 company name. Repeat for other pgf formats as necessary.

 Or, since there are probably far fewer replacements needed in headings,
 etc., just use Find to select those and then use Special  Variable to
 replace the text manually.

It would help to have more information, such as:

How are you creating the PDF? Print to Adobe PDF? Save Book As? Print to File?
Do you see a Distiller error? If so, what does it say?
What do you mean by fails? No PDF created?
Does Distiller get up to a certain page and then stop?
Is there a Distiller .log file? If so, what does it say?
Does the ToC contain .eps graphics? (these can sometimes cause distillation to 
stop).
Are there any missing fonts messages?

Any suggestions for the best way to import MathCAD files into FM9? I will be 
receiving one file with a lot of equations, and several graphics. Don't know

OT: Upgrading from Vista to Win7 troubles and questions

So, after suffering through Vista, I happily was an early adopter of the
upgrade to Win7 this past weekend and yes, despite all the
guarantees/assurances/promises of it being a seamless/transparent upgrade, I
must pick myself up off the floor after collapsing in laughter at all the
issues/gotchya's that ensued. (It was either laugh, or cry hysterically and
lose all sense of hope and sanity - but wait - I do that anyway with
anything that has to with a Windows upgrade!)

 

I think I am through most of the trials and tribulations, but this issue
remains - I am having to set up my Task Bar/Start menu again and I have
Adobe TCS2. I DID have all of the icons (FM, Captivate, etc.) pinned to
both, but NOW when I right-click on the icon for RobohelpHTML 8, there
is no option for pinning  to the Start bar or Task menu. All of the other
icons (for FM, Captivate, etc.) still show this option and when I double
click on the RoboHelp icon, it opens and I can load a project. . ., so . . 

It's not a biggie, bit I would like my little PC world to be all put back
together and have it all be right again. . .

You can import _all_ master pages using File  Import  Formats and
selecting only Page Layouts. But you can't delete the default Left and
Right (for 2-sided docs) master pages, so if you're trying to retrieve
only a custom master page, that won't work. Here's something that should
work: 

1) On the master page you want to copy, click outside all frames (so
there's no insertion point) and then press Ctrl+A to select all on the
page. 

2) Press Ctrl+C to copy it all to the clipboard. 

3) Go to the destination doc and select Special  Add Master Page. In
the dialog, enter the name, select Empty, and click Add. The new master
page appears. It's empty.

4) Press Ctrl+V to paste everything you copied onto the empty master
page. In the dialog, the Text Frame Type and Columns settings should be
correct, so just click Add. 

5) Select View  Body Pages, go to a page you want to apply the new
master page to, and select Format  Page Layout  Master Page Usage.
Select the new custom master page and click Apply. 

6) Verify that everything looks OK and the background frames (header,
footer) are really uneditable background. 

Here's another approach (in rough outline form), assuming you need to
preserve the default master pages in the destination doc: In a copy of
the destination doc, delete all master pages other than the defaults. In
a copy of the source doc for the custom page you want, delete any custom
pages you _don't_ want. Then import page layouts from the destination
doc copy to the source doc copy. 

You've now replaced the default master pages in the source doc copy with
the ones from the destination doc (the ones you want), but without
affecting the custom master page. So now you can import page layouts
from the source doc copy to your destination doc(s). You'll be replacing
the default master pages with copies of themselves and adding the custom
master page you want.

Moving my text inset source

I'm using FrameMaker 7.2 on Windows XP, and I have FrameScript.
 
I'm looking for ideas on the easiest way to resolve the text inset
references if I move the source files. I have about 150 files all
together, divided up among about 40 folders. The text insets are
unstructured, although most of them are on a master page of structured
files (if that makes a difference).
 
Any suggestions would be appreciated; thanks.

It depends a lot on what you mean by move the source files.
In general, you don't move components of a book -- anything less than
an entire book -- manually.

The easiest way to move a project or part of a project is to use Bruce

Conditional Text - Best Practices

I have just completed my first Frame manual (conversion from Word to FM9) and 
am now beginning to create Conditional markers for a second product within the 
same manual (this will eventfully become 4 products).

All of our manuals are translated into at least 6 other languages, so my 
question is:

When creating conditional text should I always create a second version of a 
sentence, or should I simply create conditional clauses or words within the 
sentence?

For example, instructions for product one might begin Tap the touch screen 
Menu button. while the equivalent instruction for the second product would be 
Press the console MENU button.

Taking into account that translation will occur, would best practices dictate 
the creation of one step with 2 conditions? Or 2 sentences, one for each 
condition?

If anyone has experience in this particular area I would appreciate your 
thoughts - and horror stories of what to avoid at all costs.

