Our experiences are so different, and we should acknowledge it and cherish
it, and we need to respect all people and accommodate all people.

My experience is related and opposite at the same time. I sometimes tell
people that Wikimania is my social life. It's an exaggeration; it's
Wikimania and other Wikimedia-related events: hackathons, workshops, local
meetups. But that's really about it. The Wikimedia community is my social
life. Events other than Wikimedia events —weddings, holidays, parties, you
name it— can easily cause me to feel out of place and to experience
feelings described in this thread.

Wikimania is where I feel completely at home. But if it's not a place where
others can feel at home, it's a problem.

I remember one Wikimedia event that had an "introversion room". I remember
how some people cheered when the event organizer mentioned it in her
welcome speech. We need more of that: not only "introversion rooms" (even
though they are welcome), but anything that makes people feel welcome.

We need more of this consideration and inclusion not just because it's the
right and decent human thing to do. We need it because it's our expressed
goal to include every single human being. Who if not us?

Afrikaans and Xhosa are the most relevant local languages to Capetown.

Afrikaans is not huge, but fairly active.

Xhosa has a tiny number of contributors, but they are dedicated, and I
think that at least one will be at the Wikimania.

Jokes aside, this involved A LOT of work from the Haifa organizing team.
Many months before the event Wikimedia Israel people (not me) contacted the
Ministry of Foreign Affairs, explained to them what kind of event this is,
and what kind of people come to it. The Ministry contacts were friendly and
cooperative and suggested a process and an invitation letter.

Then, when the actual event was coming closer (May–June or so), yours truly
spent about two weeks doing nothing but sleeping, eating, and helping
hundreds of people get visas. Luckily, I was employed very part-time back
then and I could easily afford to volunteer for this. I mostly followed the
process that the ministry suggested, but I also remember very-late-night
Skype calls with participants from faraway timezones who had trouble
filling forms (different forms in each consulate!) and writing special
invitation letters for participants that represents highly respected
international organizations. Days before the event I remember more
surprising international phone calls from my country's representatives in
consulates, airports, and border-crossings around the world—sometimes
asking about Wikipedians I knew in person, and sometimes about people whom
I had to look up in lists of participants and verify that they're legit (in
case you're wondering, they all were).

As far as _I_ know, there were two rejections in 2011, but there may have
been others I don't know about.

I've been telling this story every time I had a chance to talk to Wikimania
organizers after 2011. Visa rejections come up every year at least since
2010, the year I started following Wikimania. The current version of the
Wikimania Handbook [1] also refers to this: "Visa assistance—This is
probably one of the most time-consuming and complicated thing to
consider... Writing these letters is a full-time job". While writing this
email I added: "... a full-time job for about two weeks or even more", and
I moved the suggested time for this to April–May instead of May–June.

The Wikimania Handbook is awesome, and it's written based on real
experience—future organizers should take it seriously. (I'm _not_ implying
that the 2017 organizers didn't take it seriously. I acknowledge that it's
complicated and that every country is different.)

but everybody understands that it's not practical.)

 food without ever knowing which it was. So: Label food. Name of the

 can't have milk etc.), vegetarian, kosher, whatever is of importance,
 make it clear.

You are right. We made sure that there would be enough vegetarian and
vegan food in all meals, including hot main courses. On the way we
taught the catering staff what veganism is, so vegans can be happy
about this educational success :)

Nevertheless, a significant number of vegetarian people had hard time
finding their meals. I thought about labeling it, because discerning
the ingredients is not always easy, especially in a foreign country.
Unfortunately, it slipped my mind at the last minute.

Recommendation to all future Wikimania organizers: Just ask the
catering company for detailed labels on the food. Don't just ask, put
it in the contract. They know the info, they have the staff and it
should be their job.

There's more than just salads - there are hot vegetarian and vegan
main courses. If the waiter doesn't know this, please the waiters'
manager.

Short answer: PDF is probably best. ODP, PPT, Keynote and Google Docs
are probably fine, too, but each of them will have its issues. (For
example, if you use any special fonts, it may be a problem.)

The organizers are not providing a computer. There are plenty of
people with functional laptops here with Windows, GNU/Linux and Mac OS
and various office software. You can try asking someone to use a
laptop. Of course, make sure to check your presentation on the
computer you will use with the projector at least a couple of hours
before the presentation.

take you inside the campus to the dorm itself and not leave you at the
gate of the Technion campus.

If the driver insists, tell him that the manager of the taxi station,
Shlomo, said that the drivers are supposed to take Wikimania
participants all the way to the dorms.

I agree that for people who like trains, the experience is important :)

During the night you can take bus 205 to Hof HaCarmel station to
Merkaz HaCarmel. From Merkaz HaCarmel it's a short walking distance to
Nof and Dan Panorama hotels, and about 15 minutes to Har HaCarmel (go
downhill on Derech Hayam street).

