The scheme I ended up with was five conditions: eOnly, printOnly, Print1, Print2 and Print3.  (I have a navigation scheme built into the e-Version, which was not appropriate for the print books. In recent years, technical communicators have focused on improving User 
Assistance through new technologies and systems, with the assumption that the 
nature of the content, the tone of voice, the writing style should remain the 
same. In this webinar, thought leader Ellis Pratt will cover highlights of his

Hi Lin,

Thanks very much for this help. 

I created a MIF file with the system variable definitions I required and 
then imported that into different FM books. It worked a dream, as it 
didn't change the user variables defined in the document (which was my 
concern).

If it helps any, I learned to do this from Shlomo. :)

Yes, Edwin will have to open each book to do this, but it's still faster 
than editing one file in each book and importing from there. I don't think 
there's a plugin available that will do any better than that.

are populatead with the default values. That’s why I never used
it to import formats from it. However, if you do import formats,
it seems that these default values are _not_ imported although
they are there. Strange.
 
If you import the MIF snippet as a file, then you can import it only
into a single file. Of course you can then import variables into
all other files of the book. However, this is not what the poster
wanted.
 
I would make a book with all the files (from all the folders
and subfolders) and use one of the plugin to import a single
variable.

Really? I've used a MIF snippet in the last month to update all the 
variables in a book file, and that was in Frame10. 

(ETudsbury, I forgot to say that you have to reopen the MIF file in 
FrameMaker, but I figured you'd know that since the file you're importing 
from has to be open.)

MIF snippet.

1. Open a blank document and edit the variables you want to update.
2. Save as a MIF file.
3. Open the MIF file in a TEXT editor.
4. Delete everything but the code for the variables you want to update.
5. Save and close the file.
6. Open the files you want to update and import variables from the MIF 
snippet.

Hi,

As far as I know magenta was applied to overlapping conditions in previous
versions of FrameMaker (7?). Helen uses version 9. Its help says:
This color is midway of all colors of the condition tags that you have already
applied to the current text.

Possibly Helen's FrameMaker book, which mentioned magenta for overlapping
conditions, was about an earlier FrameMaker version.

Thanks guys. Unfortunately, my original Conditions are for a very different 
purpose than what you describe.

We have 5 different hardware platforms for our medical device, but a large 
portion of the book is common to all platforms. Currently, my Conditions cover 
the differences between the platforms - and many times, the same info will 
pertain to only 1 or perhaps 2, 3 or 4 platforms, but not all five. By 
definition, those Conditions overlap.

I am now having to devise Short and Advanced versions of the book. Up to 95% of 
this will be covered by the inclusion/exclusion of Chapters and Appendices in a 
new book, but a small amount of content within the book files themselves will 
have to conditionalized as Short or Advanced.

I was hoping to save a little time, but I guess that's not possible.

As for overlapping Conditions ending up as magenta, I did have some of that 
problem, but I also had a problem with muddy blues and the khaki issue you 
mention. That's why it took so long to determine the correct mix of colours in 
the first place - especially as I used to cover 6 platforms in one book, not 
just the 5 I currently do.

Great, Helen.

Another way of doing it might have been to create colors under the names of the 
condition names: eOnly, Print1, etc. That way you would not have to remember 
any color names or to which condition each color applied.

Recently I broke up a very large eBook into three volumes for print.  It's the 
first time I've using conditionals seriously.  I followed the advice in Sarah 
O'Keefe's book and avoided having overlapping conditions.  I had to play around 
a bit until I got useful contrasts.

The book said that FM would show all overlapping conditions as magenta so it 
would be a good idea to avoid assigning magenta to a particular condition.  In 
fact, I never saw magenta at all;  all the overlaps that I had in my initial 
scheme (subsequently abandoned) came through as a sort of khaki when I did the 
conditionals for the first chapter.  That's when I decided Sarah was right and 
I should not try to piggyback the same conditions.

The scheme I ended up with was five conditions: eOnly, printOnly, Print1, 
Print2 and Print3.  (I have a navigation scheme built into the e-Version, which 
was not appropriate for the print books. The book will never have an omnibus 
print edition as it is wy too large.)

I picked the brightest possible high-contrast colours for the five conditions 
(avoiding magenta by Sarah's advice and blue because the Silicon Prairie 
indexing tools use blue for index markers.  I also avoided red because Fm8 
seems to use it as a warning when conditions conflict in some way.)  I think I 
had forest green for eOnly, green for Pri