Framemaker 8 document won't print photo

I have used Framemaker for about eight years. I have had very few
problems with documents. I now have a document that won't print a photo
imported as a .jpg file. I do this all the time and have no problems. I
discover it is the document and not the photo. I am unsure as to why
this problem developed, and have made some tests with alternative
images, to no avail. It prints a gray box, as it would if the link for a
linked photo was broken. I always use the copy into document approach.

The document will generate a .pdf that prints successfully, which tells
me something.

I am going to try a new document, copying and pasting all contents of
this one into it. No matter what, I can get past this document. I am
wondering if anyone can shed useful light on this, enabling me to avoid
such a situation in the future.

Strategy for reading list

I greatly appreciate the value to be found in this mailing list. I admit
I am really accustomed to using web forums, and have no experience using
lists such as this.

It has been hard for me to engage with the emails and be able to pick my
way meaningfully through the information. It is often confusing to me.
It seems that to stay connected with the process you would have to read
absolutely everything, all the time, otherwise the chain is broken. 

My question is this: How do you engage with this mechanism so you can
best understand the flow of content and follow topics?

OK, if Frame can generate a PDF of the document with the photo in
place, it's unlikely to be Frame that's the problem. Which would leave
your physical printer or something else in the system as suspects.

Second, although you're copying the JPG in, that's not a recommended
way to handle most graphics and may be part of the problem, if your
system doesn't have enough RAM or other resources to handle it. Try
importing the graphic by reference, and also opening the JPG in a
graphics program and saving it out as a new file and perhaps a new
file format.

Can you provide more details on your system, RAM, OS, and whatever
printer you're using?

Given that there's CAD in the program name, and since Acroba will import the
lion's ahare of 3d formats, you might try importing the native MathCAD file
into Acrobat. Since it works with nearly all 3d modeling programs, you may
be able to produce the PDF yourself and avoid having to explain what you
want entirely.

Gordon, it's great that you've discovered the resource that is this
list. The folks around here tend to be both very skilled and very
helpful -- and you can't ask for much more than that.

I suspect you'll find it impractical to try to read everything all of
the time. For me, the easiest thing is to use an e-mail reader that can
sort list topics by thread automatically -- Outlook or gmail, for
instance. I keep an eye on my unread mail folder from time to time
throughout the day. Within the Unread Mail folder, I keep the current
view arranged by conversation. On less hectic days, I'll skim more
expansively and likely read most of the messages. If the schedule is not
overly pinched or the question looming seems to be a quick-and-easy
answer, I'll see whether I might be able to pitch in with a response
that I hope will be helpful. When days are hectic, I'll skim the threads
from time to time. If something seems significantly interesting or
pertinent, I'll wade chronologically through the first few messages to
test whether it really is. On really crazy weeks, the list may be
largely ignored until a relatively calmer time returns. The busier I get
the more likely, too, that whole threads not directly relevant to my
work will get wiped out with one stroke of the delete key.

I agree with Jim.  I set Thunderbird to sort the messages into threads.  
I watch threads that are interesting or relevant to my work, perhaps 
archive anything useful, and delete the rest.  If you check the messages 
at least daily, it only takes a few minutes and you can keep on top of it.

In addition to Jim's suggestions, you may find it useful to search
Google with terms that you're interested in knowing more about, and
including FrameMaker in the search terms. Google finds much of this
list's archived conversations, as well as information from other
forums and sources.

If you want to follow particular threads, you can either use an e-mail 
client that sorts messages into threads, or you can read the archives at 
http://lists.frameusers.com/pipermail/framers/ and choose the Thread 
link for the current month.

Myself, I just use the delete key liberally in my e-mail client to zap 
any messages I know won't help or interest me, or that I can't be of any 
help on.  (Structure or DITA for example -- no clue, so Zap!)

A slight refinement of that suggestion works even better: Instead of

Using your example, two sentences, translation or not. The sentences are
different enough that it would be real confusing if all conditions were
turned on.

If it were simply a different product name, without translation, then one
sentence.

Translation, in my mind, would dictate having separate sentences. Send each
version of the book to the translator with the proper instructions to
translate book1 into French, book 2 into Spanish, or whatever. Eliminates
errors by the translation outfit.

I have just completed my first Frame manual (conversion from Word to FM9)
and am now beginning to create Conditional markers for a second product
within the same manual (this will eventfully become 4 products).

All of our manuals are translated into at least 6 other languages, so my
question is:

When creating conditional text should I always create a second version of a
sentence, or should I simply create conditional clauses or words within the
sentence?

For example, instructions for product one might begin Tap the touch screen
Menu button. while the equivalent instruction for the second product would
be Press the console MENU button.

Taking into account that translation will occur, would best practices
dictate the creation of one step with 2 conditions? Or 2 sentences, one for
each condition?

