When we began our policy review and conversion 2 years ago, one main objective was to "separate" policy from procedure.
* Policy goes through a formal approval process that is not required for procedure after the initial creation/approval of the policy & supporting procedures. The reason being that procedure changes more often than policy, usually minor changes or process improvements with no impact upon the policy. * We use specific templates for each. (Thank you ACUPA friends for helping me with this) * The procedure document is referred to and hyperlinked in the policy and they are listed as separate yet connected documents in the online policy 'manual'. * Regarding dates, the policy document does not reflect a revision date for procedural changes. This date is only noted on the procedure document . * As policy is reviewed bi-annually, this gives leadership and key stakeholders an opportunity to formally review procedures as well. * The formal review date is documented on both policy and procedure documents. * If the policy document was revised upon review, that would also be reflected in the policy document. Hope this helps. Lynda Lloyd, M.Ed., P.H.R. For those of you who have a combined document - policy and procedure - do you allow separate update dates (edit, revision) for each of those sections (policy/procedure), or when a document is updated, do you change both dates? In the past, we've had folks update both dates, and I'm leaning towards going the other way. So I figured I'd ask to see if there is a "usual" practice out there. -Eunice Eunice Hornsby, Ph.D. Policy and Training Director The Ohio State University Office of University Compliance and Integrity 1543 N.
