I've imported a Word document into FM and it's brought with it about 50 color definitions, all the same color. They resist deletion in the Color Definitions dialog box. What to do - it's a clutter?

I echo Rene's statement - I have been using it for 
almost 4 years - it's greatest feature for me is the ability to browse graphics 
folders and print really awesome "proof sheets" of large numbers of screenshots 
and other graphics. This is a tremendous aid to me when documenting a 
UI.

Re: Can I use same files on both Mac and Windows platforms?

If I have a client who has FrameMaker 7.0 files on the Mac, can I 
work on those same files on the PC in a Windows version of 
FrameMaker 7.0?  Will the client be able to open them back up on the 
Mac?  If not, what kind of conversion process is needed?

Hi, Beth:

There's no difference between FM files on Mac, unix, and Windows. 
However, there are some file-naming limitations you'll run into with 
long file names on Windows that get truncated on Mac, because you're 
running FM in Classic, not true OS X.


You also may have font differences, either because of 
differently-named fonts, not having the fonts on both computers, or 
perhaps not selecting the same printer. See the 
multiple_platforms.pdf in the OnlineManuals folder in the FM 
installation folder for more detail.


Mostly it's a non-problem.

Fonts not embedding in PDF 1.6

FM 7.2, Distiller 7

I've tried a variety of font embedding options and used both Save-As and the
two-step printing method, but ... the pagination in the PDF is different from
the original Frame files.

One chapter has 52 pages in both Frame and PDF, but while the last text in
Frame is on p51, the last text in the PDF is on p 50 (with 2 blanks following).

Reader 7 (my client hasn't bought Acro 7 yet) lists all of the fonts I've used
in Frame under Document Properties  Fonts with each followed by (Embedded
Subset), TrueType, Ansi encoding.

What have I missed?

 5.  When we PDF the Frame file, one appears as white text on a black
 background (wrong effect) and the other appears as a solid white rectangle
 (way wrong effect).

How are you creating the PDF and how exactly is the Word document
inserted into the FM file?

Conditional Text and cross-references

Hi Anita

We saw exactly this behaviour and decided it happened when our xref format 
included the "Default para font" tag. For example, we used a paragraph format 
to turn on bold for part of the xref text, then used default para font to go 
back to normal. So we bypassed the problem by using a tag that specifically 
turned bold off, that otherwise had everything set to "As is". Works fine.

I have a book with many conditions in it. Within the conditional text, there 
are cross-references. Some of the cross-references are to text marked with the 
same conditions and therefore shown at the same time. Some of the 
cross-references are to text that is unconditional, so that the cross-reference 
text to a heading, etc. might be hidden. 

The cross-references are formatted to show the heading text and page number.

Here's my problem: When I show all conditions and update the cross-references, 
the page numbers are automatically updated, but they lose their condition tag. 
When I then hide the conditions, the page number still shows, because it became 
unconditional. (If I manually update the cross-reference, it will pick up the 
condition again.)

Example:
"For more information, refer to Starting your System on page 23." ("Starting 
your System on page 23" is the cross-reference)
This entire sentence can be hidden with conditional text. However, when I 
updated cross-references with all conditions showing, "on page 23" remains 
unconditional and therefore shows when I hide the conditions.

This seems to happen consistently to the same cross-references, although I 
cannot seem to find a pattern across my book.

type , which does the same job.**  Have you tried these alternatives to 
see if they fix the problem with cross-references?

You can generate an index or page-sequence list from your new Change 
markers much as you create an ordinary index or list.  But on the IX 
reference page, find the IndexIX paragraph in the IX flow (text frame). 
The IndexIX paragraph controls the look and feel of the page numbers 
but also specifies which locator to use which, by default, is normally 
<$pagenum>.

Replace 
<$pagenum> 
with 
<$paranumonly[+,Heading1,Heading2,Heading3]>
where Heading1, etc. are the para formats from your hierarchy of 
headings -- as many as you have heading levels.  The plus sign (+) 
makes FM search backwards from the location of the Change marker 
to the first para that matches one of the Heading1, etc. formats, then 
picks up its number.

The generated list or index will now contain entries by section number 
no matter where in a section the Change marker is placed -- it doesn't 
have to be in the heading paragraph.

I've been told that the Adobe CS2 documentation (a.k.a. "the Adobe Help 
Center") has been written with the DITA model. If you want to see this, 
you can download a trial version of, say, Adobe InDesign CS2. If you 
install Adobe InDesign CS2, you will also have the Adobe Help Center. 
You can download a trial version of InDesign CS2 here:

In the Adobe Help Center, you will clearly see the topic structure, and 
this "chunking mechanism" is what I like about this Help. What I miss, 
however, is "See also" or "Related Topics" links. For example, you can 
read a concept topic, but it would have been nice if there had been some 
links to related task topics. It has been done in some topics, but not 
enough.

In the Adobe Help Center, each topic is a new (HTML) page. In Help 
written according to the Information Mapping (IMAP) model, you would 
have a couple of topics ("blocks") collected into a "map" and a map is a 
new HTML page. You can see an example of this here:

I would use CleanImport, a plugin from http://www.electropubs.com, to
remove existing formatting (including the color defs) and impose a
clean template with your proper definition set

I'm not sure why the colors would be persistent unless the Word
tagging scheme somehow  reimposes them...

Synchronizing documents in a book

Hello!

This question must be very easy to answer for a FM specialist, that I am
not!