If anyone has experience in this particular area I would appreciate your
thoughts - and horror stories of what to avoid at all costs.

TOC causing PDF to fail

It would help to have more information, such as:

How are you creating the PDF? Print to Adobe PDF? Save Book As? Print to File?
Do you see a Distiller error? If so, what does it say?
What do you mean by "fails"? No PDF created?
Does Distiller get up to a certain page and then stop?
Is there a Distiller .log file? If so, what does it say?
Does the ToC contain .eps graphics? (these can sometimes cause distillation to 
stop).

OT: Upgrading from Vista to Win7 troubles and questions

So, after suffering through Vista, I happily was an early adopter of the
upgrade to Win7 this past weekend and yes, despite all the
guarantees/assurances/promises of it being a seamless/transparent upgrade, I
must pick myself up off the floor after collapsing in laughter at all the
issues/gotchya's that ensued. (It was either laugh, or cry hysterically and
lose all sense of hope and sanity - but wait - I do that anyway with
anything that has to with a Windows upgrade!)



I think I am through most of the trials and tribulations, but this issue
remains - I am having to set up my Task Bar/Start menu again and I have
Adobe TCS2. I >>DID<< have all of the icons (FM, Captivate, etc.) pinned to
both, but >>NOW<< when I right-click on the icon for RobohelpHTML 8, there
is no option for pinning  to the Start bar or Task menu. All of the other
icons (for FM, Captivate, etc.) still show this option and when I double
click on the RoboHelp icon, it opens and I can load a project. . ., so . . 

It's not a biggie, bit I would like my little PC world to be all put back
together and have it all be right again. . .

You can import _all_ master pages using File > Import > Formats and
selecting only Page Layouts. But you can't delete the default Left and
Right (for 2-sided docs) master pages, so if you're trying to retrieve
only a custom master page, that won't work. Here's something that should
work: 

1) On the master page you want to copy, click outside all frames (so
there's no insertion point) and then press Ctrl+A to select all on the
page. 

2) Press Ctrl+C to copy it all to the clipboard. 

3) Go to the destination doc and select Special > Add Master Page. In
the dialog, enter the name, select Empty, and click Add. The new master
page appears. It's empty.

4) Press Ctrl+V to paste everything you copied onto the empty master
page. In the dialog, the Text Frame Type and Columns settings should be
correct, so just click Add. 

5) Select View > Body Pages, go to a page you want to apply the new
master page to, and select Format > Page Layout > Master Page Usage.
Select the new custom master page and click Apply. 

6) Verify that everything looks OK and the background frames (header,
footer) are really uneditable background. 

Here's another approach (in rough outline form), assuming you need to
preserve the default master pages in the destination doc: In a copy of
the destination doc, delete all master pages other than the defaults. In
a copy of the source doc for the custom page you want, delete any custom
pages you _don't_ want. Then import page layouts from the destination
doc copy to the source doc copy. 

You've now replaced the default master pages in the source doc copy with
the ones from the destination doc (the ones you want), but without
affecting the custom master page. So now you can import page layouts
from the source doc copy to your destination doc(s). You'll be replacing
the default master pages with copies of themselves and adding the custom
master page you want.

Moving my text inset source

I'm using FrameMaker 7.2 on Windows XP, and I have FrameScript.

I'm looking for ideas on the easiest way to resolve the text inset
references if I move the source files. I have about 150 files all
together, divided up among about 40 folders. The text insets are
unstructured, although most of them are on a master page of structured
files (if that makes a difference).

Any suggestions would be appreciated; thanks.

It depends a lot on what you mean by "move the source files."
In general, you don't move components of a book -- anything less than
an entire book -- manually.

The easiest way to move a project or part of a project is to use Bruce
Foster's Archive Plug-in.

Conditional Text - Best Practices

I have just completed my first Frame manual (conversion from Word to FM9) and 
am now beginning to create Conditional markers for a second product within the 
same manual (this will eventfully become 4 products).

All of our manuals are translated into at least 6 other languages, so my 
question is:

When creating conditional text should I always create a second version of a 
sentence, or should I simply create conditional clauses or words within the 
sentence?

For example, instructions for product one might begin "Tap the touch screen 
Menu button." while the equivalent instruction for the second product would be 
"Press the console MENU button."

Taking into account that translation will occur, would best practices dictate 
the creation of one step with 2 conditions? Or 2 sentences, one for each 
condition?

If anyone has experience in this particular area I would appreciate your 
thoughts - and horror stories of what to avoid at all costs.

Framemaker 8 document won't print photo

I have used Framemaker for about eight years. I have had very few
problems with documents. I now have a document that won't print a photo
imported as a .jpg file. I do this all the time and have no problems. I
discover it is the document and not the photo. I am unsure as to why
this problem developed, and have made some tests with alternative
images, to no avail. It prints a gray box, as it would if the link for a
linked photo was broken. I always use the copy into document approach.

