User's Manual vs User Manual

I recommend User Manual.

Technical Writers should not ever use possessives. They are also forbidden for

The font that wouldn't...

2014-12-30 Thread Thomas Scalise
Esteemed colleagues,

I am using FrameMaker 11.0.2.384 on Windows 7 Professional and using Adobe
Acrobat Professional XI 11.0.6 to create PDFs.

I am implementing a new book design that uses Helvetica fonts. I was given a
group of fonts to install, which I installed In Windows. Included in those
fonts a font called Helvetica Condensed. Some, but not all, of the installed
fonts appear in the Fonts folder in Windows on the C: drive. Each of those
fonts is preceded by the letter A. Helvetic Condensed is not one of them. I
don't know why.

I see this font and a number of other Helvetica fonts in FrameMaker when I
select Format/Font. When I select this Helvetica Condensed for a Head1 in Frame
the heading appears in the selected font. When I make a PDF of the book, all
the Head1 fonts revert to Times New Roman (the default, I assume) in the Frame
document.

Can anyone give me some perspective on what is happening? I assume that the
problem is occurring in Frame but I don't know why the font changes there since
Helvetica Condensed is listed in Frame's fonts list. I assume that the PDF
simply reproduces the font in Frame (I could be dead wrong about that). Why is
the font changing in Frame when Frame allows me to select Helvetica Condensed
and displays it in the text? I can change the font to Helvetica Neue Condensed
and the problem goes away. However, the two fonts are not the same and the
Helvetica Neue version is much more cramped in aspect.

Any advice or insight would be much appreciated. Thanks in advance.

Problem with auto numbering Figures and Tables

2014-10-23 Thread Thomas Scalise
Esteemed colleagues,

I am running Frame 11.0.2.384 on Windows 7 Professional. I have a book with 5
chapters that contain figures and/or tables. The book pages are numbered
consecutively from 1 to 60+. Since I am not using folio page numbering, I want
the Figures and Tables to be numbered consecutively as they appear in the book.
I cannot get the numbering to work. It resets to zero in each chapter. I have
created books like this before with no problems. This book is a problem child.
I assume that there is some hidden misstep but I am at a loss. Any suggestions
and advice would be appreciated. Thanks in advance for your help.

TOC Element that will not behave

2014-10-08 Thread Thomas Scalise
Esteemed colleagues,

I am running FrameMaker 11.0.2.34 on Windows 7 Professional. IN my table of
Contents for a book, the Index title refuses to appear properly formatted. The
format (IndexTitleTOC) is applied to the Index.Title when it appears in the
TOC. However, the Index.Title reverts to some earlier definition of the
IndexTitleTOC format. No matter what I do, it always returns to a format
different from the rest of the same-level items in the TOC. Can anyone suggest
what the solution is?

Character format that won't stick

2014-08-26 Thread Thomas Scalise
Esteemed colleagues,

I am using Frame 11.0.2.384 on Windows 7.

I applied a character format (CrossRef) to text in a document. I late saved the
document. When I return to Frame and open the document, the character format
has reverted to the previous format. I recall having this problem before, a
long time ago, and cannot for the life of me remember what to do to make the
character format stick. Thanks in advance for any help you can give.

Why a character format won't stick?

2014-08-21 Thread Thomas Scalise
I am using Frame 11.0.2.384 on Windows 7.

This is driving me nuts. I apply a character format to, say, a cross reference.
I save the document. I close the book and close Frame. I re-open Frame and the
book...and the cross reference has returned to the previous character format. I
cannot remember what to do to make the new format stick. Can anyone put me out
of my misery? Thanks ion advance.

TOC format that won't go away

2014-03-20 Thread Thomas Scalise
Esteemed colleagues,

My sincere thanks to all of you who offered me such excellent advice and
insight. I have solved the problem and I am now much more familiar with a part
of FrameMaker that I rarely needed to examine. As usual the response was
overwhelming and, I may say, typical of the great members of this forum.

TOC format that won't go away

2014-03-18 Thread Thomas Scalise
Esteemed colleagues

I am using Frame 11.0.2.384 on Windows 7. An unwanted item has invaded my TOC.
It appears on the reference page as ContentsTitleTOC. I have a ContentsTitle
item. I do not know how ContentsTitleTOC came to appear as the first line under
the Title block in the Table of Contents for the book. I don't know what else
to do to get rid of it. I have deleted it from the Reference Page (don't know
how it got there...it comes back). I delete it from the Table of Contents page
(it comes back). I suspect that there is a precise order of kill shots that are
necessary to rid me of this troublesome nit...but I cannot figure out what that
should be. Can someone put me out of my misery? Please? Thanks in advance.