Here is my problem: I am working with FM 7.1 on PC in non-structured mode.
(I was on QuarkXpress v4 on PC before.)

I have a book with several documents in it: how can I say to the different
documents that for instance one of my paragraph style has changed and make
it synchronized in all the documents at once? Is master pages techniques
involved with that issue? 

What I do is importing format in each document by hand from the document
that contains the updated paragraphs...

Please help if you have a solution.

With your "template" file open, and the book file open, highlight all
files in the book that should receive the updated formats.

Then, File > Import Formats; specify the template file and select the
formats that you want to apply; click Import. All the highlighted
files receive the new info.

Select all the documents in the book at the same time the same way
you'd select files in explorerhighlight the first file, hold down
your shift key, then highlight the last file. They'll all be selected


Then select File -> Import -> Formats, then select the source of the
format. All the files that you've updated in the book are updated
together.

That is the way you do it, except that it's quicker to do all chapters at a 
time by selecting them in the book window and importing from there. FrameMaker 
does not have the automatic template synchronization of, say, 
Interleaf/Quicksilver.

If you want to update *just one* paragraph format across a book, save a dummy 
copy of a chapter containing the new paragraph definition, delete all other 
paragraph definitions, then import (the sole) paragraph definition from the 
dummy copy across the book.

Silicon Prairie's Paragraph Tools plug-in adds commands that make paragraph tag 
management a lot more powerful: there's a matching Character Tools plug-in for 
character tags.  (No 
commercial interest, just a satisfied customer.)

Graphics Tool functionality

Irfan has the same function: File>Thumbnails, and then (if you want)
File>Create Contact sheet, which allows you to specify how you want the
sheet to appear.
Really useful for finding duplicate images, or to have as a "cheat
sheet" for picking images out of a library.

(Not trashing ACDSee -- I used it for many years, and was quite happy
with it.)

If I have a client who has FrameMaker 7.0 files on the Mac, can I work on those 
same files on the PC in a Windows version of FrameMaker 7.0?  Will the client 
be able to open them back up on the Mac?  If not, what kind of conversion 
process is needed?

Beth,
Shouldn't cause any problems with the exception of fonts. Font names
between Windows and Mac are different, even though the fonts may be the
same.

I remember seeing a matrix/list of the platform-specific font names on
Adobe's website, but it has been a very long time.

Hi, Beth:

There's no difference between FM files on Mac, unix, and Windows. 
However, there are some file-naming limitations you'll run into with 
long file names on Windows that get truncated on Mac, because you're 
running FM in Classic, not true OS X.

You also may have font differences, either because of 
differently-named fonts, not having the fonts on both computers, or 
perhaps not selecting the same printer. See the 
multiple_platforms.pdf in the OnlineManuals folder in the FM 
installation folder for more detail.

Mostly it's a non-problem.

Beth,

Some Mac fonts won't be available on the PC, so you might get font
substitutions when you open the files. As long as you have "Remember Missing
Font Names" checked, no permanent damage will be done. You will work on the
documents with fonts available on your machine, then the Mac fonts will be
used again when the client opens the files. I have successfully done this in
the past.

You only need to have - exactly - the same fonts (with the same names
read by both versions of FrameMaker) on both platforms, and in the right
directories so Frame can access them. If you have difficulties achieving
this feat, you can try having on each platform a template in which the
all formatting parameters are defined with the appropriate fonts, and
simply import the formats (with "remove format/layout overrides
checked") every time you open a windows file in MacOS environment and
vice versa.

Hi all,

This issue may have been discussed a month or two ago.  I've tried to search
the archives but unfortunately I can't access any posts earlier than
November.  (Is there a trick I'm missing?)

Windows XP
Frame 7.0p579
Acrobat 6.0 and 7.0 (several users of both versions have the same result)

We are having some trouble with graphics that originate as PNGs in a
PowerPoint template.  They travel from PowerPoint to Word to Frame with no
trouble, but when we PDF the Frame document, they appear either as a white
rectangle (in one case) or with a black background (in another).

Here are the steps and details:
1.  The graphics originated as PNGs--both are white text on a transparent
background.  They are overlaid on a green background for a white-on-green
effect.

2.  We can PDF the PPT template just fine; the graphics appear as they are
supposed to.

3.  We export the slides to Word.  The resulting word file can be printed or
PDF'd with no trouble; the graphics appear as they are supposed to.  

4.  We import the Word file into Frame (copied graphics, not referenced).
The resulting Frame file looks fine on screen and it can be printed
fine--the graphics appear as they are supposed to.  However ...

5.  When we PDF the Frame file, one appears as white text on a black
background (wrong effect) and the other appears as a solid white rectangle
(way wrong effect).

We've done this procedure a zillion times using other PowerPoint templates
and never had this problem.  I've compared all the settings I can see
between old templates and the new one at every stage (PPT, Word, Frame) and
can't see any differences.  If anyone can suggest a tip, trick, or solution,
I would be most grateful!

How are you creating the PDF and how exactly is the Word document
inserted into the FM file?

Hi Bill,

In FrameMaker, we select File > Import > File and select the Word document,
choosing to copy it rather than referencing the link.  The Word document
contains only a table, with the slide images one per cell.  The table lands
in the Frame document pretty cleanly, again with the graphics inside the
table, one per cell.

To PDF, in FrameMaker we print to a .ps File, using a postscript printer set
up for the purpose (prinergy refiner).  We distill the .ps file to get the
PDF.

Hope this clarifies. Again, we've used this process a zillion times.