The document will generate a .pdf that prints successfully, which tells
me something.

I am going to try a new document, copying and pasting all contents of
this one into it. No matter what, I can get past this document. I am
wondering if anyone can shed useful light on this, enabling me to avoid
such a situation in the future.

I am really accustomed to using web forums, and have no experience using
lists such as this.

It has been hard for me to engage with the emails and be able to pick my
way meaningfully through the information. It is often confusing to me.
It seems that to stay connected with the process you would have to read
absolutely everything, all the time, otherwise the chain is broken. 

My question is this: How do you engage with this mechanism so you can
best understand the flow of content and follow topics?

Framemaker 8 document won't print photo

OK, if Frame can generate a PDF of the document with the photo in
place, it's unlikely to be Frame that's the problem. Which would leave
your physical printer or something else in the system as suspects.

Second, although you're copying the JPG in, that's not a recommended
way to handle most graphics and may be part of the problem, if your
system doesn't have enough RAM or other resources to handle it. Try
importing the graphic by reference, and also opening the JPG in a
graphics program and saving it out as a new file and perhaps a new
file format.

Can you provide more details on your system, RAM, OS, and whatever
printer you're using?

Importing MathCAD Files

Given that there's CAD in the program name, and since Acroba will import the
lion's ahare of 3d formats, you might try importing the native MathCAD file
into Acrobat. Since it works with nearly all 3d modeling programs, you may
be able to produce the PDF yourself and avoid having to explain what you
want entirely.

Gordon, it's great that you've discovered the resource that is this
list. The folks around here tend to be both very skilled and very
helpful -- and you can't ask for much more than that.

I suspect you'll find it impractical to try to read everything all of
the time. For me, the easiest thing is to use an e-mail reader that can
sort list topics by thread automatically -- Outlook or gmail, for
instance. I keep an eye on my unread mail folder from time to time
throughout the day. Within the Unread Mail folder, I keep the current
view arranged by conversation. On less hectic days, I'll skim more
expansively and likely read most of the messages. If the schedule is not
overly pinched or the question looming seems to be a quick-and-easy
answer, I'll see whether I might be able to pitch in with a response
that I hope will be helpful. When days are hectic, I'll skim the threads
from time to time. If something seems significantly interesting or
pertinent, I'll wade chronologically through the first few messages to
test whether it really is. On really crazy weeks, the list may be
largely ignored until a relatively calmer time returns. The busier I get
the more likely, too, that whole threads not directly relevant to my
work will get wiped out with one stroke of the delete key.

In addition to Jim's suggestions, you may find it useful to search
Google with terms that you're interested in knowing more about, and
including FrameMaker in the search terms. Google finds much of this
list's archived conversations, as well as information from other
forums and sources.

If you want to follow particular threads, you can either use an e-mail 
client that sorts messages into threads, or you can read the archives at 
http://lists.frameusers.com/pipermail/framers/ and choose the Thread 
link for the current month.

Myself, I just use the delete key liberally in my e-mail client to zap 
any messages I know won't help or interest me, or that I can't be of any 
help on.  ("Structure" or "DITA" for example -- no clue, so Zap!)

A slight refinement of that suggestion works even better: Instead of
including FrameMaker in the search terms, specify lists.frameusers.com
as the site to search. For instance, to find posts about conditional
text, enter the following in a Google search box: 

"conditional text" site:lists.frameusers.com 

To search both the list archive and the FrameUsers website, make it: 

"conditional text" site:frameusers.com

Using your example, two sentences, translation or not. The sentences are
different enough that it would be real confusing if all conditions were
turned on.

If it were simply a different product name, without translation, then one
sentence.

Translation, in my mind, would dictate having separate sentences. Send each
version of the book to the translator with the proper instructions to
translate book1 into French, book 2 into Spanish, or whatever. Eliminates
errors by the translation outfit.

I have just completed my first Frame manual (conversion from Word to FM9)
and am now beginning to create Conditional markers for a second product
within the same manual (this will eventfully become 4 products).

All of our manuals are translated into at least 6 other languages, so my
question is:

When creating conditional text should I always create a second version of a
sentence, or should I simply create conditional clauses or words within the
sentence?

For example, instructions for product one might begin "Tap the touch screen
Menu button." while the equivalent instruction for the second product would
be "Press the console MENU button."

Taking into account that translation will occur, would best practices
dictate the creation of one step with 2 conditions? Or 2 sentences, one for
each condition?

If anyone has experience in this particular area I would appreciate your
thoughts - and horror stories of what to avoid at all costs.