Unwanted items in the TOC

2013-08-15 Thread Thomas Scalise
Esteemed colleagues,

I am working in Frame 11.0.0.380 on WIN 7.

I have three unwanted items in my TOC. They appear on the TOC reference page
and they are:

$paratext $pagenum

$paratext $pagenum

$paratext $pagenum

The first one is a ContentsTitleTOC.
The second one is a LOFTitleTOC.
The third is a LOTTitleTOC.

I don't want Contents as an entry in the TOC; nor do I want Figures and
Tables in the TOC. They are separate lists of items that appear at the
beginning of the book immediately after the TOC.

How do I get rid of the three entries in the TOC Reference page and make the
deletion stick? I would appreciate your counsel. Thanks in advance.

Distiller changes page sizes at will

2013-03-05 Thread Thomas Scalise
Esteemed colleagues,

I am running FrameMaker 10 and Adobe Distiller 11 on WIN 7 Professional. I have
a simple manual with a Title Page, a TOC, and 11 chapters. The manual is in A4
size. I have created, and use, Distiller job options for the A4 page size.

When I make a PDF ( using Save as PDF), the Title page, the TOC, and Chapters
1, 9 10, and 11 all format correctly. Chapters 2-8, however, format with the
top of the page trimmed off (the page size reverts to 8.5 X 11). The same thing
happens if I Print the manual to a postscript file and run the Distiller
against that file.

I should say that using the same Distiller settings against another A4 manual,
the results are completely correct. No shorter pages in the PDF.

Has anyone faced this problem? I have not seen it before, and I have made PDFs
from many A4 size manuals. It looks as though starting with Chapter 2 the page
size is changed in the Distiller to 8.5 X 11 and then changed back to A4
starting with Chapter 9. Is there something that I have inadvertently done in
those chapters that is causing this Distiller behavior? To my knowledge I have
done nothing different in FrameMaker than I have done before in creating a
manual (nothing I am aware of, at any rate).

I came here rather than going to the Adobe forums, which are byzantine in
access and glacial in pace. Thanks is advance for any help you can give.

Videos in RoboHelp

2013-01-30 Thread Thomas Scalise
I am using Robohelp 10 to develop a compiled HTML Help system on a Widows 7
system. I am trying to include three short video clips in one topic.

Thus far, I am unable to determine what format of video will survive the
compilation of Robohelp into HTML Help. I have tried wmv, avi, and MP4 without
success. I use a small filmstrip icon as the hotspot for the link.

The Robohelp help contains the following statement:

Note: Some file formats do not work properly in compiled HTML Help files.

However the help doesn't state what the file formats are that won't work
properly. Nor does it tell you what formats do work properly.

In every case (wmv. Avi, MP4) the clips appear properly in the Ctrl+w preview
mode. However, in the compiled HTML Help topic the Windows Media Player does
not launch the clip, but offers a menu that includes Play all music, Go to
library, or Play Previous list. Select Play Previous List and you see the last
video that the player ran, not necessarily the one you think you have selected.

I guess this is RoboHELL. Can anyone give me any insight into what I am
probably doing wrong? I would appreciate anyadvice. Thanks in advance.

I have tried wmv, avi, and MP4 without
success. I use a small "filmstrip" icon as the hotspot for the link.

The Robohelp "help" contains the following statement:

Note: Some file formats do not work properly in compiled HTML Help files.

However the "help" doesn't state what the file formats are that won't work

Character Style that won't stick

2012-10-02 Thread Thomas Scalise
Friends,

I work in FrameMaker 10 on a 64-bit Windows 7 system, 8 GB of RAM, Dual Core
EB400 @ 3GHz.

I have a character style (CrossRef) which refuses to stay in effect, even after
I save the document and book. When I re-open the book and document, the cross
ref's have returned to the original style. Can anyone tell me what I am not
doing (besides not remembering what to do)?

Thanks in advance.

OT: Learning S1000D

2012-08-27 Thread Thomas Scalise
Rick,

Last year I attended a training session on S1000D and Simplified Technical
English at our vendor Smart Communications, Inc., in New York City.
We used the S1000D specification, 500 pages, which is the only published
standard.
Simplified Technical English is part of S1000D. The SMART MAXit Checker works
with FrameMaker 7-10.
We adapted for Controlled English with success. The use of S1000D and STE is

Character style that won't stick

2012-07-05 Thread Thomas Scalise
Esteemed colleagues,

I am running unstructured Frame10 (10.0.2.914) on Windows 7.

I have a character style called CrossRef that applies a font (Verdana), size,
and color (Blue) to a crossref link. However, it won't stick. When I recompile
the book, the character style reverts to the Default Font (Times New Roman) but
keeps the size and the color.

This one baffles me. Can anyone help me understand what's going on? Thanks.

