You might want to check out is the script, Sync Entourage AB Groups (donationware). The script will sync categories in Entourage with groups in Address Book. It will go through your contacts in Entourage, determine the name of the categoires to which they are assigned and will place the same contacts in Address Book in matching groups (it will create the groups if they do not already exist). By testing in a new Identity you can verify that if it is your database then rebuild when you know it is necessary. Always make a copy first in the Finder before rebuilding. If the rebuild goes bad during the rebuild copy you can loose your original. Reinstalling rarely fixes problems like this. Office 2008 has been so problematic for many users, I advise zipping the current copy if you do decide to reinstall so you will have fall back. I would test in a new User and a new Identity to help narrow down the source of the problem. Just to be clear... Sounds were broken in the original release DVD version 12.0.0. This was fixed in later updates. Other sound fixes: First check Entourage -- Preferences Notification. Make sure that the appropriate sounds are checked. Click the speaker icon next to them to test your sound setup .If you can hear sounds from other applications, but not the Entourage sounds have a look at this Apple Knowledge Base article. Get Started Lesson on using Rules: Let's say you have no custom rules created. You have a ton of mail in your Inbox and Junk folder. Having an up to date Address Book is key to managing your mail and using rules. Assign a category to every entry in your Address Book. You can select using command-select to quickly add a lot of entries to one category. This might seem daunting but you'll be surprised at how quickly you can go through hundreds of contacts. If you don't have the time, you can do this as mail comes in from that contact. Note on categories: Try to keep them general. You'll find they can grow and grow and grow. You can create subcategories by using a naming scheme like this. (now they all sort together in the Address Book if I sort by category) Work: account A Work: account B Work: account C I do the same for groups. Group: Holiday Group: Announcements Group: Project A http://www.entourage.mvps.org/faq_topic/category.html Junk folder: If it's in your Junk folder and it's good mail, select This is not junk and add the entry to your Address Book. [IMPORTANT] It won't take long before you'll have all good addresses in your Address Book and your Junk Mail Filter will be easier to manage because it should just show junk. I have mine set to High. InBox: Quickly scan for messages that are from lists like this one. Create a Mailing List Manager rule for list messages. If you select a message to the Entourage talk list, then open the Mailing List Manager most of the info will already be entered. Once you have the MLM rule set, select all messages and run All rules from the contextual menu. Do this for all your mailing lists. You should be left with emails from individuals, newsletters, promotions etc. Select the first message in your InBox. Can this message be sorted by a category like Work, Buddy, Family, Announcements, Newsletters? If yes, then assign a category to the contact and set a rule. Use the shortcut Command-Option-C to open the contact. Assign category. Use the example below on how to set a rule by category. The criteria Is not in a mailing list is not necessary for all category rules but it never hurts if you add it. This way if I were in your Address Book for example, then emails I send to the list would go to the list folder, but a personal email I would send to you would go to another folder. My Buddy Rule: From is in category Buddy Is not in a mailing list Move to folder Buddy Run AppleScript Play sound (I like to use this action so I can hear when I get mail from my buddies) http://www.entourage.mvps.org/rules/sounds.html Look through other email in the Inbox and see if there are other emails there from Buddies. Assign categories to these contacts if you haven't already assigned in your Address Book and run All Rules. This will move all buddy mail from your Inbox. Take the next message. Can you assign this to a category, or do you need a specialized rule? By using categories, you'll be surprised at how quickly, your Inbox will empty. One of the benefits of using categories even if an individual contact has a singular category assigned to it, is all addresses assigned to that contact will be acted on by that rule. You never have to add the new addresses to the rule, just to the contact. Some specialized rules you might want: Remove incoming attachments with one of the remove attachment scripts. Are these archived copies of MSN messages? I have never used MSN, but can your friend access the MSN account via a web browser and import back into MSN? In Entourage 2008, the default account is now at the top of the folder window. This is huge for Exchange and IMAP users. Entourage 2008 is