If you can tell me how to avoid it, I'd love to do so. My company
recently opened up our "out of office" messages to go to external email
recipients (like this list) and I don't believe I can stop it from
within Microsoft OutLook. As I'm required, by management, to set up an
out-of-office message when I'm out, the only thing I can think to do
would be to change my listserv settings whenever I'm out of town, and
(hopefully) remember to change them back when I get back (manual process
= lots of room for failure!).

In most cases, it is impossible for me to tell. I very aggressively
filter my email. I just checked, and it appears that this list (unlike
many others) does indeed only send a single "out of office" per person.
I wonder how they do that? I'm subscribed to a number of lists and do
tend to get "splattered" quite a bit. Or would if it weren't for the
previously mentioned filters. The original email made it though my
filters because it is not in a "standard" form (i.e. it doesn't say "out
of office")

However, I do maintain that it is impolite. Even if there is only a
single email of this type per person, it is distributed to a LARGE
audience. This costs the Marist university bandwidth, even if nothing
else.

If I came across as "too hard" on Tom, I will apologize. But I will
stick with feeling that it is impolite do this. Especially when it can
be avoided (with some work).