Text Insets with Frame10

2012-04-12 Thread Thomas Scalise
Esteemed colleagues,

I am using Frame10 v10.0.2.419 on Windows 7.

I am trying to evaluate the use of text insets in a manual. The manual
describes software that contains a number of individual features that can be
combined as required for a particular customer. Has anyone used text insets
with unstructured Frame? The discussion of insets in the Frame help (an
oxymoron at best) is pathetic. I suspect that insets may be helpful to me and
save me time with updates, which occur regularly. I would appreciate any
insights you can give. Is there a source of information about how best to use
insets in Frame?

Thanks in advance,

Tom

Getting out of View-only state

2011-11-18 Thread Thomas Scalise
I am running Frame 10.0.1.402 on Windows 7. Somehow, I have put a number of the
chapters in a book into View-only mode. I tried the Esc Shift+flk key sequence
but it has no effect (surprise, surprise). Can anyone help me out? I am not
sure how these files got into this state. I need to get them back into a normal
Document state.

The book was a Frame 9 book that I brought into Frame 10 and saved as a Frame
10 book and documents. The generated files are not View-only and one of the
chapter files is not, The rest of the chapter files are View-only.

For the life of me I cannot figure out what I did.

Missing TItle in TOC

2011-09-22 Thread Thomas Scalise
Esteemed colleagues,

I am using Frame 10 (10. 0.1.402) with Windows 7. I have a manual with a TOC.
In Frame, when I view the TOC document, the Index title does not appear. It
does appear on the Contents page in the PDF of the book and in the bookmarks.

I have two books that are doing this and two that are not. Does anyone have any
idea what the heck is going on.

Here is an unformatted view of the Reference Page for the TOC with the relevant
tag names in parentheses:
openXmlElementId $relfilename:$UniqueXmlElementId $RelativeXmlElementId
$paratext $chapnum-$pagenum (Head4TOC)
openObjectId $relfilename:$ObjectType $ObjectId
$paratext (IndexTitleTOC) I don't know why there are two of this one.
$paratext (IndexTitleTOC)
$paratext $chapnum-$pagenum (Head3TOC)
$paratext $chapnum-$pagenum (Head2TOC)
$paratext $chapnum-$pagenum (Head1TOC)
$paratext (Chapter.nameTOC)

Any help would be appreciated. Thanks in advance.

Missing Titile in TOC

2011-09-22 Thread Thomas Scalise
Esteemed colleagues,

The estimable Rick Quatro was kind enough to invite me into a GoTo Meeting
session where he was kind enough to point out the solution without making me
feel like a complete idiot.

The solution is to click the TOC document in the book file and go to EditSet
Up Table of Contents. It was immediately obvious that the Index title was not
included in the TOC list. After adding the IndexTitle to the list and remaking
the book, the title appeared where it should.

Thanks Rick.

Missing Titile in TOC

2011-09-22 Thread Thomas Scalise
Esteemed colleagues,

The estimable Rick Quatro was kind enough to invite me into a GoTo Meeting
session where he was kind enough to point out the solution without making me
feel like a complete idiot.

The solution is to click the TOC document in the book file and go to Edit>Set
Up Table of Contents. It was immediately obvious that the Index title was not
included in the TOC list. After adding the IndexTitle to the list and remaking
the book, the title appeared where it should.

Thanks Rick.

FrameMaker 10 and RoboHELP 9

2011-08-03 Thread Thomas Scalise
Esteemed colleagues,

Can anyone give me specific information about the supposed special relationship
between Frame 10 and RoboHELP 9 that allow for single source authoring of a
help system? If it exists, must it occur within the TCS? I have a large update
project and it would be immensely easier with single source capability.

Thanks in advance for any suggestions, info, etc.

Character definition that won't stick

2011-06-30 Thread Thomas Scalise
Esteemed colleagues,

I am running Frame10.0.1.402 on an XP SP3 machine. This problem, however, has
been plaguing through Frame 7, 8, and 9.

I have a character style called CrossReference. It has a bold Times New Roman
font and a Blue color. I have been trying for a long time to figure out why I
can't change the font and make the change stick. I change the font in a
document and save the document. The next time I open the document the cross
references are back to looking the way they did before I changed the definition
of the style.

This is a minor problem, but I am now fed up with it. I'm certain that there is
something obvious that I should have seen or done, but

I would appreciate an insight into this and, if possible, a solution. Thanks in
advance for your assistance.

Extracting art from Word docs

A while back there was a technique noted on this forum for saving a Word (docx)

Missing a blank line in the TOC for a manual

2010-12-01 Thread Thomas Scalise
Esteemed colleagues,

I am using Frame8 p277 unstructured on a desktop running XP SP3.