also much better at rendering some HTML newsletters. I had several that would not open in Entourage 2004 or showed up blank or just weird that all work in Entourage 2008. The biggest downside to Office 2008 is install/update issues. If it still won't archive, all I know to do is create a duplicate project, move all the files, notes, emails, etc into the duplicate, and then delete the bad one. The 11.3.5 combo was rolled into the 11.5 combo so you might as well install it. When Entourage did the rebuild, it made a copy. You can try this option, but it's not guaranteed to work, but it's pretty painless to try. 1. Start with the Identity you want to use that's kerfluey. (obviously working on a copy) 2. Export everything as Entourage archive (.rge) and select to delete. 3. Import the Entourage archive (.rge) into this Identity and see if it's working. I already use Categories to visually differentiate mail -- I've assigned each one to a different client so that I can tell by color who is writing me (for example, six different project editors at the same publisher, each has a different Category so that her email shows up a different color in the client's folder -- and the client folder is a subfolder of the main client folder, which is a subfolder of Folders on my Computer). You aren't taking advantage of how categories can be used in rules. If you used, if in category client x, move mail to select folder. You can delete all the if from using email address into one rule. Assign them one category by client. You can have multiple categories per contact. This way you will reduce your rules and still have your different colored entries. Couldn't I simply back up this identity, then delete everything in it, and then import the backup? Or will that not give me a carbon copy of what I've got now? [ANN] How-To: Dealing with error messages and solving problems
Today's article outlines how to find help when you receive an error or if you are experiencing problems. Before asking on a mailing list, newsgroup or calling support, check the Error Page or the Solve Crashes Conflicts Page. Searching for answers if often the quickest way to find an answer, plus when you search for answers yourself you often find other bits of useful info along the way. Don't expect someone else to always provide the answers. For example: You receive the error The action could not be completed. An unknown error (4362) occurred. How do you find what this error means and what are you supposed to do? Because this error lists a number, visit the Number errors page. Click on the link at the top for Positive Errors, select 4362. The solution is to rebuild your database. This is one of the common errors received in Entourage. Go to System Preferences -- Create a New User in Accounts. Switch to the New User by logging out/in or use Fast User Switching. Remember to move your Microsoft User Data folder back after testing. If the problems go away in the new User, then it's in your User's folder. If it does not go away, then you would need to create a new Identity and enter all account info to test if it really is your Identity or try rebuilding. If you decide to rebuild, make a backup copy first. The rebuild process does a copy, but rarely things go wonkers and the backup is bad leaving you without a working Identity. How to reset Sync Services http://www.entourage.mvps.org/troubleshoot/syncservices.html#ss2 Sync Basics: Replace Entourage items with Sync Services items Replace Sync Services items with Entourage items Merge Entourage items with Sync Services items The Replace Entourage items option will delete all items in Entourage and override them with the contents of the Sync Services truth. You'd want to do this if you haven't used Entourage in a while or you consider your cell phone's address book the primary rule for your contacts. The Replace Sync Services option makes Entourage the short-term rule. All contents within your truth will be deleted and replaced with Entourage items. In this case, all contacts in your Address Book app would be deleted and then replaced with those from the address book selected in Entourage. This is useful if you've been living in a two-address book world (as I have) with Entourage as your primary address book. The Merge option is the safest option. Nothing gets deleted. Items in the Sync Services truth go into Entourage and items within Entourage go into the Sync Services truth. This can be a bit messy, causing duplication, or unwanted items--but your data is pretty much guaranteed to remain. Generally, I'd always recommend Merge with a clean-up later on (remember, all future deletions/modifications will get synched from this point forward). After testing be sure to drag your MUD folder from Shared back to your Documents folder or Entourage will open with a new blank one. Font Finagler is the safer choice as it performs only the one function. What type of account? (POP, IMAP, Exchange) It sounds like either a cache problem or a corrupt database.