If you don't want to walk, take a taxi from Hof HaCarmel station. It
will cost 45 sheqels.

To save money and effort, please print this document:

Print it in any case, even if you don't currently plan to take a taxi
from the train station. Surprises happen :)

Hello,

Some Wikimaniacs already landed in Israel, but most of you will be
flying in the next few days.

The travel agent who sold you the plane ticket must have told you
this, but let me re-iterate it, because it's very, very important:
When you go to Israel, arrive to the airport three and a half hours
before the departure! For example, if your flight departs at 22:00,
you must already be at the airport at 18:30. Yes, that is a lot of
time. It is needed because of security checks, although it doesn't
mean that you'll spend three hours in interrogations and X-rays -
you'll probably spend most of it reading or browsing the duty-free
store. Nevertheless, don't arrive late!

The same is true for the return flight: When you go from Israel back
home, arrive at the Ben-Gurion airport three and a half hours before
the departure.

Make sure you take a good book to spend the waiting time productively! :)

 Remember to drink *a lot* and wear a hat when out in the sun!

Tel-Aviv is pretty hot, but Haifa is better :)

A couple of people commented privately and told me that i may be
exaggerating. I am not exaggerating: on all my direct flights to and
from Israel in the recent years the agents requested that i be at the
airport 3 and a half hours before the flight. I am actually happy
about it: it's a great chance to read a book instead of email :)

There is an exception, though: If you have a transfer flight, don't
worry, because that is supposed to be arranged. If the first part of
your itinerary is a short local flight inside North America, Europe,
China, India etc., then much shorter times may apply. To be sure,
please call the agent who provided you the ticket and ask when should
you be at the departure airport. To double-check, call the airline
company. Ask about both directions!

If you, for example, fly from Marseille to Frankfurt and then to
Tel-Aviv, then it may be OK. But double-checking with your travel

is the venue of the Wednesday evening party.

It is the third station in Haifa, after Hof HaCarmel and Bat-Galim.

Go to Haifa Central/Merkaz in these two cases:

1. You arrive to Haifa on Wednesday between 19:00 until 22:00. (The
ride takes slightly more than an hour.) In this case you shouldn't
take any taxi from the airport.

2. You stay in Nof or Dan Panorama, arrive to Haifa before 21:30 and
you're are ready to walk a little from the train station to the
Carmelit subway station. Carmelit works until 22:00.

Yes, sherut is the easiest option for you.

You can also take a bus from Hof Hacarmel station to the hotel, but
taking a sherut from the airport will be easier.

It's an excellent idea, but it may be a bit hard to implement.

There are a dozen or so bugs in Bugzilla which are very important to me, and
i think that they are quite important for the whole WM community and i keep
wondering when will they finally be fixed. But dozens of other people have
dozens of other bugs which are important to them. Put them all in one room
with a few developers, and most likely a very little fraction of the
people's questions will be answered.

It doesn't mean that such a session shouldn't be held, but this problem
should be kept in mind. One idea is to prepare the people who will
participate in it that it will be a very first-come-first-served thing and
to tell the people to prepare their questions precisely (e.g. to have the
bug number) or maybe even to submit their questions in advance. Also, there
can be a kind of a preparatory lecture explaining how the developers work in
general, how do they decide on which bugs to work, etc.

This is an important point.

It's hard to grow such a team in a new place every year, but if you
do, then after X years you will have grown X strong local team of
volunteers, ready to take on new challenges and to teach their
experience to other teams. This may be a worthy goal. It would be
interesting to check previous Wikimanias and to see whether the team
that organized them went on as a team.

it isn't good for Poland. Does anyone know an electric appliances
store near the Baltic Philharmonic where i can buy a fitting plug?

Thank you very much for the offer, but i need an Israel-to-Polish
plug. Israel has unique plugs which aren't used anywhere else. (The
people from the Standards Institute of Israel, who are supposed to be
responsible for this mess, hate them too.)

know where we should change our banknotes. For example, in some
countries (maybe all...) changing in the airport is much more
expensive than changing in the city.

 Speaking generally, it is usually cheaper to withdraw local money from
 an ATM using a credit / debit card (if it's possible for you), than to
 change money.

Last time i checked, for Israeli accounts drawing from an ATM is more
expensive. But i might be wrong.

[Wikimania-l] dormitories - location

In the registration process i asked for dormitories. I already
received the confirmation and payed for the registration, but i still
don't know where exactly i will be sleeping the first night.

I looked at the Google map which is linked from the wiki and there are
many hostels and dormitories in it.

If i won't know where i'm staying until i arrive, should i just come
to the Baltic Philharmonic? Note that my flight is scheduled to land
at 22:30, so i shall probably arrive after 23:00.