I have a manual with 5 chapters, When I compile the manual, the TOC puts
the correct blank line between the last entry in Chapter 1 and the
Chapter name for chapter 2, and so on, until we reach Chapter 4. There
is no blank line between the last item in Chapter 3 and the Chapter name
for chapter 4. The blank line returns between the end of Chapter 4 and
the Chapter name for Chapter 5, and so on to the Index.

I have done some sleuthing and determined that the problem lie with the
end of Chapter 3 in the book. All the chapters show that they are in
Flow A. The only difference is that the end of Chapter 3 has, as its
last item, an end-of-flow mark. I don't know why that mark is at the end
of Chapter 3. It is possible that Chapter 4 was copied from another book
and inserted in this book.

I think that is the problem but I have not been able to erase that mark.
Can anyone suggest how best to solve this aggravating problem?

Thanks.

Thanks.

Columns in an Index

2010-06-18 Thread Thomas Scalise
Esteemed colleagues,

I am running FrameMaker 8.0 p277 on Window XP Professional SP3. The page
format is A4 and it's the only book I have in that page size at present.

I have an Index, the first page of which remained one column while the
rest was in two-column format. No matter what I did with the Format
function, I could not get the first page into two-column format. I could
change the whole index into one-column format...that worked. But, when I
tried to change from that to two-column format the first page stayed in
one-column format.

I solved the problem by importing the page layout of a two-column index
from another document (7.25 by 9 inches). It worked, but I then had to
manually size the pages to A4 to get what I needed.

I really want to know why I couldn't get the first page of the index to
behave without using gorilla tactics. Can anyone offer some suggestions?

Auto-numbering tables and figures consecutively

2009-07-10 Thread Thomas Scalise
Esteemed colleagues,

I am using FrameMaker 8 on a machine running Windows XP Professional.

I have a manual with six chapters and consecutive page numbers (1 through 68).
I want the tables and figures to be numbered consecutively as well throughout
the book (Figures 1 through 15...Tables 1 through 9, for example).

However, I cannot get the numbering to bridge all the chapter breaks. It works
across some chapters, but not others. The manual is really deficient in this
area. I have looked for a counter reset at the beginning of the offending
chapters but I haven't found it.

If someone out there can suggest a course of action, or point me to a good
explanation, I would appreciate that. Thanks in advance.

RE: Use of please in technical documentation and messages on screen

2009-07-06 Thread Thomas Scalise
Verner,

I write in Controlled English for translation. I would write: Wait while
the program updates the results.

Thus, you avoid the Please and the gerund (updating), the first of
which is unnecessary and the second of which may not be translatable in
many languages. Simple, direct, active voice statements are best. Words
like carefully, slowly, etc., are also invitations to interpretation by
the reader, which may not be the result you want.

FrameMaker 8 behavior

2009-02-26 Thread Thomas Scalise
Esteemed colleagues,

I am using FrameMaker 8.0 p273. The program seems very jittery. It flashes at
me from time to time, and the screen will occasionally go white when I click
and drag an item. The screen-going-white behavior also occurs when I Save
as... to create a PDF. It seems to be working okay other than these little
tics. But, they raise a concern on my mind that something isn't right and may
rise up at an inopportune moment to bite me in the butt.

Has anyone else seen this behavior?

FrameMaker will not sort a table

2008-03-17 Thread Thomas Scalise
Esteemed colleagues,

I'm making another attempt to find someone who may have an answer to this
problem. My Frame 7.2 has stopped sorting tables. The Sort function is disabled
in the Table menu. I've tried a number of remedies suggested by solicitous
colleagues but to no avail. If any of you has seen or faced this problem, I'd
appreciate any in sights you may have. I will re-install Frame to see if that
solves the problem, but I'd like to know if there is a solution other than
that, if only to determine what it is that I did to cause this. I've determined
that the table has no conditional text and I've saved the document as MIF,
opened it in Frame and saved it as an .fm file. Neither action worked.

Change bars that will not die and making RoboHelp for FrameMaker see

Esteemed colleagues,

Two questions, please.

1. I've got a book that I inherited from a contractor colleague
that exhibits persistent change bars, even though I have repeatedly
turned them off. Edits immediately bring change bars. Can anyone help me
out on this? I'm defeated.
2. Also, can anyone tell me where RoboHelp for FrameMaker stores
the path to FrameMaker. I recently re-installed RH4FM, after a long
interval, but the program can't find FrameMaker. I can't find an ini
file, or whatever, where I might manually point RH4FM in the right
direction. Adobe help is daunting to access and worthless if you finally
reach it. Forget communication with a real, live human being...ain't
gonna happen.

TIA for whatever advice and assistance you can give me.
